9 Xtralis Xchange Tool User Manual 1 Introduction 1.1 About the Xtralis Xchange Tool The Xtralis Xchange Tool is the platform that allows you to easily activate and deploy additional applications on ADPRO and HeiTel XOh devices. This includes the following products: ADPRO Devices FastTrace 2 Series: FastTrace 2, FastTrace 2X, FastTrace 2E ift Series: ift, ift-e HeiTel XOh Devices CamDisc ipvg Camdisc E, CamDisc+ E Whenever the term device is used in this manual, it refers to all products listed above. Whenever the term ADPRO device is used, it refers to the ADPRO devices only. Whenever the term XOh device is used, it refers to the HeiTel devices only. Xchange manages the following licenses for your devices: ADPRO Devices ClientTrace IntrusionTrace and IntrusionTrace Plus (IT+) IP channels LoiterTrace PIR-HLI SmokeTrace. HeiTel XOh Devices IntrusionTrace.h Note There are separate licenses for ADPRO and XOh devices. You cannot use an ADPRO license on an XOh device, or vice versa. You can distinguish the licenses for XOh devices by the.h extension in the name. For example IntrusionTrace is for ADPRO devices; IntrusionTrace.h is for XOh devices. For ADPRO devices only: Xchange allows you to update your ADPRO device software, and perform basic system license management. 1.2 System Requirements The minimum system requirements for installing and running Xchange on your PC are: 1 GHz processor 1 GB RAM (Windows XP); 2 GB RAM (Windows Vista, Windows 7).NET 4.0 installed (if necessary, the Xchange installer will automatically download and install.net 4.0). 10 User Manual Xtralis Xchange Tool 1.3 Getting Help with Xchange The following information sources are available for Xchange: This user manual. Tip: see Frequently Asked Questions on page 83. The Getting Started window in Xchange for general information. It contains some video tutorials about Xchange s main functions. For more information, see Getting Started on page 16. The help sections for specific information for each screen. For more information, see Help Screens on page 17. The information screen with the software version of the Xchange tool: click the button at the bottom left of the Xchange screen. Click OK to close the information screen. 1.4 Migrating from the License Portal to Xchange If you have been using the Xtralis License Portal site before, all your existing FastTrace 2 licenses will appear in Xchange. You only need to access the License Portal to download the Xchange software. For other Xtralis products such as M3000 and Video Manager, you continue to use the License Portal as before _05

11 Xtralis Xchange Tool User Manual 2 Installation 2.1 Downloading the Xchange Software To download Xchange, proceed as follows: 1. Open your internet browser and go to the License Portal site at 2. If you already have a user account, log on with your address and password, and then skip to step 4. If you do not have a user account yet: - Contact the person responsible for Xchange in your organisation. - If there is no person responsible yet, click Register to create a new account. 3. Fill in the registration form and click Submit. Your request will be processed as soon as possible. When your account is active, you receive an notification. You can then log on to the License Portal site, and continue with the next step. 4. On the License Portal site, click the Redeem Token tab. The download link is available there. 5. Click DOWNLOAD Xchange, and save the file to your PC _05 11

12 User Manual Xtralis Xchange Tool 6. When downloading is complete, extract the downloaded zip file. You now have the setup.exe file available to start installing. 2.2 Installing the Software To install Xchange on your PC, proceed as follows: 1. Double-click the extracted setup.exe file. If the warning message below appears, click Run. The installation program checks if all prerequisites are available. If not, the following screen appears: 2. Click Install. The following screen appears: _05

When the installation of the missing components is finished, the following screen appears: 4. Click Finish. The Xchange setup wizard starts, and the following screen appears: 5. Click Next. 14 User Manual Xtralis Xchange Tool 6. Check the following settings: - The default installation folder is C:\Program Files (x86)\xtralis\xchange Tool. If you want to change the installation folder, click Browse and select the desired installation folder. - Click Disk Cost to see how much disk space the installation requires. 7. If you are satisfied with the settings, click Next. The following screen appears: 8. Click Next. The setup wizard starts installing. 9. Wait for the following screen to appear: 10. Click Close. Xchange is now successfully installed on your computer _05

15 Xtralis Xchange Tool User Manual 2.3 Launching the Application To launch Xchange, proceed as follows: Double-click the Xtralis Xchange Tool icon on your desktop. If the icon is not available, choose Start > All Programs > Xtralis > Xchange Tool > Xtralis Xchange Tool. The Xchange application opens _05 15

16 User Manual Xtralis Xchange Tool 2.4 Getting Started The first time you open Xchange, the Getting started window appears: The Getting Started window contains some video tutorials about Xchange s main functions. Click any of the topics for more information. To return to the main Getting Started screen, click the button at the bottom left of the Xchange screen. Close the window to return to the Xchange application. To reopen the video tutorials, click the button at the bottom left of the Xchange screen _05

17 Xtralis Xchange Tool 2.5 Help Screens User Manual To open the help screens with specific sections of Xchange, click the button at the top right of the Xchange screen. Video tutorials for the specific screen appear. The example below is the help with the Softwares screen: 1 Click to close the help screen. 4 Video progress bar 2 Click the circles to see more video tutorials for the current screen. 5 Drag to move forward/backward. 3 Highlighted area of interest 6 Click to pause/continue playback. If you have a help screen with several subtopics (see example below), click any of the topics for more information. Click the button to return to the main screen and select a different topic _05 17

18 User Manual 2.6 Updating the Xchange Software When there is a new version of the Xchange software available, the Xchange screen changes colour:. 19 Xtralis Xchange Tool 3 Xchange Workflows User Manual 3.1 Required Internet and Device Connections Some tasks in Xchange, such as license and user management, require an active connection to the Xtralis database on the License Portal site (internet connection). You can log on to the License Portal from within Xchange, and you can also handle all tasks from within Xchange. There is no need to switch to a browser and open the License Portal site itself. Other tasks, such as installing licenses and software, require a connection to the device. In the ideal situation, you can connect your PC with Xchange installed (B) to the Xtralis database (A) and to the device (C) at the same time: In real life, you may not have both connections simultaneously. Xchange allows you to work even if you are offline (no internet connection A B) or if you are offsite (no device connection B C). The table below lists the tasks that you can perform in Xchange and which connection is required. All tasks are described in detail further in this user manual. 20 User Manual Xtralis Xchange Tool 3.2 Workflow: Redeeming and Installing Licenses The illustration below shows what happens when you redeem a credit token and install a license: 1. Redeem token: Xchange adds the license in the token to the list of available licenses in your account. One credit token can contain multiple licenses. See Redeeming a Credit Token on page Install license: Xchange installs the license on the device, and removes the license from the list of available licenses in your account. See Installing a License on a Device on page Workflow: Revoking Licenses Revoking licenses is the opposite of installing: 1. Revoke license: Xchange removes the license from the device, and moves it into the list of available licenses in your account. See Revoking Licenses on page Redeploy revoked license: you can install the revoked license on a different device in your account. See Installing a License on a Device on page _05

21 Xtralis Xchange Tool User Manual 3.4 Workflow: Transferring Licenses The illustration below shows what happens when you transfer all application licenses from one device to another: 1. Transfer licenses: - Xchange makes a copy of the application licenses on the source device for the destination device. - It marks the licenses on the source device as in transfer, and the licenses on the destination device as prepared. - After you synchronise the destination device, Xtralis marks the licenses as installed and the licenses are available for use on the destination device. 2. Revoke the licenses from the source device: Xchange unlinks the licenses from the source device. The licenses are no longer marked as in transfer. See Transferring Licenses on page _05 21

