1 Alpha Kappa Alpha Sorority, Incorporated Xi Beta Omega Chapter Regular Meeting No. 07 The meeting was held Saturday, August 11, 2018 at Mt. Zion Baptist Church (Griffin, GA). The meeting was called to order by Soror Tracey Allen, Basileus at 10 A.M. The meditation/inspiration was led by Soror Alicia Gilmore. A quorum was established. (*)Yes ( ) No. Soror Christine Spear moved that the meeting agenda be adopted. It was properly seconded. The motion passed. Reading and Disposition of the Minutes Soror Veronda Griffin Basileus Highlights Soror Tracey Allen A copy of the June 9, 2018 minutes was forwarded to the Technology Committee. The Technology Committee posted the minutes in the Members Only section of the Xi Beta Omega Chapter s website prior to the chapter meeting for review. The minutes were mailed to sorors without internet access. Soror Carolyn Flemister-Bell moved that the minutes be accepted. It was properly seconded. The motion passed. The minutes were accepted as printed. Delegate reports from 68 th Boule (Houston): Soror Tracey Allen ~ XBO chapter members were recognized during the Ivy Beyond the Wall ceremony: Soror Geneva Wood, Marie Richardson, Artelia Reese and Karen Eushery Honorary Members Induction Ceremony: Yolanda Adams (gospel singer), Teta V. Banks (civil rights advocate and diplomat), Dr. Jeannette Epps (scientist, scholar and NASA astronaut), Chantel Harris (great-great granddaughter of our founder, Ethel Hedgeman Lyle), Shelly-Ann Fraser-Pryce (Olympic track athlete, humanitarian and philanthropist) and Margo Lee Shetterly (writer, researcher, entrepreneur and author of Hidden Figures ) Opening Plenary Session Soror Mae Jemison, 1 st African American female explorer of space, was in attendance. 3 rd largest Boule in AKA history: 19,238 sorors in attendance First order of business: Emphasis on risk management (safety) Second Plenary Session Got to meet the candidates for the International offices. Candidates had to answer questions on the spot within a limited amount of time. Newly elected International Officers: Dr. Glenda Baskin Glover (Supreme Basileus), Soror Danette A. Reed (1 st Supreme Anti-Basileus), Soror Kacey A. Coleman (2 nd Supreme Anti-Basileus), Soror Chelle Luper Wilson (Supreme Grammateus), Soror Kaylen Long (Undergraduate Member-at-Large) and Soror Hollye Weeks (Undergraduate Member-at-Large) No specific reports given during the Boule. Videos were shown to celebrate accomplishments throughout the year. Boule report booklet is available online. 1
2 Fourth Plenary Session (Amendments) Amendment 1: Sisterly Relations committee will be a standing committee. (PASSED) Amendment 2: Clusters should meet in odd numbered years. Clusters should not meet during Boule years or even-numbered years. Clusters to be held every other year not every year. (FAILED) Amendment 3: Each chapter shall have a Pecunious Grammateus as an elected officer. (PASSED) Amendment 4: To be a candidate for Chapter Basileus a soror shall never have been suspended for hazing. (FAILED) Amendment 5: To be appointed as Chairman of the Membership Committee a soror shall never have been suspended for hazing. (PASSED) Amendment 6: Sorors who are recommended for expulsion at the Boule shall be permitted to submit a 150-word statement that will be read during the time of the Regional Director s presentation to the Boule. (FAILED) Amendment 7: Any individual or chapter having grievances with the ruling of the Regional Director affecting any substantial questions should not hesitate to appeal according to the appropriate steps. Appeal first to the Regional Director before going to the Supreme Basileus (proper protocol). (PASSED) Amendment 8: Each chapter shall pay a chapter tax annually to Boule. Any outstanding IRS amounts owed to the sorority must be paid prior to the payment of the chapter tax. (PASSED) New International Program will be discussed at our upcoming chapter retreat. Target 1: HBCU for Life: A Call to Action Target 2: Women s Healthcare and Wellness Target 3: Building Your Economic Legacy Target 4: The Arts! Target 5: Global Impact Signature Program: #CAP (College Admissions Process) Impact Days: ~ AKA International Day of Prayer (Sunday, August 26) ~ National HBCU Week (September 16-22) ~ Breast Cancer Awareness Day (October 1) ~ AKA Caregivers Day (November 16) XBO was recognized as a Platinum chapter during the EAF breakfast. Soror Tracey and Soror Cheryl Walker attended the celebration and scholarship luncheon for Soror Carolyn Randolph, our new Regional Director. XBO has been in the news lately. Check your spelling and grammar. Don t put dates of when you received your degrees if a lot of time has passed. Follow potential companies that you may want to work for. Be a resource for others. She stated that PANEL, Inc. voted during its August meeting to make a $300 donation. Soror Joyce McLendon moved that XBO not make a donation since PANEL, Inc. has already made a donation. It was properly seconded. The motion passed. Soror Tracey will provide information via the listserv about Blue Tie Gala tickets and the cost. Target