2 The spall repair project is on schedule. Kawika s Painting is currently working on groups 4 & 5. We appreciate everyone s cooperation during this construction period. 2
3 Roto Rooter has installed two back flow preventers which affected water service to buildings 1, 2, 3, and 4. Parking around the installation sites were temporarily moved while crews excavated and installed the new plumbing. 3
4 Ross Hunter of Hunter Construction started replacing lanai fascia boards in early September. A scaffold is used to reach some of the lanai fascias. Termite treatment, similar to the procedure used last year, is being used again this year. 4
5 House Rule Change Lois Koenig - President Recently the Board looked for a way to help with the noise caused by large groups of people congregating at the BBQ units. Management has received numerous complaints from owners and from guests. After discussion, a suggestion was made to change the currently existing rule about numbers to one which might be more manageable for staff and for security. An announcement of the change was made; a few comments were received and this memo is to try and clarify some misunderstandings. Some owners may not be aware that a House rule already exists on this issue. The problem which occurred with the rule is that each unit could have 10 persons meaning a group of units often had people crowded around a BBQ. This made it nearly impossible for anyone else to get near the BBQ and also created noise and confusion. The following addition (shown in red) was made to the rule. Section 2.. Number of Guests. The maximum number of guests per apartment permitted to use a barbeque area shall be ten. Guests may not use the barbeque areas unless accompanied by a host occupant owner or occupant lessee. Use of BBQ areas will be limited to 20 persons per BBQ area at any one time, absent prior management approval. To clarify questions which came up, a host occupant owner or occupant lessee means the owner or their renter must be present. This eliminates a group coming in stating they are guests of the owner when the unit owner or renter is not even aware a group is using their name. You, as the owner, do not personally have to be present unless you are the one staying in your unit. This ruling does not change the fact that you can always request a waiver of the rule from the General Manager for a particular function. Without the rules Kamaole Sands has for use of the facilities, we will continue to have folks drifting over from the beach park using the facilities we, as owners, pay for. Changes such as these are generally made when a large number of complaints are received about that situation. Dr. Nemo Observations aka Mary Van Auken The Koi, Oscars, plecostomi, and guppies have been surviving the summer heat in their pond without the waterfall functioning. Due to the well pump being out of service we have had to fill the Koi pond with county water. The pond has remained clear but is in need of a good vacuuming which was put on hold due to the water situation. The cleaning will be done as soon as the waterfall s pump has been checked out. It has been a pleasure not to have the string algae problems like we have had in the past. The waterfall pump has been replaced. The well pump has been replaced. The pond has been filled with well water and is stabilizing. The waterfalls will be working by the weekend and we will have our lovely water feature back in operation. I am looking forward to seeing the birds enjoying the waterfall. They come every day for their afternoon bath and cool down. The Koi will enjoy swimming under the falls. And owners and guests will be able to enjoy the antics of the wildlife and the ambience of the pond. New Waterfall Pump assembly 5
6 Energy Consultant Ron Young - Chair The committee is pleased to report that at the July Board of Directors meeting, the Board approved the proposal from Energy Consulting Associates to produce a report containing the following information: A complete review of all pumps that operate the pool, spas, and water features and make recommendations of state of the art equipment that will dramatically reduce the cost of filtering and heating. To review the size and placement of a photovoltaic system to provide power for the pool and pond equipment. A cost estimate, estimated utility bill savings, and a return on investment for each recommended project. Funding recommendations and steps to complete the projects. Energy Consulting Associates has now completed their Solar and Energy Efficiency Survey Report and the Board will review the proposal at the September meeting. Willy Bennett Energy Consulting Associates Safety Committee The Safety Committee has been helping the AOAO staff to write a Hazcom Program and Exposure Control Plan for Kamaole Sands. Castle Resorts sent Kenny Ching a generalized program to be tailored to this property. We have been using that as a guide to write our own program. A few pages at a time are being worked on. Jarret and Mary Van Auken will then review the program, edit and modify it as needed. Fred Van Hook has updated the property map to be used as a site plan for the Maui Fire Department. The last site plan the MFD has on record still shows the Sandpiper Grill. This map will provide them a better idea on the location of hazards and emergency equipment on property to include propane tanks, utility vaults, hazard chemical storage areas, dry stand pipes, hydrants, fire extinguishers, etc. It also shows them building locations and entrances. The Safety of our employees was enhanced this week with the implementation of ventilator mask fitting and training. Since some of the tasks on property do involve the use of hazardous chemicals and paints, the safety of our employee s lungs is an important consideration. The maintenance and janitorial staff have all received safety glasses. Working with our insurance carrier, further trainings will be provided for back safety with proper lifting, carrying techniques and back support. Ladder training will be available sometime in the future. They will work with us on additional trainings and updates as the need arises. Jarret is looking for a trainer for Standard First Aid and CPR. This training will be available sometime in the near future. 6
