Introduction All those associated with the Digital Hub Development Agency (DHDA) have a strong commitment to making your work environment an on-going success. We hope you will find this handbook of assistance. Contained in this handbook is information relating to Safety, Health and Welfare of personnel on campus. Access / Egress Access routes into and out of each building, including gateways must be maintained clear at all times. Please park with consideration. This includes considering access by emergency vehicles should they be required. Do not obstruct pedestrian routes, walkways or emergency exits so that these are kept free for use in an emergency situation. When travelling from building to building, always be mindful of moving traffic. Use pedestrian routes where provided and use the pedestrian crossing when travelling across the road. Incidents / Dangerous Occurrences DHDA endeavour to ensure that the campus is well maintained and free from hazards. Where hazardous situations are identified, this should be reported immediately to facilities. Any incidents / dangerous occurrences within the building and its surroundings must be reported immediately or as soon as possible to the Facilities helpdesk on 1850 927 298. The Facilities Help desk will liaise with you to ensure any relevant documentation in relation to the incident is adequately recorded. Security Security Officers are stationed at the entrance / reception to Digital Depot. Security Officers also carry out regular patrols throughout the buildings and their surroundings on a 24/7 basis. All active buildings are monitored by CCTV throughout communal areas. Deliveries All deliveries may report to Digital Depot or Digital Exchange Reception area. If it s a large delivery, Reception will contact the tenant of the delivery to collect. If it is a small package, they will be placed in tenant s pigeon hole. Welfare Facilities Access to toilet and canteen facilities are provided for companies in all buildings. Shower facilities are available in some buildings. A cleaning schedule is in place; however it is your responsibility to clean up and use the bins provided. Please recycle where possible. Smoking A Smoke-free Workplace Policy operates throughout all DHDA buildings. Smoking is strictly prohibited at the front of all buildings and at all other access points. There are designated smoking areas available throughout the campus. Please contact your Digital Hub point of contact to identify the nearest smoking area. For the purpose of the Smoke-free Workplace Policy, E- cigarettes are also prohibited in any indoor location. Emergency Preparedness The purpose of the evacuation procedure is to provide a method for the most efficient and safe, controlled evacuation of the building. Regular evacuation drills will be scheduled for each building. An Emergency situation is: Any situation that is unplanned, which has caused or has the potential to cause a threat to human life or limb, or damage to Digital Hub property or property that is part of the Digital Hub campus. Roles and Responsibilities Landlord Responsibility The Landlord, through the designated Emergency Controller, assumes overall responsibility for emergency co-ordination. This is facilitated through an appointed Emergency Controller. This includes provision for the call out of emergency services, the security of the building; etc. A plan has also been devised for outside of normal business hours. All employees, tenants, visitors and contractors must follow the instructions of the members of The Digital Hub s Emergency Response Team at all times. Once the Emergency Services arrive on site they will assume control of the situation. Following any emergency incident, the Fire Wardens and Occupational First Aiders should assembly with the Emergency Controller at Digital Depot Reception to provide feedback on the incident. Digital Hub Companies Responsibilities Fire Wardens Each company based at The Digital Hub is advised to nominate two or more Fire Wardens Fire Warden training should be provided by you (i.e. the employer) It is recommended that the requirement for a PEEP (Personal Emergency Egress Plan) is communicated to DHDA in advance so that where necessary, assistance can be provided e.g. in the event of a disability It is recommended that Fire Wardens wear a high vis vest for visibility and identification purposes During evacuation drills, personnel should be directed away from the lift On activation of the fire alarm, Fire Wardens should conduct a sweep of their area of responsibility then proceed to the designated assembly point Fire Wardens must make themselves known to the emergency controller and must report any personnel who cannot be accounted for and who are believed to remain in the building Fire Wardens must make themselves available for a post incident / drill review following any evacuation Occupational First Aiders A number of Occupational First Aiders have been appointed by DHDA and they receive regular training in line with the necessary requirements. In addition, you are advised to make sufficient arrangements for First Aid provision in your own workplace. First Aid provision includes the provision of first aid boxes and contents in your office / workplace area. AED stands for Automated External Defibrillator. This is a portable device that checks the heart rhythm and can send an electrical shock to the heart to try to restore a normal rhythm. There are 2 AED s made available by DHDA on campus. The AED s are stored in alarmed wall mounted units at Digital Depot