3 Introduction: Welcome to APEX Heights! You have made a great choice for your accommodation and we look forward to meeting you all in September! Domestic Staff will be on site Monday Saturday and will ensure all the communal areas are clean and tidy. It s your job to make sure your flat stays that way too! 4 Maintenance Requests: Should you have any maintenance issues please report them by filling in the Maintenance request form at reception. If the maintenance fault is an emergency, please report it immediately either in person at reception or call In order for us to maintain the standard of the accommodation it is important that ALL maintenance issues are reported promptly. If you report a maintenance issue during your stay in halls, Apexbuild Properties Ltd will ensure that any repair or defect works that are required meet with the following performance standards: Priority One Emergency Repairs are completed within 24 hours of a report of a defect. These would be any repairs required to avoid a danger to health, a risk to the safety of residents or serious damage to buildings or residents belongings. Priority Two Urgent Repairs are completed within five working days of report of the defect. These would be any repairs which materially affect the comfort or convenience of the residents. Priority Three Non-Urgent Repairs are completed within 28 days of a report of a defect. These would be any repairs not falling within the above categories. If you feel that these standards have not been met, please contact the reception who will investigate the issue. Your Apartment: Inventory: You must check and sign the inventory form that will be left in your room when you checked -in. All flats will be inspected during the year and following your departure from halls, charges for damage / missing items may be levied using the information provided on your inventory form - it is therefore very important that you complete and return this form within 24 hours of your arrival. Cleaning: You are responsible for keeping your bedroom, kitchen and en-suite bathroom clean and tidy at all times. All communal areas and corridors are cleaned by our housekeepers. Please help them look after our hall by not dropping litter and reporting any graffiti to the office. If a communal area is damaged Apexbuild Properties Ltd will charge the residents in that block to rectify the damage unless an individual takes responsibility for the incident. Please also be aware that the loss/damage of any items within a flat is also chargeable to the residents if not due to general wear and tear. Smoking: Smoking is not permitted anywhere inside Apex Heights. This includes your bedroom/studio or flat. If you are caught smoking you could be in breach of your

5 contract and could set off the fire alarms. Please also do not drop cigarette ends in the gardens or walkways, cigarette bins are provided so please use them! Internet: The Provider will be Keycom. The inclusive provision is a 4mb completely unlimited service (and at higher quality than residential broadband). Students can upgrade their speed to the "Max" 10mb connection for 80. The support service is open 24/7. Rubbish Removal: Please ensure that you remove all rubbish and waste from your apartment on a regular basis. There are bins provided in the gardens along with recycling facilities. If you build up excessive rubbish in your kitchens you may cause a vermin problem, this is a brand new building. Any rubbish that we have to remove for you or from the surrounding corridors will be charged back to your flat at a cost of per bag or item. Television License Requirements: You can acquire a License from any post office. Failure to do so can result in a heavy fine and criminal charges for you. For further information go to Windows: You will find that the windows do not open fully; they are designed to be locked in the tilt position and are not to be opened in any other way. This is standard company policy, for the safety and security of residents and visitors alike. Unfortunately we are unable to derestrict windows for any reason. Any window found to be unrestricted or have damage to the locking mechanisms; the tenant or apartment will be charged. It will also be deemed to be a serious breach of conduct and may be considered criminal damage. Light Bulb Replacements: Should your light bulb in your flat/bedroom/en-suite go at any time please complete a maintenance slip at the office and we will replace these for you free of charge.

