Middlebury College Library Emergencies Manual A-2 Music Library and Ethnomusicology Archives EVACUATION In case of fire, bomb threat, or emergency requiring evacuation, the Supervisor should either do or oversee the following: Evacuation 1. Ask someone to sound the alarm 2. call 911 3. evacuate the building At the sound of the alarm, all persons should leave the building immediately through one of the closest exits. The Supervisor may enlist people to help direct patrons on the different floors to the closest safe exit. All areas of the library should be checked for people left behind or in need of special assistance. Be sure to check each of the 4 listening rooms, and the reading areas back by the periodicals and PAC terminals. Also take note to see if someone may be in the Ethnomusicology Archives. If the power fails, the emergency lights on each floor should come on. For additional light, there is a flashlight in the circulation desk drawer. There should also be a flashlight in each of the Supervisor s desk drawers. When clearing the building: 1. Relax; keep calm. 2. Give clear and loud instructions. If necessary: alert patrons that "this is not a drill." 3. Take a flashlight along. 4. DO NOT USE THE ELEVATOR! 5. Give special attention to needy people. 6. Close doors to act as firebreaks. 7. Do not endanger yourself. If a Supervisor is not on duty at the time, the Circulation Assistant should take the responsibility.

Middlebury College Library Emergencies Manual A-3 Music Library and Ethnomusicology Archives Revised 6/00 After sounding the alarm, calling Security, and directing the evacuation of the library, the Supervisor should: 1. Be available near the entrance of the building a. to see that none of the patrons or staff reenters the building until Security or the fire department has given permission, b. to inform Campus Security or emergency personnel of the location and status of the emergency, and c. to direct people to stand at least 200 feet from the building to allow space for emergency equipment and personnel. 2. Inform the following people of the emergency as soon as it is possible to do so. a. College Librarian b. Arts Director c. Library Disaster Team chair/member d. Music Librarian e. Music Library Assistant

EVACUATION Revised 7/06 EVACUATION At the sound of the alarm all patrons and staff should leave the building by the nearest exit immediately. When exiting the building staff should: Relax; keep calm, but be alert. Encourage others to leave the building. Give clear and loud instructions. If necessary, alert patrons that "this is not a drill". If instructed to do so, gather and bring personal belongings with you. Do not use the elevator in case of fire. If you are unable to use the stairs, enter the stairwell and wait inside the stairway for emergency personnel to rescue you. In case of fire take note of anyone who cannot use the stairs and tell them to wait inside the stair well for rescue personnel. Exit the building. When outside, notify Public Safety and/or rescue personnel of the location of anyone who cannot leave the building by the stairs. Close doors to act as firebreaks, including office doors. Do not endanger yourself. Once outside the building everyone must immediately gather in one of two places, depending on the exit used: 3 side exits or front exit in front of the glass doors of the fitness center ; parking lot or plaza exits the end of the sidewalk nearest to the pond in the back of the CFA. This will insure that you will be able to give and receive situation updates. Encourage guests to join you in these designated spaces so everyone is a safe distance from the building and out of the way of emergency response personnel.

Middlebury College Library Emergencies Manual B-10 Music Library and Ethnomusicology Archives Revised 3/00 BLACKOUT 1. Call Arts Center Operations Manager Ext. 5222. If no answer, call Facilities Management, Ext. 5472 2. The Supervisor will decide whether or not the library should be evacuated. 3. Check the library to see whether anyone needs help getting out of an area without emergency lighting. 4. There is a small flashlight in the Circulation Desk drawer, as well as one in the desk drawer of each supervisor. 5. Turn off all computer equipment in order to avoid possible equipment damage from line surges when power is restored. If a Supervisor is not on duty at the time, the Circulation Assistant should take the responsibility.

If a staff member receives a call reporting a bomb threat, he/she should remain calm and try to secure answers to the following questions: a. where is the bomb? b. when will the bomb explode? c. what does the bomb look like? d. what type of bomb is it? 2. The staff member receiving the threat should try to note the following: a. the exact words used by the caller. b. the explicit motive for the threat. c. the quality of voice. Does the caller sound young or old, male or female? Does the caller have an accent? Does he/she sound nervous or determined? d. background noises, such as motors running, background music, or any other clue as to the location of the caller. 3. Notify Security, Ext. 5911 or 388-4911. If possible, do this while still on the telephone with the caller by signaling a nearby supervisor/staff member/ student/faculty and having him/her make the calls. (NOTE: If a Supervisor is not available, the Circulation Assistant on duty is responsible.) 3a. SOUND THE ALARM! 4. The Supervisor will evacuate the library (See evacuation procedures, Section A2-3). ABSOLUTELY NO ONE WILL BE ALLOWED TO RE-ENTER THE BUILDING UNTIL NOTIFIED BY A SECURITY OFFICER. Security will call police and/or fire department according to their own protocol. 5. If a suspicious object or package is found, a Supervisor (or his/her substitute, see note at 3) should be informed at once.

