17 BUILDING AND FIRE CODES Exhibitor assumes total liability for physical damage or personal injury resulting from the installation, operation or dismantling of the exhibit. Exhibitor assumes total responsibility for fabricating and maintaining exhibit pursuant to all applicable local, state and national building and fire codes. Failure of an exhibitor to adhere to or comply with these codes may subject the exhibitor to additional liability in connection with such failure or negligence. Exhibitor has agreed to indemnify, defend and hold harmless Show Management. (The Safety Code and the BOCA National Building Code pamphlets may be purchased by calling , or at iccsafe.org and click on ICC Store.) COBO CENTER REQUIREMENTS Alterations to Cobo Center Cobo Center Building Alteration Request, Form 9AS, must be received and approved by Cobo Center Management before alterations, changes or modifications may be made to the Cobo Center structure. Form 9AS must be submitted to Rajiv Chopra Cobo Center, One Washington Boulevard, Detroit, MI 48226; phone ; fax Modifications to the building include, but are not limited to, painting building surfaces, attachments to building floor, walls and ceiling (attachments to exhibit hall ceiling steel, i.e., lighting trusses, are not included in this condition provided that the rigging points conform to the information in Cobo Center Exhibit Hall Guidelines or rigging points that have been approved by the Review Engineer and Cobo Center exhibit plan review process). All repairs of these modifications to return the building to its original condition must be done by contractors approved by Cobo Center, using material approved by Cobo Center at the expense of the exhibitor, and must be completed within the occupancy dates of the NAIAS move-out schedule. A deposit, as determined by the Cobo Center General Manager in consideration of the costs of repairing the modifications, must be paid prior to the start of the modifications and will be held by Cobo Center until the repairs are completed to the satisfaction of Cobo Center. In the event that the repairs are not completed as described above, the deposit will be forfeited. When marking your individual exhibit area, Cobo Center requires that you do not use paint. Cobo floors can be marked using chalk or approved tape which must be removed during the scheduled move-out days. Building Load Analysis and Approvals All exhibit drawings must be signed and sealed by a Michigan licensed engineer (see Contacts) for static structural verification. Submittals must be made electronically & 2 hard copy s in 11x17 (tabloid) format, signed and sealed by a Michigan licensed engineer. Electronic drawings should be submitted in addition to the hard copy s to speed up reviews, but electronic drawings submitted as the sole documentation will not be accepted for this approval process. After the exhibit structural drawings are signed and sealed, Cobo Center requires that Cobo Center s Review Engineer approve exhibit drawings for all structural loads to be placed on the building floors, columns and ceilings prior to move-in. Please submit public exhibit/press exibit structural load drawings as soon as possible, but no later than November 2. Press load drawings must be submitted no later than November 16. However, press drawings submitted separately from the exhibit structural loads at a date later than November I may incur additional hourly costs at a rate of $ per hour. Exhibitors scheduling a move-in date prior to November 16 must submit their drawings a minimum of three weeks prior to the move-in date (i.e., a move-in date of November 2 would require that drawings be submitted by October 7). Any changes to the exhibitors design/structural loads that occur after the original submittal/approval must be resubmitted for approval. Please advise Cobo Centers Review Engineer as soon as possible if you will be resubmitting structural loads. The cost for Cobo Center s Review Engineer structural load approval is a non-refundable fee of $0.20 USD per contracted square foot (check to be payable to Chaves Associates, Inc., drawn on a U.S. bank and included with the drawing submittal). Any additional approval time due to changes or additions to the scope of work will be charged in addition to the base fee at a cost of $ per hour and time-and-a-half for overtime, if applicable. Cobo Center s Review Engineer will be approving the structural load drawing based on the following criteria: EXHIBIT CONSTRUCTION 17

18 a) All drawings, notations, written text, etc. MUST BE IN THE ENGLISH LANGUAGE and all measurements, weights, calculations, etc. MUST BE IN IMPERIAL UNITS. b) Weight of exhibit components. Each component must be outlined with its measurements including the weight. c) Double deck structures should reveal weight loads per footing or concentrated load. d) Weight of fixtures that will be rigged to the Cobo Center ceiling, with load weights per rigging point should include all lights (including battery pack emergency fixtures), dimmer and lighting boards attached to the building steel, trusses, projection equipment, video devices, HVAC, signs, etc. assembled in one consolidated drawing. The consolidated drawing must include both exhibit loads and press event loads. Also include a single line load diagram plan (one set only). A detailed drawing must also be provided to illustrate the number of lights, projection equipment, video devices, etc. attached