4 1 Intrductin SPE has develped these exhibit regulatins in rder t prvide a well-balanced, well-regulated, attractive and successful shw. N exceptins t these regulatins will be permitted. SPE reserves the right t enfrce strict cmpliance with these Exhibit Regulatins. Each exhibitr ( Exhibitr ) understands and agrees that the Exhibit Regulatins are an integral and binding part f the Exhibit Space Agreement. Exhibitrs are respnsible fr all their cmpany persnnel, including Exhibitr Appinted Cntractrs (EACs), and as such are respnsible fr cmmunicating these Exhibit Regulatins as well as all rules t their emplyees. Ignrance f a regulatin is n excuse fr a vilatin. Exhibiting persnnel, including EAC s, fund in vilatin f the Exhibit Regulatins, especially the Phtgraphy/Vide/Audi Recrding Regulatins, are subject t remval frm (2018 ATCE). Multiple ffenses by persnnel and EAC s f the same exhibiting bth/cmpany will subject that cmpany t having its bth clsed fr the remainder f the event and all f its persnnel being remved frm 2018 ATCE. This will als subject that same cmpany t lsing pririty pints and up t and including lsing the ability t exhibit at future SPE events. 2 Official Service Cntractrs T ensure the cntinuatin f a smth installatin, dismantling and peratin during the Exhibitin, Official Cntractrs have been appinted. Althugh full-time emplyees f Exhibitr-Appinted Cntractrs, ther than the Official Cntractrs, may be authrized t gain access t exhibitin areas, Exhibitrs are urged t btain required labr and services frm SPE Official Cntractrs. Cmplete details f Official Cntractrs are prvided within the Exhibitr Services Manual. 2.1 Exclusive Cntracted Services The services listed belw must be prvided by the Exclusive SPE Cntractr. 5 4'-0" Exhibit Regulatins 3 Stand Cnfiguratin 3.1 Bth Display Types Linear Bth A standard/linear (10 x10 ) bth (als called in-line bth ) is any bth that shares a cmmn back wall and adjins ther exhibits n ne r tw sides. 5'-0" 10'-0" NOTE: A bth that is 10 ft. in depth but has 2 crners and n adjining bths is als cnsidered a linear bth and is subject t the height restrictins f a linear bth. 5'-0" 8'-3" The maximum back wall height is eight-feet three-inches (8 3 ), including truss, and is allwed nly in the rear half f the bth space. 4'-0" Exceptins t the 8-ft maximum bth height may be extended t physical equipment that exceeds the maximum height restrictins. This des nt include the physical exhibit structure. Wherever physically pssible this equipment shuld be displayed in the back 5ft f the bth t allw visibility fr neighbring bths. Any graphics n physical equipment must fllw the in-line height guidelines (nt t extend ver 8 3 in the rear half f the bth r ver 4 in the frnt half f the bth). Exceptins are at the discretin f SPE. 10'-0" A fur-ft (4 ) height restrictin is impsed n all materials in the remaining space frward t the aisle. NOTE: When three r mre Linear Bths are used in cmbinatin as a single exhibit space, the 4ft (1.22m) height limitatin is applied nly t that prtin f exhibit space which is within 10ft (3.05m) f an adjining bth. Exhibitr must leave rm fr back pipe and drape t be shared between its bth and the bth behind it. Bth shuld nt be set s that the plate fr the pipe and drape is cmpletely in a neighbring bth. Graphics shuld nt be placed n the back f panels higher than the 3 side drape, where they verlk a neighbring bth. Hanging signs/graphics are NOT permitted ver standard/linear bths Perimeter Bth 5'-0" A Perimeter Bth (10 x10 ) is a standard/linear bth that backs t an utside wall f the exhibit facility rather than t anther exhibit. The maximum back wall height is twelve feet (12 ) including truss, and is allwed nly in the rear half f the bth space. 4'-0" 5'-0" 4'-0" 8'-3" 12'-0" Exceptins t the 12-ft maximum bth height may be extended t physical equipment that exceeds the maximum height restrictins. Hanging signs/graphics are NOT permitted ver standard/ linear perimeter bths Peninsula / Split Island Bth 16' Maximum Bth Height A peninsula bth is any exhibit 20 x20 r larger with a depth frm the cmmn back wall t the aisle f at least 20 and with aisles n three (3) sides. Where tw (2) peninsula bths share a cmmn back wall (als knwn as Split Island Bths), the maximum height is 16 feet in all areas f the bth, including the back wall. Aisle Aisle 8' Drape Prvided Aisle Aisle SPE des nt permit a peninsula bth t back up t linear bths (als knwn as end-cap bths). An 8-ft drape is supplied t separate bths. The prtin f the bth frm the 8-ft drape t the