1 OPERATIONS OFFICER JOB DESCRIPTION AND PERSON SPECIFICATION JOB TITLE: BASED: SALARY: TERMS: REPORTING TO: LIAISON WITH: Operations Officer The LookOut in Hyde Park London W2 2UH 22,000 per annum Full time contract, 40 hours per week, 25 days annual leave plus Public Holidays Commercial Venue Manager, Royal Parks Foundation (RPF) RPF team, Royal Parks Agency, schools, partners, suppliers, customers JOB PURPOSE: KEY DUTIES: To ensure all operations run smoothly at The LookOut, supporting delivery of quality Education sessions and sustainable commercial growth from Private Hire and Community events. Facilities Management of The LookOut building, RPF office and equipment to the highest standards Administration of bookings, planning and coordination of resources, invoicing and payments, H&S for all users Event support for RPF, Education, Community and Private Hire events. SKILLS: Highly organised / can-do energy / rigorous planner / service ethic / team player PERSON SPECIFICATION Highly organised, with immaculate attention to detail Presentable and comfortable liaising with varied demands of clients, partners, staff and suppliers High energy team player with strong work ethic capable of delivering a complex workload Good numeracy and communication skills proficient with MS Office (Word, Outlook, Excel) Flexibility to work some evenings and weekends Available to work from Monday 28 September 2015 Current UK driving license An interest in heritage, nature and the green outdoors!

2 RESPONSIBILITIES FACILITIES MANAGEMENT Be the first point of contact for day to day venue operations and provide trouble shooting when required Post-delivery and pick up RPF post, milk orders and delivery, keeping communal space tidy, updating weekly calendar of activities Testing lights, security and fire alarm, checking meter readings and utility bills against usage. Flag up any issues / risks to line manager and H&S officers, and update RPF environmental report Prepare work list for suppliers and TRP, including refuse collection, cleaning services and gardening works Managing office supplies orders and equipment maintenance (i.e. printer, buggy), purchasing education resources ADMINISTRATION Logging, handling converting enquiries from schools / community groups / TRP Advising on and managing calendars / room allocations /staff members per booking Tracking, issuing and chasing invoices from schools / community groups / private hire clients New starter inductions, health and safety and fire alarm procedures, tour of the building Schools bookings administration, booking forms, coach permits, playground reservations EVENT SUPPORT OTHER Hosting showarounds for Education, Community and Private Hire clients and suppliers Supporting every aspect of event and session planning, resourcing, management and execution During busy periods, it really is all hands on deck, supporting the wider team is vital Providing all employees, visitors and users the best possible experience of the venue Act as an ambassador by working to the highest professional standards, promoting collaborative working relationships in support of the Foundation s vision and values Get stuck into any other Royal Parks Foundation activities as the need arises! 3 OUTLINE OF TERMS & CONDITIONS JOB TITLE: SALARY: CONTRACT: Operations Officer 22,000 per annum Full time contract HOURS: 40 hours per week, plus up to 1 hour unpaid lunch, worked over 5 days, Monday to Friday. Core hours of business are 09:30 to 16:00 with remaining working hours to be allocated before and/or after this based on the needs of the Foundation. PROBATIONARY PERIOD: NOTICE PERIOD: ANNUAL LEAVE: PENSION: Due to the nature of its work, Royal Parks Foundation team members support each other whenever needed and, if required, provide cover for evening and / or weekend work. Established in 2003, the charity has helped raise more than 12m towards a wide variety of projects from wildlife conservation and heritage restoration, to community sport, education and the creative arts. The Chief Executive of the Royal Parks Agency is responsible for operational decisions in the Parks, including Primrose Hill, Brompton Cemetery, Grosvenor Square Gardens, Victoria Tower Gardens, gardens of Number 10, 11 and 12 Downing Street, Canning Green, Poets Green and the Longford River. TRP contracts out most of the grounds works and tree maintenance, as well as services, such as catering, boating, deck chairs, and some sports.
