4 How to Process a Furniture Order quoted by Business Interiors by Staples through UCMarket Currently, UCM is utilizing the National Joint Powers Alliance (NJPA), a purchasing cooperative to purchase furniture, Contract # SCC valid through April 9, At this time, utilization of the NJP A cooperative contract provides UCM with the best value for these purchases. Attached is a listing of furniture manufacturers that can be utilized on this contract. How to obtain a furniture quote and submit requisitions 1) Contact at Staples Advantage and set up a meeting to discuss your furniture needs. 2) Obtain a formal quote for the product(s) to be purchased. 3) Obtain a formal quote for the delivery and installation services for the product(s) to be purchased. 4) Obtain a 2D/3D Drawing of the project for items listed on the product quote. The drawing will need to be signed the by department contact and either the department chair or budget manager. 5) Prepare one requisition for the product(s) to be purchased and attach both the formal quote and the signed drawing. 6) Prepare one requisition for the delivery and installation services and attach the formal quote. Note: Procurement will not process any requisitions without formal quotes and/or signed drawing attached to ensure that the department has reviewed, understands, and agrees to what they are ordering. Delivery and Installation for any product(s) 1) Upon completion of installation, the Crew Chief for that delivery will have the responsible individual sign the delivery ticket verifying the product has been received and completed. 2) If there are discrepancies and/or punch list/warranty issues, this will be notated on the delivery ticket and a copy will be left with the responsible individual for their records. Any Change Requests to the Original, Approved Floor Plan or Purchase Order 1) Will be treated as a change order and will be written up accordingly 2) No change(s) will be made without the formal approval of both parties that approved and signed the drawings (or their delegates) Returns 1) The furniture quoted is made specifically for the department and returns are not allowed. If the product is damaged, this would be a warranty issue. If you have any questions, please contact the Procurement Office at Ver 3 1/29/18
