Govt. of Bihar Department of Industries Govt. of Bihar is going to celebrate Bihar Utsav (22 28 March) 2011, which would be an exhibition, fair-cum-cultural activity at some specified locations at New Delhi. Film festival, food court, art gallery at PSK Lakshminagar for 3 days, exhibition cum food stalls and daily cultural shows at Constitution Club Lawns for 7 days and one mega cultural event in the evening in any of the places Mavalankar / FICCI Auditorium / Open Air (Central Park Connaught Place or India Gate). Experienced and reputed Event Managers are invited to present their over all concept plan in 3D presentation (duration 10-15 minute). The Event managers should essentially have experience of organizing at least 3 such type of national /international events with an annual turn over of Rs. Three Crores per year for event management activities since last 3 years. The theme of the Exhibition is Historical, Geographical, Art, Culture, of Bihar. This would showcase different aspects of Bihar viz art & culture, history & heritage, developments taking place in Bihar. The work shall include but not be limited to over all preparation of the Hall including Facia, Entrance & Exit gates, landscaping, theme hall displays, sale counters, Food Stalls, Electrical Fixtures & fitting and creation of good internal ambience. Further in case of any constructive suggestions given by the event manager would also be taken into account in the finalization of the tender. sheet. No. Details of work 1 Exterior Facia work of the venue. Providing fabrication / decoration with flex, etc. in existing focus area (i) All focus walls (ii) Pillars Beams (iii) Columns inside the Hanger as per approved plan providing high standard reception counters (adequate nos.). 2 Entire installatioin fabrication for Handloom and Handicraft section for sells-cum- Display (Approx 20 Stalls 3X2 sqmt) based on Modular Alumunium octonorm system with adequate modern spot lights, glow sign facia, stall name & furniture with all necessary arrangements i.e. electric power points (15 Amp.) Counters, standard chairs for every booth / stall. 3 Entire installation and fabrication for Bihar Heritage art/ cultural gallery section, Approx 18X12 sqmt. The display area & Pelmet facia must be enlighted with florescent rods and other electrical equipment as per requirement and our approval. adequate nos. of stainless steel cue managers (barricaders). 4 Entire installation and fabrication for Modern Bihar on move section Approx 10 Stalls 6X2 sqmt. The display area & Panel facia must be enlighted with florescent rods and other electrical equipment as per requirement and our approval. adequate nos. of stainless steel cue managers (barricaders). 5 Entire installation and fabrication for Food court area Taste of Bihar section Approx 5 Stalls 4X2 sqmt. The stalls must have adequate counters and chairs. The entire food court area facilitate with dining arrangements. 6 Maintenance of the entire area during the fair period i.e., fairly cleaning of floors, carpets, flower pots, arrangement of waste bins (as per required Nos.), stand by cleaner boy, electrician, etc. 7 Laying of approved brand new thick synthetic floor carpet on entire floor area. 8 Providing 8 nos. of hanging /standing Plasma TV (size 72 ) with all necessary fittings (DVDs etc) including parallel display connection with operators.

9 Providing & Maintenance of a wooden Platform with a backdrop for performance of daily cultural programme with all necessary arrangements like carpet, light, sound system, adequate no of chairs etc. 10 Providing & maintenance of light music / addressing system in entire exhibition area. 11 Providing Fire Prevention measures/ Installing adequate Fire fighting equipments/ First Aid Boxes / Emergency Lighting System in entire Hall during Fair period 12 1) Providing & arrangement of different size of flower plants/ pots in entire area (as per requirement & direction) for Fair period. 2) Decoration of entire area including stage/ theatre on Bihar day (22 March) celebration and one day mega cultural event. 3) Providing necessary assistance for the Bihar day celebration at Theatre like stage arrangement/ Lamp lighting/ Red Carpet/ Stage Backdrop/ Podium/ Sofa arrangement. 13 Providing Five Car (Taxi) for camp office (8:00 AM to 10:00 PM) from 15 th To 29 th March 2011. 14 Making Video film & Photography of the entire event (Daily basis) cultural programme & VIPs visit during the entire fair period. 1) Video Photography (Digital). 2) Still Photography (Digital) 200 snaps (i) in 8" x 6" size print with album (ii) in CD also 15 Security arrangement, CCTV System arrangement with recording and operator, Metal Detector Entry box /hand. 16 Snacks and Coffee /Tea /Mineral Water arrangement for 800 VIP guests (Avg. 100 persons /days) and lunch for 20 officials of camp office with a pantry boy and cleaner during entire event. 17 Smart girl hostess with good communication skill in Hindi & English and experienced in international standard events. Final approval shall be taken by the committee. 18 Arrangement of fully equipped camp office. (i) 3 laptop with hi-speed internet data card, pen drive, blank CD /DVD, card reader. (ii) 1 TFT PC. (iii) Printer/ Fax/ Scanner/ Xerox Machine with one operator (iv) Required stationary.

19 Modern Visitors Book, Remarks writing stand facility, Card Bowl, Adequate no. of Leaflet/ Brochure stand, Flower Pots, Fresh bouquet. 20 Providing adequate no. of Moving public utilities/ convenience van 21 Installation of temporary AC facility in entire hanger with all necessary arrangements with silent DG set, technician etc. 22 Event Manager has to be responsible to get NOCs from Delhi Police, Delhi Traffic Police, Electric Division, DCP licence, Entertainment license, performance license etc. for concerned Department/ Authority before 21 st March 2011. 23 i Hoardings at specific locations of New Delhi. ii Advertisements through Print media, Electronic Media, FM, SMS (Local and National), Public Relations, Social Media etc. iii Circulation of Pamphlets etc. Secretary BIADA.
