Living away from home for the first time can be a stressful and daunting time and sometimes it s not always obvious what needs to be done to keep things working properly at home Mum and Dad may have been doing this for you until now! If you can t find the information you need in here, simply contact your Resident Assistant or Accommodation Officer who will be happy to help. Keep this guide handy for future reference. 6 Sect ion 1 Fire Safe t y Fire Safety Fires start in University accommodation mainly due to the following: Smoking in the flats Overheated cooking fat Cooking when under the influence of alcohol Candles and naked flames Faulty electrical equipment Fairy lights and incense sticks Never leave cooking unattended and avoid cooking if you have been drinking alcohol. Almost all of our fires have been caused by cooking under the influence of alcohol. Fire needs fuel to grow; you can help prevent fire by the following: Keeping your flat clean build-up of rubbish is fuel for a fire Don t put up posters This is against your tenancy but they also catch fire quickly and help fire to spread Don t bring your own upholstered furniture to the flat this may not meet fire regulations and can help fires to spread Don t store flammable materials next to the cooker Don t place your toaster directly under a kitchen unit False Fire activation s You can prevent false activations of the fire alarm by following these simple steps: Do NOT smoke in the flats if you are caught smoking in your flat even out of the window you will be issued with an instant 50 fine and face disciplinary action. This includes e-cigarettes, these can set off the fire alarm and are not permitted within the accommodation Keep your kitchen door closed when cooking use the extractor fan and open a window to ventilate the room. Wedging the kitchen door open allows cooking fumes into the hall where the smoke detector there will activate the alarm. Keep the shower room door closed after a shower to prevent steam from activating the alarm. Don t spray aerosols directly underneath the smoke/heat detectors. Don t use hair straighteners, hair dryers, irons and other heat producing items directly under the detector heads. Ensure they are switched off when not in use. Use a heat protective mat with your straighteners and don t leave straighteners etc on the floor Do not tamper or cover the detector heads Do not set off the fire extinguisher unless in an emergency as the powder inside will activate the fire alarm system. Persistent false activations of the fire alarm system will result in disciplinary action and anyone found maliciously activating the fire alarm will be subject to heavy fines, eviction and a possible criminal record.

7 Evacuation s Upon hearing the fire alarm, you MUST evacuate immediately and go to the assembly point as directed - even if you suspect that it is a false alarm. The evacuation procedure can be seen in full on the notices on the back of your bedroom door. The Fire Assembly point is by Arthur s Seat, bottom of the steps. The Fire Brigade will attend all activations of the alarm system and will check to see if all students have evacuated. A report of any non-evacuated students will be supplied to the Accommodation Office and those students not evacuating will be subject to an instant 50 fine and further disciplinary action. Remember to take your key fob with you when evacuating so you can get into the building when the Fire Brigade gives the all clear. If you can t locate your fob quickly, Security can give you access, the most important thing is that you evacuate. Fire blanket The fire blanket is located in the kitchen and will be attached to the wall near the door, full instructions for use can be found on the casing of the blanket. You should read this carefully so you know how to use it in the event of a fire. The fire blanket should be used to smother a small fire in your kitchen most commonly when a pan of food on the hob is left unattended and catches fire. Hold the fire blanket with your hands protected and place over the fire to extinguish the flame. If you ever have to use the fire blanket, it will need to be replaced so contact your Accommodation Officer for a replacement they may carry out an investigation to assess any future fire risk and a Fire Officer may also visit you in your flat. Fire Doo rs Any door in your flat with a self-closing mechanism is a fire door which is there to protect you in the event of a fire. The main flat door provides 1 hour of protection while the internal doors provide half an hour of protection against the flow of fire. You must keep these doors closed at all times and do not disconnect the door closers or wedge the doors open. Doing so is classed as tampering with the fire safety equipment and will result in an instant 50 fine and disciplinary action being taken. When cooking, please keep your kitchen door closed as the cooking fumes can set off the fire system via the detector head in the hall. Please use the extractor fan and open a window to ventilate the room.