22 User Manual Xtralis Xchange Tool 4 Logging On and Off 4.1 Logging On If you log on in Xchange, you have a connection to the Xtralis database that keeps track of the licenses in your account. To log on, you need an active internet connection. To log on in Xchange, proceed as follows: 1. In the top left corner of the Xchange window, below the Xchange logo, click Click here to log on. The following screen appears. The last used username appears automatically: 2. In the Username box, type your username (= your address). 3. In the Password box, type your password. 4. Click OK to confirm. When you have logged on, your username appears in the top left corner of the Xchange window, and extra information and menu options appear: _05

23 Xtralis Xchange Tool 4.2 Logging Off To log off from Xchange, proceed as follows: 1. In the top left of the Xchange window, click Logout. 2. Click Yes to confirm. User Manual 27816_05 23

24 User Manual 5 Device Management Xtralis Xchange Tool 5.1 About Device Management The Devices section of Xchange allows you to manage the devices in your account. You can add devices to your account group, view device information, and organise devices into device groups. If you connect to the device, you can install and revoke licenses. In the menu on the left, click Devices to see the list of devices in your account. When you start with a new account, the device and device group lists are empty. Xchange lists the devices and device groups alphabetically. The Devices screen consists of the following parts: Devices (top): lists the devices (that are not assigned to a device group). From this part, you can add, edit, hide, search for, and connect to devices. Groups (bottom): lists the device groups. Click in the bottom right corner to open the device groups pane. From this part, you can add device groups, and add devices to a device group. For more information on device groups, see Organising Devices in Device Groups on page Adding Devices to Xchange Xtralis recommends to add devices to Xchange when you can connect to the device. This allows the system to check the MAC address. If you cannot connect to the device, you can already create the device with some basic information, and complete the process later when you can establish a connection. Note You must connect at least once to a device via Xchange before you can install, prepare, or transfer licenses for the device. If you have never connected to the device, the Licenses tab for the device is unavailable. You can add a device manually, or use discovery mode for ADPRO devices (recommended). In discovery mode, Xchange searches the network for all ADPRO devices that it can connect to. You can then add the found ADPRO devices in one click _05

25 Xtralis Xchange Tool User Manual Adding ADPRO Devices in Discovery Mode To add an ADPRO device in discovery mode, proceed as follows: 1. In the menu on the left, click Devices. 2. Click the Discovery Mode switch to enable discovery mode. The Discover device button appears. 3. Click Discover device. Xchange displays the list of found ADPRO devices. - Devices that you have already added to Xchange are white. - Devices that you have not yet added to Xchange are coloured. 4. Double-click the ADPRO device that you want to add. The following screen appears: 5. Provide the following information: Item Type Name Identifier IP address Control port Username Description The type of ADPRO device (FastTrace 2 or ift). Xchange has filled this in automatically. Type a meaningful and relevant name for the ADPRO device. The identifier = the ADPRO device s MAC address. Xchange has filled this in automatically. The IP address of the ADPRO device. For example, Xchange has filled this in automatically. The control port number. Xchange has filled this in automatically. Type the user ID/username of the ADPRO client user with which Xchange can connect to the ADPRO device. The default user ID is 0. Password Type the password of the ADPRO client user. The default password for user 0 is _05 25

To disable discovery mode and return to the normal device list, click the Discovery Mode switch again Adding Devices Manually To add a device manually, proceed as follows: 1. In the menu on the left, click Devices. In the example screen below, two devices already exist in Xchange _05

27 Xtralis Xchange Tool User Manual 2. Click Add device. The following screen appears: 3. Provide the following information: Item Type Name Identifier Description Select the type of device: FastTrace 2, ift, or HeiTel. Type a meaningful and relevant name for the device. The identifier = the device s MAC address. Leave this box blank, and provide the device s IP address instead (see below). Xchange will automatically fill in the device s MAC address when you connect to the device. Caution! It is not recommended to enter the MAC address manually. An incorrect MAC address may lead to unexpected behaviour. If you must enter the MAC address, use hyphens ( ) as a separator. Do not use colons (:). For example: AB For ADPRO devices, you can find the correct MAC address on the product label on the box, or in the ADPRO client, under System > Connections > Ethernet/PPP, in the Mac address box. IP address Type the IP address of the device. For example, For ADPRO devices, you can find the correct IP address in the ADPRO client, under System > Connections > Ethernet/PPP, in the IP address box. Control port Username Password Type the control port number. The default port number is 2000 for ADPRO devices, and 3000 for XOh devices. The port numbers in Xchange and the ADPRO/XOh client must match, or you cannot connect to the device. For ADPRO devices, you can find the correct port number in the client software, under System > Connections > Ethernet/PPP, in the Control port box. For ADPRO devices: type the user ID/username of the client user with which Xchange can connect to the device. The default user ID is 0. For XOh devices: leave this box blank. For ADPRO devices: type the password of the client user. The default password for user 0 is For XOh devices: leave this box blank _05 27

Double-click the device to test the connection. - If connection is successful, the device details appear on screen. For more information, see Device Information on page If connection is unsuccessful, the error message below appears on the device details screen. Check and correct the settings, and then try and connect again. 5.3 Editing Devices To edit an existing device, proceed as follows: 1. In the device list, position the mouse cursor over the device that you want to edit _05

29 Xtralis Xchange Tool User Manual 2. Click Edit. 3. Modify any settings as necessary. 4. Click OK to confirm. 5.4 Hiding Devices You may have devices in the list that are not in use for the moment, or devices that are obsolete. It is not possible to delete devices, because a device is always stored in the Xtralis database. However, you can hide a device so that it no longer appears in the list. You need to set up Xchange for hiding/showing hidden devices first. Hiding/Showing Hidden Devices in Xchange To set up Xchange for hiding or showing hidden devices, proceed as follows: 1. Click the button in the bottom left corner of the Xchange window. The following screen appears: 2. Click the Show hidden devices switch to set it to the desired position: - To hide hidden devices in the device list, set the switch to the left. - To show hidden devices in the device list, set the switch to the right: 3. Click OK. Hiding Devices To hide a device in the list of devices, proceed as follows: 1. In the device list, position the mouse cursor over the device that you want to hide. 2. Click Hide. 3. Click Yes to confirm. The device disappears from the device list (if Show hidden devices in the configuration settings is switched off). Unhiding Devices To find and unhide a hidden device, proceed as follows: 1. To find the hidden device in the device list, you have the following options: - If Show hidden devices is switched on (= hidden devices are visible), you can find the hidden device just like any other device. See Finding Devices on page If Show hidden devices is switched off (= hidden devices are invisible), type [hidden] in the Search box (including the brackets [ ]). The hidden devices appear in the device list _05 29

