What is Fire O&M? What is Fire? What Formerly idesk, Fire O&M is the mobile app for iphones and ipads that connects to the AiM web application. Allows access to Daily Assignments Access to update Work Order/Phase notes and statuses Access to add Material Requests to a Phase Access to add Related Documents to Work Order/Phase Create Timecards against Work Order/Phase Complete Inventory Physical Count Complete Inventory Counter Release Fire O&M App Icon - What Appears in Fire App? Work Order/Phase information is sent to the Fire O&M app by assigning a technician to the Phase as a Shop Person. The Phase must be in one of the following statuses o Assigned o In Progress o Awaiting Materials o Hot Item Fire O&M - 5
Settings Fire O&M Settings Available options found under the device settings Click on Settings Scroll to the bottom list of apps. Look for Notifications How the phone notifies the technician of new Work Order Assignments Background App Refresh Should the app refresh while the user is not activily in the app Remember Login Will remember the Username and password when the app is closed Launch Browser Can the user access the full AiM application from the Fire app.\ Server https://sscaimapp.assetworks.com/fmax Max rows how many Work Orders will show on the screen at one time Fire O&M How-To Login to Fire O&M Click on the Fire O&M app icon on the iphone screen. User name = Compass ID number Password first initial last initial and last 4 digits of phone number Ex: ab1234 Click Fire O&M - 6
Navigation & Overview Navigation Choose Work Management Assignment screen o List of Work Orders designated on the Daily Assignment screen in AiM that should be worked on that day. Icons at the bottom of the screen Daily Assignment Work Orders to complete on set day Queue All assigned Phases Work Orders All assigned Work Orders Timecards List of Work Orders on the day's timecard More Additional options Fire O&M - 7
Work Order/Phase Screen Queue List of all Work Orders assigned to the technician The Work Orders are colored based on priority o Priority 1 Red (0-1 day) o Priority 2 Yellow (2-5 days) o Prioirty 3 Green (6-10 days) o Priority 4 Gray (scheduled) Under the Work Order # is the building associated to the Work Order. Refresh the list of Work Orders Parts of the Work Order/Phase screen Touch a Work Order/Phase to open up the detail Fire O&M - 8
Starting at the top At the end of the line, indicates more information is available by touching the arrow Work Order number Touch line to open up the Contact detail Phase number Description Phase description Location Room number Property Building number and name Status Current status of Phase Work Code Type of work Priority Shop Asset Asset being worked on Asset Group PM Checklist for Preventive Maintenance WOs Extra Description All information entered by the customer Scroll to the bottom to find Notes number indicates notes exist Related Documents Material Requests Work Order/Phase Fire O&M - 9
Stopwatch Time Entry Recording Time Using Start/Stop Function Should be used when possible When starting a job, click the stopwatch at the bottom of the phase screen The Clock Started message should appear. Click OK Once time has been started, the stopwatch will appear upside down. Time can only be running on 1 work order at a time. Fire O&M - 10
Stopwatch Time Entry On the Queue screen, an upside down stop watch will appear next to the Work Order/Phase If you started the clock but the icon does not appear, click the refresh icon. To stop the timer, click The Labor Hours screen will appear Confirm the hours Change the Time Type if needed o Straight Time o Overtime Touch Save Fire O&M - 11
Crew Time Entry If you have a coworker without access to Fire, do the following to add their time After Saving, Touch Crew The list of other technicians assigned on the Work Order/Phase will appear Check the names of the technician Click Save This will enter the same amount of time on a timecard for the other technician. Recording Time Using Manual Entry Use if Start/Stop function was not available 0 In an area without cellular service or wifi Emergency response without the Work Order on the phone Manual Time Entry Click The Labor Hours screen will appear Enter the hours Change the Time Type if needed o Straight Time o Overtime Touch Save Fire O&M - 13
Status & Notes Change Status Primary person on the Work Order should update the Phase Status Touch the Status line to choose the new status o ASSIGNED Sends the Work Order information to the phone o IN PROGRESS Currently working on the job o HOT ITEM Work Order has issues or special circumstances that need to be addressed o AWAIT MATERIALS Job is on hold while waiting on material to arrive o EXTERNAL RESOURCES Outside contractor will complete work o COMPLETE Job is done o CONTRACTOR COMPLETE Contractor finished work Click Save to send the changes Add Notes At the bottom of the phase screen, touch Notes. (If there is a number next to Notes, then a Note already exists) Fire O&M - 14
Enter Notes Click on the Note to read or Click the Blue Plus sign to add a new note. Type in the note or use the microphone on the keyboard to enter the note. Read over the note before saving it. You cannot make changes once saved. Touch SAVE in the top right corner. Fire O&M - 15
Add Pictures Add Pictures To add a picture, touch the camera at the bottom of the screen You can take a photo or choose one from the pictures on your phone. Fire O&M - 16
Material Request After taking or choosing the photo, you will be asked to give the photo a name. If possible use the work order number. Touch SAVE Create a Material Request At the bottom of the Phase screen, click Fire O&M - 17
Material Request The Material Request screen will open. Change the Date Needed if item is needed for a future date. Click Line Items at the bottom Click the Blue Plus Sign in the top right hand corner. Click Warehouse and choose the appropriate warehouse from the list Repeat with Class, Commodity and then Part Fire O&M - 18
Material Request Parts can be searched by the description. **If the part cannot be found in the warehouse, then #01 is available to enter the description. Enter the Part # before entering the description. At the bottom, enter the quantity Click Save in the top right hand corner Fire O&M - 19
Material Request Contine to add additional lines, or return to the Material Request screen. Change the Status to REQUESTED to submit the material request to the warehouse. Click Save Fire O&M - 20
Add Asset to Phase Add Asset When working on a specific piece of equipment, the Asset tag should be listed on the Phase. Scroll down to Asset Click on the Arrow next to Asset The list of assets for the building will appear Choose from the list or Click on the barcode symbol at the bottom of the page. Take a picture of the barcode Save changes Fire O&M - 21
Shop Stock Add Shop Stock Shop Stock is used to charge material stored on a technicians truck. At the bottom of the Phase screen, click the shopping cart Choose Stock Loc Fire O&M - 22
Shop Stock Search by the location The list of items available for that location will appear Choose the item being used The Location, Number, and Unit Cost will populate Enter the Quantity Choose Save The charge will not appear on the Phase until it is approved by the Supervisor. Fire O&M - 23