8 Fire extingu isher Your flat is fitted with a dry powder fire extinguisher to be used in emergencies only. This should be used only if there is a fire blocking your exit from the flat. To use the extinguisher, break off the plastic tag and remove the metal pin. Aim the extinguisher at the base of the fire and depress the handle to expel the powder. Aim to fully cover and extinguish the flame. Your extinguisher will require a replacement if it is used. Please contact your Accommodation Officer for a replacement. An investigation may be carried out and a Fire Officer may visit you in your flat. If you observe all the fire safety advice and are careful when cooking, you should never need to use the fire extinguisher or fire blanket. Fire extinguisher located in your kitchen. Do not misuse this equipment. It is far more common in the accommodation for an unruly party goer to set off the extinguisher as a joke. This is a serious offence and you as the tenant will be liable for any damage or cost this results in if the culprit cannot be identified. Even if the culprit is identified, you may still be liable for costs or disciplinary action. You may be subject to disciplinary action and will be fined for the replacement of the fire extinguisher. Be sure you know exactly who has been invited into your flat and keep the front door locked to prevent anyone coming in and setting off the extinguisher this may seem over cautious but it has happened in the past! Smoke/H eat D etector heads These are located on the ceiling in all rooms in the flat (except the shower room and toilets). They are installed for early detection of a fire and are there for your safety. Do not cover or tamper with the detector heads as this renders them ineffective in the event of a fire. Tampering with the detector heads may also set off the fire alarm system which will identify exactly which detector head has been covered. You will face disciplinary action and an instant 50 fine if you are found to have tampered with the detector heads or any other fire safety equipment. Sprinkler System The accommodation is fitted with an automatic fire sprinkler system. The sprinklers are fitted into the ceilings and each sprinkler is protected by a circular plate. Tampering with the sprinkler system may set off the fire alarm and sprinkler system. You will face disciplinary action and an instant 50 fine if you are found to have tampered in with the sprinkler system.

9 Sec tion 2 - General Internet You have up to 24MB wired broadband and Wi-Fi available in your flat. You can purchase higher speeds from the internet provider (Keycom) if required. B icycle Storage Bicycles can be kept in the bike storage areas located on site; you will need to provide your own bicycle chain. If you wish to have access to the bike store, please visit reception during opening hours to have your fob updated for access. Please do not keep your bicycle in the communal stairwells or in your flat. Bicycle storage facilities are also available at all campuses. For information on cycling routes to all campuses and facilities available such as bicycle storage, showers and lockers, visit pi er.ac.uk / env ir onm ent. There will be a bicycle repair centre onsite (Arthurs Seat bike storage ) C ar Parking There are no parking facilities at Bainfield. There are limited disabled parking bays for resident blue badge holders only. Students are encouraged to take advantage of cycling, walking and public transport routes to all campuses. There are almost 100 City Car Club vehicles in the city, designed for short-term use. For information on all travel routes to and from Edinburgh Napier sites visit pi er.ac.uk / env ir om nem t. 10 Flat Inspections We carry out monthly inspections throughout your tenancy. You will be notified of the exact dates nearer the time by . We check the general repair of the flat and make sure you are keeping the flat clean and tidy. We will advise the tenants of any concerns we have and action required from you. If you make an effort to keep the flat clean, report any defects/repairs promptly and abide by the rules of your tenancy, there should be no problems at the flat inspections. Inventory You will find an inventory in your flat when you move in. This will list all the fixtures and fittings in your flat and note any defects in them. Please check this over carefully and note down anything that may have been missed. You must sign and return this to the Accommodation Office within 2 weeks of moving in to ensure that you are not charged for anything at the end of your tenancy that wasn t your fault. Amendments you make to the inventory may be checked by an Accommodation Officer. All inventories must be returned to the accommodation reception no later than 4pm on 15 th September Any inventories returned after this date will not be accepted. M ail Mail will be delivered to a central post box located at the Reception/Management Suite. You can access these 24/7.. Exact access times will be displayed by the mailboxes. Your room key fob will open the mail box. Parcels that are too big for the mail box, or items requiring a signature, will attempt to be delivered to your flat. If you are out, a card will be left by the postal service in your mail box to let you know of the delivery and where you can collect your parcel. Heatin g Heating is centrally controlled by the Accommodation Office. During the warmer months of the year, the heating system will be closed down. When heating is on, you can adjust the level of heat output in your bedroom/flat by adjusting the dial on the radiators. 1 is the coolest setting and 3 is the highest setting you can use. A restrictor has been fitted to prevent the dial being set higher than 3, don t try and turn the dial beyond the restrictor. Please be considerate of the amount of heat you use. Avoid leaving your window open and your heating on full. Report any issues with the heating to the Property and Facilities Helpdesk on The heating in your flat is non-electric. Do not bring any additional heaters into the flat as this can affect the heating valve which will shut down the heating system and also poses a fire risk.