maximum bth height f 16 feet must be finished. Exhibitr must leave rm fr cmmn wall pipe and drape (if applicable) t be shared between their bth and the bth sharing the cmmn wall. Bth shuld nt be set s that the plate fr the pipe and drape is cmpletely in a neighbring bth. Hanging signs will ONLY be permitted ver peninsula and/r split island bths that are 20 x30 (600 ) r larger. The maximum height f hanging signs is 25 t the tp f the sign (if ceiling height allws). Duble-sided signs, lgs and graphics shall be set back ten feet (10 ) (3.05m) frm the cmmn wall f the exhibit space Walk-Thru Bths A Walk Thru Bth is any bth 20 x20 r larger that backs up t anther walk-thrugh r peninsula bth. 7 bth frm the 8-ft drape t the maximum bth height f 16 feet must be finished. Exhibitr must leave rm fr cmmn wall pipe and drape (if applicable) t be shared between bths; bth shuld nt be set s that the plate fr the pipe and drape is cmpletely in a neighbring bth. Hanging signs will ONLY be permitted ver peninsula, split island and walk-thru bths that are 20 x30 (600 ) r larger. The maximum height f hanging signs is 25 t the tp f the sign (if ceiling height allws). Duble-sided signs, lgs and graphics shall be set back ten feet (10 ) (3.05m) frm the cmmn wall f the exhibit space Island Bth 25' Maximum Bth Height An Island Bth is any exhibit 20 x20 r larger and is surrunded by aisles n fur sides. Aisle The maximum height f an island bth is 25 feet in all areas f the bth. Certain physical limitatins f Kay Bailey Hutchisn Cnventin Center may prhibit the maximum 25-ft bth height. Exhibitrs shuld refer t the flr plan fr specific height limitatins. Aisle 20'0" Aisle 20'0" Aisle Exceptins t the 25-ft maximum bth height may be extended t physical equipment that exceeds the maximum height restrictins. This des nt include the physical exhibit structure. Exceptins are at the discretin f SPE. Island Bth Hanging signs are permitted ver island bths. The maximum height f hanging signs is 25 t the tp f the sign (if ceiling height allws). 3.2 Weight Restrictins Display and/r peratin f any heavy equipment must be subject t the flr lading limits f the exhibitin area. The maximum lad permitted fr Kay Bailey Hutchisn Cnventin Center main exhibit flr is 350lbs per square ft f distributed lad. 3.3 Multi-Level Bths All multi-level (duble-decker) bths require certificatin by a registered engineer and flr plans must be submitted t SPE Shw Management by 13 August 2018 t btain Fire Marshal apprval. Cnstructin f multi-level bths must cnfrm t all applicable lcal cdes, (specifically NFPA 101 Life Safety Cde 2000 ed) regarding access, egress and fire safety equipment. Multi-level bths require a minimum f 20 ft ceiling height. Page 7 f 30

8 If yur multi-level bth uses the exact same design as 2017, the Fire Marshal will accept a ntarized letter n cmpany letterhead t that affect, in lieu f re-submitting the design specs. Kay Baily Hutchisn Cnventin Center regulatins state that the highest bth flr fr an island multi-level bth must nt be mre than 18 feet abve the exhibit flr and the highest pint f the bth may nt be mre than 25 feet abve the exhibit flr. The highest bth flr fr a peninsula r walk thru, multi-level bth must nt be mre than 10 feet abve the exhibit flr and the highest pint f the bth may nt be mre than 16 feet abve the exhibit flr. Kay Baily Hutchisn Cnventin Center is nt respnsible fr these exhibits bstructing r being affected by building air and lighting systems. All bths shuld have at least (1)2A10BC fire extinguisher and a prtable fire detectr. Multi-Level Exhibits and Drawings submitted fr review must meet the fllwing requirements: 1. Meet r exceed the requirements f NFPA 101 Life Safety Cde 2000 ed. 2. Drawings must bear a current registered design prfessinal s stamp (architect, structural engineer, fire prtectin engineer, etc.). Expired licenses are unacceptable. The prfessinal stamp shall include the state f certificatin, name f the registered design prfessinal; his/her license number, signature, registered engineering firm name and firm number. 3. Drawings must be submitted in English. 4. Metric units f measurement are acceptable but they must identify what unit f measurement is being used. 5. Multi-deck structures exceeding 300 sq. ft. f net flr area must have tw (2) remte exit stairs; ccupant lad factr is 15 net sq. ft. per persn per table f NFPA 101 Life Safety Cde, 2000 editin. 6. Stairway widths shall be: a. A minimum f 36 inches where the ccupant lad f the upper level is less than 50 b. A minimum f 44 inches where the ccupant lad f the upper level is 50 r mre c. Occupant lads shall be stated n the plan 7. Handrails shall nt be less than 34 inches and nt mre than 38 inches abve the surface f the tread. 8. Handrails are required n bth sides. A sign must be placed at the bttm f the stairs stating Please Use Cautin and Hld the Handrail. 9. Spiral stairways shall be permitted in accrdance with sectin f NFPA 101, 2000 ed., such that: a. Occupant lad des nt serve mre than 3 b. Clear width f stairs is nt less than 26 inches c. Handrails shall be prvided n bth sides Page 8 f 30