6 Facilities: Parking: There is no parking available at Apex Heights. Launderette: A wash is 2.50 and a dryer is The launderette will take 1 and 20p coins and will be open 7 days a week 24 hrs a day. Please ensure you have the coins with you as the office cannot provide change. You will need to buy your own washing products as these are not supplied. Bike Stores: Bike stands are available throughout the grounds. Post Boxes: Please ensure you advise anybody sending mail to you of your full and correct postal address (see section Your Address ) incorrectly addressed mail is frequently misdelivered or returned to the sender. Don t forget to advise senders of your forwarding address when you finally leave us. Parcels If you would like us to receive parcels on your behalf, we are happy to do so. In providing this service Apex Heights does not take responsibility for any loss or damage to any parcels/packages, we also reserve the right to decline any delivery. Parcels will only be kept for three days before they are returned to sender. Please note that we are unable to accept large parcels due to space restrictions. If a parcel is too big, we will call your room to ask you to collect it from the courier. If you are not available to collect it, the courier will take the parcel away. Residents collecting parcels will need to provide some ID and sign to confirm collection. Post will not be given out to other residents on your behalf. Staying Safe: Fire Procedure: Should a fire break out or if an alarm sounds in your apartment, evacuate the flat immediately, ensuring that no one is left behind. Close all doors behind you and do not re-enter the building. Do not stop to collect any personal belongings, concentrate on getting yourself out of the building. Assemble on the pavement opposite the building until you are given permission to return to your flat. You should also inform reception or the Emergency services.

7 If you suspect that a fire has broken out in somebody else s apartment inform reception immediately by phone. We ask that you take a few minutes to read and familiarize yourself with the Fire Action sign on the back of your bedroom door. A controlled evacuation will only take place under the directions of the Fire Brigade or Hall Manager. KEEP YOUR FIRE DOORS SHUT! The risk of a fire spreading is greatly reduced if all fire doors are kept shut. This could save your life. You must not use candles, incense / joss sticks in any part of your accommodation. Deep fat frying is strictly prohibited. Any prohibited items found will be removed. Smoking is not permitted in any area. When a fire alarm sounds do not use the lifts. Become aware of the fire procedure, and pay particular attention to the location of fire extinguishers/blankets, alarms and fire exits which are all clearly marked. Do not interfere with any safety equipment, including notices, smoke alarm system and fire extinguishers/blankets. Any misuse is deemed a serious breach of conduct. Please be aware that knowingly causing a false alarm, or tampering with any fire fighting equipment, including door closers, fire extinguishers, fire blankets, heat detectors, smoke detectors, fire alarm break glass, fire health and safety signage is illegal and is treated very seriously. Any resident found to have tampered with any firefighting equipment will face a disciplinary meeting and could also face a fine of up to 2, by the enforcing fire authority. Anyone who intentionally sets the fire alarm off or causes the fire alarm to go off without suspicion of fire will be charged You must NEVER leave pans or electrical appliances on unattended.

8 Illness/Doctors: We strongly recommend that you register with a local doctor shortly after your arrival and hopefully before you need one! Water: It is recommended that upon entering your apartment, you flush the toilet and run the taps for a few minutes in your room and also the kitchen. This is because the water may not have been used for a few weeks. If you have any kind of disability you would like us to be aware of, please inform the reception team upon checking into your accommodation, this can be undertaken discreetly. Security: We have an extensive CCTV system in operation, for your safety and this is monitored and continuously recorded 24 hours a day. Your security is top priority, however in order to stay safe you are asked to follow a few simple instructions, which will help ensure your stay is a safe and secure one. If you lose or have your keys and fob stolen, please inform reception at the earliest time. Replacement cards and keys will be available at a cost of and 50 each respectively. If, because of a theft, we consider the security of your apartment compromised, this could involve further cost to replace necessary locks. Keep your key and fob in a safe place and separate from anything with your address written on in. Keys and fobs are not transferable to third parties. They are high security and cannot be copied. Visitors and Guests: We take the security of residents and staff very seriously and therefore must take reasonable steps to prevent unwelcome visitors. If you are asked by a member of staff to show your fob, key or ID please do so. All doors are locked and can only be opened with your fob. You must escort your guests at all times and never give your fob or keys to anyone else. You will be held responsible for your guest s behaviour while on site and any damage caused by them. A maximum of two guests per resident are allowed at any one time. Please also talk to your flat mates and inform them if you plan on having overnight guests. Security tips: Always ensure that you lock your bedroom and flat front door when leaving your apartment. Do not hold security door open for people you do not know are staff or residents, it is not being rude and genuine residents will understand you are being neighbourly by