11 Water You will have a regular supply of hot water to taps and showers throughout the day. This is controlled centrally and any queries should be directed to your Accommodation Officer. The hot water system turns off between 11.30pm and 4.30am, there may be residual hot water in the system but if you shower in the middle of the night, it is likely to be cold! The water from the cold taps in the kitchen is safe for drinking. Water from the taps in the bedrooms, shower rooms and toilets should be used only for bathing/washing. Electricity If any electrical appliance stops working, check that all the switches on your fuse board are set to the On position. The fuse board will be in the hall or hall cupboard in your flat. If any are set to Off, simply flip them to the On position. If the appliance still doesn t work or trips a fuse on the panel (makes it switch to off), please unplug it and arrange for it to be replaced accordingly. See individual item sections for how to replace/repair. ll Energy allow ance The rent shall be inclusive of energy including electricity. Our aim is to reduce the impact on the environment by managing energy use appropriately. We have identified some useful tips for our residents to keep energy usage down. Tips to keep energy usage down: Turn off lights and appliances when not in the room Don t leave items on standby switch them off completely when not in use. Leaving items on standby can add up to 30 to your electricity costs each year! When you have the heating on, keep doors and windows closed to retain the heat closing your curtains can also help to keep the heat from escaping If you are feeling cool, put on an extra layer before turning up the heating Only boil as much water in the kettle as you need F o r mo re energ y sav ing t i p s, v isit w w w.nap ier.ac.u k/en v iro n men t

12 K ey Fo b You will have an electronic fob which will give you access to your block, flat and bedroom. Please keep this safe and attach to a key ring to help stop you from losing it. NEVER attach anything to your fob that could identify your address. You will be charged 10 to replace a lost fob. Keep your fob on you at all times to prevent doors closing and locking behind you. O ff ic e hour s los t k e y f ob If you lose your key fob between 9am and 5pm Monday to Friday, drop into the Management suite/ Reception at Bainfield during opening hours to arrange a replacement key fob. Please note there is a charge for replacement key fobs. We will deactivate your lost fob so if you find it again, it won t open any doors. O ut of hours l os t k e y f ob If you lose your key fob after 5pm during the week or any time at the weekend, please contact Security on who will provide access. Please note you may need to wait a short while if Security are not on site. Security will give you access to your room but won t be able to issue you with a new key fob. You MUST visit the Management Suite the next working day during opening hours to arrange collection of a replacement key fob. Charge f or l os t k e y f ob A replacement key will cost 10. When you are given your key fob you will also receive an invoice which can be paid using epay or in cash at the Cash Office in Sighthill. Loc k ed out of yo ur f lat If you lock yourself out of the flat and your key fob is inside, try to get a flatmate to let you back in the flat. During office hours you can contact the Accommodation Office and out with office hours contact Security who will give you access. There may be a charge for call outs. Television Licence You will need a TV licence if you are receiving any live broadcast TV, regardless of how you receive it (TV, laptop, computer, ipod etc). If you get caught without a TV licence you may incur a large fine from the licensing agency. Full details can be found at v lic e ns ing.c o.uk Stairw ells, Lifts and External Grounds We have an external cleaning company that cleans the stairwells, lifts and external grounds at all developments each week. You can help by putting all rubbish in the bins provided, please do not leave rubbish bags in the stairwells, take them to the bin store and dispose of them correctly. Please make use of the recycling facilities. The lifts are serviced regularly. Please don t overload the lifts when moving in or out of the building. Don t wedge the lift doors open as this causes them to break down. The lifts are all covered by CCTV. During icy and snowy conditions, we will grit certain external areas of the developments, mainly the pavements, but please take extra care when out during these weather conditions so you don t fall and hurt yourself. The University will not be liable for any injury or damage caused due to extreme weather conditions.