7 Floyd Van Auken As one of IT Committee s goals, the Board wanted to look into a video conferencing system in lieu of our current phone conferencing system. A video conferencing system is a straightforward and cost effective way to communicate with people across the state, country or around the globe and has additional video and conference features, such as, application sharing, white board, computer desktop sharing, etc. At the August Board meeting, Floyd Van Auken provided a technical report which recommended a 30 day trial period of a video conferencing system using MegaMeeting.com as the service provider. The report indicated that video conferencing would provide a 43% cost savings over the current phone conferencing system. The service provider, MegaMeeting.com, provides the following services: Up to 10 users with simultaneous video streaming and audio chatting. 100% Internet browser based, i.e., all typical Internet browsers used today. Multiple Host/Guest setup configurations. Application sharing, white boarding, and desktop sharing. Month-to-month account with no long term contract. Unlimited monthly usage. The Board approved a 30 day trial of the video conferencing system using MegaMeeting.com services. The trial period started September 13 with the first training class on September 15. Board members Kevin O Brien, Craig Chandler, and Ron Young as well as, Jarret Delos Santos, Tiffany Mancao, and Floyd Van Auken attended the training session. The video conference training connected Canada, Washington State, California, and Hawaii. The photo below is a computer screen shot showing the training attendees and our trainer, Andy, who was hiding behind his computer. The video conferencing system really provides more capability and flexibility at a lower cost than phone conferencing. However, there are some technical issues to work out, especially when using Voice over Internet Protocol (VoIP) as there will be feedback, echoing or ringing, noise pops, etc in the audio portion. The Board will utilize the video conferencing system in the remaining 30 day period and make their final decision. 7
8 The ORC marketing of our website & our Kamaole Sands Calendar has finally taken the next step to promote our property. We have been testing different Ad Campaigns with Google Ad words [pay per click] since July 15 and have focused on the current ad since Aug. 16. The results have been very promising with 1,500 Unique visitors of which 626 had viewed an avg. of 6 owner individual calendars or web pages. That breaks down to around 40 visitors per day of which over 15 visitors per day reviewed 90 pages of owner s individual calendars or web pages. Our site also gets around 10 visitors per day from non-ad words Google traffic and 3 per day from Maui Revealed Ad. Fire Alarm Testing On September 8 th, each fire alarm pull station was tested. All stations were found in working order. Safety Rails Safety rails were added to areas near the trash room of buildings 9 and 4. 8
9 On September 10 th, Maui Electric Company installed new electrical meters to the following units: Summer Tree Trim Next Trimming in February Before - Stairway obstruction After - Stairway obstruction removed Asphalt was used to patch several pot holes in the parking lot and drive way. 9
10 Lawn Renovation Additional irrigation lines and grass sod were added to the Bird of Paradise Grill area. The new landscaping at the Banana Grill is coming along nicely! New BBQ Light Covers Wooden covers were placed above the florescent BBQ lights in the courtyard. The covers will help protect the fixture and shield it s glare. BEFORE AFTER 10
11 Well Repair Completed Repairs to the well system were completed on September 15 th. ThyssenKrupp Elevators have begun upgrading the elevator doors with new sensors. The sensors will prevent the door from closing on patrons. Buildings 1 and 2 have been completed. Elevator service is disrupted during the installation process. We now have a pole to use when cleaning the security camera lens. Periodic cleaning helps maintain quality photos. Security is now in charge of turning off the water to the car wash area. This takes care of late hour car washes. A new map used by IPC and security will help point out irrigation problem areas. 12 How old is my water heater? The water tank in the condo directly above us failed. We were lucky and had no water damage. Apparently the water stayed on the 4th floor and moved to the unit next door. This incident got us thinking that we better find out how old our hot water heater is. We found the link below which explains how to determine when a tank was made. I was surprised to learn our heater is over fifteen years old! I ordered a replacement and will have it installed next week. The link below may be of interest to other owners and could be published in the next newsletter. Bob Ward Labor Ready Mahalo to Charles ODonnell, who has been working in the janitorial department as a temporary hire while regular staff is out on leave. Charles has worked for us in the past and is familiar with our operation. SAFETY Respirator Training Employees attended a respirator training class put on by Zee Medical. Employees were trained on how and when to use the respirators. The training class was also filmed to create a reference video. 12