9 being security conscious. Never allow access to the halls or to your flat anybody you do not know or do not recognise. Never leave your window open when you are not in your room Never throw your keys out of the window to friends Your Role: Noise: As other residents also live in the flat / building we ask that music is not played at a level that would cause disturbance to others. Remember you are responsible for the behaviour of your visitors. Please be respectful to your neighbours by keeping music and other noise to a reasonable level, particularly late at night. The main cause of noise complaints in that bass can be heard from music that is being played. To avoid having a noise complaint made about YOU, please ensure that your bass is low and that your speakers are not on the floor! There should be no noise audible outside of your room after 11pm. If YOU are disturbed please follow these steps: A. Figure out where the noise is coming from (what apt?) B. Ask them politely to turn the music down, or keep the noise down in general C. If the noise still persists please contact our Warden. Apex Heights has a strict noise complaint procedure. Repeat offenders will not be tolerated and will eventually result in the confiscation of noise equipment and the termination of your contract. When returning to Apex Heights Luton late at night, please do NOT loiter in the courtyards or make loud noise. You must go straight into your blocks quickly and quietly. This will avoid disturbing other residents who may be trying to sleep! Residents Charter: Whilst residing in Apex Heights we do ask that you follow a few simple guidelines which should make your stay and your fellow residents stay more enjoyable. Keep the accommodation (including study bedrooms and all communal areas within your flat) clean and tidy Please promptly report any maintenance issues to reception If the maintenance fault is an emergency, please report it immediately either in person to reception, or by telephone on Electrical sockets in study bedrooms must not be overloaded. Electrical cables must not trail behind, or rest on top of the supplied wall heater.

10 Window safety locks must not be removed. Fines will be levied where locks have been removed or windows unrestricted. We reserve the right to end the tenancy if unrestricted windows are found. Bedroom, lounge, or kitchen doors must not be propped open. These are fire doors and must remain shut at all times. Overnight guests are permitted to stay for a maximum of two nights without permission being sought from reception. Please make sure that any noise/ music cannot be heard outside of your room/ flat. It is important to remember that Apex Heights is home to many students. Please remember this throughout your stay and show respect, courtesy and understanding to all fellow residents and halls staff. On vacating the halls, you are asked to leave your accommodation in the condition in which you found it upon your arrival. All belongings and rubbish must be removed from your study bedroom and communal areas please note that you may be charged for the removal of belongings and excess rubbish. For the health and safety of students and staff the following items are not permitted in the accommodation: Electrical heaters (other than that provided in the accommodation) Kettles / toasters / portable electrical cooking appliances are not permitted in study bedrooms other than those provided by us. Block multi-socket adapters should not be used in any part of the accommodation due to an increased fire risk. Fairy lights, decorative lights, candles, incense sticks, oil lamps, deep fat fryers, chip pans, woks, or anything else with a flame due to an increased fire risk Students are responsible for their own personal electric appliances and must ensure that they are safe. Apex Heights does not accept any liability for appliances brought in by students. OTHER INFORMATION: Rights of access: If we need access to your flat, we will endeavour to provide reasonable notice. Regular inspections of all flats are completed on a termly basis, notice will be provided allowing you the opportunity to be present for the inspection of your study bedroom. Where maintenance faults are reported, it is assumed that this allows authorization for a member of the Security /Maintenance team to enter your accommodation to assess the fault. If you do want to present whilst maintenance is being carried out, please ensure that this is stipulated when reporting the maintenance fault. Leaving Early: If you decide to leave early, you must notify us in writing at the accommodation office. You will be liable for the rent for the whole term of your contract. ENVIRONMENTAL AWARENESS Simple steps to follow:

11 Switch of lights when they are not in use - bedroom, bathroom, kitchen and desk lamps Don't leave your computer on - make sure that you switch it off if it is not being used Don't leave televisions on standby - get out of bed and switch them off Boil only the amount of water in a kettle that is needed Turn off the tap when you brush your teeth If you have a dripping tap, make sure that you report it immediately By making an effort initially to follow these few steps, it will soon become a habit! Don't forget recycling! Please be respectful of the environment and recycle all glass and paper. Cancellation Charges Once the Assured Shorthold Tenancy agreement has been signed and returned it may only be terminated if we mutually agree to do so. In the event of this happening, Apex Properties reserves the right to keep all monies received and seek recovery of any amounts due as per the Tenancy Agreement.
