1 Delta Sigma Theta Sorority, Inc. Montgomery (AL) Alumnae Chapter Chapter Meeting Minutes Auburn University Montgomery, Taylor Center February 21, 2015, 9:30am Soror Pamela R. Hill, Presiding Opening Ceremony Opening Ceremony began at 9:35a.m. Quorum was present. Meeting called to order at 9:47a.m. by President Pamela R. Hill. AGENDA ADOPTION/MINUTES APPROVAL Before adoption of the agenda, Soror Hill stated that Pan Hellenic Committee would be added to the agenda under Internal/Operational. Soror Hill then called for the adoption of the agenda. Soror Constance Belser Quinn moved for adoption of the agenda and Soror Doris McEwen- Harris seconded the motion. The motion was accepted. Soror Hill called for the approval of the January 17, 2015 chapter meeting minutes. Soror Ella Bell moved for the approval of the minutes and Soror Tara Brinson seconded. The motion was accepted. CORRESPONDENCE National- None Regional- None State/Local Request for participation in the 14 th Annual Walk of Life 5K Run/Walk for Breast Cancer April 18, Registration Fee is $25.00 for ages 6 and up. Paper registration must be received by 4:30 pm Friday, April 10; late registration is $40.00 for ages 6 and up. All teams must register online by April 7 at 5pm. Request for sponsorship from the Alabama Kidney Foundation: a) Corporate Sponsor- $10,000, b) Corporate Benefactor- $7,500, c) Corporate Patron- $5,000, d) Corporate Friend- $2,500, e) Corporate Supporter- $1,000, f) Corporate Backer- $500.00;the foundation will accept any donation. Soror Doris Youngblood moved that we refer the item to the Finance Committee. It was seconded by Soror Phyllis Mardis. The motion carried. Montgomery Southern League is requesting that we sponsor a Girls Softball Team. The cost is $ Payment is due on or before February 28, This item is budgeted already and the Executive Board addressed it at the meeting. Therefore, it is mute at this point for us to vote. Perhaps if there are changes for next year it may be included in the upcoming budget. The sorority will make a donation of $ as budgeted by the chapter. Young ladies throughout the River Region are invited to select one of over 600 new and gently worn prom dresses AT NO Cost. Dresses of all sizes, styles and colors have been professionally cleaned by Jim Massey s Cleaners, and will be given away on a first-comefirst-served basis. This dress giveaway will take place Saturday, February 28, 2015, 10am- 2pm at Embassy Suites Hotel in downtown Montgomery.
2 The Education Trust, a national advocacy organization based in Washington, DC, focused on educational excellency and equity for low-income teens and students of color, is conducting focus groups across the country with teacher of color. Focus groups with Black Teachers across the State of Alabama will be held March They will be in Montgomery March 11, Tuskegee University and the United Negro College Fund are engaged in its annual combined fundraising effort. Tuskegee University s goal for is $60,000. They are requesting our support for this year s campaign. The deadline for all contributions is March 31, This event is limited to private schools only. Soror Ella Bell moved that the chapter contribute $ to the United Negro College Fund. It was seconded by Soror Naomi Scales Walker. The motion was accepted. The chapter will make a donation of $ to the United Negro College Fund. William Parks will host the 2 nd Annual Trailblazer Award. The recipient of this award is Dr. Gwendolyn E. Boyd, President of Alabama State University. This event will take place March 3, 2015, 7pm at My Place Catering and Events. If at least 20 members commit to being in attendance, they will receive a special discount of $25.00 per ticket rather than $ Soror President encourages all sorors that plan to attend check with Soror Harris in order to attend as a group and receive the discount. Thank You Cards Thank you card from Soror Geraldine Washington for the expressions of sympathy during the death of her mother Mrs. Nancy Taylor. Thank you from the Family Sunshine Center for the generosity shown by assisting families during the holidays. Thank you from the YMCA for your 2014 contribution of $ Thank you from Soror Kathy Thigpen for supporting her literacy efforts and hosting Regena Bryant s book signing on December 21, Soror Harris moved for the acceptance of the report; the report was accepted. OFFICER REPORTS Financial Secretary: Soror Felissa Clemons reporting: the report is available for review and will be filed for audit. Treasurer: Soror Gladys Gray reporting: the report is available for review and will be filed for audit. President: President Hill stated that the Policies and Procedures are available for pick-up following sorority meeting from Sorors Catherine Washington and Crystal Crump. Sorors must show their vote card in order to receive a copy. Soror Hill stated that some of the Crème contestants have withdrawn. Sorors on those committees have been resorted and assigned to another committee. If you should receive a call from a new chairperson, please know that your money will be going toward that contestant. Sorors are still asked to contribute $ per year regardless of whether they have a contestant. Cluster was a success. We are still receiving wonderful remarks on our service and member participation. This was a little practice in preparing us for the Regional Conference to be held here in