9 10. Guards shall: a. Nt be less than 42 inches high b. Open guards shall have intermediate rails r an rnamental pattern t prevent a 4 inch diameter sphere t pass thrugh any pening up t a height f 34 inches 11. Battery-perated smke detectrs shall be installed n a smth surface under the first level ceiling and spaced n mre than 30 feet apart if applicable and installed n the upper flr level with a cvered ceiling 12. Hard cvered ceilings shall have a smke detectr installed and if fabric/textile is used t cver the upper deck area, it must be flame resistant. 13. One prtable fire extinguisher, minimum 2A 10B:C with current maintenance tags shall be prvided at each level f the exhibit 14. Live lad fr the upper level shuld be at least 125 punds per square feet. 15. Any statinary units (cntainer r ther units) using the upper areas as a deck must submit plans. 16. All submittals shall be received days prir t the event date by t Barbara Katz (bkatz@spe.rg) and Lila Csta (lila.csta@dallascityhall.cm) r n a multi-media strage device (flash drive r similar device). 3.4 Hanging Signs & Graphics Guidelines Hanging signs are permitted in peninsula and walk-thru bths with dimensins f 20 x30 (600 ) r larger, and island bths with dimensins f 20 x20 (400 ) r larger. Hanging signs are NOT permitted in standard/linear bths; and peninsula, split island, and walk thru bths with dimensins less than 20 x30 (600 ). The maximum allwable height fr hanging signs is 25 measured frm the flr t the tp f the sign, n exceptins. If trusses needed fr lighting f the sign are required t g higher than 25, Exhibitr must get authrizatin frm SPE. Certain physical limitatins f exhibit facility may prhibit the maximum 25-ft allwable height. Exhibitrs shuld refer t the flr plan fr specific height limitatins. The maximum allwable height f hanging signs is als dependent n the ceiling lad limits. Exhibitrs are respnsible fr ntifying SPE and/r Freeman if they are planning n hanging signs in their exhibit bth design. Exhibitrs must send this written ntificatin by 13 August If written ntificatin is nt received, SPE and/r Freeman cannt guarantee the hanging f the sign r graphic. Exhibitrs will nt be granted an extensin t the published mve-in schedule fr delays caused by the installatin f hanging signs r graphics. Page 9 f 30

10 Any lighting assciated with a hanging sign must be integral t the sign and n sptlighting is allwed. All lighting f signs must be within the perimeter f the bth dimensins and cannt extend int the aisles r be attached t the building utside the cnfines f the bth. All sides f hanging signs and graphics must be cvered r finished in such a manner as nt t detract frm thse bths behind it. All hanging signs and graphics, regardless f size, shuld be cnstructed f lightweight flameprf materials. Any signage extending higher than the external bth wall and visible t thse viewing bths in the aisles behind it must remain statinary with the rear f the sign cvered and/r finished in such a manner as nt t detract frm thse bths behind it. All materials must be cntained within the cntracted bth space. Any duble-sided r unfinished graphics in a split-island (peninsula) r walk-thrugh bth must be set back 10 feet frm the cmmn wall. Facility regulatins state that n signs will be allwed t hang frm any electrical fixtures, raceways, water/gas/air/fire prtectin piping, supprts r hangers. Permanent facility graphics, signs r displays may nt be blcked in any manner. All verhead hanging signs must be assembled, installed, remved and disassembled by Freeman. Exhibitrs, display cmpanies and/r I&D representatives may supervise their respective rigging activities, but will nt be allwed t assemble/disassemble r install/remve rigging. All rigging must cnfrm t shw rules, regulatins and exhibit facility limitatins. Hanging anchr pints must be pre-fabricated and ready t use. If any hang pint supprts ver 250 punds, Exhibitr must ntify Freeman immediately fr special