30 User Manual Xtralis Xchange Tool 2. Position the mouse cursor over the device that you want to unhide. 3. Click Unhide. 5.5 Finding Devices To quickly find the desired device, you can use the Search box at the top of the Devices screen. If you know (part of) the name of the device, type a part of the name in the Search box. Xchange filters the device list as soon as you start typing. To find hidden devices, type [hidden] in the Search box (including the brackets [ ]). 5.6 Connecting to a Device To connect to a device, double-click it in the list of devices. The device information appears. 5.7 Device Information When you connect to a device, Xchange displays the device information. The device information screen consists of several tabs. Information in the Summary Tab Below is an example of a device information screen: The following device information is available on the Summary tab: Item Address Identifier Analytics System License Description The IP address of the device The identifier (MAC address) of the device For ADPRO devices only: the maximum number of analytic channels available on the device. For ADPRO devices only: the type of system license (Full, Entry, Tx). For more information on system licenses, see the XOa Client Software User Manual (21796) _05

31 Xtralis Xchange Tool Item Software Description User Manual The version of the ADPRO/XOh client software that is currently installed on the device. For ADPRO devices only: the Software update pane in the lower part of the screen indicates if you have the latest software installed or not. If the latest version is not installed, the pane shows a list of software versions available for installation. For more information, see Installing New Software on page 71. Information on the Licenses Tab Note You must have connected to the device at least once via Xchange before the Licenses tab is available. Below is an example of the Licenses tab for a device: The following device information is available on the Licenses tab: Item Available Licenses (xx/yy) Installed Licenses (xx/yy) Description If you are logged on, this pane provides an overview of the licenses that are available in your account group for this type of device, ready for installation on the device. If you are connected to an ADPRO device, you will see only ADPRO licenses. If you are connected to an XOh device, you will see only XOh licenses. If you are not logged on, the pane is empty, or shows the licenses that you prepared for the device while you were online. If you have applied a filter to the list, the heading indicates the number of filtered items (xx) and the total number of items (yy). For more information, see Filtering the List of Licenses on page 43. If you are connected to the device, this pane provides an overview of the licenses that are currently installed on the device, including the expiry date and the video channel that uses the license. If you are not connected to the device, this pane shows the installed start-up licenses (if any). If you have applied a filter to the list, the heading indicates the number of filtered items (xx) and the total number of items (yy). For more information, see Filtering the List of Licenses on page _05 31

33 Xtralis Xchange Tool User Manual 6 Organising Devices in Device Groups 6.1 Creating Device Groups and Subgroups If you have many devices to manage, you can organise them into groups and subgroups. You can create as many groups and subgroups as you need. To create device groups and subgroups, proceed as follows: 1. In the menu on the left, click Devices. 2. Click in the bottom right corner to open the device groups pane. 3. Click Add group. The following screen appears: 4. In the Name box, type a meaningful name for the device group. 5. Click OK. The new device group appears in the list of device groups. 6. Repeat for more device groups. 7. To create a subgroup in the new group, you have to open the group first: double-click the group. The navigation bar at the top indicates that you have opened the group: the name of the currently opened group appears in the last section of the navigation bar. 8. Click Add group, type a name for the subgroup, and then click OK to confirm. 6.2 Opening a Device Group To open a device group, double-click it. The upper part of the screen now lists the devices in the group, and the lower part displays the subgroups. Click in the bottom right corner to open the subgroups pane. 6.3 Using the Navigation Bar From any device group or subgroup, click any section in the navigation bar to jump to that group _05 33

34 User Manual Xtralis Xchange Tool 6.4 Changing the Name of a Device Group To change the name of a device group, proceed as follows: 1. In the device group list, position the mouse cursor over the group that you want to rename. 2. Click Edit. The following screen appears: 3. In the Name box, type a new name for the group. 4. Click OK. 6.5 Deleting a Device Group When you delete a device group, Xchange also deletes any subgroups, but it does not delete the devices in the group and subgroups. All the devices in the group and its subgroup(s) move back to the top level. To delete a device group, proceed as follows: 1. In the device list, position the mouse cursor over the device group that you want to delete. 2. Click Delete. 3. Click Yes to confirm. 6.6 Adding Devices to Device Groups To add devices to a device group, proceed as follows: For an existing device: drag the device from the top part of the device list into the desired group. To add the device to a subgroup, first drag the device to the parent group. Open the parent group and then drag the device to the subgroup. For a new device: open the device group, and then click Add device. Xchange automatically adds the new device to the selected device group. Xchange indicates how many devices a group contains: _05

35 Xtralis Xchange Tool User Manual 6.7 Moving Devices between Groups Using the navigation bar at the top of the Devices screen, you can easily drag a device from one device (sub)group back to the top level, or to any of the parent groups. Note You can move a device one or more levels up in one go, but not down. You have to move the device first from the top level to a group, and then open the group and move the device to a subgroup, and so on, one level at a time. To move a device to a different group, proceed as follows: 1. Open the device group or subgroup that contains the device that you want to move. 2. Drag the device to the desired parent group in the navigation bar. Xchange moves the device to the selected level _05 35

36 User Manual Xtralis Xchange Tool 7 License Management 7.1 Credit Tokens When you order licenses, you receive a credit token with a credit number. The credit token can contain one or more licenses. Note The credit number on the token is not the same as the license number. One credit token can contain multiple licenses. It can contain both ADPRO and XOh licenses. 7.2 Redeeming a Credit Token You have to log on to redeem a credit token. You can redeem a credit token only once. To redeem a credit token, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Licenses. 3. Click Redeem your token. The following screen appears: 4. In the Token box, enter the credit number as it is shown on your credit token. If you have received the token in PDF format, you can copy-paste the credit number from the PDF _05

Xchange checks the Xtralis database for the credit number. - If Xchange finds the credit number in the Xtralis database, the message Redeem token successful appears. Click OK to close the message box. Xchange adds the license(s) to the list of available licenses in your account. - If Xchange cannot find the credit number in the Xtralis database (for example because you typed a wrong code), or if you enter a credit number that has already been redeemed, a red border appears around the Token box to indicate an error. Type the correct code and click OK, or click Cancel and check your list of available licenses. After successfully redeeming the credit token, you can install the licenses on the desired devices. 7.3 Installing a License on a Device You can install a license on a device in one go, if you have a connection to the device and an active internet connection to log on. If not, you can first prepare the licenses while you are online, and then go on site, connect to the device, and finish the installation. In this case, see Preparing Licenses for an Offsite Device on page 39, and Installing Prepared Licenses on page 41. Note Some licenses are available in sets. For example, you can purchase IP channel licenses for ADPRO devices in sets of 4. If you purchase such a set, you install or revoke always the complete set. It is not possible to install or revoke only 1 license from such a set. This does not apply to sets of 64 ADPRO IP licenses: you can install and revoke each of the 64 licenses one by one. To install a license on a device in one go, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Devices. 3. Double-click the desired device to connect to it. 4. Click the Licenses tab. The Available Licenses list displays the licenses that are available for installation on the device. Xchange automatically filters the licenses on device type: for an ADPRO device the list only shows ADPRO licenses; for an XOh device the list only shows XOh licenses _05 37

38 User Manual Xtralis Xchange Tool 5. In the Available Licenses list, click the license that you want to install on the device, and then click Install. Note If you have many licenses available, you can filter the list of licenses. For more information, see Filtering the List of Licenses on page Repeat for all the licenses that you want to install. The installation icon indicates the selected licenses in the Available Licenses list. The pane under Click the button to perform the action below lists the selected licenses. 7. If you selected a wrong license to install, click the undesired license in the Available Licenses list, and then click Undo _05

