4 ANNUAL GENERAL MEETING 23 May 19:00 (Registration starts at 18:00) We are calling for strong participation as a 50% positive Member vote, [in the form of proxies and/or attendance], is still required as the 2016 Constitution has not yet been approved by the Municipality. We are still following the 2005 Constitution. Members who are unable to attend but wish to vote at the AGM, should obtain a proxy form from HOA s office at the Main Gate. All proxy forms must be completed and lodged by hand, post, electronic mail or facsimile with the Trustees, at the registered address, at least 48 hours prior to the meeting. The meeting will be held at the Life Church (1 Lourier St, Heldervue, Somerset West) opposite the BP garage on Somerset West Main Road. Registration will start at Please check your mailbox for documents if you have not received any, please contact the SHOA office on PABX 9 or Please enter this date into your diary and plan to participate in this important annual meeting. 4

5 Security News Access Tags We have had a couple of incidents recently in which we confiscated tags from a domestic worker and a gardener. Please note that you are the only person allowed to use the tag which is registered under your name. Also note that no domestic worker, gardener or contractor is allowed to have a tag in his / her possession. Kindly register your employees at the Waterstone gate with Shantel (Access Control Administrator) from Monday Friday between 08:00 and 17:00. Any person who wants to be registered should take a valid ID, passport or driver s license with them on the day he/ she chooses to register. Access After Hours Please be advised that both the Waterstone gate and the Main gate is closed between 22:00 and 05:00. You will still be able to enter/ exit the Estate through the Main gate. Between 23:00 and 05:00 the security is not allowed to phone any resident to authorise access to a visitor. During these times, the visitor will be asked to phone the resident from his/her cell phone. Following this, the resident has to phone the security Main gate to authorise access to the Estate. 5

7 CONTRACTORS Contractors and their workers are not allowed on the Estate without legal identification. It is the responsibility of the resident to inform his/her contractor that if they wish to enter the Estate, they have to have their ID with them. Contractors are not allowed to be in possession of an access tag: they should also register at the Waterstone gate with Shantel (Access Control Administrator) before conducting work on the Estate. 7

10 ENVIRONMENTAL SUB-COMMITTEE Landscaping Upgrades The landscaping upgrades 2016 have been planned by our Crown Landscaping Contractor and costing has been calculated. The landscaping upgrades for this year focus on the street beds that were not included in the landscaping upgrades 2015, and on five park areas throughout the Estate. A majority of the trees in our nursery that are now of planting size will be planted along the R44 boundary, a section of the northern boundary and the south side of the southern boundary. A total of 33 areas for landscaping upgrades have been planned. The work involved has begun and will continue during the entire winter season. Please refer to the Landscaping Upgrades Map below. 12 Seep Management Plan The Environmental Sub-Committee is working with the Environmental Consultant, Ecosense, on developing a five-year plan for managing the Seep and the buffer zone surrounding the Seep. The Seep is the wetland area behind the post office that extends to the north of the play park up to the northern boundary. Schonenberg Estate is under legal obligation to maintain this area as a conservation area. 12

14 POPLAR TREES The Schonenberg Estate Special Project Manager and the Environmental Sub-Committee are investigating the issue of the Poplar trees in Vaillant Blvd. The Landscape Architects, who were contracted by the Developers of Schonenberg Estate to design the original architectural landscaping plan, proposed Poplar trees for Vaillant Blvd and these trees were subsequently planted in Poplar trees, renowned for being fast growing, were intended to create a visually pleasing sight for the initial phase of the Estate development within a very short time. The intent was to review the poplar tree development and growth at least after five years. These reviews did not take place. The Poplars have consequently grown to a considerable size which has led to a number of serious problems. Poplar trees have invasive root systems that invade sewerage pipes where the roots find moisture and nutrients. The widely spreading roots cause raising of pavement as can be seen in many places along Vaillant Blvd. Both of these effects are of serious concern for health and safety of the residents and are incurring growing costs for repairing the damages. The committee is currently working with an arborist to develop a feasible plan to gradually replace the Poplar trees with alternative trees and, at the same time, retain the aesthetic value. A report with recommendations will be finalized within the next month. 14

15 WILD BIRDS & OTHER ANIMALS There is clear evidence that birds get fed at Dam 1. We would like to ask all residents to refrain from feeding birds and any other wild animals on Common Property. This is, in fact, specified in our legally binding Operational Environmental Management Plan (OEMP): No wild animals may be interfered with in any way by any resident, visitor to the Estate or domestic animal. This includes the feeding of wild animals. In addition, food remains not eaten by the birds or other animals attract rats and mice. 15

16 Ablution Project The trustees are currently introducing a mobile ablution project. The main purpose of this project is to provide a mobile ablution facility for Crown s garden workers, while they are working on the site. The need arose when the Estate s Common Property areas grew so large that the convenience became essential to save and reduce wastage of time. The mobile facility gets positioned in pre-determined areas on the Estate, based on the weekly landscaping maintenance plan. This is not a public convenience for the use of residents, contractors, gardeners or domestic workers. A project manager has been appointed and a weekly cleaning schedule has been put in place. 16

18 FIBRE OPTICS INFORMATION EVENING Following our 2015 Fibre Optics survey, we met with different service providers to get their input and all of them came up with different products and services. The project team has now reached a stage where your input is required. This will help the team understand your needs better and enable them to make informative recommendations. So what are the next steps? from residents. But in the meantime, we need you to participate in a Fibre Optics survey that was sent out on 29 April To complete the questionnaire, follow the link to the Google site which is under SHOA control. Please be assured, the information provided is anonymous and for SHOA use only. Answering the questionnaire does not compromise you in any way and it should only take 3 to 5 minutes to complete. The survey will close on Thursday, 5 May 2016 at 17:00. SHOA will host an information evening on 9 May 2016, at 18:00, in the Schonenberg Retirement Village (SRV) Clubhouse, to discuss the different aspects and get as much feedback as possible After analyses of the survey results, you will receive feedback as well as recommendations. 20 THE PORTAL Not only is the portal an essential tool for you and for the Estate Management to keep contact details up-to-date, but it is also a wonderful communication tool. The tool is both private and public, in that you will be able to continually update your contact details. Moreover, SHOA will be able to communicate using the portal rather than and messages can be sent out to all the right people not just a select few! Before you throw your arms in the air with the thought of more user names and passwords, try out the portal it is simple to use and a worthwhile tool.
