AGENDA ITEM: VI A (ii) Florida Polytechnic University Board of Trustees October 24, 2013 Subject: Approval of Furniture and Fixtures for IST Proposed Board Action Authorize staff to select the appropriate furniture from the packages submitted by Herman Miller/Workscapes and Steelcase/Empire and proceed with the order and installation of the furniture as described in these packages for a total amount not to exceed $1.5 million. Background Information Current Inventory The University currently has furniture at the following locations: Blues Sky East, Blue Sky Wauchula, Blue Sky West, and the Brain Lab. The majority of the furniture will be used in other university facilities and several items will be surplused. More detailed information is provided in the attachment. Furniture and Fixtures for the IST At the outset of the project, a budget of $2 million was established for the purchase of furniture for the IST building. Following a four month selection process that included multiple meetings and site visits to the main offices of three furniture manufacturers, staff has reviewed the final proposals submitted by the following State-approved teams of manufacturers and authorized vendors: Herman Miller and Workscapes Knoll and B-AG Steelcase and Empire Office The proposals were adjusted to reflect the same quantities per item and the teams have affirmed their costs. Staff reviewed the costs and took into consideration a number of other criteria, including the specific furniture proposed, the type and length of warranties, installation process and serviceability, and appropriate furniture for each of the spaces. On the basis of all the information collected during this selection, staff recommends that the Board approve an amount not to exceed $1.5 million to purchase furniture and fixtures for the IST and authorize the staff to make the final selections from the Herman Miller/Workscapes and the Steelcase/Empire proposals.
