1 General Board Meeting Minutes 21 May 2017 Meeting called to order at 11:05 am. Trustees in attendance: Dave Lauro, David Herwig, Eileen Conway, Joe Finlaw, Hugh DelBorello, Lisa Reynolds Residents in attendance see attached May Board Meeting sign in sheet. April General Board Meeting Minutes April 2017 General Board Meeting minutes motion to approve by Conway, seconded by DelBorello; all in favor. Treasurer s Report April payables $32,122 spent from the Operating fund including $1,000 for Gazebo concrete motion to approve by Herwig, seconded by Conway; all in favor. YTD balances o Operating $443,325 o R&R $397,539 o YTD Total $840,864 Dave Lauro Pool area BC will have lifeguard coverage at the pool on weekends throughout the summer. Call box the call box is now working; need to review steps for use with residents; Carol to issue a How to use the call box e mail to all residents. Trash the trash compactor is for household garbage ONLY; other materials are to be disposed in the containers behind the boatyard. Brush CANNOT be put in PLASTIC bags and dumped in the brush dumpster brush CAN be put in paper bags and dumped, or just placed loose in the brush dumpster. We need everyone s cooperation to avoid additional disposal fees at the landfill. As violators are identified, warnings and fines will be sent out. Donations to Marmora Fire Department Dave suggested residents support of the Marmora FD fundraising effort. Eileen Conway Nothing at this time. Lisa Reynolds Nothing at this time. David Herwig David reviewed the 29 April propane tank leak emergency, including discussion of lessons learned and follow up items (see attached). Joe Finlaw Playground elements the Connect4 and Jenga (teenager) games will be installed in the Gaga area; a sandbox/watertable and playhouse to be placed in the play area near the hot dog stand. Reminder that the Duck Regatta is scheduled for July 2; rubber duckies can be purchased at the Office. Speeding As Memorial Day approaches, residents are reminded that the speed limit is 5 mph and to be watchful for walkers, kids on bicycles, etc. as you travel through the park. Used clothes, toys, etc. can be donated by placing them in the shed behind the boatyard; this fundraiser raises over $800/year. Hugh DelBorello Nothing at this time. 2 Mike Pangburn Residents are encouraged to check all hoses for dry rot and other signs of deterioration. Proper segregation of trash is key to controlling trash disposal costs. TVs are the only electronics that can be disposed next to the garage area; metal objects (grills, etc.) should be placed behind the garage. A reminder re: driveway thresholds be careful when digging/placing threshold materials as the internet cabling and electric services typically run along each property at the roadway. Arch reviews a reminder that Arch approvals take place at each Board meeting; please plan ahead and provide Arch review materials to the Office in time for proper review of the document(s) and physical inspection of the proposed work area(s). Architectural Reviews 196 flooring approved 179 shower installation approved 282 outside shower approved 143 AC unit replacement approved 279 rubber roof installation approved 33 AC unit replacement approved 277 roof repairs approved 24 siding replacement; tree removals approved 186 shed repairs approved 34 shed roof repairs approved 185 shed roof repairs approved 141 awning repairs approved 268 gutter repairs approved 203 walkway installation approved Social Committee The Hot Dog stand will be open Memorial Day weekend (weather permitting) and open each weekend starting in late June after schools let out. The Board is looking for volunteers to help staff the stand; see Carol in the Office to sign up. Old Business Nothing at this time. New Business A replacement lifeguard stand ($650) motion to approve by Conway, seconded by DelBorello; all in favor. Tree removal in the pool area ($840) remove the large tree behind the pool (necessary removal re: root damage to the pool and needles dropping into the pool); motion to approve by Conway, seconded by Reynolds; all in favor. Mike identified needed masonry repairs to the pavilion chimney ($1,385); motion to approve by Conway, seconded by Reynolds; all in favor. Pickleball net systems were discussed cheap ($169), medium cost ($450), and high quality ($1,150); purchase of one of the high quality net systems was approved motion by Conway, seconded by DelBorello; all in favor. Post meeting follow up after discussions with others, it was decided to purchase two of the medium quality new systems ($450 each; total $900) in lieu of buying one of the high quality net systems, saving $250 and completing installation of both new court areas. 3 Resident Issues: Unit 148 (Varvaris) raised question about access to the call box system suggested they contact Carol to provide a mobile phone number and to set them up in the system. Also suggested BCCA send out info on the propane tank emergency so all residents understand the situation and to better prepare for future emergency situations. Unit 113 (Brill) expressed thanks for the prompt response to the leaking propane tank emergency on their property and also commented on the cleanliness of Bayberry Lake. Unit 309 (Hatz) Requested details on depositing items in the recyclables containers is it ok to place paper products and/or glass/metals in plastic bags? So far we have not received any pushback on plastic bags in the recyclables containers. Requested an update on the dryer in Bathhouse B will it be repaired, and if so, when? Maintenance to check this out and make recommendation. Unit 234 (Schwanback) Speeding in the park is increasing, especially at night. Unit Owners are encouraged to provide info on speeders to the Board; the Security Guard will also watch out for speeders. Unit 203 (Brook) requested clarification on the Arch Review process and timing. Unit 173 (Pinero) and 268 (Biddle) suggested BCCA look into Emergency Broadcast software to issue emergency alerts to Unit Owners via their mobile phones. The Office to investigate this option. Unit 250 (Panish) inquired what the e address is for BCCA bayberrycove@comcast.net. Meeting was adjourned at 11:52 am motion by Herwig, seconded by Conway; all in favor.