13 Pro p e rt y & Fa cilit i es H elp d esk You are responsible for reporting all defects or repairs needed in the flat to the Property & Facilities Helpdesk (unless otherwise stated). For emergency out of hours repairs, please contact Security on They can assess the fault and call out a repair service if it can t wait until the office re-opens. If you fail to report a repair and the problem gets worse, you may be liable for the cost of a further repair that could have been avoided by prompt reporting. Please note that your Accommodation Officer and Resident Assistants are there to provide support and guidance however it is your responsibility as a tenant to report all repairs to the Facilities Helpdesk.. Any damage caused that is not deemed fair wear and tear will be charged to the residents at industry cost. Ref eren ces Towards the end of your tenancy, you will no doubt start thinking about accommodation for next year and most private sector landlords will require a landlord reference. We can provide this for you if you complete our reference authority form which can be found on the Links and Documents page on our website pi er.ac.uk /ac c om m odat ion. References are provided at our discretion providing you have met all the tenancy regulations, your rent is up to date and you have not caused any damage to our flats.

14 Sec tion 3 Clea ning/r ubbi sh C leaning You need to keep your bedroom/en suite and your share of the common areas clean and tidy. We have provided basic cleaning utensils but you will have to provide cleaning products sprays, cloths etc. We suggest setting up a cleaning rota to ensure everyone takes their turn cleaning the common areas. Agree this in the early days of your tenancy to avoid disputes later on. Any cleaning required at lease end will be charged equally to all flatmates even if they vacate the flat prior to lease end. Regular cleaning throughout your tenancy will help avoid any charges at lease end. We carry out regular flat inspection and if we are concerned by the condition of your flat, we will bring it to the attention of all flatmates. If the condition does not improve, we will hire professional cleaners to clean your flat and pass the cost in full plus an admin fee to the tenants. You can borrow a vacuum cleaner from Reception at Bainfield if you feel the flat needs a bit of a deep clean. Just pop down during opening hours to sign one out. You ll need to show your Matriculation card. B ins /Ru b b ish Separate your waste into the bins within your kitchen (food, glass, packaging and residual). Each bin will be labelled with the recycling it should contain. You will need to empty all bins regularly and take bin bags to the communal bins store on Bainfield Drive. Don t let rubbish build up in the flat as it can attract insects and rodents and it also makes the flat smell! Don t leave rubbish lying next to the external bins. The bins near the doors tend to fill up first so if they are full, please check for space in a bin elsewhere in the bin store. R ecycling You have 3 recycling bins and one residual waste bin in your kitchen for sorting recycling. Full details of what you can recycle are on the sticker on the side of the bin. Please use these bins appropriately and dispose of the sorted items in the main recycling bins outside the flat developments regularly. Don t put anything other than specified waste into the recycling bins contaminating these bins with general waste makes the contents of these bins unrecyclable, the waste will go into landfill and we may be fined by the Council. Recycling should be placed loose into the recycling bins, don t put it in a plastic bag as this will contaminate the rest of the recyclables. The external bin store is located on Bainfield Drive; access is via Bainfield Drive opposite the disabled parking bays. 15 Sec tion 4 The Fl at and conte nts GENER AL Int ercom ( Do o r ent r y s yst em) Your flat has a secure entry system in place where your guests and visitors will have to buzz your flat to be let in. You can then open the main block door for them from your flat just press the blue button on the intercom with the key symbol. Any faults with the intercom system should be