Traditions, talking, sharing and communicating with each other is important not only at holiday time but in our every day lives. Jordana has many new ideas she wants to bring to the table.
2 Holiday Decoration Guidelines All Halloween decorations must be removed by November 14 th. The Property Manager will conduct inspections. You will receive a warning on first offense, if you have a prior warning from a prior year about the same offense you will receive a $25 fine. Residents may display holiday decorations during appropriate times only. Please refer to the schedule listed below. All other decorations for various holidays should be removed within two (2) weeks of the holiday date. Decorations must be removed between holidays. Residents Not In Compliance Dryer Vent Cleaning/Chimney Inspections If you have not yet completed or have failed the Dryer Vent Cleaning/ Chimney Inspections, you must immediately submit an original passing receipt to the Property Manager at the Clubhouse. Letters will be going out with a $500 fine assessed to your maintenance account. In order to avoid further fines you must have the dryer vent and chimney inspected and provide a passing receipt to the Property Manager. There will be no exceptions. All residents were notified via multiple stat coms and all residents must understand the importance of this fire prevention requirement. Please be responsible and have your dryer vent/chimney inspected, in accordance with state law. 3 Condo Stairs Replacement We hired Snyder Stairs to build and install 11 sets of Condo Stairs. The new stairs are located at the following buildings: Bldg. 24 L back Bldg. 25 L&R front Bldg. 26 L&R back Bldg. 27 L&R front Bldg. 28 back Bldg. 30 L&R back Bldg. 31 back Central Home Maintenance will stain the stairs in the next few weeks and will build the Trex Decking on stairs with the composite material. Attached/Hanging Items Attached/Hanging Items Residents may not hang clothes, laundry, rugs or other items from lights, windows, facades, railings, patios, balconies, decks, privacy fences, etc. **Hanging item exception lower level condo owners may hang up to two hanging plants on the wood beam structure on the patio. Plants must be hung at least two feet above railing and must be hung on white L brackets. Plants must be maintained throughout the season and removed from December- March or a violation will be issued. No hanging vegetable plants allowed. 2nd floor condo residents may not hang any items from their railings due to safety concerns. Tree Installation Proposal We are dedicated to beautification of the property at Vanderhaven. To that end, we have hired Hill Landscape to install 30 trees at locations throughout the community as noted below. Grounds Committee Chair, James O Donnell, will propose the planting of additional trees in the coming months. Building 7: 7 trees in the rear field between the building and basin Building 10: 3 trees in field area to left of building Building 21: 3 trees on right side of building along Pinhorn Drive Building 26: 1 tree at the left front of building Building 29: 1 tree on the left side of building Building 29: 1 tree on the right side of building Building 30: 1 tree on the left side by parking lot Building 30: 2 trees in field behind building Building 37: 3 trees in field behind building Clubhouse Front Pool Entrance: 6' 7' Japanese Bloodgood Maple Units : 2 Columnar Oaks Unit 1908: ½ cal. 4 Winterize At this time, I recommend that townhome owners winterize by closing the water spigot in front of unit to prevent freezing and bursting pipes during the winter months. The water used from these faucets is charged to the individual homeowners and is therefore not common property. It is the responsibility of the homeowner to winterize the faucets, to prevent freezing. The condo units do not have outdoor water faucets. Firewood- may be stored on patios, balconies or decks between October 1st and April 1st of each year. Firewood must be stored in a 36-inch black ring log holder, or the like. One ring is allowed per unit. Between April 1st and October 1st of each year, the ring may be stored on the patio/balcony/deck but must remain empty. Rings must be stored at least two feet from unit walls. No splitting or chopping of firewood will be permitted on the premises. Firewood may be delivered to a unit owner s assigned parking space only. Vehicles delivering firewood may not be driven upon the lawns and/ or sidewalks. Firewood delivered must be removed from assigned parking spaces within 24 hours of delivery. Hoses Must be neatly wound up or on a hose caddy from April 1st through October 31st. Hoses must be stored inside from November 1st through March 31st. No hose reel is to be attached to any portion of the building or privacy fence. 4 Preventive Home Maintenance Tips Recently a resident had a flood in a first floor condominium unit due to 2 nd floor unit s washing machine which had a rubber hose line connected to the back. For all residents/owners who have this rubber hose line, it is recommended that you replace it with a stainless steel braided hose to help prevent water damage in your unit and others. Below is an article from a prior newsletter wherein the following recommendations were made with regard to rubber hose lines in order to prevent water damage: Replace toilet supply line Replace washer supply line - hot and cold water Just by replacing these two small items, you may prevent pipes from bursting and prevent water damage to your unit and others. These low cost replacements could save you a tremendous amount of money. Installing stainless steel braided hoses is the most effective way to prevent water damage. Also, remember to change the filter in your furnace every 3 months and have your furnace serviced by a licensed contractor every year. Preventive maintenance will help keep your furnace in good working condition. Dryer Vent Cleaning- $65.00 Chimney Cleaning & Inspections Whole House Air Duct Cleaning
