इ ड यन ओव रस ज ब क स रक ष ववभ ग Security Department क ष त र य क य ऱय, Regional Office, Chandigarh TERMS & CONDITIONS FOR ANNUAL MAINTENANCE SERVICE FOR REFILLING OF ALREADY INSTALLED FIRE EXTINGUISHERS AT OUR BRANCHES AND INSTALLATION OF NEW FIRE EXTINGUISHERS TO CATER THE DEMANDS OF OUR CHANDIGARH, HARYANA, HIMACHAL, PUNJAB & JAMMU & KASHMIR BRANCHES UNDER REGIONAL OFFICE, CHANDIGARH DURING THE YEAR. TECHNICAL & PRICE BID Technical and financial bid to be submitted in separate envelope. We are calling quotations for annual maintenance Service for refilling of already installed fire extinguishers at our branches and installation of new fire extinguishers at our branches/ offices during the year. Further already installed Fire Extinguishers are refilled once in every two year in our all branches and our offices. 1. The rates quoted should be inclusive of cost of materials, lift, labour charges. 2. All materials should be as specified / of approved make. Original product bills have to be submitted. 3. Rates shall be quoted in words as well as in figures. 4. Last date for receipt of duly filled tender is 03.00 PM on 15.11.17 {Wednesday}. The late received tender will not be considered. 5. The bank reserves the right to award the work in full or in parts or cancel the tender without assigning any reason whatsoever. 6. The Bank also reserves the right to divide the orders with LI or/and L2 or/and L3, provided other vendors are willing to carry out and complete the work at the rate quoted by L - I vendor as per sole discretion of the bank. 7. The successful Vendor should take insurance coverage to cover the following: (a) Workman compensation, (b) Third party liability, (c) All risk insurance policy. 8. Vendor must be OEM or Authorised Distributor/Reseller and registered corporate entity in India. 9. The firm/supplier must have at least one office of their own having their own engineers / technicians in tri City or the location as desired by the Bank. 10. may ask for Income Tax Returns of the vendors if deemed necessary. 11. Penalty clause: If at any time, it is observed that the terms are not being followed the bank will be at liberty to impose penalty or cancel the AMC/ work assigned. 12. It will be the sole responsibility of the successful bidder to design, supply all the material required for successful completion of the work and commissioning the same. The entire system shall be tested and the same will be taken over by the bank and further to provide satisfactory services (AMC etc) to branches.

Please note: The supplier is to ensure that technical bid is to be submitted on Bank s original format by giving the make. Vendor is to essentially give the name of the company whose product is to be supplied. The product brochure should also be submitted with the quotations. All the products will stand for a minimum of one year on site all comprehensive warranty against all manufacturing defects. The product supplied must be one year warranty. Note: All the above mentioned items are to be supplied as per specification given and to be installed and completed as per requirements and instructions given by the Bank. Signature of Authorized Representative of firm /Co NOTE Rate finalized under this process will be applicable for the period of one year. The total figure will be arrived at as per chart given above, for comparison of quotations to decide on L - 1, L - 2 vendors. However, it is not binding on the Bank that the orders per branch have to be issued for the quantity of items as indicated above. Fire Extinguishers to be installed at sufficient height, so as to be easy in using in case of emergency. This will be at no extra cost. The vendor must have sufficient experience in providing annual service contract and installations in bank Branches. General Conditions: 1. The rates quoted must be net rates inclusive of all Installation Charges or any other charges. 2. No conditional discount etc. will be considered. The quotation with any conditional discount etc. will not be entertained and will be summarily rejected. 3. The payment will be made after satisfactory supply & installation of Fire Extinguishers and submission of original bills thereof. 4. The AMC charges to be quoted must be for COMPREHENSIVE AMC. AMC amount will be added to calculate total cost per unit. 5. The call for repair/refilling has to be attended within 3 to 4 days (depending on distance) during the warranty and AMC period. 6. If stand by System or refilling not done within a week, bank will be at liberty to impose penal deduction @ Rs. 20 per day subject to maximum refilling cost of the same. 7. A standby Fire Extinguishers has to be installed if the system could not be repaired/refilled at branch. For AMC (for refilling the fire Extinguishers) the following conditions are to be follows :- 1. AMC Period will be of One year. 2. Refilling / Repairs: Branches will lodge complaints by e-mail / over phone and same has to be attended within 3 to 4 days. 3. Visit Reports: The Service provider to submit the visit reports duly certified and signed by the Branch Manager to the Regional Office at the end of each year. 4. Coverage: The service contract covers the replacement/repair of all parts of the Fire Extinguishers. New installation, shifting etc will be charged as per the rates available with us. 5. The AMC will be as is where is basis. 6. Preliminary visit, if any, by vendor will be at vendor s own cost and will not be counted in AMC visits. If vendor, insist time for visit, not more than 15 days time will be given to vendor. 7. Bank reserves its right to terminate the AMC contract by one notice/warning, in case services found unsatisfactory. 8. Payment for the refilling to be made at Branches on satisfactory service. 9.