reported directly to the Property & Facilities Helpdesk for repair. L igh t ing The lights in the hall and en suite shower rooms have motion detection and will switch off if there is no sensed movement after a pre-determined time. You should be able to switch the lights on and off manually in the other rooms however. If a light stops working in any room in your flat, please check the fuse board as per the electricity section. If the lights are still not working, please report this to the property & Facilities helpdesk on for repair. Extra cto r Fan s These are located in the en suite shower rooms and kitchens. The fans in the en suite shower room should come on automatically with the main light and should not be turned off at the mains. They are there to help clear the rooms of any steam and prevent mould formations. If they don t turn on please report to the Property & Facilities Helpdesk immediately for repair. The kitchen extractor fan must be used when cooking to prevent accidental activation of the fire alarm system. If the extractor fan is not working and you have checked all the electrical switches are on, please report the fault immediately to the Property & Facilities Helpdesk for repair. W ind ow s All windows are fitted with restrictors for your safety and to prevent any damage being caused by the windows being open and caught by the wind. Please do not remove the restrictors or open the windows further than the restrictor allows any damage caused from this will be charged to you. Keep your windows closed if you are going out, especially if you are on the lower floors to prevent anyone gaining entry to your flat. Don t leave any valuables near an open window as opportune thieves may be operating near your flat. You should open your window regularly however to fully ventilate your room. You should also mop up any excess condensation that forms. Doing this should prevent any mould forming on the window. If you do get any build-up of mould along the window frame, it is your responsibility to clean it up. Use an anti mould spray and follow the manufacturer s guidelines. Failure to keep your windows clean can cause damage to the woodwork for which you will be charged for the repair. If your room is too hot, turn down the heating as a means of cooling before opening a window. All the windows are fitted with vents at the top of the window. These can be opened by pressing down on both leavers at the same time.

16 F loo ring Your flat is fitted throughout with a vinyl covering. This should be swept regularly to remove any dust/ debris and cleaned with a mop using a dilute solution made of water and washing up liquid (eg Fairy Liquid). Do not use bleach or Flash floor cleaner or anything containing pine oil. Pest Pr ev ent ion You can play an important part in pest prevention. Mice have a very strong sense of smell and will be attracted by food left lying around. Keep your kitchens clean and remove any food debris from the floors and worktops regularly. Keep all leftover food in sealed containers. If you see any mice or droppings, please report this immediately to the Property & Facilities Helpdesk who will send an expert to investigate. You may be charged for the call out if your flat isn t clean or if there are lots of food stuffs lying around to entice the mice. Po ster s Pin boards are supplied in the kitchens and bedrooms for you to put up posters, photos, pictures etc. You are not permitted to put up posters/items on the walls or woodwork using blu-tac, drawing pins, sellotape or any other form of fixings as this can damage the paint work. You may be fined if we find anything attached to the walls/ceilings in the flat and you will be liable for the cost of any re-decoration required at the end of your lease. L aun d r y The Laundry room is located on the ground floor of Arthurs Seat House, 10 Bainfield Drive. You can load a pre-paid card with credits; this machine is located in the reception area of the Management Suite at 6 Bainfield Drive and full instructions will be displayed. The cost of a wash and dry cycle will be displayed on the machines. Alternatively you can download the Circuit App onto your phone and use the App to make payment.