3 Montgomery in The president stated that if she missed acknowledging members in passing she wanted to make sure she acknowledged them today in the chapter meeting. Sisterhood month is coming up. In mentioning only a few of the items, which will come up in the report of Membership Services, sorors are encouraged to attend and participate in as many as you can but not required to participate in all of them. Sorors will fellowship with the President on March 15, 2015, starting at 11:00am at New Life Church of God in Christ, 5000 Patterson Road, Montgomery. Sorors are encouraged to wear red and attend lunch following services. Again, sorors are encouraged to attend activities planned by the Membership Services Committee during Sisterhood Month. ACKNOWLEDGEMENT OF VISITORS First Vice President Soror Barbara Weatherly welcomed the following Sorors: Soror Andree Houston: Lambda Zeta, May 2003; New to the Area/First Time Visitor Soror Felicia Roberts: Delta Pi, February 2006; New to the Area/First Time Visitor; Soror Chinita Williams: Iota Nu City Wide, Current Chapter Affiliation: Mobile Alumnae Chapter: New to the Area/First Time Visitor with Soror Robin Lindsey Soror Glandis Williams: Alaska Alumnae, Current Chapter Affiliation: Republic of Korea Alumnae; New to the Area/First Time Visitor COMMITTEE REPORTS Programmatic Thrust Educational Development: Soror Loukisha Brooks reporting: The Educational Development Committee met via conference call on Thursday following Executive Board meeting, and the following amended report is a result of the conference call. There were no entrees received for the "Reach for Height" oratorical contest. This is similar to previous years of the contest. The Executive Board recommended an extension to the deadline and announcement to the general public and signature programs. Since the contest was announced to Montgomery, Lowndes, Autauga, and Elmore Public Schools, within the chapter s internal communication, and presented to the Delta GEMS by their chair, the committee felt that extending the deadline was not best. The suggestion was made that in lieu of drafting a student to speak (as has been done in the past,) we provide an opportunity for the signature programs to provide a showcase of their year s activities during the May culminating event. The committee will follow-up with the Signature Programs regarding this idea. The committee also discussed ways to increase involvement if the contest is held next Sororal year. Some suggestions were: Increase the prize mount to $ Modify the application/contest requirement Make it a multi-media contest; incorporate other artistic forms with speech such as art or music Focus on 6 th -8 th grades if the prize amount is not increased. Soror Brooks moved for acceptance of the report; the report was accepted. International Awareness and Involvement: Soror Pamela Barnes reporting: The Committee is ready to send collected medical supplies. They would like to thank chapter members for donated items however; they are in need of a few more. They are BP Machine, Ambu Bag, Duct Tape, Gowns, First Aid Manual, Lamp with a goose neck, Mosquito Nets,
4 Stethoscope, Plastic Bags, Pulse Oximeter, Scale, Splints, Thermometer, Tongue Depressors, Turkey Baster, Antacids, Lidocaine, Waterproof Flashlight, Emergency Blanket, 2 pair of nonlatex gloves (large), cleaning supplies and paper supplies-charts, paper files. Soror Annitta Love mentioned that Baptist South has a lot of medical supplies in storage and would be glad to make a donation. She asked that the committee meet with her for information as to obtaining these supplies, free of charge. International Awareness will again host A Taste of Delta to be held in April since March is pretty full. The committee will work along with Membership Services to carry out this event. Cinco de Mayo will also be celebrated in May. Look for upcoming information. Soror Barnes moved for acceptance of the report: the report was accepted. Physical and Mental Health: Soror Wanda Robinson reporting: The Physical and Mental Health Committee was approached about participating in the Multiple Sclerosis (MS) Society s walk. The walk will be held on March 21, 2015, beginning at the Riverwalk Stadium. Without the MS Society, the hundreds of people in the community affected by MS would not have access to the types of services and the cutting-edge research, education, and programs that help people with MS and their families move their lives forward. It is becoming increasingly difficult for the organization to continue providing their excellent services to them. The reason behind this is due to the increasing costs and the current economic environment. A request is being made for our financial support for the MS Society and the wonderful work it does. Additionally, the committee has been requested to form a team to participate in the walk. Financial donations will help the MS Society to continue providing assistance to all the needy people in this area. You can visit the website at to donate. Soror LaTrenda Nicholson was diagnosed with MS in 2010, and will be spearheading this event for the chapter, if approved. For those who do not feel comfortable donating online, donations will be accepted at the February chapter meeting. Checks are to be make payable to Multiple Sclerosis Society. Soror President Hill encouraged the sorors to participate as well as make a donation to this organization. Soror Robinson moved the acceptance of the report; the report was accepted. Internal/Operational Awards: Soror Brenda Russ reporting: As of today, the committee has not received an applicant for Citizen of the Year Award. The committee is encouraging sorors to please take a moment to recognize someone who has made a contribution to our area or community. Qualifications were listed in the Newsletter and MAC