1 FALSE ALARM REPORTS 1) Administration Page a) Red highlighted fields require information to be entered before the system will allow the report writer to add the page. If other information addressed on the page is available, it should be entered. b) The Report Type must be NC-F.ALM if the call is not upgraded to another type of signal. c) The Address is the dispatched address. d) The UCR Status code must be NAT for Necessary Action Taken. e) The Status Date field must be completed. f) Click Add New and the format of the page will change to the three-page Non- Crime report format. 1

3 a) Red fields require information to be entered before the system will allow the report writer to add the page. b) Phone Number, Type Of Service and Caller are not required fields. c) The alarm company s name, telephone number and type of alarm signal reported will be entered into the white box to the right of the Voice Contact and Hang- Up check buttons. d) If no one is contacted, the name of the homeowner or business provided by the alarm company must be entered into the name fields. If some one is contacted, their information must be entered into the available fields. e) If no one is contacted, the dispatched address must be entered into the address field. f) The telephone number must be entered into the appropriate telephone field. i) Home Phone# must be used for residential and cellular telephone numbers. ii) Work Phone must be used for business telephone numbers. g) A selection of the check buttons in the lower left hand corner of the page is not required. h) The Supervisor input field is not required. 3) Narrative Page a) The first paragraph of the report s narrative must include the date, the time of dispatch, the location of the dispatch, including the city and state, the name of the 3

4 home owner or business provided by the alarm company, the name of the alarm company and the specific type of alarm signal reported by the alarm company. b) Subsequent paragraphs will address the deputy s findings upon his arrival at the location and the subsequent investigation. If available, it will include the name, date of birth, race and gender of the person contacted at the location. c) If someone else is contacted that is not the same as provided by the alarm company, the person s name, race, gender and date of birth must be obtained and included in the report s narrative. d) If someone is contacted at a business, the person s name, race, gender, date of birth and position with the company must be obtained and included in the report s narrative. e) General rules for report narratives. i) Report narratives must have visibly identifiable paragraphs. (1) Examples (a) An indentation of the first word of the first sentence of each paragraph xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx xxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxxx (b) A blank line between paragraphs without indentations (2) Report narratives must have the same type of identifiable paragraph distinctions throughout the entire report. It cannot have paragraphs both with and without indentations or both with and without blank lines. ii) Report narratives must not be typed in all capital letters. 4

5 iii) Complete sentences, correct punctuation and grammar must be used when writing narratives. iv) Abbreviations must not be used in the narratives. This includes ranks of Sheriff and Major. (1) Exceptions (a) DOB can be use for date of birth. (b) Two letter state abbreviations (both letters are to be capitalized) (c) Race and gender (ex.: W/M for white/male, etc.) (d) The first time an entity is referenced, it must be spelled out and followed by its abbreviation in parentheses. The abbreviation can be used in subsequent references to the entity. (i) Examples (non exhaustive list): 1. East Baton Rouge Sheriff Office (EBRSO) 2. Our Lady of the Lake Hospital (OLOL) 3. Earl K. Long Hospital (EKL) 4. Order of Protective Custody (OPC) 5. Physician s Emergency Certificate (PEC) 6. Notice of Violation (NOV) (e) Rank abbreviations can be used if they are followed by a name. If they are not followed by a name, the rank must be spelled out. (i) Dy. can be used for Deputy. (ii) Cpl. can be used for Corporal. (iii) Sgt. can be used for Sergeant. (iv) Lt. can be used for Lieutenant. (v) Capt. can be used for Captain. (vi) Lt. Col. can be used for Lieutenant Colonel. (vii) Col. can be used for Colonel. (viii) Det. can be used for Detective. (2) Contempt of Court must not be abbreviated v) Law enforcement jargon must not be used in narratives. (1) Examples (non exhaustive list) 5