and Digital Exchange building Reception areas. These are visible and clearly signposted. Some tenants may have their own units in their office space. Key DHDA employees and contractors including, Security, Receptionists and DHDA Occupational First Aiders have received training specific to the use of this particular model. In addition, others across campus (E.g. those who have received Occupational First Aid training) can use the AED s. The use of AED s is now included in all Occupational First Aid training programmes. As the equipment provides verbal instruction and is designed to be easy to use, it can be used by anyone who feels confident to use it. In the event of an emergency evacuation, trained Occupational First Aiders should proceed to their designated assembly point and should be prepared to assist where necessary. If required, the Emergency Controller will instruct the Fire Warden to request First Aid assistance. You are advised to: Know all available escape routes, locations of break glass units and extinguishers in your workspace and frequently used communal areas Know the designated Assembly Point in your building and other buildings on campus that you use Always know who is on the premises and instruct your visitors on evacuation procedure On Discovering a Fire Should a fire be identified on site, raise the alarm by activating a call point i.e. breaking a break glass unit. Evacuate and phone reception immediately on 01 4806200. For an out of hours emergency, call Digital Depot Security on 01 4885800 or Manguard Control on 0818 313 050. In the event that neither can be reached, call the Emergency Services on 999 or 112. NEVER PLACE YOURSELF IN DANGER DO NOT ATTEMPT TO FIGHT A THE FIRE UNLESS YOU ARE TRAINED AND COMPETENT TO DO SO ONLY FIGHT A FIRE IF YOUR ESCAPE ROUTE IS CLEAR, YOUR BACK IS TO THE FIRE AND THE FIRE IS NO LARGER THAN A WASTE PAPER BASKET Digital Hub Company H&S Handbook Rev 8-August 2016 Page 5 of 10

IF YOU DISCOVER A FIRE: Fire Action Notice Sound the Alarm Activate the Fire Alarm at the nearest Break Glass Unit Attack the fire if possible but do not take personal risks IF YOU HEAR A FIRE ALARM: Leave the building by the nearest available exit Close all doors behind you Proceed directly to the assembly point Follow the instructions of Fire Wardens Do not use the lift Never return to the building unless authorised to do so Do not take risks Do not stop to collect personal belongings Do not run Do not leave the assembly point until authorised to do so Digital Hub Company H&S Handbook Rev 8-August 2016 Page 7 of 10

Suspected Gas Leak Do not activate break glass unit in the area with leak Where safe to do so, extinguish all sources of ignition Do NOT turn electrical switches on or off Open all doors and windows to ventilate the area if safe to do so Evacuate to a safe area Call security desk from a phone away from the perceived danger area Security / Bomb Threat In the unlikely event of a telephoned bomb threat, try and obtain as much information as possible including: Date and time of call Judge by voice if the caller is male / female / adult / child Note the exact wording of the threat Note as far as possible speech characteristics such as speed, tone (sincere, calm, angry, exited, angry), language (foul, accent etc.), impediment (intoxicated, stutter or other speech impairment) used Note any background noises If the call relates to a bomb threat, try to ascertain when it will go off, where it is located, what type of bomb it is, why this is being done and who they are Notify the Security Desk, (Who will in turn notify the Facilities Manager and Senior Management on site) who will assess the threat based on information available and advice from emergency services If the threat is deemed valid, evacuation will be initiated. Information for Visitors Visitors are welcome to THE DIGITAL HUB, but it is a workplace and we ask you to cooperate with our Health & Safety requirements. 1. On arrival to The Digital Hub campus, report to Digital Depot reception or Digital Exchange receptions first if visiting companies / individuals in these buildings. Security / Receptionist will contact the person you are meeting to inform them of your arrival and will ask you to sign the visitor s book. If you are visiting a company in The Digital Hub who are based in 10-13 Thomas Street, Gatelodge, OneFiveSeven, Digital Court or Thomas Court, please follow the direction of the Company or person you are meeting there. 2. Limited visitor parking is available at Digital Depot carpark only. Please report to Digital Depot for a parking permit and instruction on where to park. Please note that those who park without a valid permit will be clamped. a. Be aware of moving vehicles and watch out for pedestrians b. Adhere to speed limits 3. Visitors should be accompanied by a representative of the company based at The Digital Hub that you are meeting at all times while on campus 4. Your host will communicate emergency procedures a. If you notice a fire, do not attempt to extinguish unless trained to do so b. Break the nearest break glass unit to sound the alarm and inform others in the area of the emergency 5. Ensure to follow all Health & Safety rules on campus grounds 6. If required, please wear personal protective equipment provided to you by your host 7. Toilet and washing facilities are provided in all occupied buildings a. Please leave these facilities as you find them 8. Smoking is not permitted throughout The Digital Hub campus including doorways a. Use designated smoking areas provided 9.