5 Parking Sticker Registration Please remember that if you purchase a new vehicle, it is your responsibility to come to the clubhouse office and register the vehicle. Make sure to bring your license, registration and insurance card. The Property Manager will give you a form to fill out or you may obtain a form on the Vanderhavenfarm.com website under forms. You will be issued a new sticker that you must place on the backside of your vehicle s rear-view mirror. The Property Manager regularly canvasses the property to monitor compliance with this rule. Vehicles that do not display the Vanderhaven Farm Sticker will be towed. Please be sure to register your vehicle. The Property Manager s hours are extended to 6 PM on Thursday nights if you need to stop by after regular work hours. For additional sponsors, please visit our website Pet Fines During the Fall, leaves on the ground can conceal pet waste. We encourage residents to speak to the Property Manager if someone is not picking up after their pet. We will charge a $150 fine as we do not tolerate not picking up after your pet. It is each pet owner s responsibility and non-compliance is a health hazard. 6 New Jersey Department of Community Affairs ( NJDCA ) It is important to follow NJDCA s safety rules and codes as noncompliant behavior results in the assessment of fines to residents. We expect the NJDCA to inspect the community soon as we are within our 5 year time frame from the original date of inspection, which was in, June This inspection may occur with no prior notice to Vanderhaven Farm. After the last NJDCA inspection, the compliance officer advised the Property Manager that future inspections will be more stringent and fines will be issued to residents for non-compliance. The NJDCA operates completely independent of Vanderhaven Farm; therefore, any fines assessed by the NJDCA cannot be modified by or appealed to Vanderhaven Farm. If you receive notice of a fine, you will need to remit payment as instructed within said notice. Any communication regarding an NJDCA fine will need to be directed to the NJDCA directly. NJDCA requirements are mandated by New Jersey State law. These requirements are enumerated below: 6 1. GRILLS: Townhome residents: All grills must be 5 ft. from any combustible area, including: your exterior unit wall; the overhang soffit area (if applicable); fence; and any wood trim around the patio. Lastly, if you have a wood deck, you can only use an electric grill. Condo residents: you can only use an electric grill. 2. SMOKE AND CARBON MONOXIDE DETECTORS: Smoke detectors and carbon monoxide detectors need to be tested on a monthly basis and the batteries must always be in working condition. Press the TEST button on each detector to make sure it is functioning properly. The smoke detector must be hardwired as originally installed. 3. ADDRESS NUMBER: Your unit number must be displayed on the front door of your unit. If you have any questions regarding these requirements, please contact the Property Manager, who will provide information about these requirements. Homeowners are responsible for compliance with these requirements. Please be courteous to the inspector who conducts the inspection of your unit. Modifications To: Windows, Slider door, Storm door, Deck installation, Patio, Patio alterations and Dish TV. All modifications must have an application approved by the Board of Trustees. You may download an application from the website at www. vanderhavenfarm.com. The modification form can be located on the site under Forms. All contractors must be licensed and have a certificate of insurance, proof of which must be submitted to the Property Manager along with the modification form. A sketch and description of materials being used must also be submitted with the application. For rules regarding window and door modifications, please refer to the resident handbook, which can be accessed through the Vanderhaven Farm website noted above. The Board approves all modifications at the meeting held once a month on every third Thursday. Forms must be submitted no later than one week before the scheduled Board meeting.
7 Clubhouse Rentals Hosting a party for a holiday, birthday or an event? Why not rent the Vanderhaven Farm clubhouse with 4 connected rooms: kitchen area, living room area, sitting room area and dining room area. The clubhouse boasts a gorgeous fireplace (for aesthetics only and not for use). There are 2 restrooms, one for men and one for women. The clubhouse has a maximum occupancy of 40 people as per township ordinance. Also, no alcohol is permitted in the clubhouse for insurance purposes. EMERGENCY SERVICE Clubhouse rentals must be reserved at least 1 week in advance. In order to reserve the clubhouse, you must submit a completed application along with 2 checks payable to Vanderhaven Farm as described below: $ non-refundable fee $ deposit. The clubhouse cannot be reserved until the deposited checks clear. An inspection is conducted before the clubhouse is rented. The maintenance staff cleans and prepares the rooms for each rental. The resident renting the unit must pick up the key on the Friday before the weekend of the party. If we are closed for a holiday, please be sure to make arrangements with the Property Manager to pick up the key in advance. Please do not call the Midlantic Property Management emergency number to rent a room. This number is used in the case of true emergencies such as fire or flood. If there is a fire or flood emergency, always call 911. Also, please be sure to winterize your exterior spigot by November 1st to prevent the possibility of freezing. ¾ Furnace- Change the furnace filter every 3 months. ¾ Grills- Use tape measure to ensure that your grill is 5 ft. from any combustible area (i.e., fence and building). The Property Manager regularly inspects the placement of grills to ensure compliance. Fines will be assessed for non-compliance. ¾ Smoke Detectors/Carbon Monoxide Detectors- must be functioning properly and have functioning batteries inserted therein. ¾ Trash- ¾ Condominiums: Dumpsters are for condominium residents only. All trash MUST be placed INSIDE the dumpsters and not carelessly tossed into the area around the dumpsters. Any findings of trash outside the dumpsters will result in a fine. Surveillance cameras are recording at the dumpster areas. FINES ARE BEING CHARGED TO MAINTENANCE ACCOUNTS. ¾ Townhomes: All garbage cans MUST have lids. Fines will be assessed for garbage cans without lids that are placed on the street for trash collection. ¾ As I will be conducting more frequent inspections, you may notice the Clubhouse office is closed from time to time.
