1 7 Fire Evacuation Procedures and Responsibilities Policy The Centre Manager/Deputy Centre Manager is responsible for:- Ensuring all staff pupils and visitors are aware of the Health and Safety Procedures, including evacuation procedures in the event of a fire Prominently displaying evacuation procedures and plans for all areas Ensuring an up to date list of names of mobility impaired persons are kept Arranging and co-ordinating evacuation exercises Accurate logging the performance of and any problems encountered during exercises Conducting debriefing after practice evacuations Continually striving to improve the effectiveness of procedures In the event of a Fire the Fire Wardens should Ensure the relevant emergency service has been called Initiate evacuation of the building Perform a methodical search of the building, ensuring that all persons have been notified of the emergency and are leaving the building to the assembly point at the back of the building by the Scout hut via the route indicated on the fire evacuation notices around the building and in the classrooms. Provide roll call and floor plan to the emergency services on arrival After evacuation The Fire Warden and Administrative staff should implement a full register check if any discrepancies are found Decide the course of action if any person is missing from these counts Meet the emergency services on arrival and inform them of the situation Prevent persons from entering the building while the evacuation alarms and sounding until the building is declared safe by the emergency services Oversee the return to the building of pupils, staff and visitors OR implement and oversee arrangements if the building is declared unsafe. The Administrative staff s responsibilities are:- Collection of the pupils registers and signing in books Collection of the pupil contact file Report to the Fire Warden if counts are correct or if there are any discrepancies found Reassure staff, students and visitors that the alarm is being investigated

2 Assist mobility impaired persons any other unsupervised pupils in the central area and escorting them to the assembly point Staff responsibilities All staff should familiarise themselves with The procedure in the event of a fire The procedure for the area of the building in which they are allocated and ensure that all pupils are aware of the procedure for exiting that room or area of the building The sound of the fire alarm The location of emergency exits and which exit they should use in any room they use The assembly point area should never be blocked by parked vehicles In the event of a fire each member of staff is responsible for Evacuating the pupils in their classroom at the time of the alarm by the named exit or should that not be possible, the next nearest Closing all windows and door to their classroom Escorting the pupils in their class to the fire assembly point, which is located at the back of the building by the scouts hut Reassuring the pupils that the alarm is being investigated and the need to remain calm Staff on reception are responsible for the safe evacuation of any unsupervised pupils in the central area and any mobile mobility impaired persons and escorting them to the assembly point Each Teacher is responsible for conducting the pupil count for their group and reporting the numbers and any discrepancies in the number of pupils to the Centre Manager Administrative member of staff taking the register During Examinations period invigilators should:- Be aware of our own Centre policy and arrangements for evacuation during the exam period Stop the pupils from writing. Collect the attendance register All examination papers (scripts) to be kept in the examination room (lock the classroom door after students have evacuated Pupils must leave the room in silence. Make sure that the pupils are supervised as closely as possible while they are out of the examination room to make sure there is no discussion about the examination. Make a note of the time of the interruption and how long it lasted Allow the candidates the full working time set for the examination. Make a full report of the incident and of the action taken. The examination officer must send this information to the relevant awarding body. Take all exam students to a separately agreed evacuation point over the Park at the rear of the building. Await instruction from Fire Warden before re-entry to building

3 In the absence of the Centre Manager, the Deputy Centre Manager along with the Fire Wardens and Admin staff will oversee these procedures. Fire Alarm System Fire Alarm Keys are kept in the main office, hanging up on the Notice board they are on a key ring marked Monument and there are 3 keys Key one has a yellow dot this key opens the glass panel to the fire alarm controls Key Two has an orange dot (small chubby key) and this activates the key pad Key Three - is a black plastic key (this is used to remove the glass panels of the actual red fire boxes that exist throughout the Centre to sound the fire alarms by inserting underneath box (two prongs) Stage One (alarm is sounding) Use yellow key to open glass panel insert orange key (chubby) to activate key pad turn key to on press silence alarms alarm will stop sounding turn chubby key back to off use yellow key to relock glass panel there will remain an intermittent beep until problem area is found Stage Two locate red box where alarm was set off is it a real fire? Can it be confirmed a pupil has deliberately set off and building is safe? Stage Three Choose someone who is confident in replacing the glass panel Use the third black plastic key New glass panels kept in cleaning cupboard Advise would be only do this when the pupils are not around New glass can break easily if not inserted properly Stage Four Once new glass has been inserted Back to key pad Yellow key to open glass panel Orange key (chubby) turn to on to activate key pad This time select reset button, now the intermittent beep should stop Turn chubby key to off (this means buttons on keypad can no longer be activated) There should be NO red flashing lights