to the trusses and the weight of the fixture. The load drawings submitted must be accompanied by load calculations. e) Description of any modification being proposed to the Cobo Center facility. All drawings are to have a North arrow on them and each exhibit is to be oriented, dimensioned, and located from the Cobo Center column lines. f ) The exhibitor is responsible for verifying all field conditions. g) The sub-contractor/michigan licensed engineer signing and sealing the structural loads of the exhibit must be the single source of information transaction with Cobo Center s Review Engineer. No drawings are to be submitted by a sub-contractor/michigan licensed engineer unless previously coordinated with the Prime Exhibitor/Contractor and notification has been given to Cobo Center s Review Engineer by the Prime Exhibitor/Contractor. h) Each Exhibitor shall include the weight of emergency lighting on their exhibit s drawings. i) The prime exhibit contractor/ Brand Manager shall be the single point of contact for all Payment-related issues. j) Prior to submitting any information to Cobo Center s Review Engineer, each exhibitor must to Cobo Center s Review Engineer informing them of the following; 1) the exhibit/brand that you are managing, 2) any special conditions and, 3) when Cobo Center s Review Engineer should expect to receive the exhibit documents. It would be beneficial for the exhibitor to make direct contact via with Cobo Center s Review Engineer to review the exhibit design with their engineers. The information within this tool must be referenced and guidelines followed when engineering the exhibit s structural loads on Cobo Center. Final layout is subject to Cobo Center s Review Engineer s approval. l) Exhibitors will not be allowed to raise their truss until the structural drawings have been approved by Conti- HTE/Cobo Electrical s Review Engineer. The exhibitor must present to Cobo Center Management and Convention & Show Services (CSS) Management copies of all plans approved by NAIAS, Detroit Fire Marshall and Cobo Center s Review Engineer ten days prior to the first move-in day of the display. Structural Engineering Prior to load verification, each exhibitor s engineering drawings must be analyzed for static loads on the building by a licensed Michigan structural engineer. All approved drawings will be signed, stamped and forwarded on to the Cobo Center s Review Engineer. For your convenience, and to be used at your discretion, please review our Contacts for a list of Michigan engineering/architectural firms that may be contacted to analyze, sign and stamp your drawings. All submissions must be in both hard copy and electronic files. Please refer to Cobo Center Requirements for Exhibit Approvals for more specific requirements. EXHIBIT CONSTRUCTION 18

19 Load Capacity The Cobo Center floor specification is constructed to hold the following weights: Halls A, B, C and D Hall E 300 lbs. per square foot 650 lbs. per square foot Certain areas of Hall B and Hall C have lower floor loading capacities of 220 lbs. per square foot. Suspended Signage Hanging of signs, drapes, etc., must be arranged through the show contractor, Convention & Show Services (CSS). All signs, regardless of size, should be constructed of lightweight flameproof cardboard, metals, plastics, etc. No signs are to be hung from any Cobo Center building electrical fixtures, water, gas/air/fire protection piping, supports or hangars. All electrical and neon signs must conform to electrical codes required by Cobo Center. DESIGN PHASE Field Measurements Show Management will provide a dimensioned layout of each exhibitor s space at Cobo Center as well as the general location of building structures that are in or adjacent to the exhibitor s space (i.e., columns, building walls, concession stands). It is the exhibitor s responsibility to determine, through field measurements, definitive dimensions as to the location of such structures that may have a bearing on the fabrication of the exhibitor s properties. Exhibitors will be notified when the Cobo Center floor has been laid out and is available for field measurements. When marking your individual exhibit area, Cobo Center requires that you do not use paint. Cobo floors can be marked using chalk or approved tape which must be removed during the scheduled move-out days. Safety Code Compliance Exhibitors must comply with all federal and state laws, including but not limited to MIOSHA, ADA, Michigan Barrier Free, and BOCA, all Rules and Regulations prescribed by the management of the building and Show Management, and the Police and Fire Departments of the City of Detroit. Compliance with applicable laws and regulations is the sole responsibility of the exhibitor. During the course of the show, if events occur which may cause hazardous or unsafe conditions to attendees of the show in the exhibit space, the exhibitor will take precautions to identify the area and provide appropriate corrective action to protect the safety of the public. Aisles to Exhibit Transition: Flooring must be flush or ramped at a maximum pitch of two inches for every 12 inches. No lips. Ramps must have non-slippage material, cautionary signage if necessary, and comply with legal requirements. Floor surfaces should be such that the skid strips, etc., allow for ease of cleaning during and/or after show hours. In the absence of a transition agreement between contiguous exhibitors, exhibits shall be at floor level at three feet from the exhibitor s boundary between contiguous exhibits. As a guide, the exhibitor with the higher floor shall provide for the transition between exhibits. Any deviations must be approved by Show Management. NAIAS encourages neighboring exhibits with contiguous borders to share floor plans and resolve issues prior to set-up. Design Approval Process The floor plan submission process has slightly changed. There have been issues with plans not being submitted to necessary parties in a timely manner. This new process should help with that and also help to plug some of the communication breaks that exhibitors have been experiencing. EXHIBIT CONSTRUCTION 19