The new licenses appear in the Installed Licenses list. You can now assign the installed licenses to the video channels using the ADPRO/XOh software. For more information, see the documentation of the respective applications. 7.4 Preparing Licenses for an Offsite Device If you are not on site and you cannot connect to the device, you can still prepare the required licenses for the device. This creates a local copy of the licenses on your PC. When you go on site later and connect your PC to the device, you can easily install the licenses on the device without an internet connection. However, to prepare the licenses: You need an internet connection to log on. You must have connected to the offsite device at least once before via Xchange. If not, the License tab for the device is unavailable, and you cannot prepare licenses. To prepare licenses for an offsite device, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Devices. 3. Double-click the desired device. The device details page appears, displaying a message that Xchange cannot connect to the device: 27816_05 39

40 User Manual Xtralis Xchange Tool 4. Ignore the message, and click the Licenses tab. The Available Licenses list displays the licenses that are available for installation on the device. The pane on the right shows the installed start-up licenses (if any). 5. In the Available Licenses list, click the license that you want to install on the device, and then click Prepare. Note If you have many licenses available, you can filter the list of licenses. For more information, see Filtering the List of Licenses on page _05

41 Xtralis Xchange Tool User Manual 6. Repeat for all the licenses that you want to prepare. The installation icon indicates the selected licenses in the Available Licenses list. The pane under Click the button to perform the action below lists the selected licenses. 7. If you selected a wrong license to install, click the undesired license in the Available Licenses list, and then click Undo. 8. When you have selected all the desired licenses, click Download. Xchange downloads the selected licenses to your PC. When finished, the message preparation successful appears: You can now close Xchange until you can go on site and connect to the device. 7.5 Installing Prepared Licenses After you have successfully prepared licenses for an offsite device, you can go on site, connect to the device, and install the prepared licenses. Proceed as follows: 1. Go on site, and make sure that you can connect to the device. 2. Start Xchange. You do not need to log on. 3. Click Devices. Xchange indicates the device for which you prepared licenses as follows: 4. Double-click the device to connect to it _05 41

42 User Manual Xtralis Xchange Tool 5. Wait for Xchange to connect to the device, and then click the Licenses tab. The Available Licenses list contains the licenses that you prepared for this device. Note At this point, you can still remove licenses that you do not want to install: click the desired license in the Available Licenses list, and then click Undo. To see the location of the license file, click the license in the Available Licenses list, and then click Browse to license file. 6. Click Synchronise. Xchange installs the prepared licenses on the device. You can now assign the installed licenses to the video channels using the ADPRO/XOh software. For more information, see the documentation of the respective applications _05

43 Xtralis Xchange Tool User Manual 7.6 Filtering the List of Licenses If you have many licenses available or installed, you can filter the list of licenses. There is a filter for the available licenses, and one for the installed licenses. Filtering Available Licenses To filter the list of available licenses, proceed as follows: 1. In the Available Licenses pane on the left, click Filter. The filter pane opens. 2. Set the filter as follows: - To find a specific type of license (IntrusionTrace, LoiterTrace ), type a part of the name of the license in the Type box. Xchange filters the list as soon as you start typing. - To find licenses that may soon expire, type the minimum number of days left for the license in the Days left box. For example, type 20, and Xchange will display only licenses that have at least 20 more days before they expire. - To see only prepared (start-up) licenses, click Prepared. - To see only account licenses, click Available. - To see all licenses (reset the filter), click All licenses. If you apply a filter, the heading indicates the number of filtered items (10 in the example) and the total number of items (96 in the example). 3. Click Filter to close the filter pane _05 43

44 User Manual Xtralis Xchange Tool Filtering Installed Licenses To filter the list of installed licenses, proceed as follows: 1. In the Installed Licenses pane on the right, click Filter. The filter pane opens. 2. Set the filter as follows: - To see only licenses that are assigned to a video channel, click Used licenses. - To see only licenses that are not assigned to a video channel, click Unused licenses. - To see all licenses (reset the filter), click All licenses. If you apply a filter, the heading indicates the number of filtered items (3 in the example) and the total number of items (6 in the example). 3. Click Filter to close the filter pane. 7.7 Installing a.lic License File Note Although Xchange allows for handling physical files such as license files (.lic) and revocation files (.dat), Xtralis strongly recommends that you avoid the use of such files. Instead, use the Xchange functions as described in this manual so that Xchange can handle all files in the background for you. This prevents sync errors and other issues. You may receive a.lic file to install on a device instead of a credit token. The.lic file may be a legacy license file from the portal site (ADPRO devices only), or a downloaded backup file from the overview of application licenses (see Downloading a License File on page 67). You do not need to log on to install the file _05

45 Xtralis Xchange Tool User Manual To install the.lic file, proceed as follows: 1. Open Windows Explorer and browse to the folder where the.lic file is located. 2. Open Xchange. 3. In the menu on the left, click Devices and double-click the desired device. 4. Click the Licenses tab. 5. Drag the.lic file from the folder onto the Available Licenses pane. Xchange adds the license to the list of available licenses. 6. Click Synchronise. Xchange installs the license on the device _05 45

46 User Manual Xtralis Xchange Tool 8 Start-Up Licenses 8.1 About Start-Up Licenses It may happen that you do not yet have all the required licenses available when you install a new device. To enable you to completely install and commission the device anyway, you can create temporary start-up licenses for the device via Xchange. The following restrictions apply: You can do this only once per device. You can create up to 20 licenses. You cannot create system licenses, only application licenses, IP channel licenses, and PIR-HLI licenses (if appropriate for the selected type of device). The timeframe is limited to 30 days: - After you create the first start-up license, you have 30 days to create additional start-up licenses. - At the end of these 30 days, all start-up licenses expire. This means that you can still create startup licenses on day 29, but these licenses will only work for 1 day. You must replace the start-up licenses before they expire by account licenses. You cannot revoke start-up licenses. Caution! Make sure that you order the required account licenses well in time, so that you can replace the start-up licenses before they expire. Take into account that you may have to go on site to replace the start-up licenses. When the start-up licenses expire, the corresponding applications on the device stop working. In case of IP channel licenses on ADPRO devices, the inputs/outputs and the PTZ of the IP cameras no longer work. The video feeds display NO LICENSE. 8.2 Creating Start-Up Licenses To create start-up licenses for a device, proceed as follows: 1. Open Xchange. 2. In the left menu, click Devices, and then double-click the device for which you want to create start-up licenses. 3. Click the Licenses tab _05

47 Xtralis Xchange Tool User Manual 4. In the Available Licenses pane, click Create. The following screen appears: Note If you do not see the Create button in the Available Licenses pane, you have already once created start-up licenses for this device, and the 30-day timeframe has expired. It is no longer possible to create start-up licenses for this device. Order the necessary licenses as soon as possible via your regular channel. 5. In the list on the left, click the type of license that you want to create, and then click add (or doubleclick the type of license). If you need more than one license of the same type, click add repeatedly until you have the required number of licenses. 6. Repeat for any other start-up license you need. The licenses appear in the Selected licenses list on the right _05 47

48 User Manual Xtralis Xchange Tool 7. To remove a license from the Selected licenses list, or to reduce the number of licenses, click the license in the list and then click delete. 8. When you have added all the required licenses, click OK. Xchange creates the start-up licenses. They appear in the Available Licenses list. 9. Click Synchronise. Xchange installs the start-up licenses on the device. They appear in the Installed Licenses list. You can identify the start-up licenses by the icon. The list shows the number of days that the start-up license will function _05

