1 AN AMERICAN CAMPUS COMMUNITY WHERE STUDENTS LOVE LIVING MOVE OUT GUIDE This guide contains everything you need to know about moving out or your responsibilities if you have a roommate moving out. Please take some time to review this guide well before you plan to move out. 2 Pre-Check Out Responsibilities Rent Payment Be sure that you are current with your rent and other charges. Roommate Communication Discuss with your roommates about each person s responsibility when cleaning the Apartment. You should also discuss any damages in the unit and whomever is responsible for those damages should notify the office in writing that they are responsible prior to your move out. Any renewing or remaining residents in the Apartment need to ensure the vacating resident fulfills all responsibilities in common areas, less unfulfilled responsibilities will fall to remaining occupants. Clean Apartment After you have removed all of your belongings, thoroughly clean your Apartment. If our staff determines that the unit is unclean or requires repairs, you will be charged according. We cannot inspect your individual unit if your personal belongings are still present in the Apartment s common area and/or the bedroom/bathroom area. Please see video with tips on how to clean your apartment. Return All Furniture All common area furniture (dining tables, coffee tables, chairs, etc.) must be in the common area at the time of your individual checkout. If you or your roommate stored a piece of common area furniture in their bedroom, it must be returned to the common area prior to inspection, or you may be charged for missing items. Here are our expectations and some common cleaning issues: Kitchen All of the appliances should be clean and free of any residual food. Be sure to clean the inside and outside of the refrigerator, stove, oven, induction cooktop, microwave, and dishwasher. These appliances are often forgotten and the cleaning charges for these items add up quickly. DO NOT FORGET TO EMPTY OUT ALL CABINETS AND DRAWERS INCLUDING THE REFRIGERATOR. Bathroom The tub, shower, toilet, sinks, mirrors, and fixtures should all be cleaned thoroughly. The floor should be mopped and the counters and cabinets should be wiped down. Carpet Normal wear and tear is expected, but we will charge for stains, tears, burn marks, and holes. The carpet should be vacuumed. Trash Take all your trash to the trash rooms before turning in your keys. Do not leave any trash bags or personal furniture items inside the apartment or outside the front door. If we have to remove any trash, boxes, or unwanted items from your Apartment, your account will be charged $25 per bag or $50 per larger items like furniture. 2
3 Cleaning Checklist Kitchen: Countertops and sinks wiped down and cleaned. Furniture (Table & 4 chairs) cleaned and free of dirt. Cooktop cleaned and free of debris. Oven emptied and cleaned. Refrigerator/freezer emptied, cleaned, and odor free. Cabinets & drawers emptied and cleaned. Dishwasher emptied, wiped down, and operable. Vinyl floor mopped and free of dirt/scuff marks. Microwave cleaned out and odor free Walls cleaned and painted to original color. (Sherwin Williams, Pro Mar 200, Eggshell, Natural White A0050) Common Area: Sofa and Side Chair cleaned, vacuumed, and unsoiled. (Don't forget under the cushions). Furniture clean and free of dirt. Walls cleaned and free of dirt. Painted. (Sherwin Williams Pro Mar 200, Eggshell, Natural White A0050) Columns & concrete surfaces free of chalk or markings. Floor cleaned and free of dirt. Smoke detectors attached and operable. Windows and shades cleaned and operable. Screens undamaged and properly attached. Washer and Dryer emptied and operable. Bathroom: Remove ALL personal property and trash. (Remove shower curtain and rod rings) Cabinets emptied and cleaned. Floor mopped and free of dirt/scuff marks. Sinks and countertops wiped down and cleaned. Mirrors wiped down and cleaned. Tub/shower scrubbed down and cleaned. All stains and soap marks must be removed. Toilet wiped down and cleaned. Walls cleaned and free of dirt. Painted. (Sherwin Williams Pro Mar 200, Eggshell, Natural White A0050) Bedroom: Remove ALL personal property and trash. (Check under bed and in dresser drawers.) Furniture cleaned and unsoiled. Carpets clean and vacuumed. Walls cleaned and free of dirt. Painted. (Sherwin Williams Pro Mar 200, Eggshell, Natural White A0050) Closets emptied, cleaned, and operable. Mirrors wiped down and cleaned. Windows and shades cleaned and operable. Screens undamaged and properly attached. Smoke detector attached and operable. Bedroom door locked upon your exit. 3
