2 ABOUT THE SHOW 8,000 VISITORS ACRES ACRES OF TRADE DEMONSTRATION PLOTS STANDS 30+ MANUFACTURERS Grassland UK is a triennial event held to showcase grassland machinery and processes from seed to feed specifically targeting livestock farmers in the UK. The one day Show attracts in the region of 8,000 visitors from various locations throughout the UK and Europe. The advertising campaign includes the following publications: - ers Weekly - ers Guardian - Dairy er - Dairy Update - British er & Grower - South West er - & Many more! Grassland UK is a LIVE Demonstration event held on working farmland; machinery will be demonstrated on over 90 acres of plots and in total the Show site will spread over 100 acres. 30+ manufacturers including John Deere, JCB, Claas and McHale will demonstrate grassland processes on grass grown for the Show. Also manufacturers will demonstrate, withcommentary, loading and handling equipment using the mown grass in the farm silage clamp. ers can get advice on topical legislative and policy changes; attend seminars (organised by the British Grassland Society); visit over 180 trade stands showcasing a variety of related products including seeds, mowers, balers, tedders, livestock handling and feeding equipment and enjoy catering on site. The Show has grown from strength to strength since it s first Show in 1985! It has become the senior grassland event in the UK. 8,000 Visitors, each one is a potential new customer for you!

3 EXHIBITORS IMPORTANT INFORMATION Here are a few brief points to note when booking to trade at the 2018 Grassland UK, Exhibitors must be familiar with the full Terms & Conditions which can be found at - Ticket Allocation Static Trade Stand and Covered Tentage: Admission Tickets: Exhibitor Vehicle Pass: Working Demonstration Plots: Admission Tickets: Exhibitor Vehicle Passes: Service Vehicle Pass: 2 admission tickets per 3m frontage booked 1 Pass will be issued to each Exhibitor with an additional issued to Stands with over 12m frontage 6 admission tickets for the first plot booked and 3 additional admission tickets for each subsequent plot booked Each Exhibitor will recieve 3 Exhibitor Vehicle Passes and an additional 2 will be issued to Exhibitors with 4 or more Demonstration plots 1 Pass will be issued to each Exhibitor, an additional Pass will be issued to Exhibitors with 4 or more Demonstration Plots Muck and Clamp Demonstrations will be allocated as per the Static Trade Stand allocation, with additional passes allocated depending on the number of Demonstrations booked. Exhibitor Vehicle Passes admit the driver and vehicle into the Show. Service Vehicle Passes admits the Vehicle Occupants and allows movement during Show hours in the case of a breakdown. Forklift & Unloading Ramp An unloading and loading service is provided free of charge during the below stated hours. Exhibitors requiring this service of the forklift and driver for unloading should, upon arrival park in the forklift waiting area then telephone A strict rotational system will be in operation. Those wishing to re-load after the event will be able to register at this time. Please note, the maximum load weight for the forklift is three tonnes. All exhibitors using this service will be asked to sign a form providing indemnity to the Contractor. An unloading ramp is available in the unloading area. This services will be available on the following days: Tuesday 8th May 8.00am pm Wednesday 9th May 8.00am pm Thursday 10th May 5.00pm pm Friday 11th May 8.00am pm If you require a forklift outside of these hours, this must be pre-booked with our Estates Department via Please note, a charge will be made for lifts out of the above hours. Setting up The Exhibitor can begin setting up their Trade Stand and Demonstration Plots from noon on Tuesday 8th May Deliveries can be made prior to this date to the unloading area. Breakdown Trade Stands and Demonstration Plots must be cleared by midday on Friday 11th May Generators Electric must be booked through the application form provided by the Shows Contractor. Diesel el Generators will ONLY be permitted in the Demonstration Plots and Muck Demonstration Field. By applying to the Show, Exhibitors are agreeing to the full Terms & Conditions

9 Fire Risk Assessment Trade Stand Exhibitors Name of Exhibitor Contact. on site Location on site In order to comply with relevant fire safety legislation you MUST complete a Fire Risk Assessment of your stand or unit. The Risk Assessment needs to identify the fire hazards and persons at risk, you must endeavour to remove or reduce these risks and protect people from fire. Failure to comply with this requirement will result in you being removed from the site. You must be able to answer YES to the following questions. This signed and completed form must be available for inspection by the Fire & Rescue Service / Event Organiser / Council Officers at all times. 1. Are adequate exits provided for the numbers of persons within the unit or stall? (Are your staff and customers able to evacuate easily if the normal exit is blocked?) 2. Where necessary, are there sufficient directional signs indicating the appropriate escape route and do they comply with current regulations? 3. Are the exits maintained available, unobstructed, and unlocked at all times the premises are in use. 4. If the normal lighting failed would the occupants be able to make a safe exit? (Consider back up lighting such as torches) 5. Do you have an adequate number of fire extinguishers/fire blankets available in prominent positions and easily available for use? 6. Has the fire-fighting equipment been tested within the last 12 months? te: a certificate of compliance will normally be required 7. Have your staff been instructed on how to operate the fire-fighting equipment provided? 8. Have your staff been made aware of what to do should an incident occur, how to raise the alarm, evacuate the unit, and the exit locations? 9. Have you identified combustible materials that could promote fire spread beyond the point of ignition such as paper/cardboard, bottled L.P.G. cylinders etc and reduced the risk of them being involved in an incident? 10. Have you identified all ignition sources and ensured that they are kept away from all flammable materials? 11. Are the structure, roofing, walls and fittings of your stall or unit flame retardant? te: certificates of compliance will normally be required 12. If any staff sleep in the stall is there a working smoke detector and a clear exit route at night? te : Persons should not be allowed to sleep within a high risk area and some Authorities and events do NOT allow any sleeping within units. 13. Are you aware that you must not stock or sell certain items, i.e. fireworks, garden flares, household candles, tea lights, Chinese lanterns etc? 14. Do you have sufficient bins for refuse? Is all refuse kept away from your unit? 15. Are you aware that generators are not permitted on site? (FRA Traders) (07/09)

10 If you use LPG 16. Do you have an inspection / gas safety certificate for the appliances and pipework (copy to be available for inspection) and are all hose connections made with crimped fastenings? 17. Are the cylinders kept outside, secured in the upright position and out of the reach of the general public? 18. Are appliances fixed securely on a firm non-combustible heat insulating base and surrounded by shields of similar material on three sides? 19. Are the cylinders located away from entrances, emergency exits and circulation areas? 20. Are the gas cylinders readily accessible to enable easy isolation in case of an emergency? 21. Do you ensure that all gas supplies are isolated at the cylinder, as well as the appliance when the apparatus is not in use? 22. Do you ensure that only those cylinders in use are kept at your unit/stall? Any spares should be kept to a minimum and in line with any specific conditions for the event 23. Is a member of staff, appropriately trained staff in the safe use of LPG, present in the unit / stall at all times? If the answer to any of the above questions is NO, Please detail the actions you have taken to remedy the situation.
