1 EVACUATION POLICY 1 General In the event of an emergency which requires the evacuation of the school buildings the electronic sounders will be sounded. The fire alarm electronic sounders are different to those used for the class change bells and the lock down procedure klaxon. Please note an evacuation will only be indicated by the electronic fire alarm sounders. The action to be taken is shown on the sheet entitled FIRE EVACUATION, a copy of which is to be clearly displayed in all school teaching areas. Teaching and Support Staff are to familiarise themselves with these instructions and to ensure that (where appropriate) their students and all visitors to site are aware of the procedures to follow in the event of the alarm being sounded. Where an evacuation is necessary during an exam, the requirements to ensure isolation and silence of the students undertaking the exam are covered within the Exams Evacuation process document which is reviewed and issued annually to all staff. Please note that the process slightly differs for students during an exam and thus care should be taken to ensure that this document is read and understood when exams are taking place. Prior to Evacuation Individuals with Special Needs. a. It is recognised that some students or staff may have special needs which may mean that they require assistance to evacuate the building in an emergency. This will include those with visual or hearing impairment or cognitive disability as well as those with mobility problems including where temporarily incapacitated through injury (e.g. on crutches). All individuals who fall within these categories are to have a Personal Emergency Evacuation Plan (PEEP) prepared to inform others of their personal needs during emergency evacuation. PEEPs for staff and students are to be held in the individual s personnel file with a copy held in the Fire Safety Folder. b. Visitors to the site who have such special needs are to be invited to assess their own situation in the event of evacuation in consultation with the school H&S Coordinator (Business Manager), from which a PEEP will be prepared. PEEPs for visitors are to be held by the H&S Coordinator with a copy held in the Fire Safety Folder. c. When preparing PEEPs consideration is to be given to the evacuation from upper floors without the use of lifts, either with assistance down the stairs or by transfer to EVAC chairs (clearly marked and situated close to the lifts on the 1 st floors of the Arts and Main Buildings). Where neither of these evacuation methods is considered practicable the individual is only to use lower floors. 22 nd May 2018 Page 1

Where the use of EVAC chair is necessary, the individual is to be accompanied by a member of staff familiar with its use (normally a teaching assistant (TA) in the case of students) whenever using upper floors. Visitors (including Contractors). Upon arrival at school all visitors and contractors are to be directed to School Reception where they will sign in, be allocated a Visitor s Pass and complete a contractors induction if appropriate. The signing in sheet displays guidance in respect of the school s emergency evacuation procedure which they are directed to read upon arrival. Staff on site. It is the responsibility of all staff members to sign in at Reception or the Maths Faculty Office when they arrive on the premises and sign out when leaving for the day. Staff out of School. It is the responsibility of any member of staff leaving school during their working day to sign out at the school reception desk or Maths Faculty Office. Sixth Form. It is the responsibility of any sixth form student arriving at or leaving the premises between registration periods to ensure that they sign in and out utilising the sheets provided in the Student services area. Upon Discovery of a Fire Any person discovering a fire is to: a. Sound the alarm, b. Call the fire brigade on 999. c. Evacuate the immediate area. d. Once evacuated, inform the Site Manager of the location of the fire. During Evacuation Students, Staff (less Site Staff) and Visitors. Leave the premises quietly and quickly and gather at respective evacuation points as indicated at the foot of this guide. Wheelchair Users. Where necessary, they will be transferred to EVAC chairs for evacuation by assistants trained in their use. Registers. Registers against which attendance are to be checked are to be collected and taken to the evacuation point as follows: a. Administrative Assistant (Attendance) for students (if not held by Tutors) form group registers and sixth form signing in and out sheet to be used b. School Receptionist for visitors and contractors Signing in sheets to be used c. IT Network Manager/Administration Support Manager for school staff Signing in and out records from Maths Faculty Office/Reception desk to be used. 22 nd May 2018 Page 2

3 Once Evacuation is Complete Site Manager (or nominated deputy). Having reported his/her whereabouts to the Business Manager determine whether the alarm is genuine or a false alarm. a. If a Real Fire. Direct the fire service to the location of the fire. b. If a False Alarm. Identify the activation point, reset the alarm and inform the SLT staff member on duty of the situation. Year Group Tutors (or nominated deputies). Direct students to the area on the school field allocated for their Year and line them up by Tutor Group and in order of the register. Perform a roll call for their Tutor Group, once complete, report either all present or the names of missing students to respective Director of Learning (DoL). DoLs (or nominated deputies). a. Receive student attendance reports from their Year Group Tutors (or nominated deputies). b. Report either all present or the names of missing students/staff in respect of their Year Group to their respective Key Stage (KS) Co-ordinator. c. Instigate immediate investigation into whereabouts of missing persons and ongoing report of findings to their respective KS Co-ordinator. Key Stage Co-ordinators (or nominated deputies). a. Receive attendance reports for all students and staff from DoLs. b. Report either all present or the names of missing students/staff in respect of their Year Group to the SLT staff member on Duty. c. Instigate immediate investigation into whereabouts of missing persons and ongoing report of findings to the SLT staff member on Duty. LT and non-tutor group Teaching Staff. Report to the Administration Support Manager for checking against signing in/out sheets. Support Staff, Contractor Staff and School Visitors. Report to the Administration Support Manager. Business Manager (or nominated deputy). a. Confirm whereabouts of all Staff, contractors and school visitors based on signing in sheets checked by Administration Support Team Manager. b. Report either all present or the names of missing individuals to the SLT staff member on Duty. c. Instigate immediate investigation into whereabouts of missing persons and ongoing report of findings to SLT staff member on Duty. SLT staff member on Duty. a. Receive attendance reports for all students and staff. b. Update the attached check sheet for all sections of the school staff, visitors and Students once confirmation received from appropriate staff members 22 nd May 2018 Page 3

4 c. Instigate immediate investigation into whereabouts of missing persons and ongoing report of findings to Fire Service/Police. d. Liaison with the Fire Service and/or Police to determine time of safe return into school buildings. e. Direct dismissal when safe. Practice Evacuations (Fire Drills) The procedure for a practice building evacuation will be exactly as above except that: a. The date and time of practice drills will be agreed by the LT and advised immediately in advance as follows: (1) Administration Support Manager. To nominate a member of the office support staff to answer the school telephone for the duration of the practice. (2) Site Manager. To activate the pre-selected alarm point. (3) Wheelchair user assistants. To reduce injury risk by allowing the use of lifts to evacuate wheelchair users from upper floors. b. Wherever possible, the practice will be scheduled to ensure that science and food technology lessons are either not underway or are not undertaking practical lessons. This will be determined by the Business Manager in liaison with Heads of Faculty (HoFs). c. The Business Manager will inform the Fire Service Control Room of the scheduled practice date and time to avoid an unnecessary response by the emergency services.