49 Xtralis Xchange Tool User Manual 8.3 Replacing Start-Up Licenses by Account Licenses When you replace a start-up license by an account license, Xchange simply updates the start-up licenses on the device. There is no need to open the ADPRO/XOh software and make any changes. All the settings in the ADPRO/XOh software remain as they are, and the applications keep working as before. Caution! You must replace the start-up licenses using Xchange as described below. Do not add the account licenses to the device. If you add an account license instead of using it to replace a start-up license, the start-up license will expire and the corresponding application will stop working. IP channel licenses for ADPRO devices are an exception to this rule: the ADPRO device will try and replace expired start-up IP channel licenses by account IP channel licenses. However, Xtralis does not guarantee that your IP cameras will continue to function. Therefore, if you want to be sure that everything works properly without interruption, follow the replacement instructions below. To replace start-up licenses by account licenses, proceed as follows: 1. Order the required licenses via your regular channel. You will receive one or more credit tokens. 2. Redeem the credit token(s). See Redeeming a Credit Token on page In the menu on the left, click Devices. 4. Double-click the desired device. If you cannot connect to the device, ignore the warning message. 5. Click the Licenses tab. 6. In the list of installed licenses, click the start-up license that you want to replace. You can identify the start-up licenses by the icon _05 49

Repeat for any other start-up license. 10. Proceed as follows: - If you are connected to the device, click Synchronise. Xchange updates the start-up licenses on the device. You can skip all following steps. - If you are not connected to the device, click Download. Xchange creates a local copy of the licenses on your PC. You can now close Xchange until you can go on site and connect to the device. 11. Go on site, and make sure that you can connect to the device. 12. Start Xchange. You do not need to log on. 13. Double-click the desired device and wait for Xchange to establish the connection. 14. Click the License tab _05

52 User Manual Xtralis Xchange Tool 9 Revoking Licenses 9.1 About Revoking Revoking a license means that you uninstall a license from a device. Xchange moves the license back in the list of available licenses in your account. You can then install the license on a different compatible device in your account. Remember that ADPRO licenses are not compatible with XOh devices, and vice versa. Note Some licenses are available in sets. For example, you can purchase IP channel licenses for ADPRO devices in sets of 4. If you purchase such a set, you install or revoke always the complete set. It is not possible to install or revoke only 1 license from such a set. This does not apply to sets of 64 ADPRO IP licenses: you can install and revoke each of the 64 licenses one by one. You take care of the full revocation process in Xchange, you do not use the License Portal site. If you still have legacy revocation files available from the License Portal site, you can import them into Xchange. For more information, see Importing Revocation Files on page 53. To revoke a license, you need to connect to the device, but you do not need to log on immediately in Xchange. However, as long as you do not log on, the revoked license remains unavailable for installation on a different device. In this case, Xchange creates a revocation file on your PC. As a workaround, you can transfer that file to another Xchange user (in your account group) who is able to log on. This user can then import the revocation file into Xchange, which moves the revoked licenses to the list of available licenses. For more information, see Importing Revocation Files on page Revoking Licenses To revoke a license, proceed as follows: 1. If the license that you want to revoke is still in use (linked to a video channel on its device), open the client software first, and unlink the license from the video channel. Note For ADPRO devices: if you have a revocable set of 4 IP channel licenses, unlink the license from all 4 video channels first. You can see which video channels are linked to the license in Xchange (in the device s installed licenses overview), or in the ADPRO client software (in the About screen). 2. Open Xchange. If possible, log on. 3. In the menu on the left, click Devices. 4. Double-click the device from which you want to revoke the license, and then click the Licenses tab. 5. In the Installed Licenses list, click the license, and then click Revoke. 6. Repeat for any other license that you want to revoke from this device. 7. If you have revoked the wrong license, click the license in the list of installed licenses, and then click Undo _05

53 Xtralis Xchange Tool User Manual 8. Click Synchronise. - If you are logged on, Xchange immediately moves the revoked licenses to the list of available licenses in your account. You can skip all following steps. - If you are not logged on, Xchange cannot add the revoked license to the available licenses in your account. The following screen appears: 9. Continue as follows: - If you can log on before you need to install the revoked license on a different device, just click OK to close the message box. The next time that you log on in Xchange, Xchange automatically adds the revoked license to the list of available licenses in your account. - If you cannot log on, but you need to make the revoked license available for installation, click Browse. Windows Explorer opens the folder where a revocation file is available (.dat). Send this revocation file to another Xchange user who can log on and import the file into Xchange. Note As long as you do not log on, Xchange indicates that there are revoked licenses available from the device. When you open the device details page, the following indication appears: Click Browse to open the folder where the revocation file is located. 9.3 Importing Revocation Files Note Always revoke licenses using Xchange. Do not revoke licenses via the License Portal. You may have legacy revocation files from the License Portal, or you may have received a revocation file from a colleague without internet access. You can import such revocation files into Xchange, and then manage the licenses further from within Xchange. You need to log on to import the revocation files _05 53

54 User Manual Xtralis Xchange Tool To import revocation files, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Licenses. 3. Click Revoke licenses. The following screen appears: 4. Click the button, browse to the revocation file (.dat), and then click Open. 5. Click OK. The message Token revocation successful appears. 6. Click OK to close the message box. Xchange adds the licenses in the revocation file to the list of available licenses in your account, and deletes the revocation file from your PC _05

55 Xtralis Xchange Tool 10 Timed Licenses User Manual The list of licenses on a device indicates if a license is a perpetual license (no expiry date), or a timed license (with expiry date). The clock to a license s expiry date starts to run at the moment that you install the license on a device. The Xchange option Show the number of days left instead of the expiration date allows you to display either the expiry date (in dd/mm/yyyy format), or the number of days left. List of installed licenses with expiry date for timed licenses List of installed licenses with number of days left for timed licenses For perpetual licenses, the list indicates Unlimited. 56 User Manual Xtralis Xchange Tool 11 Transferring Licenses If you need to replace an existing device, you can transfer all the application licenses from that device to a compatible replacement device in one go. Afterwards, you must revoke the licenses on the source device, or send the device for repair if revoking is not possible. The licenses have status in transfer as long as you do not revoke them on the source device. Caution! You must revoke the licenses on the source device as soon as possible (or send the device for repair if revoking is not possible). If you have licenses in transfer for longer than 60 days, Xtralis locks your Xchange account. In that case, contact Xtralis for assistance. You can transfer from any device, including hidden devices and devices to which you cannot connect, as long as the correct identifier (MAC address) is available in Xchange, and as long as the device belongs to your account group. You cannot transfer licenses between devices that belong to different account groups. For more information on account groups, see Account Groups and Users on page 75. You need to log on to transfer licenses. To transfer licenses from one device to another, proceed as follows: 1. Open Xchange and log on. 2. Make sure that the source device and the destination device are available in your device list. Add the destination device first if necessary. Caution! If you have to add the destination device, make sure that you can connect to it. You must have connected to the device at least once via Xchange before you can transfer licenses to it. 3. In the menu on the left, click Licenses. 4. Click Transfer licenses. The following screen appears: 5. In the list on the left, click the source device (the device from which you want to transfer the licenses). The compatible devices appear in the list on the right. Note If the list on the right remains empty, transferring licenses from the selected device is not possible. This may occur in the following situations: There are no compatible devices available in Xchange. Add a destination device first. The selected device does not belong to your account group. The name of the device turns red when you click it. There are no application licenses on the selected device, according to the information in the Xtralis database. (In this case, there is nothing to transfer.) If the device is out of sync with the Xtralis database, you may see installed licenses when you connect to the device. However, the information in the Xtralis database prevails _05