II (Health Promotion): The 2018 High Noon Tea caterer will be Corey Thomas (Cater King). Soror Cheryl Walker moved to accept the recommendation. It was properly seconded. The recommendation passed. Target Reports Soror Jawanda asked that sorors wear hats to the High Noon Tea. Seventy (70) invitations were mailed. She asked that sorors check with their invited guests to ensure that they have received their invitations. Invitees are asked to RSVP by September 4 to Soror Paulette Collins. List will be circulated during chapter meeting for sorors who plan to attend the High Noon Tea. New Supreme Basileus is encouraging sorors to take 8,000 steps each day. Soror Jawanda gave tips on how to get 8,000 steps a day. Bras were collected during chapter meeting for Bra Recycling Day in October. Bras will be collected at the chapter retreat in September and the October chapter meeting. Sorors are being asked to donate three (3) bras. National Public Lands Day (Ocmulgee National Monument) ~ Saturday, September 29 Cutie the Pig was circulated during the chapter meeting for AfriCare donations. Committee Reports 4
5 Program Soror Cheryl Walker **Sorors were asked to pay the person that paid for their Alzheimer s shirt. New International Program: Exemplifying Excellence Through Sustainable Service 1. Target Chairs and Standing Committee Chairs: complete planning/project form and meet before retreat 2. We don t need to reinvent the wheel. At the retreat, we will talk about what we have been doing and what we are going to do. We need to be more efficient in handling whatever we need to handle. 3. International Day of Prayer (Sunday, August 26): Wear pink and green to church. Ask your pastor to include AKA in the morning prayer. Take a picture after church service. Chapter Retreat Location ~ across the street from Mt. Zion Baptist Church at the Griffin-Spalding County School System Central Office (Learning Resources Room) ~ parking will be on Poplar Street side ~ Eventbrite registration will be used Membership Soror Monica White Connection and EAF Soror Carolyn Flemister-Bell Courtesy Soror Barbara Calhoun Fundraiser Soror Joyce McClendon Sorors were asked to order Exemplifying Excellence Through Sustainable Service pins via the corporate website (aka1908.org). Soror Brenda Mathis said that XBO usually does a group order and sends a chapter check. She will be accepting payments for the pins during the chapter retreat in September. MIP: New member evaluations summarized. Soror evaluations have not been summarized. Breakdown of expenditures provided. Explanation of $134 gift and $250 honorarium for Soror Lucretia Payton-Stewart for speaking. The Membership Committee purchased a gift (necklace/earrings set) and then it was said that an honorarium was needed. No recommendations, at this time, from the committee regarding a future MIP. Financial cards for new sorors received and signed by Soror Tracey Allen. Soror Cheryl Walker has assigned new sorors to committees, per Soror Tracey Allen. EAF: Soror Carolyn said XBO has $ so far in EAF donations for Sorors can still make donations for the number of years that they have been an AKA member. Connection: Get out and vote. November elections will be very important. Please encourage family members to vote. AKA will partner with Pike County NAACP to host a voter registration drive. Soror Carolyn will get the dates from Soror Jewel Walker-Harps for the Griffin NAACP voter registration drives. A get-well card was sent to Soror Melissa English-Rias and to Eryn Alfred, daughter of Soror Evette Alfred. Expressions of sympathy extended to: Soror Josephine Dumas (passing of her husband) and Soror Charlita Terry (passing of her stepfather) August birthdays: Valencia Flemister, Jessica Evans, Robyn Davis, Linda Nelson, Lescia Stroud-Sutton, Jawanda West, Ashlee Holt, Denise Daniels, Portia Lacy and Mentoria Power The chapter members sang Happy Birthday. Matchett-Walker Walk/Run ~ Date: Saturday, November 3 Location: Tyus Park/Lake Pavilion Time: 9 a.m. to 1 p.m. (location has been reserved from 7 a.m. to 1 p.m.) Registration will begin at 8 a.m. Draft flyer has been developed. 6 Ivy Lifeline Publicity Scholarship Social $35 registration fee (includes T-shirt) Teams of 10 people are requested. Sorors will be team captains and co-captains. Signage and giveaways will be needed. Sponsorships will be solicited. Letters for corporate sponsorships will be handled by PANEL, Inc. There will be different sponsorship levels. Reminder: XBO has committed to giving a renewable (yearly) $4000 scholarship for the next four years to one scholar. List of teams distributed. May use Eventbrite for registration. Soror Paulette Collins suggested using Active.com for registration. It is a 5K walk/run. Virtual teams are okay. Recommendation: $35 per person for the walk/run registration fee. Soror Cheryl Walker moved that the recommendation be accepted. It was properly seconded. The recommendation passed. Standards Soror Valencia Flemister Nine (9) sorors completed The Longest Day survey. Soror Portia Lacy won a prize for completing the survey.
