Show Location: Thompson Drill Hall 7 D Artisan Road, CFB Kingston Date/Time: Wednesday April 10 3:00 pm- 8:00 PM Accessibility: There is an accessibility ramp at the front door of the building and there is one accessible washroom inside the building. Washrooms: We do our best to reserve the washrooms for vendors and EXPO staff as well as those who have small children or those who are elderly or have mobility challenges. Additional washrooms are located through the lunch room (just outside the building). Food: There will be Food Trucks on-site. Food, drinks & snacks are available during the event. ATM / Bank: The closest ATM / Bank Machine is located at the CANEX strip mall (beside the McDonald s & Tim Horton s) on Hwy #2. Another ATM / Bank Machine is located in the Lobby at the Base Gym (which is the Kingston Military Community Sports Centre) just down the hill from the Thompson Drill Hall. The nearest Bank / financial institutions are: TD Canada Trust at: 217 Gore Road (off Hwy 15) or Bank of Montreal at: 297 King Street (downtown) Wi-Fi access: There is no Wi-Fi internet available at Thompson Drill Hall. Many buildings on Base have limited internet access for security reasons. You will have to provide your own data if needed. Parking: There is plenty of FREE Parking for everyone (vendors and customers) during the CFB KINGSTON TRADE & LIFESTYLE EXPO. Please park in the McNaughton Parade Square (our main parking area) located directly across from the front doors of the Drill Hall. Do not park in the side parking lot adjacent to the Thompson Drill Hall. Security: Thompson Drill Hall will be locked at night after set-up and at the end of day. Although the building will be locked at night, there is no in-building / on-site security - only Base patrol. Safety is important to us. However, CFB Kingston and its CFB KINGSTON TRADE & LIFESTYLE EXPO organizers are not responsible legally or otherwise for any damage/financial loss. Smoking: Smoking is only permitted outside the building at a 9-meter radius of any entrance or exit of the building / food area / food truck. We also want to stipulate that cannabis is not permitted in any open spaces of CFB Kingston. Vendor Spaces & Fees The CFB KINGSTON TRADE & LIFESTYLE EXPO will accommodate 75 exhibitors (booths). Each space is numbered and is well marked on our Floor Plan Map. Unless prior authorization is given, single spaces are not to be shared or sublet by two or more vendors selling different items. Space assignments are to be adhered to and are non-transferable. We will be providing fully dressed booths including table cloths, skirting, as well as backdrops and walls. If vendors would like to have their own tablecloths, please ensure table coverings are in good taste.

( Wednesday April 10, 2019) Refunds There are no refunds unless the KINGSTON TRADE & LIFESTYLE EXPO is cancelled or you have medical documentation to support your reason for refund. In the event that a vendor does not show-up / fails to occupy their assigned space (without notification) by Thursday morning (60 minutes prior to the start of the EXPO), KINGSTON TRADE & LIFESTYLE EXPO organizers reserve the right to sell or use the space without refund to the original vendor. Vendors must contact the organizer at least 48 hours prior to notify of reason(s) for lateness or they will be considered a failure to occupy / no show. Promotion of Business The goal of the KINGSTON TRADE & LIFESTYLE EXPO is to provide Kingston businesses with the opportunity to promote products, services and solutions directly to the CFB Kingston Members and their families, as well as the Greater Kingston Community. The KINGSTON TRADE & LIFESTYLE EXPO reserves the right to limit the number of exhibitors in any one category. So please register early if you want to ensure acceptance into the EXPO. KINGSTON TRADE & LIFESTYLE EXPO organizers reserve the right to request the removal of any item that may be objectionable.
No articles prohibited by law may be displayed/ sold. Examples are: liquor, tobacco, cannabis, firearms. Audible displays, microphones, megaphones or sound machines of any kind are not permitted for use by anyone. (Note: the show organizer uses a microphone to notify vendors before doors open and the Drill Hall sound system to play appropriate background music during the show to add atmosphere to the show.) Vendor Hours, Set-up and Tear-down Set up: Wednesday 10 am- 3 pm Expo Times: Wednesday 3 pm- 8 pm Teardown: Wednesday 8 pm-10 pm Upon your arrival at the Thompson Drill Hall, please check in with KINGSTON TRADE & LIFESTYLE EXPO. We would like to welcome you in-person and we will assist you in finding your space. Vendor badge(s) will be given to you. Please wear your vendor badge at all times during the show. The Loading Area behind / at the back of Thompson Drill Hall can be used for both unloading and loading of your items. PLEASE be mindful of others! Unload and load as quickly as possible to allow other vendors to do the same. Do not block access or make it difficult for other vendors in their unloading / loading efforts. Depending on your space location inside the Drill Hall, you can also park on the Parade Square and walk your items through the Front Doors of the Drill Hall if you wish. You cannot park on the street in front of the Thompson Drill Hall (D Artisan Road). Vendors shall not dismantle or pack up or strip their table of items or coverings and leave sooner than the closing of the show unless you have received approval for medical or other unforeseen circumstances. Vendors who leave early without approval will not be accepted into the KINGSTON TRADE & LIFESTYLE EXPO for the following year(s). Preparing, sorting and organizing of smaller items are considered acceptable. Vendor Conduct & Space Care Vendors are expected to be available to customers at all times for the duration of the show. Your vendor display cannot interfere with other vendors or obstruct the aisles. Vendors shall store all boxes and extra stock under their tables or in their vehicles to be out of sight. Walkways may not have product, boxes, displays or otherwise. Disrespect among vendors or towards staff will not be tolerated. Vendors are responsible for taking care of their own trash and debris and are to keep their space clean and clear of garbage during and after show. Vendors agree to remove all materials and decorations, etc. to return the space to the same condition as it was upon arrival. The sale of draw tickets is prohibited unless approved by KINGSTON TRADE & LIFESTYLE EXPO / CFB Kingston s Chain of Command. No alcohol and no pets are allowed in vendor spaces / the building / on the premises (service dogs are acceptable on Base.) Nothing may be drilled, screwed, stapled, tacked or nailed into any of the property provided (facility / tables / chairs). No exceptions. Masking tape can be used in most cases. Partnership in Promotion Creating a successful KINGSTON TRADE & LIFESTYLE EXPO takes commitment and dedication from both the vendor and the organizer. We, the KINGSTON TRADE & LIFESTYLE EXPO rent large road-side signs (one positioned in the west-end of the city, the other in the east-end) and promote the show through both print (posters, flyers, newsletters, etc.) as well as through our website and social media.
As the KINGSTON TRADE & LIFESTYLE EXPO approaches, vendors in our show will receive such items (via email) to assist in the promotion of the show. We ask that vendors take the time to use these marketing materials to tweet, post, promote and share with family, friends and customers. Vendors also understand that KINGSTON TRADE & LIFESTYLE EXPO organizers have the right to use their business name, photos of their products / displays, etc. for the promotion of the EXPO throughout the day and to raise awareness throughout the event.