57 Xtralis Xchange Tool User Manual 6. In the list on the right, click the destination device (the device to which you want to transfer the licenses). 7. Click OK. The message Transfer licenses successful appears. 8. Click OK to close the message box. Xchange transfers all the licenses to the destination device, and marks the licenses as in transfer. 9. In the menu on the left, click Devices. The source device displays the red icon, indicating that you have to revoke the licenses from this device. The destination device displays the icon, indicating that you have to install the transferred licenses. 10. Revoke the licenses from the source device. See Revoking Licenses on page 52. If it is not possible to revoke the licenses, send the device for repair to Xtralis. 11. In the device list, double-click the destination device. If you cannot connect to the device, ignore the warning message. 12. Click the Licenses tab. The transferred licenses appear in the list of available licenses as prepared licenses. 13. Proceed as follows: - If you are connected to the device, click Synchronise. The transferred licenses are now available for use on the destination device. You can skip all following steps. - If you are not connected to the device, click Download. Xchange creates a local copy of the licenses on your PC. You can now close Xchange until you can go on site and connect to the device. 14. Go on site, and make sure that you can connect to the device. 15. Start Xchange. You do not need to log on. 16. Double-click the desired device and wait for Xchange to establish the connection. 17. Click the License tab. 18. Click Synchronise. The transferred licenses are now available for use on the destination device _05 57

58 User Manual 12 Restoring/Updating the System License Xtralis Xchange Tool Note System license management is only available for ADPRO devices About System Licenses As of Xchange version 1.3.5, Xchange creates a backup copy of the ADPRO device s system license on your PC when you connect to the ADPRO device for the first time. You can then restore the system license on the ADPRO device when necessary. The backup copy of the system license includes the encoder card licenses for the analogue video channels. Xchange stores the backup copy in the following location: C:\Users\Username\AppData\Local\Xtralis\XChange Tool\Devices\MAC-Address\System License where Username is the name of the Windows user that is currently logged on, and MAC-Address is the MAC address (identifier) of the ADPRO device. Caution! Xchange creates a backup copy only once, at the first time you connect to the ADPRO device. Xchange does not update the backup copy each time you connect. Xtralis recommends that you back up and restore your system license using the ADPRO client software. Furthermore, if there is an update available for the system license (for example, to upgrade suitable FastTrace 2E or ift units to 32 IP channels with the ADPRO XOa software), you can use Xchange to install the new system license on the ADPRO device. Note For more information about upgrading a FastTrace 2E device to XOa and 32 IP channels, see Field Alert #6 Upgrading to XOa 3 (27881). For more information about upgrading an ift device to 32 IP channels, see Field Alert 7 Upgrading ift to 32 Channels (29477) Restoring a System License You can only restore a system license from a local backup copy if you have connected to the device once before using Xchange version or higher. Caution! Before restoring, consider that the backup copy may be outdated. Remember that Xchange only creates a backup copy once, at the first time you connect to the ADPRO device. If anything has changed in the system license on the ADPRO device since that time, (for example, you have added encoder card licenses), these changes are not included in the backup copy. You can skip all further steps. - If you do not have a connection to your ADPRO device, Xchange only downloads the system license to your PC. 62 User Manual 13 Synchronising Devices Xtralis Xchange Tool A device is out of sync when the license information on the device and the license information in the Xtralis database are different. This may happen, for example, if a license transfer or revocation is not properly completed. In that case, you need to synchronise the device again with the Xtralis database. The information in the database overrides the information on the device. This means that when you synchronise, Xchange overwrites the information in the device by the information from the Xtralis database. Xchange indicates devices that are out of sync by a black exclamation mark in the device list: You need to log on to synchronise a device. To synchronise a device that is out of sync, proceed as follows: 1. Open Xchange and log on. 2. In the device list, double-click the device that is out of sync. The device detail screen appears: 3. To see the differences between the Xtralis database and the device information, click click here for detail. A details screen appears that displays the information in the Xtralis database (Account licenses) and the information on the device (Device licenses). Below is an example: 4. 64 User Manual Xtralis Xchange Tool 14 Synchronising Legacy FastTrace 2 Devices If you upgrade FastTrace 2 devices from a software version lower than V2.06, the system automatically converts your existing analytics licenses to the new license formats. OPD (Outdoor Perimeter Detection) licenses are converted into IntrusionTrace application licenses. Loitering licenses are converted into LoiterTrace application licenses. The following warning appears in the client software: If you see this message, you need to synchronise your upgraded FastTrace 2 device with the Xtralis database. Xchange takes care of this synchronisation process automatically; there is no need to create or upload synchronisation files. To synchronise a legacy device, proceed as follows: 1. If the device is not yet available in Xchange, add it. 2. Connect to the device. Make sure that the connection is successful. Xchange creates a registration file in the background, which contains the information on the licenses currently installed on the device. 3. Log on in Xchange. (You can go offsite if necessary.) Xchange automatically synchronises the licenses on your legacy device. You can now manage your legacy device in the same way as your new devices _05

65 Xtralis Xchange Tool 15 Overview of All Licenses in Account Group User Manual 15.1 License Overview You can see an overview of all the application licenses in your account group. This includes the available application licenses that are not yet installed on a device, and the application licenses installed on all the devices in your account group. It does not include system licenses or encoder card licenses. You need to log on to see the overview of all licenses. To see an overview of all licenses in your account group, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Licenses. 3. Click the Overview tab. The overview contains the following information: Item Type In use Device Expiration date/days left In transfer Description The license type. For example: IntrusionTrace, IP-Channel, SmokeTrace Indicates if the license is currently in use = installed on a device. The name of the device on which the license is currently installed. This is the name used to register the device in the Xtralis database (= when the device was added for the first time). It may differ from the name in Xchange, if you have changed it afterwards. For timed licenses, this columns shows either the expiry date or the number of days before the license expires. If the license has already expired, the column shows Expired. For perpetual licenses, the column shows Unlimited. Indicates if the license is currently in transfer _05 65

66 User Manual Xtralis Xchange Tool 15.2 Filtering the License Overview You can filter the license overview to easily find the information you need. To filter the license overview, proceed as follows: 1. At the top right of the overview, click Filter. The filter pane opens. 2. Set the filter as follows: - To find a specific type of license (IntrusionTrace, SmokeTrace ), type a part of the name of the license in the Type box. Xchange filters the list as soon as you start typing. - To find licenses that are suitable for (temporary) installation, type the minimum number of days left for the license in the Days left box. For example, type 20, and Xchange will display only licenses that have at least 20 more days before they expire. This included perpetual licenses. - To see only licenses that are installed on a device, select Used licenses in the In Use box. To see only licenses that are not installed on a device, select Unused licenses in the In Use box. - To see only licenses that are in transfer, select Licenses in transfer in the In transfer box. To see only licenses that are not in transfer, select Licenses not in transfer in the In transfer box. - To see only licenses that belong to a specific device, type a part of the name of the device in the Device box. Xchange filters the list as soon as you start typing. - To see all licenses (reset the filter), empty the Type, Days left, and Device boxes, and select All licenses in the In Use and In transfer boxes. 3. Click Filter to close the filter pane Hiding Expired Licenses You can hide expired licenses in the licenses overview. Proceed as follows: 1. Click the button in the bottom left corner of the Xchange window. The following screen appears: 2. Click the Show expired licenses switch to set it to the desired position: - To display expired licenses in the licenses overview, set the switch to the right. - To hide expired licenses in the licenses overview, set the switch to the left. 3. 67 Xtralis Xchange Tool User Manual 15.4 Downloading a License File From the overview of all licenses, you can back up a license file (.lic) from the Xtralis database to your local PC. You can only download licenses that are in use (= installed on a device), and only one license file at a time. You can then use the.lic file to re-install via Xchange (see Installing a.lic License File on page 44) or, for ADPRO devices, to re-upload to the ADPRO device via the ADPRO client software. You need to log on to download a license file. To download a license file, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click Licenses. 3. Click the Overview tab. 4. Filter the list of licenses, if necessary. 5. Click the desired license, and then click Download. The following screen appears: 6. Click the button, browse to the folder where you want to store the license file, and then click Save. 7. Click OK. Xchange saves the license file in the selected folder _05 67

