Edition: 3 rd November 2016 FIRE EMERGENCY PLAN AND FIRE RISK (PREVENTATION) POLICY This Policy relates to the whole school including Early Years Foundation Stage (EYFS) Parkside School ensures that it is compliant with the Regulatory Reform (Fire Safety) Order 2005 INTRODUCTION These procedures are applicable for all at Parkside School. Parkside School recognises that fire presents a significant hazard to everyone at school plus the facilities and the operation of the school. Parkside School will therefore seek to manage fire risk in accordance with best practice and the requirements of legislation. Parkside School will seek to prevent fire and will establish arrangements to ensure the consequences of fire within the premises are mitigated. OBJECTIVES To ensure compliance with all statutory requirements relating to fire safety and fire precautions in all school premises. To safeguard and ensure the well-being of all persons using the school premises and facilities and protect all school property and equipment against the dangers of fire and smoke. RESPONSIBILITIES Chair of Governors Has the ultimate responsibility for ensuring the implementation of the appropriate guidance and whole school training in respect of fire precautions and fire safety at Parkside School. Headmaster and Bursar Shall ensure that the school complies with all relevant fire legislation. Bursar Will arrange for annual professional Fire Risk Assessments to be carried out and documented and also deal with any issues raised by the Fire Risk Assessments. 1

Shall ensure that the Fire Risk Assessments are available on Staff Common for all staff to read. Will arrange for Five Year Wiring Testing to be carried out and documented and to deal with any issues relating to the Testing documentation. Will arrange for annual portable electrical equipment testing (PAT) to be carried out and recorded in compliance with guidance. Will arrange, supervise and liaise with electricians and other contractors and record the routine inspection and maintenance of firefighting equipment, fire escapes, detection systems, hydrants and emergency lighting and any new installations. Will complete records confirming the regular inspection of escape routes. Will monitor and audit records relating to fire and emergency equipment. Shall ensure Parkside School has adequate and appropriate fire notices and signs. Shall liaise with the fire authority, other external inspectors and insurance assessors. Shall in liaison with Director of Studies ensure that records are kept of the fire training given to selected staff on an annual basis. Shall ensure that termly fire practices are held for every area of the school. Shall ensure that security cover is arranged for holiday periods. Will attend as first call all emergency call outs. The Headmaster and Deputy Head The Headmaster and Deputy Head will immediately go to the assembly point and have overall responsibility that all pupils, staff and visitors are accounted for. The School Receptionist (or in his/her absence the Fire and Safety Officer) The School Receptionist will be the central point of contact for Fire and Emergency Procedures.] The School Receptionist must immediately go to the assembly point, taking the visitors signing in book and the Fire File. The School Receptionist is responsible for taking a roll call of visitors at the assembly point which is on the tennis courts. Academic Staff Academic staff are responsible for escorting their pupils safely out of the building in silence and in an orderly fashion. 2

Support Staff The Assistant Bursar must immediately go to the assembly point and is responsible for taking a roll call of Support Staff, taking into account the Support Staff personnel who are allocated duties which are: Monitoring the school entrance to ensure that no one enters Meeting the Fire Brigade Visitors and Contractors All visitors and contractors are required to sign in at Reception, where they are issued with a visitor s badge, which should be worn at all times that they are on school property. The visitors are made aware of the assembly point and the School s fire procedure. When large numbers of visitors are at the school for open days, plays and concerts, a brief announcement is made advising them of the emergency procedures including the fire exits and the assembly point. Fire Fighting Equipment and Fire Training 1. A register must be kept of all fire fighting equipment, recording the latest test date. The Bursar must ensure equipment is tested at recommended intervals. 2. Fire alarm call points and therefore the system will be tested weekly by nominated personnel. 3. Fire drills will be held at least once a term. 4. The Fire and Safety Officer is responsible for arranging the fire alarm testing and fire evacuation drills. 5. Staff are expected to attend fire training as requested. 6. Fire training is part of the new staff induction into the school and training continues annually. FIRE AND EMERGENCY PROCEDURES Raising the Alarm 1. In the event of discovering a fire or smelling smoke, you must raise the alarm immediately by breaking the glass of the nearest fire alarm call point. 2. If safe to do so, confirm the details by telephone to the School Receptionist. 3

Action on hearing the Fire Alarm Operate You must leave the building immediately by the nearest exit route, closing all doors and windows as you go. If you are the last to leave a floor, shout to make sure everyone has left and close all fire doors behind you. Do not stop to pick up personal belongings. Pupils must walk out of the buildings and line up on the tennis courts in TOTAL SILENCE. The School Receptionist will bring out the registration file, visitors signing in book and Fire File. The Nursery EYFS hold their registers in their classrooms and each teacher is responsible for bringing their register with them in an emergency. See Appendix 1 for details of assembly point. Do not leave the assembly point until a roll call has been taken and everybody has been accounted for. Do not attempt to fight the fire unless you are trained to do so. School Registration Morning registration is taken electronically in the classroom. A note of any absent pupils is recorded by the School Receptionist and a list held at Reception. A copy of this list is pinned to the notice board in the staff room. Further copies are given to the Deputy Head, the Music Department and the Sports Department. A copy is also circulated by email to all Prep school teaching staff and Pre Prep form teachers. Afternoon registration: Electronic registration is taken during the lunch time form period. (On a Wednesday for Years 6, 7 & 8 this will be taken manually in the dining room if there is no form period). At the end of the afternoon there is a 5 minute form time for messages and an orderly dispersal of pupils. Rubbish and Combustible Materials Rubbish is stored in the bin store, which is emptied every week throughout the year. The bins and bin store are deep cleaned every main and half term holiday. Gas Safety All gas appliances including boilers and kitchen equipment are regularly maintained and serviced by Gas Safe Registered Engineers. Records of all tests are kept in the Fire File in the Bursar s office. All landlords certificates are held for all school domestic accommodation. All kitchen equipment is switched off at the end of service. 4

All laboratories are checked daily to ensure that the central gas supply is turned off. Chemicals, Solvents and Gases Fire precautions associated with the use and storage of chemical solvents and gases at Parkside School premises will be implemented according to the guidelines set out in legislation, approved codes of practice and manufacturer s instructions. Letting or Hiring the School Our standard contractual terms that we use for letting and hiring the school covers fire safety and specifies that the hirer should certify that they have read and understood the school s fire safety policy and procedures.
