1 CORPORATE SERVICES HEALTH AND SAFETY
2 Mandate OHS Act No 85, 1993 Every employer which employs more than 20 person must comply with the OHS Act. To provide for the health and safety of persons at work and for the health and safety of persons in connection with the use of plant and machinery; the protection of persons other that persons at work against hazards to health and safety arising out of or in connection with the activities of persons at work; to establish and advisory council for occupational health and safety; and to provide fro matter connected therewith.
3 Functions of the OHS The Health and Safety committee: Shall make recommendations to Management regarding any matters affecting the health and safety of persons at the workplace; Shall discuss any incident at the workplace in which or in consequence of which any person was injured, became ill or died, - the Committee may in writing report on such incident to an inspector; Shall perform such other functions as may be prescribed; and Shall keep record of each recommendation made. Ensure that basic measures are in place and functioning in the workplace.
4 Responsibilities The CHE will ensure that: Matters affecting Health and Safety are accorded high priority. Adequate precautions are taken to prevent injuries, incidents and damage. The provisions of all relevant legislation as well as the Health & Safety Management system are complied with. Management is responsible and accountable for providing a safe working environment for employees and stakeholders under their control. Employees are responsible for adhering to all safe work standards and procedures
5 Fire Arrangements Fire Action Procedure On discovering a fire Operate the nearest fire alarm call point (break glass) On hearing the fire alarm Evacuate the building using nearest fire exit route Proceed to the Assembly Point DO NOT take personal risks DO NOT stop to collect personal belongings DO NOT use lifts DO NOT re-enter the building until authorised to do so

7 Emergency Evacuation On Hearing the Whistle/Siren act immediately on instructions to evacuate the premises remain calm at all times switch off electrical equipment close windows and doors, do not lock doors proceed to the nearest exit depending on where the emergency is. move directly across the road to the open area respond to a roll call. 8 Emergency Evacuation once the alarm sounds do not do the following: do not walk upstairs or go to another office do not carry bags or other bulky articles with you, only handbags/briefcase do not go back for your belongings do not use the lifts do not loiter near entrances or exits to the building do not run, but move quickly do not move vehicles do not re-enter the building or move from the assembly point unless instructed to do so. do not block access routes.
9 Emergency Evacuation remove high heels. keep to the left in corridors, on stairs and in a single file to ensure emergency personnel can get through if there is smoke move under the level of the smoke and cover nose and mouth use the buddy system, take responsibility for one of your colleagues always know there whereabouts ensure visitors evacuate NB. Await further instructions from the emergency coordinator.

12 General Fire Prevention All staff should be familiar with the methods of fire prevention as detailed below: Should a member of staff consider that something or someone presents a fire risk within the building, they should report the matter Staff should not allow the accumulation of large amounts of combustible materials around workplaces, escape routes or in lift lobbies Staff should not obstruct fire escapes, fire exits or any fire-related equipment Staff should not obstruct ventilation grills on electrical equipment
13 General Fire Prevention Continue Staff should ensure that self-closing fire/smoke doors are not wedged in the open position Staff should observe the smoking policy for the building Staff should maintain a clear desktop policy to prevent the rapid spread of fire should it occur
14 First Aid All accidents, near misses and dangerous occurrences that involve, or may be attributed, to a employee must be reported. Accidents must be recorded. Ensure you know: Who the First Aiders are Where the First Aid boxes are Where the Accident Book is kept Certain accidents and dangerous occurrences have to be reported to the Chief Health and Safety Officer.
15 Safety Signs Warning (danger, caution, beware) These signs give warning of a hazard or danger Safe Condition (the safe way) These signs indicate fire exits or first aid/rescue equipment Prohibition (DO NOT DO) These signs prohibit behaviour likely to increase or cause danger Fire Sign (fire equipment) These signs indicate the location of fire fighting equipment
16 General Building Arrangements Maintenance & Housekeeping Report housekeeping (breakages & spillages etc.) and maintenance (lights out & blocked toilets etc.) immediately Smoking Arrangements Smoking is not permitted within the building. The smoking area is located at the back of the building in the parking area
17 General Health & Safety Guidance Report spillages & breakages immediately Hold the handrail on stairs Use a lid when carrying hot drinks Keep walkways clear at all times DO NOT carry loads which obstruct your vision Avoid cables running across floors Avoid storing items above head height NEVER stand on a chair to reach items
18 General Health & Safety Guidance Continue. Temperature Regulations: Summer temperature range: C Winter temperature range: C As stipulated in Occupational Health & Safety Act 1993 as well as in the Environmental Regulations for Workplaces 1987.
19 Security Arrangements General Security Arrangements You must wear your ID security pass and ensure it is readily visible at all times. ID passes must be returned and reported immediately if lost or stolen Access Control System monitors and records your movement around the building
20 Security Alert Procedures Suspicious package If a member of staff discovers a suspicious package or vehicle in the vicinity of the building, the following procedure should be followed: Do not touch it Move other people away from the object Contact relevant person Telephone Threat If any member of staff is in receipt of a telephone threat they should carry out the following actions: Obtain as much information as possible: Location of the security threat Type of threat (e.g. bomb) Time set for detonation Description of explosive or container
21 Security Alert Procedures Continue. Telephone Threat Any information that may be of use to the Police: Gender of caller Regional Accent Age Any background noises etc. This information ideally should be written down. Limit the numbers of staff who need to be informed of this incident to a minimum. Contact relevant person
22 Visitor Arrangements The host is responsible for supervising all visitors including escorting them to and from reception Inform Reception of the name, company, host, date and time of arrival your visitor Visitor to sign out