68 User Manual Xtralis Xchange Tool 16 ADPRO Software Management Note Software management is only available for ADPRO devices Overview of Available Software Versions The Softwares section of Xchange allows you to manage the software versions for your ADPRO devices. In the menu on the left, click Softwares to see the list of available software versions. This list includes: Software versions that are stored on your PC = software that you have downloaded before. New software versions available for download. Prerequisites: if any prerequisite installation is required before installing new software, it appears as a separate item in the list, as long as you did not download it. After downloading, the prerequisite disappears from the list. For a brief description of the main new features and improvements in a software version, click Learn more. From this screen, you can download new software and manage the legacy versions Filtering the Software List You can filter the software list so that it only displays software for ADPRO devices of one type: for the FastTrace 2 Series or for the ift Series. To filter the software list, proceed as follows: 1. Click Filter in the top right corner of the software list: 2. Select or clear the check boxes as required. Xchange filters the software list immediately Automatic or Manual Downloading Xchange can download new software automatically to your PC if you have an active internet connection. When you launch Xchange, it checks if there is new software available from Xtralis, and starts downloading immediately. It also downloads any prerequisites _05

69 Xtralis Xchange Tool User Manual Xchange does not install the software automatically. You decide if and when you update the ADPRO devices. Xchange also automatically installs the prerequisites for you. You do not need to install these separately. If you do not want Xchange to automatically download new software (for example because you have a slow internet connection), you can choose to download software manually at a moment that suits you better. To choose between automatic or manual downloading, proceed as follows: 1. Click the button in the bottom left corner of the Xchange window. The following screen appears: 2. Click the Automatic firmware downloading from portal to local cache switch to set it to the desired position: - To download new software automatically, set the switch to the right. - To download new software manually, set the switch to the left. 3. Click OK Downloading Manually If you have set up Xchange for manual downloading, and there is new software available, Xchange shows the new version on top of the list of available software versions. The button indicates that you still need to download the software. To manually download new software, proceed as follows: 1. Make sure that you have an internet connection. You do not need to log on _05 69

70 User Manual Xtralis Xchange Tool 2. In the menu on the left, click Softwares. Xchange shows the list of available software versions. New software appears on top of the list. 3. Click the button to download the software. If there are several new software versions (and/or prerequisites) available, click Restart all pending downloads to download all items. You do not have to wait for the downloads to finish: you can perform other tasks in Xchange during downloading. The rotating arrows in the screen indicate that Xchange is busy downloading: 4. To pause downloading an item, click the button, or click Pause all current downloads to pause all downloads. To resume downloading, click the downloads. button again, or click Restart all pending When Xchange has finished downloading, the rotating arrows disappear and the button appears next to the downloaded software. You can now install the new software on the necessary ADPRO devices. Remember that downloaded prerequisites disappear from the list. Xchange will install them automatically when required Identifying ADPRO Devices with Old Software Versions Xchange can add an icon to the ADPRO devices with out-of-date software versions in the device list, so that you can easily identify which ADPRO devices need updating: _05

71 Xtralis Xchange Tool User Manual To set up Xchange to indicate ADPRO devices with old software, proceed as follows: 1. Click the button in the bottom left corner of the Xchange window. The following screen appears: 2. Click the Show firmware update available icon switch to set it to the desired position: - To display the software icon in the device list, set the switch to the right. - To hide the software icon in the device list, set the switch to the left. 3. Click OK Installing New Software After you have downloaded new software (automatically or manually), you can install it on the required ADPRO devices. Xchange also takes care of installing any prerequisites. Caution! Xtralis issues upgrade information with every major software upgrade (typically in a Field Alert). Upgrade information may consist of system requirements, special upgrade instructions, etc. Before installing new software, make sure that you read and understand the upgrade information first. Always follow the instructions in the upgrade documentation. If in any doubt, do not install the software. You can find upgrade instructions on the Xtralis Security Support site To install a new software version on an ADPRO device, proceed as follows: 1. Before you install new software on an ADPRO device, first open the ADPRO client and make backups of: - System license - User data - Configuration data - Camera definition - Calibration pictures (available from version XOa 3.00). For more information, see the XOa Client Software User Manual (21796). 2. Make sure that you can connect to the ADPRO device. 3. In the menu on the left, click Devices _05 71

In the Software update pane, select the software version that you want to install, and then click Update. Xchange starts installing the software on the ADPRO device. After installation, the ADPRO device reboots. When the installation is finished, the following screen appears: _05

73 Xtralis Xchange Tool User Manual 6. Click OK. The Device Details pane shows the new software version. The Software update pane indicates that you have the latest version installed. Note After installing the software on the ADPRO device, you may also need to install new client software on your PC. Xtralis recommends to have device (server) software and client software on the same version. If the software on the device is newer than the client software on your PC, you receive a warning message when you open the client software. System configuration in the client software is unavailable until you update. For instructions on installing the ADPRO client software, see the XOa Client Software User Manual (21796) Reinstalling Software If you experience any problems, you may try reinstalling the existing software on the ADPRO device. Proceed as follows: 1. Use the ADPRO client to make any required backups first. 2. In the menu on the left, click Devices. 3. Double-click the desired ADPRO device. 4. In the Software update pane, click Reinstall software. Xchange starts reinstalling the software on the ADPRO device. After installation, the ADPRO device reboots. When the installation is finished, the following screen appears: 5. Click OK _05 73

74 User Manual 16.8 Deleting Older Software Versions You can delete older software versions, if you do not need them any longer. Xtralis Xchange Tool Caution! You can (re-)download only the latest software version via Xchange. Older versions are not available for download. Xtralis recommends that you keep at least the previous version, plus all software versions that are still active on your (legacy) devices. To delete a software version, proceed as follows: 1. In the list of software versions, click the button of the version that you want to delete. 2. Click Yes to confirm _05

