Business Payroll Services Payroll University Setting up Homebase, Exporting and Importing time clock files into OptRight Online Reference Guide This document walks you through the process of setting up your Homebase account, exporting time clock files from Homebase, and importing time clock files into Wells Fargo OptRight Online. Sections include the following: Set up Homebase o o o On your Clover device Clover App Market Set up from website Set up from website using bulk add employee option Export time clock files Import time clock files into OptRight Setting up Homebase You will need to configure employees in Homebase so that the time clock data can be accurately imported into OptRight during payroll processing. Using your Clover station - Download the Homebase app 1. Locate the Homebase app from the Clover App Market 2. Click Install to download the app on the Clover station 3. After download enroll your company in Homebase by launching www.joinhomebase.com from a computer Note: You can complete this on your Clover station, however it is much easier to do from a desktop/laptop 4. Configure your payroll settings in Homebase Click Settings from the top menu Click Payroll Partners from the left menu Click Connect next to Wells Fargo Click Timesheets from the left menu (under Business Settings) and set up the Payroll Period Click Overtime & Breaks and setup Overtime rules or breaks, if applicable Click Schedule from the left menu and set your schedule start day 2017 Wells Fargo Bank N.A. 5. Retrieve employee ID numbers from OptRight Note: Your Payroll ID in Homebase must match the employee ID numbers in OptRight. If the IDs don t match, OptRight will reject the time import. Log into OptRight Click the Reports tab Select Payroll, Personnel Profile from the drop down Run and then print the report. The ID appears beside the employee s name on the left side of the report 6. Set up employees in Homebase Return to Homebase (www.joinhomebase.com) Click Team from the top menu Click on Add button in upper right corner Click on add directly: create a new record Click the Locations & PINS tab and enter the employee s employee ID number in the Homebase Payroll ID field Click Save Changes on the top right Repeat for each employee Using the website 1. Go to OptRight to retrieve employee identification numbers Note: Your Payroll ID in Homebase must match the employee numbers in OptRight. If the IDs don t match, the system will reject the time import. 2. Log into OptRight 3. Click the Reports tab 4. Select Payroll, Personnel Profile from the drop down 5. Run and then print the report. The ID appears beside the employee s name on the left side of the report
6. Go to www.joinhomebase.com 7. Fill in your full name and email address. Click on Start Now 8. Create a password. Click on Create your Owner Account. 9. Fill in your Company Name and Company Zip Code. Click Create your Company. 10. On the Welcome to Homebase screen select No Point-of-Sale 11. Click on Add Employee (you will need to add each employee individually) 12. How would you like to add this employee? Select I m not connecting to a point-of-sale. Let me add my employees manually. 13. Fill in Employee s: Information Tab: i. First Name ii. Last Name iii. Email address (optional) iv. Phone number (optional) v. Birthday (optional) Locations & PINS Tab: i. Permission ii. PIN for Homebase time clock (optional) iii. Payroll ID (This must match the OptRight ID/employee ID number) Click Save Changes 14. When done adding employees click on Settings, go to Payroll Partners and select Wells Fargo 15. Select Yes on the Change Payroll provider screen.
Using the website Bulk add employees option 1. Go to OptRight to run the Homebase Employee Export report 2. Log into OptRight 3. Click the Reports tab 4. Select Custom Reports, Homebase Employee Export from the drop down 5. Run and then save the report to your desktop. 6. Go to www.joinhomebase.com 7. Fill in your full name and email address. Click on Start Now 8. Create a password. Click on Create your Owner Account. 9. Fill in your Company Name and Company Zip Code. Click Create your Company. 10. On the Welcome to Homebase screen select No Point-of-Sale 11. Click on Add Employee 12. On the Add New Employee screen click on Bulk Add Employees via CSV/Excel 13. Click on the drop your CSV/Excel here and locate the Homebase Employee Export on your desktop 14. Successfully Imported message should appear on your screen. 15. When done adding employees click on Settings, go to Payroll Partners and select Wells Fargo under payroll providers 16. Select Yes on the Change Payroll provider screen.
Exporting time clock files 1. Log into Homebase (www.joinhomebase.com) from desktop/laptop 2. Export the time file and save it to the desktop Click on Timesheets from the top menu Click on Export On the Export Timesheets page, click Wells Fargo Save the export file to the desktop 3. Follow the steps below for importing into OptRight Note: Don t change the columns in the file. If the column doesn t apply to your company please leave it blank. Importing time clock files 1. Access your payroll home page (Dashboard) in OptRight Online 2. Click Enter Pay Data next to the correct pay period. This Enter Pay Data screen appears. 3. Click Import Time Clock Data link shown above The Import Time Clock Data from File window appears Select Clover- Homebase as the template you would like to use
4. If time clock file is NOT mapped, click the Browse button to locate where the exported time clock file was saved on your computer. 5. Click the Import File button 6. Review and verify the imported totals and error log (if applicable) 7. Click the Import Payroll button located at the bottom right of the screen. Note: Do not click Import Payroll multiple times as that can result in double entry of your import data. (Review Enter Pay Data screen to ensure they are correct) Or click Cancel to terminate the import process. 8. The Enter Pay Data screen is populated with any regular hours, overtime hours, etc. that were in the import file. 9. If all looks correct click on Save Now 10. Click on the Preview Payroll to review your pay details 11. Review and Approve payroll screen will appear. Review Pay details screen before submitting your payroll. 12.
