2 1. Section 1: NOTE: Reference to Responsible Person applies to the Parish Clerk, Parish Councillors, Group Leaders and Organisers of private bookings. General Arrangements All members of weekly groups, visitors and staff must sign in/out at main entrance each time they enter or leave the building. Visitors confined to a wheelchair must be given assistance as and when required. The Parish Councillors / Weekly groups must observe general good housekeeping at all times including Switching off all electrical appliances when not in use All fire doors, exits, fire equipment and fire notices must be kept unobstructed Care must be taken to ensure that combustible materials are not left on the premises. Communication of Arrangements The arrangements for fire are detailed within this fire risk assessment which will be placed in the main entrance, Fuller room and the Old School room. In addition fire signs and notices will be placed throughout the facility as required by regulations. Annual meetings will occur between a Representative of the Parish Council responsible for the facility and a Qualified Competent Person to review arrangements and ensure that all documents associated with the fire risk arrangements are current and adequate. Training Arrangements All Councillors will be made aware of the fire arrangements and their responsibilities as an integral part of their induction to the council, where identified training in the use of the firefighting equipment will be provided. Monitoring of Arrangements The nominated Responsible Person for the facility is responsible for monitoring the site, recording the status of the fire arrangements by: Weekly visual inspections of all fire exits, firefighting equipment Annual tests of the alarm system and alarm devices (including smoke detectors) Bi annual fire evacuation tests Monthly opening of fire exits Annual inspection of any emergency escape lighting The Responsible Person for the facility is responsible for auditing the facility on a 6 monthly basis and reviewing the fire risk assessment on an annual basis. In addition regular annual meetings will occur between the nominated Responsible Person for the facility and the Parish Council to review arrangements and ensure that all documents associated with the fire arrangements are current and adequate. 3 Section 2 : Plan in Event of Alarm Staff/Visitor Action (to be taken on discovering a fire) On discovering a fire, staff are asked to carry out the following Raise the alarm by SHOUTING FIRE, FIRE, FIRE Do NOT attempt to tackle the fire yourself unless it is safe to do so, and only if you have been trained to use the firefighting equipment. Leave the building by the nearest available fire exit and proceed to your designated assembly area at VILLAGE HALL CAR PARK Staff/Visitor Action (on hearing a Fire Alarm / Warning) On hearing the fire alarm staff / visitors are asked to carry out the following ONLY if it is SAFE: Close all windows Switch of all electrical equipment if possible Leave your area by the nearest available escape route. Close all doors behind you if possible. Make your way to your designated assembly area and report to the responsible person. (All visitors must be escorted to the visitor assembly area) Staff/visitors ARE strongly advised not to stop to collect personal belongings and are not to re-enter the building unless advised to do so by the fire services. Reception Action (on hearing a Fire Alarm / Warning) On hearing the fire alarm/warning the Responsible Person will call the appropriate Fire Service by dialling 999. Make their way to the reception area and collect the fire plan then make their way to the Assembly Area. The visitor book should be collected during the evacuation of the building and delivered to the Responsible Person at the fire assembly point. In the event of a FIRE On hearing the fire alarm/warning, the staff / Groups should exit the building by the nearest fire exit and leaving the building as quickly as possible Carry out a check of the areas (only if it is safe to do so) to check that all people have left the building. i.e. Toilets / Kitchen If during the evacuation the Responsible Person discovers the fire, they should only attempt to tackle the fire it is safe to do so, and if they have the required firefighting training - remember to always face the fire and ensure that your back is facing the nearest fire exit. On leaving the area, the Responsible Person should make their way as quickly as possible to the assembly area to ensure all members of staff and groups are accounted for. Page 3 of 5

4 The location of any fire is noted and made known to the Senior Fire Warden/Fire Personnel Should any member of staff/visitor be found whilst carrying out a check of the working area who cannot leave the area unaided due to incapacitating injury/illness; the Responsible Person should be informed and who in turn notify the Fire Personnel on their arrival. If a rescue attempt has to be made, then a minimum of two persons are required, and only if it is safe to do so, and providing that the individual concerned will not be subject to further risk or injury. The location of any casualties must be made known to the Responsible Person and where applicable the Emergency Services Report to the Senior Fire Warden and provide the him/her with the following information:- Have staff /Group members / Visitors been accounted for Is anyone missing The location of any casualties If requested, the Responsible Person must escort the Fire Services around the building. Therefore the Responsible Person must make herself / himself familiar with the layout of the building and advise the Fire Services of any know high risk areas. Page 4 of 5

Section 3 : Facility Fire Information Please ensure the following is clearly depicted on the above Means of escape routes and their protection including position and type of fire doors Access and facilities for the fire service Firefighting equipment types, numbers, maintenance and service regimes Emergency lighting, fire exit signs and other fire safety notices Assembly point Specific high risk areas / known fire hazards Page 5 of 5