memo. In addition, President Hill is asking the chapter to make submissions. Soror Russ moved for acceptance of the report; the report was accepted. Noelle Waters, daughter of Soror Catrina Waters hospitalized at Baptist East Soror Alice Gooden on the loss of her sister, Mrs. Yvonne Stokes Soror Annette Holt on the loss of her brother Soror LaBrenda Thompson on the loss of her mother, Mrs. Verlie Nettles Finance: Soror Gladys Gray reporting: The following action item was referred to the Finance Committee: The Jefferson County Alumnae Chapter in conjunction with Faith Church asked for monetary sponsorships (ranging from $100 to $1,000 or some other amount) for their 9 th Annual Fitness N Motion 5K Run/Walk & Health Fair which will take place on March 21, The funds raised will benefit the Juvenile Diabetes Research Foundation, American Diabetes Association & the Children s Center for Weight Management. The Executive Board accepted the Finance Committee s recommendation that the chapter not support this event. Soror Gray moved for the acceptance of the report; the report was accepted. 4. RSV Membership Services: Soror Jimmetta Gourdine reporting: The Each 1, Reach 1 Reclamation Campaign deadline is February 28, The financial Soror who reclaims the most non-financial sorors, Membership Services will pay dues. In order to qualify, a Reclamation form for each reclaimed Soror must be completed and submitted by the deadline date. Visit the Membership Services table to pickup forms and get details. Contact: Porcia Love, Reclamation Coordinator. Sorors are encouraged to participate in the Reclamation and Retention Getting to Know MY Sister Campaign the Sisterhood Circles. The campaign purpose is to simply get to know each other. Chapter members have been divided into small circles of no more than 8. Sisterhood Circles are asked to do something together. Some Circles have done activities. Remember activities can be as elaborate or a simple as the circle desires. Visit the Membership Services table to receive a copy of lists and information. The Big MAC Express Bus hosted by Membership Services is taking reservations for seats on the bus for the 52nd National Convention. Total Cost is $ per person. MAC sorors, collegiate, other chapter sorors, family and friends invited to participate. There are a limited number of seats. A $70.00 deposit is due today. An announcement with details was included in the February issue of the Torch. Contact: Soror Angel Garrett. The Sisterhood Month calendar was included in the February issue of the Torch. Several activities were highlighted by Soror Hill in her Presidents report. Additional highlights: (1) Sorors may attend all of the scheduled activities if their schedule permits.
6 (2) March 7 Prayer Breakfast is in collaboration with the Political Involvement and Awareness Committee. (3) Both committees are exploring participation as a chapter in 50 th Selma Bridge Crossing Jubilee event on Sunday, March 8 with the Selma Alumnae Chapter. Bus transportation is also being explored. Details will be announced via MAC Memos online. (4) If you plan to attend any of the Sisterhood Month activities, in order to prepare adequately, RSVP as requested. (5) Give contact information on ill or homebound sorors to Pamela Garrett. (6) Each Soror is asked to give $5.00 for church offerings. The monies collected will be given to the two churches the chapter visits during Sisterhood Month. A drop box is available at the Membership Services table. Make checks payable to DST-MAC. (7) The Delta DEARS luncheon is for sorors ages 62 and older. (8) Sisterhood Circles are encouraged to take advantage of the scheduled Sisterhood Month activities. Nominating: Soror Cassandra Conway reporting: Call for Nominations The nominating committee will be accepting nominations for the following elected positions: President, First Vice President, Second Vice President, Recording Secretary, Financial Secretary, Assistant Financial Secretary, Treasurer, Assistant Treasurer, Internal Audit Chair, Nominating Committee Chair, Member, Nominating Committee Member (Six positions). Sorors are encouraged to consider serving or nominating sorors in line with the criteria and requirements to qualify for each office. Nominations received after the February 19, 2015 deadline will not be considered. Nominations without a name and sorors not financial will not be considered as well. The nominating committee will meet Monday, February 22, 2015 to review nominations received. Nominees will be notified by committee to see if you will accept the position. You will then submit a biographical sketch, using the form and submit to the nominating committee. The slate will be presented to Executive Board March 10, Members may also nominate candidates from the floor. You may not campaign until you receive word from Soror Cassandra Conway, Chair of Nominating Committee. Campaigning will end April 17, 2015 at 12:00 midnight. Pan-Hellenic: Soror Marguerite J. Barber-Owens reporting: A Social Explosion will be held at Carver High on April 12, 2015, from 4:00-6:00. The educational focus will be on HIV. There
7 will be door prizes, testing for HIV and other health issues. Each sorority is responsible for fifty- (50) tickets at a cost of $20.00 each. The Signature Programs will receive ten (10) free tickets. During the show models will display fashions from locally and/or national recognized artists. There will be entertainment, and a special design made out of trash. This is a joint venture through Pan Hellenic and it 551 members. This is a good cause to help the community become aware of HIV.