75 Xtralis Xchange Tool User Manual 17 Account Management 17.1 Account Groups and Users An account group is a group of Xchange users that can manage the same pool of licenses and devices. If you are the first person in your organisation to work with Xchange, you register your account via the License Portal site. This creates a new account group on the address that you provide. You are automatically granted administrator rights to the account. If you have administrator rights, you can add users to your Xchange account group. All users in the same account group share licenses. If one user in the group adds licenses to the account (by redeeming a credit token), the new licenses appear in the list of available licenses for any user in the same group. Any user can then install the licenses on a device. Likewise, if one user in the group revokes a license from a device, the license becomes available again to all users in the group. Devices also belong to an account group. The first user that adds a device to Xchange, determines the account group to which the device belongs. Any user in the same account group can install new software, or install/revoke licenses on that device. However, when you open the device list, Xchange does not automatically display all the devices in the account group. All users in the group have to add the devices in their device list, and create their own device groups. This allows each user to have a limited list with only the devices that are in their care. It is not possible to manage licenses or devices that are in a different account group. However, it is possible to merge different existing account groups into one. For example, one of your colleagues has also registered via the License Portal site, instead of requesting a username and password from you. Your colleague then belongs to a separate account group. If you have administrator rights, you can add your colleague s account to yours. For more information, see Merging Existing Account Groups on page 80. It is technically possible to add devices to your list in Xchange that are already registered in a different account. If you know the identifier or IP address, and a valid username and password (for ADPRO devices), you can connect to the device and consult the device information (software, installed licenses). However, you cannot install licenses on such a device. Xchange indicates devices that belong to a different account group by a red exclamation mark in the device list: 17.2 User Profiles Xchange knows the following user types, or user profiles, each with their own access rights to the Xchange application: Administrators: Administrators can perform all the tasks described in this manual. Technicians: Technicians can perform all daily maintenance tasks, but the following restrictions apply: - They can only edit their own user data. - They cannot merge account groups Account Information The My Account section in Xchange allows you to display account group information, and to manage account groups and users. You need to log on to access the My Account section. To display account information, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account. The My Account screen consists of several tabs. Each tab is described in detail below _05 75

76 User Manual Xtralis Xchange Tool Information on the General Tab The General tab contains the following information: Item Name Blocked Administrators Number of out of sync units Number of times that support has unbound licenses to a device Number of times a revocation is attempted Number of created Licenses Description The name of this account group. By default, the account group name = the address of the first registered user in the group. Indicates if the account group is blocked. If an account group is blocked, the users in the group can still log on, but cannot create or transfer licenses. Contact Xtralis for assistance. This is a list of addresses of Administrators in the current account group. To send an to an Administrator, click the button in front of the Administrator s address. The number of devices in this account group that are out of sync. For more information, see Synchronising Devices on page 62. The total number of times that Xtralis Support has unlinked existing licenses from a device. This may be necessary, for example, if a device has suffered irreparable damage. The total number of times a user has tried to revoke a license via Xchange in this account group. This includes revocations on all the devices in the account group. The total number of start-up licenses that were created in this account group. For more information, see Start-Up Licenses on page 46. Information on the Users Tab The Users tab displays a list of the existing users in the account group _05

77 Xtralis Xchange Tool User Manual The user list contains the following information: Item First name/last name address User profile Blocked Description First and last name of the user address of the user. The user profile for Xchange: Administrator or Technician Indicates if the user is blocked. Xchange blocks users after 4 unsuccessful attempts to log on. If there are many users in the account group, you can sort or filter the list to quickly find a user. Proceed as follows: 1. To sort the user list, click the column titles at the top of the list. Xchange sorts the list in ascending order (0 9, A Z). Click the column title again to sort in descending order. 2. Click Filter to display the filter options: 3. Filter the user list as follows: - To filter on name, type (a part of) the first or last name in the First name or Last name boxes. Xchange applies the filter as soon as you start typing. - To filter on address, type (a part of) the address in the address box. Xchange applies the filter as soon as you start typing. - To see only Administrators or Technicians in the list, select the desired profile in the User profile box. - To see only blocked or unblocked users, select the desired option in the Blocked box. Information on the History Tab The History tab displays a log of the actions in the account: 27816_05 77

Username (= address) of the user that performed the action. The action that the user performed (Synchronise, ConsumeLicense, TransferLicense ) More details on the action (license number, device ID ) 17.4 Adding Users If you add a user, Xchange adds the new user to your account group. The new user will automatically see all the licenses available in your account group. Note If you add a user in Xchange, this user also has access to the License Portal with the username and password that you provide in Xchange. This allows new users to download the Xchange software for installation on their PCs. Only Administrators can add users in Xchange. To add a user to your account group, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account. 3. Click the Users tab, and then click Add user. The following screen appears: 4. Provide the following information (all fields are mandatory): - First name/last name: type the first and last name of the user. - address: type the user s address. The address is the username for logging on. - Password: type a password for the user. The password must be minimum 6 characters long. - Confirm password: type the password again. - Language: select the language for the user. - User profile: select the type of user, Administrator or Technician. For more information, see User Profiles on page Click OK _05

79 Xtralis Xchange Tool User Manual 17.5 Editing Users As an Administrator, you can edit any user s data. As a Technician, you can only edit your own user data. Note You cannot change the address of an existing user. If a user s address changes, create a new user with the new address, and delete the old user. To edit user data, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account, and then click the Users tab. 3. In the user list, click the user that you want to edit, and then click Edit user. 4. Change the necessary user data. 5. If you also want to change the user s password, click Edit password. Type the existing password in the Old password box, and type the new password in the Password and Confirm password boxes. 6. When finished, click OK to save the changes Changing Passwords If you only want to change a password (your password or some other user s), proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account, and then click the Users tab. 3. In the user list, click the desired user, and then click Change password. 4. Type the new password in the Password and Confirm password boxes. 5. Click OK to confirm Unblocking Users Xchange blocks users after 4 unsuccessful attempts to log on. Note If you use the License Portal site or the Xtralis Security Solutions Support site, your user account is blocked after 3 unsuccessful attempts to log on to these sites. You can then no longer log on to Xchange either. As an Administrator, you can unblock other users in your account group. If you are the only user in the account group, contact Xtralis for assistance. To unblock a user, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account, and then click the Users tab. 3. In the user list, click the user that you want to unblock, and then click Unlock user. The user can now log on again Deleting Users Caution! Make sure that you always keep one Administrator user. To delete a user, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account, and then click the Users tab _05 79

Click Yes to confirm Merging Existing Account Groups It is possible to merge different account groups. If you merge account groups, the available licenses from the account groups are joined into one group. Likewise, the devices that are registered to the different account groups are joined into one group. If the account group that you merge contains more than one user, Xchange adds all users to the merged account group. As an Administrator, you can send a request to one or more other account groups to merge accounts. The Administrator user(s) in the other account group receive an with the merge request. Only if an Administrator user in that group accepts the request, Xchange joins their account to yours Sending a Merge Request To send a request to merge an existing account group with your account group, proceed as follows: 1. Open Xchange and log on. 2. In the menu on the left, click My Account. 3. Click the Utilities tab, and then click Merge account groups. 4. Type the address of the account that you want to join to your account group, and then click Add. 5. Repeat if you want to merge more account groups. 6. Click OK. Xchange sends s to the Administrator user(s) in the groups, notifying of the request to merge the accounts. The following message appears: 7. Click OK to close the message box _05

81 Xtralis Xchange Tool User Manual Accepting or Rejecting a Merge Request You need an internet connection to accept or reject a merge request. To handle a merge request, proceed as follows: 1. In the with the merge request, click the link. The License Portal site opens in your browser: 2. Log on to the License Portal site. Use the address and password that you use for Xchange. The Merge Account Group page opens. 3. To accept the merge request, click Yes. Xchange sends a notification to the account Administrator that you accepted the merge.
