Guide To Planning Impactful Themed Events Planning a themed event or party from scratch can be a little daunting, especially with the huge range of props, backdrops, lighting effects and performers available. From our experience of producing all levels of themed events we have built a quick 5-step guide, which should help you through the process. We recommend focusing on 5 key areas. This guide is designed to help pull together a basic plan for the event, however you might have some better ideas, or your venue may dictate a different structure to the night. We have a great range of options for each of the 5 key areas. 1. Lighting Lighting has a huge effect on the feel of an event space and is often an area overlooked. Delivery Anytime, anywhere, Our delivery service aims to be as simple as possible, you tell us what time to arrive and what time to collect the equipment and we ll do the rest. This can be absolutely any hour of the day and any day of the week including weekends. We understand the time restraints venues and events work to, so if you need your event packing down at 4.00am on a Sunday morning, then that is what time we ll be there! Our delivery services include full installation and set up as standard. We don t offer curbside delivery as this leaves you with all the heavy lifting still to do, instead we set everything up and check you are happy with the positioning of each and every prop. If you need a prop moved just ask the on-site crew who will be more than happy to help. We don t leave until you are 100% happy with everything we have delivered. Delivery costs are calculated on the number / size of vehicles required and the number of crew needed to install the props. Until the deposit has been received, availability is subject to change. Booking Forms must be signed and returned and deposit must be made within 14 days of issue to guarantee availability. The balance for your event will be due no later than 7 days prior to your event date and Steel City Promotions Ltd has the right to cancel the booking without such payment. Payment can be made via BACS or Cheque. Any cheques that are returned unpaid will be subject to a 25.00 administration fee. Event Cancellation Should you need to cancel your event, Steel City Promotions Ltd require a minimum of 8 week s notice in writing to avoid the full event rate being charged. Equipment and Delivery Equipment will only be provided subject to room suitability and access. Please guarantee this before returning the signed contract. Please ensure measurements of props are checked against room dimensions and access points as refunds will not be given if equipment does not fit. In the event of damage to equipment, Steel City Promotions Ltd reserve the right to swap said piece of equipment for another suitable piece. Any damage to the equipment provided by Steel City Promotions Ltd within the hire period, either by the client, the venue or a third party will be charged to the client at cost price. Any equipment deemed missing by Steel City Promotions Ltd will also be charged to the client at cost price. All equipment provided by Steel City Promotions Ltd is done so on a hire only basis unless otherwise stated and remains the property of Steel City Promotions Ltd after the event. Unless otherwise stated by Steel City Promotions Ltd, all props are for indoor use only. Any items used outside are done so entirely at the hirers risk and any damage will be charged for. At the very least, a loading bay should be available to all suppliers provided by Steel City Promotions Ltd to allow us to load and unload our vehicle for your event. A Parking space for a large van is also required where possible. Force Majeure In the event of Steel City Promotions Ltd being unable to appear for any reason due to Force Majeure (including but not limited to Fire, Flood, Strike, Transport Failure, Illness, Accident, Injury or Act of God), the client shall have no obligation or responsibility to Steel City Promotions Ltd whatsoever save that Steel City Promotions Ltd shall at their discretion return any deposit or advance fee paid by the client. Performers All performers require a secure and private changing area where they can leave their belongings. A disabled toilet is not acceptable. Unless otherwise stated, performers will require soft drinks & light refreshments, and in some cases a hot meal before they perform.
