October 7, 2015 The Bay Condo Association 22 Hancock Street and 15 Middle Street Portland, ME Thank you for the opportunity to present a group discount rate for Association Members for the Preventative Maintenance (PM) needs of each unit. Pine State Services is one of the largest residential plumbing and heating contractors in Southern Maine. Because of our size, we are able to accommodate the service needs of condo associations in addition to our large customer base including after hour emergency services. We pride ourselves on exemplary customer service and one way we manage this is that we rotate the company s managers and owners to dispatch and answer all Emergency Calls. We are the first response when handling an emergency caller and are best suited to understand and empathize when a customer is distressed. Pine State Services is one of the first mechanical contractors in the state of Maine to offer flat rate pricing rather than a time and material method. You may be thinking What is flat rate pricing? What flat rate pricing means is that the price to do the work is predetermined BEFORE starting the job. So there are no surprises. NO matter how difficult the job is or how long it takes, the price stays the same for that particular job. The customer does not get charged extra because we didn t have the part on our truck, the job took longer than we thought or for un-experienced technicians for example. At our company we value loyal customers that continue to do business with us and that enter into our Service Agreement Program. Essentially, having a Service Agreement at Pine State Services flags your account as a VIP customer. For $59.00 a year we provide the following services with a Service Agreement: -Preferred pricing on all service work and PMs -Emergency after hours and weekend service (to better serve our SA customers, Pine State Services does not service non-sa customers for emergency after hours and weekend calls) -Valve tagging of your shut off valves for Emergency Identification purposes -A free condo HVAC, Plumbing, Electrical visual inspection at the time of your PM service visit -Preferred customer status (If you call in during normal business hours you take preference over nonservice agreement customers)

In your condominiums each condo has a HVAC unit (heating, ventilation, and air conditioning) and an On-demand gas water heater. We chose to show you our regular residential pricing first and then how it compares to the discount we can offer to condo associations. Here is an explanation of our flat rate pricing for Preventative Maintenance (PM) as it applies to a regular residential customer. (Save when contracted for one year) Fall and Spring PM of HVAC system $548.00 without a service agreement Fall and Spring PM of HVAC system $457.00 (includes the $59 for a service agreement) Fall and Spring PM of HVAC AND on demand water heater $746.00 without a service agreement Fall and Spring PM of HVAC AND on demand water heater $606.00 (includes the $59 for a service agreement) Following, we are going to break down some pricing options based upon the number of members that choose to participate with this proposal. Because it is more efficient for Pine State Services to PM several HVAC units and water heaters in one building instead of just one or a few, we can offer some great discounts for those signing a PM contract. If at least ten condo owners sign up for a Spring and Fall HVAC PM we will give every condo owner that signed up a FREE service agreement for that year. Fall and Spring PM of HVAC system $398.00 A $59.00 savings per condo Fall and Spring PM of HVAC AND on demand water heater $547.00 A $59.00 savings per condo If at least twenty condo owners sign up for a Spring and Fall HVAC PM we will give every condo owner Fall and Spring PM of HVAC system $388.00 A $69.00 savings per condo Fall and Spring PM of HVAC AND on demand water heater $527.00 A $79.00 savings per condo

If at least forty condo owners sign up for a Spring and Fall HVAC PM we will give every condo owner Fall and Spring PM of HVAC system $368.00 An $89.00 savings per condo Fall and Spring PM of HVAC AND on demand water heater $507.00 A $99.00 savings per condo If at least sixty condo owners sign up for a Spring and Fall HVAC PM we will give every condo owner Fall and Spring PM of HVAC system $300.00 A $157.00 savings per condo Fall and Spring PM of HVAC AND on demand water heater $389.00 A $217.00 savings per condo If all condo owners sign up for a Spring and Fall HVAC PM we will give every condo owner that signed up a FREE service agreement for that year and a discount on services Fall and Spring PM of HVAC system $275.00 A $182.00 savings per condo Fall and Spring PM of HVAC AND on demand water heater $300.00 A $306.00 savings per condo If we have twenty of more condo owner s sign up for a Spring and Fall PM, Pine State will provide the following: -We will compile an in house digital database of condo unit numbers with the model and serial number of the HVAC equipment and water heaters for tracking, ordering parts, etc. -We will stock emergency repair parts for your HVAC equipment at our warehouse free of charge. (Parts for these units are special order, not off the shelf items) *All existing condo customers that already had a current service agreement with Pine State will receive a credit for the difference for future services.

A Spring PM on a Condo HVAC unit consists of the following: -Replace the dirty air filter -Test blower operation and amperage -Test the operation of cooling through the wall thermostat -Clean and disinfect the condensate drain pan and drain piping -Clean and disinfect the cooling air coil (evaporator) -Check electrical components -Check for refrigerant leaks -Clean condenser coil as needed -Check supply air temperatures in cooling A Fall PM on a Condo HVAC unit consists of the following: -Test operation of heating through the wall thermostat -Check blower assembly and clean as needed -Test blower operation and amperage -Check electrical components -Inspect heat exchanger for cracks or leaks -Check burner venting -Test safety controls -Check burner condensate drain -Test operating gas pressures -Check supply air temperatures in heating A PM on an on demand gas water heater consists of the following: -Test operation of water heater by running hot water tap -Check flame condition -Check heat exchanger -Check vent piping -Check electrical and safety controls -Check, clean condensate drain piping -Check supply water temperature

Pine State Services provides our licensed technicians with FULLY STOCKED TRUCKS. We have developed a truck stocking program designed to save you money and improve our efficiency. Less wasted trips to supply houses and the tools and parts to get the job done correctly the first time. Pine State Services also houses a unique TRAINING CENTER and SHOWROOM for our customers and technicians. We train in-house ensuring quality control and improving technical skill of our technicians in our training center rather than learning on your site. We invite equipment manufactures to our training center to do technical training on a regular basis and strongly believe in continuing training and education of our technicians and staff. Currently, we employee around thirty technicians. Condo owners that chose to participate will be entered into our Service Agreement program. This program flags your account in our system as a Priority Customer and includes preferred pricing on any service that you may need throughout the year. This includes any service call relating to plumbing, heating, cooling, sewer and drain and electrical services. It also entitles you to 24/7, 365 days a year. Emergency Services at a discounted emergency rate. Emergency Dispatch calls are $150 instead of $235 to get a licensed technician out after hours, on the weekend, or on a holiday.