20 You must submit a preliminary floor plan to the Exhibit Compliance Department (atrudeau@dada.org) by October 30. Preliminary plans should strive to have all large structures in their final locations. Show Management will review the plan with the fire marshal and provide feedback and initial approvals. The same preliminary plan can then be sent to Johnson Controls (JCI) for fire alarm panel placement. Conti-HTE/Cobo Electrical will maintain contact with JCI to receive the preliminary plan to be submitted to the City of Detroit, Building and Safety Engineering Department, for necessary stamps and approvals. Final Floor plans must be resubmitted no later than January 1. All changes from the preliminary plan must be called out and labeled. Final plans and a summary of updates from the preliminary submission should be made available during final inspections. All exhibit designs submitted for approval must include: FORM 1AS Engineering plans with dimensions of each level (two story/multi-level). Engineering plans with dimensions defining all applicable easements and dimensions of exhibit components. Elevation views from all sides defining dimensions of all applicable easements. Plan and elevation view of lighting truss and ceiling scrim with dimensions, trim height and relationship to the exhibit space, aisles and contiguous neighbors. Plan and elevation view of all suspended components and signs with structure dimensions, trim height and defining easement dimensions. Renderings of exhibit from several points of view. Design Changes Form 1AS must be resubmitted if changes affecting easements occur after the original submission approval. Approval or denial will be confirmed in writing by Show Management. Press Event Approval Process All press event designs submitted for approval must abide by all the same requirements as above under design approval process, plus the addition of the layout of audience seating and media platform(s). Request for Variance Requests for variances must be submitted concurrently with the submittal of requests for exhibit and press event approvals. Form 8AS must be submitted, no verbal requests or approvals will be given consideration. Approval or denial will be confirmed in writing by Show Management. DISPLAY COMPLETION Exhibit Fit and Finish A standard of exhibit fit and finish is expected to be provided by each exhibitor. Poor fit and finish such as unfinished exposed surfaces, poor quality and makeshift structures that reflect poorly on the overall appearance of the show, determined at the discretion of Show Management, will not be permitted. The exhibitor will be required to bring the exhibit up to standard. Show Management reserves the right to have an exhibitor remove portions of a stand that were not approved or included on the exhibit print submitted to Show Management. Show Management also reserves the right to have an exhibitor remove portions of a display, which upon set-up, are not aesthetically acceptable to Show Management. An exhibitor will be responsible for costs associated with removal of such parts of displays. Exhibit areas less than 4,000 square feet may be subject to additional restrictions or exclusions of rules due to space limitations, at the discretion of Show Management. Show Management will have an inspector on the show floor during set-up to enforce all rules and regulations prior to and during the building of exhibit structures. EXHIBIT CONSTRUCTION 20

21 Floor Covering/Raised Floors Each exhibitor s space must have floor covering, but floor covering must not be sealed to the building floor in such a fashion as to damage or deface the floor, or be installed in such a manner as to pose a safety hazard. Exhibitors are responsible for the final condition of the floor in their space. Columns Exhibitors must decorate the columns within their area up to a height of 29 feet in Hall A, Hall B, Hall C and Hall D and up to 18 feet in Hall E. In Hall E, air vents and emergency lights are located on the columns and cannot be covered or obstructed. Shared columns must be decorated by adjoining exhibitors to the extent included within the exhibit space. Exhibitor must relocate all fire extinguishers enclosed by the exhibitor s column cover to the exterior of the column cover to a position approved by the Fire Marshal. Exhibitor is responsible for duplicating fire extinguisher signage to a visual position on the outside of the column cover. Upon completion of the show, all fire extinguishers and signage must be returned to their original position. Fire alarms, including hearing impaired fire alarms, cannot be covered or blocked by exhibit materials or curtains. Press Preview Protective coverings over installed carpet should be scheduled for removal on Thursday, January 7, in