CONTRACT 19-28 6. Pricing The offeror shall provide pricing on proposal form on a scheduled basis as provided: a. Hood Suppression Systems; semiannual (per building as listed on proposal form) per occurrence. (1) Wet chemical Systems: Check gas valve, contacts, manual pulls, control head, change fusible links, relight appliances. (2) CO2 Suppression Systems: Check shutoff, time delay, manual pull, alarm, door releases, sprinkler water flow switches, bells, horns, and/or chimes, required recharge, hydro test or scheduled six (6) year maintenance. b. Fire alarm, Fire Hoses, Fire Doors, Sprinkler Systems, Sensitivity Testing (Jail ony) and Backflow inspections annual (per building as listed on proposal form). (1) Fire Alarm System: Check manual pulls, smoke detectors, duct detectors, sprinkler water flow switches, bells, horns, and/or chimes. (2) Fire Hoses: Visually check for any signs of damage, abuse, or need for testing or replacement (per Ohio Fire Code). (3) Fire Doors: Visually check cables, pulleys, manual pulls, for signs of damage or abuse. Change fusible links during each inspection, per occurrence. (4) Sprinkler Systems: Check all valves and alarms, check heads for any restrictions and/or buildup. (5) Sensitivity Testing (6) Backflow Inspections: Check Valve (7) Standpipe Testing: Jail Only (8) Fire Extinguishers: Cost per unit, annual maintenance, hydro testing, 5 and 6 year testing c. Troubleshooting: Troubleshooting shall be performed as needed to determine which equipment item, subassembly and/or electrical component has malfunctioned and priced on an hourly labor rate. d. Emergency Services (1) Emergency service shall be charged to Richland County, at the hourly charge quoted by the successful offeror in response to this Request for Proposal. (2) The hourly charges for Emergency service should include all costs related to providing the emergency service (i.e., transportation, travel time, personnel, etc.). Hourly charges for emergency services shall commence upon arrival at Richland County. (3) Emergency service response time of eight (8) hours shall be allowed, and accrue in the amount of the contractor s Emergency service hourly rates for each additional hour, or fraction thereof until Emergency service begins. No overtime will be paid by the county; we are not responsible for payment beyond the hourly charge quoted in the proposal. (4) Offerors must list the Emergency Service call-in rate and include the minimum hours charged. 3b

Request for Proposal RFP) 17-28 SUPPLEMENTARY CONDITIONS 1. Contract Term/Renewal Terms The initial term of the contract will be in effect from May 1, 2019 through April 30, 2021. The contract will be for two years with three (3) one year renewals. The Contracting Authority shall have the option, to be exercised as hereinafter provided, to renew the term of this contract for three consecutive periods of one year each. Each one year renewal term shall be upon the same terms, covenants, options, and conditions as provided in these contract documents. The Contracting Authority may exercise its option to renew the contract by notifying the Contractor in writing of its election to renew the contract at least thirty days prior to the expiration of the initial term of the contract and at least thirty days prior to the expiration of any renewal term. If the Central Services fails to give the Contractor said written notice, the contract shall be cancelled on the termination date described in the agreement. 2. Contract Extension The Contracting Authority reserve the right to extend this contract sixty days beyond the termination date of the initial term and any renewal term. Said contract extension shall be upon the same terms, covenants, options, and conditions as provided in these contract documents. The Contracting Authority may exercise its option to extend the contract for sixty days by Central Services notifying the Contractor in writing of its election to extend the contract at least thirty days prior to the expiration of the initial term of the contract and at least thirty days prior to the expiration of any renewal term. 3. Right to Utilize Contract Any officer holder, department or agency that does not utilize this contract after the contract has started to run shall have the right to participate in the contract at any time during the initial term or any renewals thereof by contacting the customer service representative. 2. Service Plan The contractor shall furnish all labor required to keep the existing fire alarm system fully operational with a minimum down-time, including twenty-four (24) hour emergency service calls. Contractor shall have all the necessary licenses and/or permits to perform complete mechanical maintenance services within Richland County, Ohio and shall furnish only employees with the appropriate Ohio Fire Marshal Certification. Preventative maintenance and other maintenance service shall be accomplished between 8:00 am 4:00 pm, Monday through Friday, except County holidays. a. All service calls between scheduled preventive maintenance visits shall be at no additional charges above proposal prices. b. Contractor shall provide on call emergency service and shall respond within four (4) hours during Richland County normal working hours (8:00 a.m. 4:00 p.m., Monday through Friday) at no extra cost. c. Emergency service for hours other than above (4.b.) including overtime service shall be provided. Such service of this nature will be at a minimum and will only be required to return a unit of equipment to proper operational condition in a critical or emergency situation. The contractor shall be capable of responding at any time during the day or night. The contractor must have 10a
