He has many photos to share, and stories to make the origins of Kansas State Master Gardeners connect with our current members. In addition, his documented history of the Kansas State horticultural department is legendary. Luckily, he has a power point that includes early photos of where our knowledge and resources started. It is remarkable to pair this with the celebration of our 100 years. Bring questions and prepare to be entertained by his personal recollections as well. The program is scheduled for Saturday morning, January 19 th from 10:30 to 11:30 a.m. in the Dreher building. Dr. Chuck Marr is a Professor Emeritus of Horticulture from Kansas State University. He has taught and shared knowledge of plant history, what makes things grow and how to identify plant problems and how to treat them at K State for decades. He is know throughout the K State Horticulture department as one of their most friendly and diverse resources. He is a speaker on a radio station and consulted by everyone who sees him on all things that grow in the ground. Much of what he shares come from first-hand knowledge and experience. ACTivity Fair Information The annual EMG Activity Fair will be held at the regularly scheduled January meeting on January 19, 2019. There will be a short business meeting from 9:00-9:30 followed by the Activity Fair from 9:30-10:15. Representatives from the various committees will be available to answer questions about volunteer opportunities. This is a great time to visit with other Master Gardeners and become more familiar with the broad spectrum of opportunities available within our organization. Note: If you plan to sign up for the Monarch Watch Demo Garden, plan to bring your car license number so parking permit information can be provided to the University ASAP. You can register up to two vehicles. Those who registered last year do not need to register again. Anyone who has registered more than two cars in the past should let Judy Adams know which tag numbers to remove. You may join committees at any time during the year. Simply notify the committee coordinator of your desire to participate.

You will also get a chance to speak at the meeting, but this will reserve a space on the agenda. If you are planning to distribute handouts, papers, or publish advertisements on behalf of EMG s, these need to be reviewed by Marlin Bates, prior to distribution or publication, to make sure we are on track with Kansas State University requirements. Organizational Meetings for Members EMG Board Meeting, November 7, 2018. Present: Nancy Smelser, Sharon Laverentz, Mary Dillon, Kathy Bourgeois, Susan Rendall, Martha Lanpher, Andrea Verbanic, Ron Spangler and Judy Adams. Guest: Kathy Reed, Budget Committee Chair Absent: Pam Patrick and Cindy Hornberger President Nancy Smelser called the meeting to order at 9AM. President s Report: Bobbi-Frances McDonald and Wendy Shoemaker have requested a one-year leave of absence. Susan Rendall moved to approve the requests, Judy Adams seconded. Motion passed. Donna Black has requested Emeritus status. Kathy Bourgeois moved to approve the request. Martha Lanpher seconded. Motion passed. The EMG board members will provide the treats and door prizes at the January meeting. Committee Coordinator training will take place in January. Several dates were suggested. Sharon Ashworth will send everyone a Doodle Poll to see which dates work for the most people. She will also check on the availability of the Train Depot for that date. All coordinators, new and current, are expected to attend this training. The Homeless shelter has asked if a Master Gardener would be willing to take charge of the garden at that location. Since this is not an official EMG project, the hours would not count. Vice-President s report: Kathy Bourgeois discussed the advanced education programs for 2019. Most programs are already set. The new board will decide if an advanced education program will be necessary next November. Martha Lanpher, PR person, reminded the group that in order to get information about our programs in print media, the PR person will need to know about it at least three months in advance. Field trips considered for next year are Henry s Plant Farm and Water s Edge with a possibility of going to Basehor as well. Treasurer s report: Mary Dillon had no official report due to the timing of the DG Extension board meeting. She did present some bills for approval:

Motion passed. T-Shirts will be ordered in January and February for the garden tour as well as for the new class. New Budget presentation by Kathy Reed: Discussed purchasing a laptop computer and the necessary software for use by the EMG treasurer. The Public Relations committee also wants a Chrome Book for their use. This might come out of the budget or they can apply for a grant. The budget can be reviewed in June 2019 and if money is running short, budgets can be reduced or frozen. There was considerable discussion concerning the fact our 2019 budget is underfunded because projected revenue doesn t cover projected expenses. It was brought up that this is usually the case with our budget. When Kathy presents the budget to the membership she will show that the unfunded part can be covered by reserves. Susan Rendall moved to approve the report. Martha Lanpher seconded. Motion passed. Public Relations committee report: Martha Lanpher passed around a draft of the new social media policy and asked for board input by email. Members-at-Large report: Judy Adams said there are 15 graduates in the new class who will be recognized at Saturday s meeting. Horticultural Agent report: Tom announced that the high tunnel project is now held up by lack of a stamp on the plans by a Kansas engineer. He is putting out bids for an engineer who can stamp it. Eudora Garden Project: Andrea Verbanic has prepared an MOU for that project and followed all other directions given her by the board. This project was given standing committee approval by the board (Mary Dillon moved, Susan Rendall seconded. Motion Passed.). The project will be presented to the membership at the November meeting, and again at the January meeting for approval as a standing committee. Kathy Bourgeois moved and Susan Rendall seconded that the meeting adjourn. Motion passed at 11:21AM. Addendum to board minutes: Kevin Nelson, 2019 Chair of the Fairgrounds Demonstration Garden, requested $600 in grant funds to purchase and install a fence in the vegetable garden. Grant request form for the remaining 2018 Grand funds was signed, received, the board approved electronically via email on November 20, 2018.