4 Move Out Charges This is a list of estimated charges that may be assessed should cleaning, repairs, and/or replacements be required to prepare the Apartment for future occupancy. The purpose of this list is to give you an idea of the possible charges and is not intended to be a complete listing of all charges. Prices are subject to change. Any common area damages will be split among all the residents in the Apartment. If you or one of your roommates is responsible for common area damage, then you must notify the office in writing, claiming responsibility for the damage prior to move out. Painting Bedroom $50.00/bed space Bathroom $50.00/bathroom Common Area $50.00 Hole in Drywall $ Full Cleaning Key Reminder Keys must be turned in by Sunday, March 25 th at 9 AM. Mailed keys will not be accepted. 5 The Check-Out Process The following steps must be taken once all of your belongings are out of the Apartment and you are ready to return your keys to the Leasing Office. All of your belongings must be moved from your apartment and it must be cleaned prior to starting the Check-Out Process. Once you turn in your keys to the office, you may not start cleaning, vacuuming, etc. Visit the Leasing Office for your final checkout. You will fill out a Move-Out Checklist and provide a forwarding address and phone number. You will return your Apartment Key Fob and mailbox key. Keys will not be accepted via mail or any time after you have checked out with our office. If they are not turned in at the time of check out, your account will be charged for replacements. We will use your Unit Condition Form that you completed during move-in when inspecting the Apartment to ensure that you are not charged for any damages that were present when you moved in. If you feel you are not responsible for damages in your unit, we will need a typed letter signed by all roommates taking responsibility. Please be prepared to pay any unpaid balance on your account prior to move out. For account balances please Sheray Gist at sgist@americancampus.com or call the Leasing Office at
6 Security Deposit Refund The Summit at University City reserves the right to retain partial or all of the security deposit for damages to the Apartment as stated in your Lease Agreement. If there are no damages found in the Apartment when our staff member inspects it and there is no balance on your account, the original security deposit will be returned to you in full. Please be aware that the security deposit is not for any outstanding balances. All balances must be paid in full before move out. The security deposit is for any damages discovered during inspection. Once you have completed the move-out process, The Summit will send a request to the American Campus Communities corporate office to issue a check in the resident s name in the amount of your refund. The security deposit refund will be sent to the forwarding address that was provided at the time of checkout. You should expect to receive a Statement of Deposit prior to receiving a check for the amount refunded. Statements of deposit will outline damages (if any) and will apply damage charges to your security deposit. If the charges surpass the deposit amount then you will submit a payment for the difference. Upon receiving your statement of deposit, you have 14 days to dispute any charges made against your deposit. All disputes must be made in writing to the bookkeeper, Sheray Gist, at sgist@americancampus.com and must include documentation of your dispute. Disputes will need to be in writing before being discussed over the phone or in person. Following the 14 day period if no disputes are made, the security deposit will be sent via mail. You should expect to receive your check within 30 business days following the expiration of the Lease Term. If your security deposit is not enough to cover your damages and/or outstanding balance, your balance due will be indicated on your statement of deposit. We will indicate your balance due and it must be paid in full within 14 days. If we do not receive payment, the resident and guarantor will be turned over to a collection agency to recover the unpaid balance. 6
7 Frequently Asked Questions 1. How should I proceed if my roommates will remain in the unit for the next term? We will inspect the entire Apartment for damages and cleaning, not just your bed space. The common areas must be clean and in good condition at the current time of your move out. Communication between all roommates is essential. 2. My roommate damaged something in a common area. How can I make sure I am not charged? If your roommate damaged something in the Apartment, they need to notify the office in writing that they are responsible for the damages prior to you moving out. If the person responsible does not notify the office in writing, each roommate will share an equal charge for the damage. 3. Can I move out after 9AM on Sunday, March 25, 2018? No. Please plan ahead. According to your Lease Agreement, anyone who is not moved out by 9AM on Sunday, March 25 th, 2018 will be charged $75 a day and any charges associated with hindering the turn schedule of our vendors. 4. Can I move out early? You may choose to move out any time before your lease expires. Moving out before the ending date of your Lease does not cancel, nullify, terminate, or otherwise modify your lease. You are still responsible for the terms of the lease agreement in its entirety. 5. What if I never turned in my Unit Condition Form? Unfortunately, we will not know if anything was damaged when you moved in. It was due within 24 hours of moving in. We will inspect your apartment and you will be charged for any damages. 6. How do I forward my mail? Once you turn in your keys, you will no longer have access to your mailbox. Please be sure to change your address at to ensure that you continue to receive all of your mail. The Summit does not forward mail or hold packages for residents who have moved out.