authrizatin. Fr hanging signs and graphics, ther than banners, Exhibitr must submit a blueprint r drawing t Freeman with detailed infrmatin in rder fr hanging anchr pints t be determined. Electrical signs must be in wrking rder and in accrdance with the Natinal Electrical Cde. Electrical Service requirements must be rdered in advance thrugh the Official Electrical Cntractr. Exhibitr is respnsible fr prviding Freeman with a placement diagram f the hanging sign including the number f feet frm each side f the exhibit space that the sign is t be placed. The ceiling structure and relatin t the supprt beams may require Exhibitr s sign t be mved frm the requested lcatin. Exhibitr is als respnsible fr prviding Freeman with the type f sign (clth, metal, wd, ther), shape (square, triangle, rectangle, ther), size (height, length, width), and weight. Overhead hanging signs are t be sent in separate cntainers directly t Freeman. All cntainers must arrive n later than ne week prir t the first Exhibitr mve-in day. Shuld an Exhibitr nt arrange fr an advance shipment f the hanging signs, Exhibitr must ntify Freeman. If these prcedures are nt fllwed, SPE and Freeman cannt guarantee the hanging f the sign. 11 will nt be granted an extensin t the published mve-in schedule fr the delays caused by the installatin f hanging signs. All hanging signs are subject t SPE inspectin and may require n-site mdificatin. 4 Build up and Breakdwn 4.1 Cnstructin During mve-in/mve-ut, the exhibit flr is cnsidered a cnstructin zne. N pen ted shes, sandals r flip flps are allwed. If yu are in vilatin f this safety rule, yu will be asked t leave the exhibit flr. Children under the age f 18 are nt permitted n the shw flr during mve-in/mve-ut. Children under the age f 15 are nt permitted n the shw flr during fficial shw hurs. Designated NO FREIGHT aisles must be maintained clear f crates and exhibit materials during mve-in and mve-ut. These aisles are required fr emergency access thrughut the exhibit areas and t expedite freight and empty crate mving. All exhibit displays shuld be designed and erected in a manner that will withstand nrmal cntact r vibratin caused by neighbring Exhibitrs, hall labrers r installatin/dismantling equipment such as frklifts. Displays shuld als be able t withstand mderate wind effects that may ccur in the exhibit hall when freight drs are pen. Exhibitrs shuld refer t lcal building cdes that regulate temprary structures. The penetratin f flrs, walls, ceilings, r trim will nt be permitted; neither may any hles be drilled in any prtin f the facility. Displays must be freestanding and nt rely n any part f the exhibit facility ther than the flr fr supprt. Exhibitrs shuld ensure that any display fixtures such as tables, racks r shelves are designed and installed prperly t supprt the prduct r marketing materials t be displayed upn them. 4.2 Electrical Clumn r wall utlets may nt be used in the facility fr direct cnnectin by anyne ther than emplyees f the Official Electrical Cntractr. Exhibitrs are strictly prhibited frm installing their wn electrical wiring. All electrical, water, gas, etc. cnnectins must be handled by the Official Electrical Cntractr. Shuld any electrical wrk be lcated that was nt installed by the Official Electrical Cntractr, SPE Shw Management will have the wiring discnnected and remved at the Exhibitr s expense. N exceptins are permitted. Page 11 f 30

12 If an Exhibitr (r their EAC) ignres r fails t cmply with a verbal/written warning by OTC Shw Management with a repeated ffense, the cntracted Exhibitr will lse five (5) pririty pints. If Exhibitr (r their EAC) is cited fr mre than 2 ffenses, Exhibitr will frfeit thirty (30) pririty pints. Cntracted Exhibitrs are respnsible fr the actins f their c-exhibitrs and their EACs. SPE reserves the right t escrt ffending persnnel ut f the event fr the duratin f the event PLEASE NOTE: Kay Bailey Hutchisn Cnventin Center requires the use f 14 gauge electric wire, r greater, with grunded cnducting cable. The use f flat cables is recmmended within bths. Up t 100 AMP service can be prvided at any flr pcket in the exhibit halls. Submit a flr plan a minimum f thirty (30) days prir t the first mve-in day f yur event shwing the lcatin f the service t be installed. 