FIRE FIRE Revised 7/06 IF THERE IS A FIRE PULL THE FIRE ALARM AND GO TO STEP ONE BELOW If there is an unconfirmed suspicion of fire call Public Safety (x5911) to investigate. 1. In the event of fire PULL FIRE ALARM and CALL 911 from safe location. (Address here is 72 Porter Field Rd.) Be prepared to give information on the location and size of the fire. Call Public Safety (x5911) to inform them of nature and location of fire. If the fire is confined to a trashcan or other small source, if possible and if you have been trained to do so use a fire extinguisher to extinguish it. To use the extinguisher, pull the pin, aim the nozzle at the base of the fire, and squeeze the handle. You must try to smother the fire by covering it with the chemical. The fire will go out when its oxygen supply is cut off. To avoid injury, stand back 6 to 8 feet from the fire. 2. Evacuate the building. - Do not use elevators in cases of fire. If you are unable to use the stairs, enter the stairwell and wait inside the stairway for emergency personnel to rescue you. - In a smoke filled area, keep low to the floor to escape the smoke. - If you see or smell smoke in a hall or stairway, use another exit. - Before opening any door, use the back of your hand to see if it is hot. Also check to see if the doorknob is hot. If either is hot, leave the door closed and stuff towels or clothes in the cracks and open a window. Try another exit if one is available. - If the door is not hot, open it slowly and be prepared to close it quickly if necessary. - Close doors behind you to act as a fire break, including office doors. - Once outside the building everyone must immediately gather in one of two places, depending on the exit used: 3 side exits or front exit in front of the glass doors of the fitness center ; parking lot or plaza exits the end of the sidewalk nearest to the pond in the back of the CFA. This will insure that you will be able to give and receive situation updates. Know all the exits and evacuation plans for your building.

Middlebury College Library Emergencies Manual B-3 Music Library and Ethnomusicology Archives Revised 6/00 FIRE 1. INVESTIGATE all reports of smoke or smell of "something burning". 2. PULL FIRE ALARM located just outside the Ethnomusicology Archives EMERGENCY EXIT door or in between the two outer doors at the east end Exit of the building, and CALL 911. All fires must be reported by telephone. Door alarms inside the Library do not summon outside help. If the fire is confined to a trash can or other small source, a fire extinguisher may be used to put it out. A fire extinguisher is located on the entrance wall to the reading area directly across from the 2 PAC terminals. DON'T waste time trying to put out a fire that a fire extinguisher can't handle easily--better to report it and get people out. To use the extinguisher, pull the pin, aim the nozzle at the base of the fire, and squeeze the handle. You must try to smother the fire by covering it with the chemical. The fire will go out when it's oxygen supply is cut off. To avoid injury, stand back 6 to 8 feet from the fire. To notify occupants of the Center for the Arts building, pull the fire alarm at one of these locations: Level B: Between the 2 outer doors at the East end Exit of the Building Level 1: Just outside the Ethnomusicology Archives Emergency Exit on the second floor Fires in the Arts Center outside the library will be announced by an alarm audible in all areas of the library. When this alarm sounds, clear the library. 3. CLEAR THE LIBRARY quickly without causing panic. See Section A2-3 for evacuation procedures and Section D for floor plans showing exits. Summon a Building Custodian if on duty. 3. As the situation requires, protect items not yet wet by covering with plastic*, stopping the flow of water, moving to a dry area, etc. 4. Do not open wet books. Do not separate single sheets. Do not remove covers. Do not disturb wet Scores, Books, Recordings, & wet File Boxes. 5. Notify the Disaster Team** which will prepare a plan of action. Fire Alarms closest to the Music Library are located at: Level B: Between the outer doors at the East end Exit of the Building Level 2: Just outside the Ethnomusicology Archives Emergency Exit 2. Sprinkler System The entire library is protected with an automatic sprinkler system. The pipes of the system are filled with air under pressure. The system is activated when heat from a fire melts the element on any of the sprinkler heads. Pressurized air escapes through the opening. The sudden drop in system pressure causes water to fill the pipes. Water will flow only from those sprinkler heads whose seals have been broken, i.e. those in the immediate vicinity of the fire. Water flow can be turned off only by someone from the Service Building, or a member of the college Security. Activation of the sprinkler system will set off the fire alarms. 3. Fire Extinguisher There is only 1 fire extinguisher in the Music Library. It is located directly across from the 2 PAC terminals at the entrance to the reading area. 4. Emergency Lighting Emergency lighting will automatically come on when there is a blackout for any type of Emergency. Any failure should be reported to the Operations Manager Ext. 5222, Service Building Ext. 5472, Emergency Committee. 5. Circuit Breakers Circuit Breakers for the Music Library are located behind the Box Office totally separate from the Music Library. Contact the Service Building for assistance Ext. 5472, or the Operations Manager Ext. 5222.

Emergency Exits All staff should be aware of the alternative exits available in emergencies. These exits are located 1) directly across from the compact shelving, 2) at the end of the hall by the last 2 listening rooms, 3) at the far East end of the Library at the foot of the Ethnomusicology Archives staircase, and 4) at the top of the Ethnomusicology Archives staircase to the left. 7. Water in the Building During the winter months the following areas should be checked for water seeping into the building due to snow or ice buildup on the roof or elsewhere: Check carpets for wet spots below the skylights Check around the window sills for excessive moisture Check computer work stations below or near skylights Check similar areas below or near pipes Check around the hot-water heating units and pipes Check for leaks around the sink area in technical services Call the Service Building Ext. 5472 to have the snow or ice removed. 8. Emergency Number The Disaster Preparedness Committee has chosen to emphasize calling Security by dialing 5911 rather than using the emergency number 388-4911. In case the Campus telephone system is down you may dial 388-4911 from an outside line. (There is a pay telephone located by the Box Office.)