17 KITCHENS Fridge/Freezers These should be cleaned out regularly, wipe the inside base of the fridge with a soft cloth and kitchen spray. Clean the salad drawers and shelves with hot soapy water. For hygiene reasons, you should keep cooked and raw food separate and keep raw meat at the bottom of the fridge so their juices don t drip on to other things and contaminate them. If your fridge seems too warm, adjust the temperature dial and leave for a few hours to see if the temperature changes. Check that the freezer compartment is defrosted as this can affect the operation of the fridge and freezer. Defrost regularly if your freezer forms large layers of ice. If the temperature is still too high, please report to the Property & Facilities Helpdesk. H ob/oven You need to switch the oven on at the wall prior to use. If there is no heat or the cooker isn t working, please report immediately to the Property & Facilities Helpdesk. You will need to use the extractor hood if your cooker has one or the extractor fan in your kitchen when using the oven/hob. This will help reduce cooking fumes and reduce the chance of false fire alarm activations. To operate the hob, you will need to press the hob angel, located at the side of the hob. It will have a blue light on when power is de-activated; this light will go off when power is directed to the hob. Power to the hob is active for 20 minutes. If you wish to cook for longer than this, you will need to press the button again after 20 minutes (it will flash blue when you need to press it again). This is a safety design to prevent accidental fires when people put food on to cook, leave the room and forget about their cooking it does happen! To operate the lower oven, you will need to press the timer switch (middle button) firmly. Again, this is a safety feature designed to prevent accidentally turning on. Keeping your cooker clean: Hob - Use a soft cloth and an appropriate heavy duty cleaner (for example Mr Muscle or Cif) to remove dirt (be careful not to damage the surface of the hob). Wipe the hob down after each use. Oven - Invest in a good quality oven cleaner, for example Mr Muscle or Oven Pride. Follow the manufacturer s instructions for correct usage. Safety: Make sure all dials are switched off after use and get into the habit of switching the oven off at the wall when not in use. 18 K ettle Only put water in the kettle and ensure the elements are always immersed. Never let the kettle boil dry. If the kettle is not working and you have checked that all the fuses are in the on position as per the Electricity section, take the kettle to your Resident Assistant who will replace it for you. Only boil as much water as required to help conserve energy. M icrow ave This should be cleaned after every use. The plate can be washed in hot soapy water and the surfaces of the microwave can be wiped down both inside and out using a kitchen spray and soft cloth. Do not put anything metallic into the microwave. If the microwave is not working, after checking the fuse board to ensure everything is switched on, please contact your Resident Assistant who can replace the microwave for you. To aster Toasters must have a power supply to work. Please ensure the toaster is plugged in and switched on at the wall socket. Insert bread/food item into slot and press lever at side to depress food. Food will automatically pop up when ready. You can adjust the cooking time using the dial on the side of the toaster. Do not keep your toaster directly under the kitchen units as this poses a fire risk. If the toaster is not working, check it is plugged in and the socket is switched on; check the fuse board to see that all switches are on. If it is still not working please take the toaster to your Resident Assistant who will replace it for you. Unplug the toaster before cleaning. Empty the crumb tray under the toaster regularly. Wipe down the outside of the toaster if required with a damp cloth. NEVER insert anything metallic into the toaster. Do not place your toaster directly under the kitchen unit.

19 SH OWER R OOM S To ilets Use the toilet brush we have provided and a suitable toilet cleaner that you will need to supply to keep the toilet clean after use. Wipe the seat regularly with an anti-viral spray and soft cloth. It s OK to flush toilet paper down the toilet; all other items should be disposed of with household waste to prevent blockages. If your toilet stops flushing, overflows or leaks, please report immediately to Property & Facilities Helpdesk. Sh o w er To use the shower, just turn the dial on the left hand side of the bar to operate. To adjust the temperature of the shower, turn the dial on the right as required. To go above a certain temperature, you will need to press the red button (shown below) while you turn the dial this is a safety feature to ensure you don t scald yourself. You will need to ensure that all hair is removed from the drain to prevent the shower tray from blocking and flooding the room. You can do this by carefully removing the silver drain cover and white plastic insert and removing any debris as shown. You should wear rubber gloves when doing this to prevent injury and be careful not to damage the drain cover. Use a shower or bath mat to help prevent the floor from getting soaked and mop up any excess water from the ensuite shower room floor to prevent any slip hazards and water damage to the floor boards or your belongings. Clean ing of t h e sh o w er p o d To prevent build up of limescale, mould and mildew, do not allow water to dry on the glass or frames of the shower unit. After showering, rinse with water, remove water droplets with a squeegee and wipe frame with a soft cloth. Every week, wash the shower unit with a mild soap/detergent solution (with a ph of 4-8). Rinse with water, dry with a squeegee and wipe down with a soft cloth. Under no circumstances should you use an abrasive, caustic or scouring product. Don t use spray and leave type products. Non compliance with these instructions could damage the shower unit and will be costly to repair/replace. Sink Clean regularly and ensure that any hair/debris is removed from the plug hole regularly.