4.3 Decrating Any prtin f a display that extends abve r beynd that f the bth adjining t the rear r side must be finished with paint r drape at the Exhibitr s expense. Any prtin f an Exhibitr s bth facing an aisle must be finished. BOOTH DRAPING (MASKING): SPE regulatins require cvering (finished and/r draping) n the pen side f the bth in a crner lcatin, if materials are stred behind the display r if grid wrk and/r electrical crds are expsed t public viewing. Expsed parts f displays (including backs f any bth) must be cmpletely finished s that they are nt bjectinable t ther Exhibitrs, delegates r SPE Management and are in keeping with the prfessinal appearance n the exhibitin flr. Any bth draping (masking) required fr either r bth sides (r back) f a bth by the end f Mve-in will be rdered frm the fficial cntractr at the expense f the Exhibitr. Drip pans and scrap buckets shuld be prvided fr perating machinery t prevent lubricants, paints, etc., frm staining the flr causing a slippage hazard. Painting may be dne inside the exhibit hall with apprval frm the Fire Marshall. Specificatins f the paint, including MSDS DATA sheets, the size f the area being painted and the number f cans being used MUST be submitted. This includes the use f spray paint. Drp clths must be used when painting t prevent damage t the building. Paint must be remved nightly and all cans must be tightly clsed t prevent their cntents frm staining the flr, causing a slippage hazard, and tracking f paint, etc., ver anther Exhibitr s carpet. Exhibitrs are liable fr any damage they cause (r third party authrized by them) t the walls, flrs, clumns, drs, windws, etc., during the installatin, perating and dismantling f their exhibits. 4.4 Lighting Exhibitrs must adhere t the fllwing suggested minimum guidelines when determining bth lighting: Page 12 f 30

13 N lighting, fixtures, lighting trusses, r verhead lighting are allwed utside the bundaries f the exhibit space. Exhibitrs intending t use hanging light systems must submit drawings t exhibitin management fr apprval. Any lighting assciated with a hanging sign must be integral t the sign and n sptlighting is allwed. All lighting f signs must be within the perimeter f the bth dimensins and cannt extend int the aisles r be attached t the building utside the cnfines f the bth. Lighting, including gbs, must be directed t the inner cnfines f the bth space. Lighting shuld nt prject nt ther exhibits r exhibitin aisles. Lighting which is ptentially harmful, such as lasers r ultravilet lighting, must cmply with facility rules and be apprved in writing by exhibitin management. Lighting that spins, rtates, pulsates, and ther specialized lighting effects must be in gd taste and nt interfere with neighbring Exhibitrs r therwise detract frm the general atmsphere f the event. Currently sme cnventin facilities are nt allwing quartz halgen lighting fixtures in exhibits due t ptential fire hazards. Check with exhibitin management. Reduced lighting fr theater areas must be apprved by the exhibitin rganizer, the utility prvider, and the exhibit facility. 4.5 Carpeting The use f carpeting r ther prfessinal flr cvering is required by each Exhibitr, if the exhibitin hall is nt carpeted. Flr cvering must encmpass the entire ftprint f the exhibit space. These flr cverings must nt be sealed t the flrs in such a manner as t injure the flr r be s installed as t be a hazard t public safety r as t endanger the public. Exhibitrs are respnsible fr the final cnditin f the flr in their space. The edges f raised flring may be inclined, prviding the slpe is gradual and gentle. Exhibitrs are urged t simplify access fr disabled persns by prviding a ramp f at least 3.5 feet wide set in place at right angles t the aisle in accrdance with the Americans with Disabilities Act (ADA). See Sectin 5.5 If an exhibitr sets his bth withut flr cvering, carpet will be rdered at the exhibitr s expense. If an exhibitr is setting up his bth late and is bringing his wn carpet r flr cvering, exhibitr must ntify shw management r carpet will be rdered at the exhibitr s expense. 4.6 Installatin/Dismantle Schedule Page 13 f 30

14 Exhibitrs must cmply with the published installatin and dismantling schedules and prcedures as utlined in the Exhibitr Services Manual. Shuld an exhibit space remain vacant after 1200 n 23 September and arrangements fr exhibit services (carpet, electricity, freight delivery, etc.) have been rdered and verified, SPE will assume the Exhibitr will be late, but will arrive. Shuld an exhibit space remain vacant after 1200 n 23 September, with n arrangements fr exhibit services rdered, and SPE has nt been ntified f a Saturday afternn installatin, SPE will assume the Exhibitr will NOT be exhibiting and will make this area int a carpeted lunge r attempt t resell it. SPE als reserves the right t resell the cancelled space and the cntract will becme null and vid. In fairness t all Exhibitrs, this regulatin will be unifrmly enfrced t all SPE Exhibitrs. 