Jeanne Klein moved that the October minutes be approved, Pam Patrick seconded. Motion passed. President s Report: Nancy Smelser announced that Emeritus status has been granted to Donna Black. There will be a coordinator s training in January. A Doodle Poll will be sent out and every coordinator needs to respond as soon as possible. A mystery receipt surfaced for paint from Home Depot. If it is yours and you want to be reimbursed, contact Mary Dillon. Vice-President s Report: Kathy Bourgeois announced the programs for 2019 and mentioned that there will be two or three possible field trips. Treasurer s Report: Mary Dillon reported we have a balance of $25,935.90. The unspent amount in this year s budget is $4,565.63 and available grant money remaining is $600.00. Volunteer hours reported by 2018 members so far are worth $165,297.00 at the rate of $22.00 per hour. Our goal is $192,00.00, so everyone should be sure to report hours earned at the end of the year. There are still 19 current EMGs who have reported ZERO hours for the year and five who have reported fewer than 20 hours. Members with Emeritus status should also report hours if at all possible even though it is no longer required. Budget Committee Report: Chairperson Kathy Reed said that the 2018 budget was $11,150.00 while the budget for 2019 will be $13,300.00. The budget for the PR committee has gone up due to the fact the group is totally revamping our PR approach in order to expand our community outreach. Debbie Zabel moved and Ginny Turvey seconded that the budget be approved. Motion passed. Members at-large reports: none Horticulture Agent Report: Tom Buller reported that Cromwell Environmental has applied for a building permit for the high tunnel. We still need to find an engineer firm to stamp the plans. December 15 there will be a workshop on growing mushrooms on a log. Sharon Ashworth mentioned that the Homeless Shelter wants someone to take charge of their garden. The hours will not count as volunteer hours for EMG purposes since it is not an official EMG project.

Motion passed. Roxie McGee urged members to look at the hand dyed scarves available at Good Earth Gathering. These scarves were dyed using plants from the Native Medicinal Garden and the garden gets a percentage of the proceeds from sales. Ginny Turvey announced she would be in touch with coordinators about the January Activity Fair on January 19. Unfinished Business: By-Laws changes: 1) This change that was suggested involved having the vice-president automatically move on to the President s position. The idea being that the vice-president could learn the ropes of being the President before stepping into the position. However, after discussion and a vote, this proposal failed. Succession planning will be taken up again with the 2019 board. 2) The second by-laws change involved having the treasurer remain on the board one year after their term was up in order to train the new treasurer. The retiring treasurer would be an ex-officio member of the board. After discussion Kathy Reed moved and Lisa Larsen seconded that the changes be tabled for more study. Motion passed. New Business: Andrea Verbanic and Heather Noble presented the plan for the new Demonstration Garden in Eudora. Eudora is the only town in Douglas County that does not have a Master Gardener presence and they are most eager to have EMGs take on this project. This proposal will be presented to the membership again in January at which time a vote will be taken. Laurie McLane-Higginson reported that two more garden leaders are needed for the 2019 garden tour. There is also a sign-up sheet for volunteers in each garden. EMG Reimbursement Schedule for 2019 EXTENSION MASTER GARDENER EXPENSES Please turn in your receipts and properly signed reimbursement to the EMG Treasurer before the monthly EMG Board meeting. The EMG Board meets the 2 nd Wednesday of the month. After the EMG Board meeting the Treasurer will turn in all receipts to th e Extension office. The Extension office must then present all payments to the Douglas County Extension Council for approval and that Council meets on the first Tuesday of each month. No money can be paid out until the Council meets and approves the payments. Receipts are processed only once a month. If you turn in any receipts the day after the EMG Board meeting, you will not be reimbursed for 2 months. For example, if you turn in a receipt on March 15 th, you will not be paid until May 2 nd.
