RFP 632-14P College-wide HVAC Service and Maintenance Addendum 001 Issued January 14, 2015 Below are the questions we have received from various parties with respect to this Request for Proposal, along with our response (indicated in red font). Although we have endeavored to remove duplicate questions, we have presented the questions below in an unedited format. We hope this is helpful to you in preparing your proposal. Please remember that proposals are due by 2:00pm Mountain Time on January 16, 2015. This addendum is number 001. Please follow the submittal instructions carefully when submitting your proposal. CMC is not able to accept a late submittal as determined by the Rocky Mountain BidNet system. Remember to allow a few extra minutes for any technical difficulties. We appreciate your interest in our college and this job. We recognize that you devote substantial resources to submitting a responsible proposal and regret that we will have capable contractors with credible bids that are not awarded a contract. Thank you for your work in our behalf. 1. Does CMC buy any of its natural gas directly from Xcel Energy, or do you purchase natural gas through a 3 rd party broker (such as Tiger or Seminole)? CMC purchases gas directly from suppliers, no broker is involved. 2. The equipment inventory on the RFP shows two (2) Reznor make-up air units at the Edwards campus (model #ADF-700 and model # REC-180). However, when I surveyed this campus with Bob and Aaron, they stated that they did not know where these units were located. Should we include this equipment in our proposal, or should we leave it off? Yes, please include xclude these units. They were never installed.
3. There was a variety of schedules for us to perform filter changes at the different locations. Some said they would not need filter changes and others do their own every six months. Could you provide me with the correct amount/frequency to theses filter changes if it differs from the RFP? Filter changes are biannually. At campuses that have a residence hall (Steamboat, Leadville and Spring Valley) you will not provide or change filters. At the Rifle, Aspen, Edwards, Dillon Breckenridge, Buena Vista campuses and 802 Grand, you do provide filters and change them. 4. The scope of work requests biannual preventive maintenance of the HVAC equipment. However, the Summary of Contract Scope goes on to detail Preventive Maintenance: Will be scheduled by the contractor and site manager to be performed in accordance with the manufacturer s recommendations on a fixed price basis. If a manufacturer recommends maintenance more frequently than semiannually on a particular piece of equipment, are contractors expected to perform maintenance on that equipment more frequently, or should contractors provide pricing for semi-annual preventive maintenance only? We are requesting biannual PM consistent with manufacture requirements. Any equipment needing quarterly maintenance will be serviced in-house twice a year, and you would complete maintenance biannually as normal. 5. Breckenridge: There is a belt driven inline exhaust fan in the boiler room (EF-1) that is not on the equipment inventory provided in the RFP, however the facility manager would like this included. Should this fan be included in the proposal? Yes include in the proposal. The Greenheck MUA unit has an evaporative cooling section with cell deck type cooling media. Should the replacement of this media be excluded from the proposal? Frequency of replacement is dependent on operating hours and water quality, but typically the replacement of the cooling media is only recommended every 2-3 years. Yes exclude the media we will handle this as a service call. 6. Carbondale: There are two (2) Mitsubishi ductless split systems that serve the dance studio and server room. These systems are not included on the equipment inventory provided in the RFP. Should these systems be included in the proposal. The equipment inventory
lists five (5) pumps for this facility. There are (5) hot water pumps located in the boiler room. However, there is also a 6 th Taco 3 HP chilled water pump in the attic. Should the chilled water pump be included in the proposal? Yes Include this pump in the proposal. 7. Central Services (802 Grand Avenue in Glenwood): There are four (4) APC condensing units that serve the in-rack air conditioners in the IT/server room. These systems are not included on the equipment inventory provided in the RFP. Should these systems be included in the proposal? Yes. 8. Spring Valley: There is one (1) JennAir rooftop exhaust fan on the Physical Plant Building that is not included on the equipment inventory provided in the RFP. Should this fan be included in the proposal? No do not include. There is one (1) sidewall exhaust fan that serves the welding hood in the Welding Shop that is not included on the equipment inventory provided in the RFP. Should this fan be included in the proposal? No do not include. The equipment inventory shows two (2) Rheem water heaters and three (3) other tankless/mini water heaters in the Calaway Academic Building. Only one (1) Rheem water heater was found and the facility manager requested to have the tankless/mini water heaters excluded because they are no longer used. Remove the tankless water heaters from equipment list. We plan to exclude this equipment from the proposal. There are also three (3) rooftop exhaust fans on the Calaway Academic Building that are not included on the equipment inventory provided in the RFP. Should these fans be included in the proposal? Include the exhaust fans on Calaway.
There is one (1) rooftop exhaust fan on Quigley Library that is not included on the equipment inventory provided in the RFP. Should this fan be included in the proposal? Yes include the exhaust fan. The equipment inventory shows two (2) water heaters in the Summit Student Center. Only one (1) Ruud water heater was found at this facility. Tolin plans to exclude the second water heater from the proposal Yes exclude this waterheater. There are also three (3) Cooke rooftop exhaust fans on the Summit Student Center that are not included on the equipment inventory provided in the RFP. Should these fans be included in the proposal? Yes include these exhaust fans. 9. Rifle: There is one (1) additional AO Smith domestic water heater that is not included on the equipment inventory provided in the RFP, but the facility manager wanted this equipment included. Should this water heater be included in the proposal? Yes include the water heater 10. Steamboat Springs: There are there (3) inline exhaust fans listed on the equipment inventory provided in the RFP. Facility personnel stated that these exhaust fans are very difficult to access and haven t been used or serviced in a long time. Should these fans be excluded from the proposal? Please include in your proposal.
There is one (1) Fujitsu ductless air conditioning split system at Hill Hall that is not included on the equipment inventory provided in the RFP. Should this system be included in the proposal? Please include in your proposal. There are three (3) Grundfos boiler pumps at Bristol Hall that are not included on the equipment inventory provided in the RFP. Should these pumps be included in the proposal? Please include in your proposal. 11. Can the College provide the equipment schedule from the mechanical plans for the new Academic Center? List of equipment ws listed on intial equipment list under Steamboat Springs Academic New 12. Are filter changes required at all locations? Please see question 4.