5 Health and Safety 5.1 General Safety Prcedures During mve-in/mve-ut, the exhibit flr is cnsidered a cnstructin zne. N pen ted shes, sandals r flip flps are allwed. If yu are in vilatin f this safety rule, yu will be asked t leave the exhibit flr. The use f bicycles, rller skates, rller blades and/r mtrized r manually perated scters (including Segway s and hverbards) is strictly prhibited in the exhibit areas at all times by any Exhibitr r Exhibitr Appinted Cntractr (EAC). Only current ADA apprved equipment will be authrized. Each exhibitr, cntractr and EAC shall issue any apprpriate persnal prtective equipment PRIOR t arriving at the Event. The flr in every bth area must be maintained in a clean, dry cnditin. Every sub-flr cnstructed in a bth must ensure each flight f stairs having fur r mre risers be equipped with standard stair railings r standard handrails. On stairs less than 44 inches (1/2 meter) wide bth sides must be enclsed. Every multi-level bth must meet the specific requirements f the hsting venue, particularly in respect t handrails and ther safety features. If an emplyee is carrying items in hand where hands are unable t hld a handrail while using stairs, the emplyee shuld be encuraged t seek help. In every bth structure, r part theref, used fr lads, nly thse lads apprved by the venue fficial nly shall be authrized. Every flr pening shall be guarded r enclsed. 5.2 Alchl Cnsumptin f Alchl SPE recgnizes the legitimate serving f alchlic beverages in the prcess f cnducting business and scial activities. We als recgnize that the use and cnsumptin f alchl carries with it the requirement fr exhibitrs t serve alchlic beverages respnsibly and in keeping with ur prfessinal cde f ethics and cnduct. We strngly ppse the abuse and misuse f alchl. Please adhere t the fllwing regulatins when serving alchl in yur bth space at SPE events. On days when a receptin is scheduled fr the end f the day, exhibitrs may begin serving alchl 30 minutes prir t the beginning f the receptin. Page 15 f 30

16 On days when n receptin is scheduled, exhibitrs may begin serving alchl 1 hur prir t the end f the technical sessins. 5.3 Fire and Safety Prcedures Aisles Designated NO FREIGHT aisles must be maintained clear f crates and exhibit materials during mve-in and mve-ut. These aisles are required fr emergency access thrughut the exhibit areas and t expedite freight and empty crate mving. Sales presentatins and prduct demnstratins must be cnducted in a manner which assures all exhibitr persnnel and attendees are within the cntracted exhibit space and nt encraching n the aisle r neighbring exhibits. Strlling entertainment r mving advertisements utside f Exhibitr s exhibit space is prhibited. It is the respnsibility f each exhibitr t arrange displays, prduct presentatin, audi visual presentatins, and demnstratins t ensure cmpliance. Shuld TV/plasma/LCD screens placed n the utside walls r uter edge f an exhibit result in blckage f traffic, shw management reserves the right t ask that the screen in questin be turned ff. Exhibitrs shuld be aware f lcal regulatins regarding fire/safety and envirnment which must be adhered t. Special cautin shuld be taken when demnstrating machinery r equipment that has mving parts, cking equipment with an pen flame, r any prduct that is therwise ptentially dangerus. Exhibitrs shuld establish a minimum setback f 3f (.91m) and/r install hazard barriers as necessary t prevent accidental injury t spectatrs. Additinally, demnstratins shuld nly be cnducted by qualified persnnel. N Exhibitr shall in any manner bstruct an exit, aisle, restrm r easement at any time. In all cases, exits and fire cnnectins must be clearly identifiable. The Fire Marshal shall have the final ruling n this matter. Drip pans and scrap buckets shuld be prvided fr perating machinery t prevent lubricants, paints, etc., frm staining the flr causing a slippage hazard Fire Regulatins The regulatins f the city Fire Department must be fllwed, and all exhibits may be subject t Fire Department inspectin. All decrative materials including drapes, signs, banners, acustical treatments, table cverings, etc., must be nncmbustible r effectively treated with an apprved fire retardant chemical. A flameprfing certificate shuld be available fr inspectin. All canpies, ceilings, r ther verhead cnstructin fr bths r exhibits must be f nncmbustible materials. All perating electrical, plumbing and heating devices shall be installed in cmpliance with the requirements f the City Municipal Cde. The required permits shall be btained befre such installatins are made, and all installatins shall meet with the apprval f the inspecting authrity. Fire hse reels and cabinets must be readily accessible and cannt be bstructed in any manner whatsever. STORAGE: Fire regulatins in mst exhibit facilities prhibit string prduct, literature, empty packing cntainers r packing materials behind back drapes r under draped tables. In mst cases, hwever, Exhibitrs may stre a limited supply f literature r prduct apprpriately within the bth area, as lng as these items d nt impede access t utility services, create a safety prblem r lk unsightly Indr Display f Vehicles The indr exhibiting f mtrized vehicles r ther equipment invlving the use f flammable liquids shall be subject t specific regulatins. Gas tanks must nt cntain mre than ¼ tank f fuel and must be sealed, lcked, and all battery cables must be discnnected. Ignitin keys must be remved and at display lcatin. Exhibitr must ntify SPE Management at least 72 hurs prir t bringing a vehicle n shw site. 5.4 Scafflding Regulatins Regulatry citatin 29 CFR Scafflds and rpe descent systems 29 CFR 1926 Subpart L Scafflds Summary f requirements Prtect each emplyee mre than 10 feet abve a lwer level frm falls by guardrails r a fall arrest system, except thse n single-pint and tw-pint adjustable suspensin scafflds. Each emplyee n a single-pint and tw-pint adjustable suspended scaffld must be prtected by bth a persnal fall arrest system and a guardrail. Ensure the height f the tprail fr scafflds manufactured and placed in service after January 1, 2000, is between 38 and 45 inches. The height f the tprail fr scafflds manufactured and placed in service befre January 1, 2000, can be between 36 and 45 inches. Platfrms can be cnstructed using individual wd planks, fabricated planks, fabricated decks, and fabricated platfrms. Supprted scaffld: means ne r mre platfrms supprted by utrigger beams, brackets, ples, lets, uprights, psts, frames, r similar rigid supprt. Cmpetent persn: means ne wh is capable f identifying existing and predictable hazards in the surrundings r wrking cnditins which are unsanitary, hazardus, r dangerus t emplyees and wh has authrizatin t take prmpt crrective measures t eliminate them. Qualified: means ne wh, by pssessin r a recgnized degree, certificate, r prfessinal standing, r wh by extensive knwledge, training, and experience, has successfully demnstrated his/her ability t slve r reslve prblems related t the subject matter, the wrk, r the prject. 5.5 Security SPE will prvide apprpriate security in rder t ensure the safety f its attendees and Exhibitrs. SPE assumes n respnsibility fr lss, damage r theft incurred t any exhibit r prperty f the Exhibitr. SPE recmmends that Exhibitrs cnsider the benefit f securing individual security guards fr the exhibit. Exhibitr bth security may be rdered thrugh the facility. 19 enter r remain in the exhibit areas after clsing hurs; hwever, certain authrized persns may have access t the exhibit areas at any time. 5.6 Accessibility /Americans with Disabilities Act (ADA) Exhibitr agrees t cmply with the laws and regulatins set frth fr public accmmdatin by the Americans with Disabilities Act ( ADA ) and applicable state and lcal law. Exhibitr further agrees and warrants that any exhibit bth, display, r ther cntrivance placed in the exhibit space licensed t Exhibitr by SPE shall at all times cmply with ADA and applicable state and lcal law, including accessibility, usability and cnfiguratin. Raised flring n exhibits must be ADA cmpliant by prviding prper ramping t accmmdate wheelchairs, mbilized scters, etc. regardless f the size f the exhibit bth. Ramping may nt prtrude int the aisle. There will be n exceptins r variances n this requirement; gvernment fines may be impsed fr nn-cmpliance. Exhibitr further agrees t fully indemnify and hld SPE harmless frm any and all claims r actins brught against SPE as a result f Exhibitr being in vilatin f the ADA, its regulatins, r applicable state r lcal law during the perid f Exhibitr s cntract, including the amunt f any claim r judgment SPE is cmpelled t pay, and the csts, including attrney s fees incurred by it in defending against all such claims. SPE reserves the right t revke Exhibitr s cntract withut penalty if it determines that Exhibitr is in vilatin f the ADA r applicable state r lcal law with respect t any exhibit bth, display r ther cntrivance placed in the space licensed t Exhibitr. 6 Utilities and Services 6.1 Electrical Clumn r wall utlets may nt be used in the facility fr direct cnnectin by anyne ther than emplyees f the Official Electrical Cntractr. Exhibitrs are strictly prhibited frm installing their wn electrical wiring. All electrical, water, gas, etc. cnnectins must be handled by the Official Electrical Cntractr. Shuld any electrical wrk be lcated that was nt installed by the Official Electrical Cntractr, SPE Shw Management will have the wiring discnnected and remved at the Exhibitr s expense. N exceptins are permitted. If an Exhibitr (r their EAC) ignres r fails t cmply with a verbal/written warning by SPE Shw Management with a repeated ffense, the cntracted Exhibitr will lse five (5) pririty pints. If Exhibitr (r their EAC) is cited fr mre than 2 ffenses, Exhibitr will frfeit thirty (30) pririty pints. Cntracted Exhibitrs are respnsible fr the actins f their c-exhibitrs and their EACs. OTC reserves the right t escrt ffending persnnel ut f the event fr the duratin f the event. PLEASE NOTE: Kay Bailey Hutchisn Cnventin Center requires the use f 14 gauge electric wire, r greater, with grunded cnducting cable. The use f flat cables is recmmended within bths. Up t 100 AMP service can be prvided at any flr pcket in the exhibit halls. Beverages include alchlic beverages, sft drinks, cffee, bttled water, etc. Exhibitrs fund in vilatin f this ruling are subject t crkage fees established by the Official Caterer and/r may lse their right t participate in future SPE exhibitins. 6.3 Cleaning and Waste Dispsal CLEANING AND DISPOSAL OF USED/EXCESS MATERIALS: Each Exhibitr must keep its exhibit clean and prperly dispse f all refuse. Exhibitr and their appinted cntractrs are respnsible fr the remval f Visqueen cvering by the end f mve in n Sunday, 23 September. If exhibitr s bth remains cvered r crdned ff n Sunday at 1500, any vacuuming necessary n Mnday mrning will be at the expense f the exhibitr. In additin, exhibitr will be respnsible fr the dispsal f the Visqueen and fr vacuuming all aisles arund their bth. Failure t cmply with this regulatin will result in the lss f 5 pririty pints fr the cntracted exhibitr. All used r leftver materials resulting frm delivery, installatin and remval activities f the Exhibitr shall be dispsed f at the Exhibitr s expense. Exhibitrs are respnsible fr dispsing f the refuse generated during the shw hurs r must cntract with facility t have refuse remved during shw hurs. Under n circumstances are Exhibitrs permitted t dispse f refuse in the aisles prir t r during shw hurs. In additin, Exhibitrs are respnsible fr the remval and dispsal f carpeting, padding, and/r prfessinal flring, nt rdered frm Freeman, and utilized in their space. All exhibit displays, images and language are nt f a nature that culd be cnsidered discriminatry r ffensive SPE reserves the right t prhibit an exhibit r part f an exhibit, including prmtinal materials and graphics that in its judgment, culd be cnstrued as discriminatry r advcating discriminatin n the basis f race, gender, religin, sexual rientatin, r natinal rigin. In the event f a cmplaint frm any persn regarding the cntent r nise level by an Exhibitr, SPE will investigate the cmplaint. Shuld SPE determine the cntent t be ffensive r in excess f apprpriate nise levels, Exhibitr agrees t cease using such cntent r nise making device. Repeated vilatins f this plicy can, at SPE s sle discretin, result in expulsin frm the shw. 7.2 Nise NOISE LEVELS: Mechanical reprductin f sund r music relating t an exhibit, r nise generated by prductin demnstratins shall be kept at a sufficiently lw vlume s as nt t prject beynd the cnfines f the Exhibitr s bth and shuld nt disrupt the activities f the neighbring Exhibitrs. Speakers and ther sund devices shuld be psitined s as t direct sund int the bth rather than the aisles. Exhibitrs emplying a band in their bth may nt cnnect them t an amplifying system. SPE reserves the right t impse limitatin n nise levels and any methd f peratin, which becmes bjectinable. Any sund that cnsistently exceeds 85 decibels measured at the edge f an Exhibitr s bth is cnsidered bjectinable. Hwever, cntinuus, mntne sund less than 85 decibels can als be a prblem. Shw Management reserves the right t determine at what pint sund cnstitutes interference with thers and must be discntinued. Shuld Exhibit Management receive cmplaints regarding the level f sund, the Exhibitr will be asked t reduce the audible level.