preparation for aisle carpet. All exhibit construction must be complete by Saturday, January 9. Press Preview begins on Monday, January 11 through Tuesday, January 12. Exhibits must be fully operational and staffed for Press Preview. A Press Conference Schedule will be available in December on the NAIAS website, naias.com. Concerns have been expressed about expectations for special set-up and dismantling of displays during Press Preview, and also the building of new display(s) prior to the Public Show opening. As a result, exhibitors that are planning a special set for their press conference must review their set-up and dismantle schedule with Show Management by December 1 and receive written approval prior to set-up. Show Management will require exhibitors with approved special sets for Press Preview to work through the night to completely reconstruct exhibits prior to the opening of the Industry Preview and Public Show. To maintain a professional appearance for media attending during Press Preview and also as a courtesy to all exhibitors, construction or dismantling cannot occur during press events without Show Management approval. Bleachers Bleachers and chairs are prohibited in the aisles. Bleachers and chairs can be used during Press Preview providing they are within the exhibitor s space and comply with easement and setback rules. Chairs must be removed immediately following the completion of the press conference. Any deviations from this rule are subject to Show Management approval. Draping All drapes must be flame-retardant and exhibitor must have a certificate available on site. Draping may be used, subject to Show Management s discretion and approval, to cover large structure(s) or unveiling area(s) during set up and Press Preview; it must be set back a minimum of ten feet from the aisle and contiguous borders. Any other movement of drape during press conferences must be approved by Show Management. DRYWALL Approval must be obtained prior to any drywall work. 22 EASEMENTS MAIN FLOOR EXHIBITS Contiguous Border Agreements Contiguous border exhibitors may negotiate, between themselves, easement agreements that grant variances from the show easement rules. Such variance agreements require Show Management approval and will be granted if they are considered to be in the best interest of the show. Exhibitors involved must submit the Contiguous Border Agreement Form 6AS to Show Management for final approval. During negotiations of variance issues, exhibitors must reveal to their contiguous exhibitor(s) and Show Management all exhibit elements requiring a variance that are within 15 feet of the contiguous border. Public Access Requirements 40% or less of exhibit display area may be comprised of vehicles and structures, thus allowing a minimum of 60% of open area for attendees and floor traffic. (Calculate by subtracting all non-public accessible display area and all vehicle-dedicated area from gross exhibit area and divide by gross exhibit area.) Gross exhibit area - (Non-public display area + Vehicle-dedicated area) = Attendees and floor traffic space Gross exhibit area (Must be > 60%) Ground floor levels, raised floors, and elevated platforms in the exhibit display area accessible to the attendees and floor traffic will be included in calculating the percentage of space area for attendees and floor traffic. Levels above the ground level of a two-story structure will not be included in calculating percentage of open area for attendees and floor traffic. Stanchioned areas may be excluded from this requirement with Show Management approval; otherwise exhibitor must abide by stanchion rule. Easements-Vertical All exhibitor space easements also apply vertically to suspended structures and signs within an exhibitor s air space. Height Restrictions Exhibitors displays that exceed height restrictions and/or vary from that which has been approved by Show Management will require modification to conform to show regulations. Stanchions Rail or roped off areas must be a minimum of four feet from the aisle and four feet from contiguous exhibit border. Vehicles Vehicles must be a minimum of two feet from aisles and contiguous exhibit borders. Two-Story/Multi-Level or Large Solid Structures (Non-Perimeter) Two-story/multi level or large solid structures including suspended structures (as determined by Show Management) are acceptable, but may not be located within designated easement areas. Any deviation from this rule is subject to Show Management approval. Refer to Cobo Center Structural Properties Drawings for maximum hanging loads per truss panel point. These drawings and CAD files (Auto CAD 2000 format) are available by contacting Cobo Center. Aisle Side Easement: 25 feet or 25% of exhibit space depth (calculated by measuring the distance from aisle to opposite side border), whichever is less. Contiguous Border Easement: Minimum of ten feet or ten percent of exhibit space depth (calculated by measuring the distance from contiguous exhibit border to opposite side border), whichever is less. Height: Maximum exhibit structure height is 25 feet (15 feet in Hall E). Traffic Flow: Within the 25% set-back from the aisle (in which no major structure may be built) certain structures (video walls, turntables, signs, etc.) are allowed. The placement of such structures must not create extensive visual or physical barriers as viewed or approached from the main aisle, side aisles or contiguous borders. EXHIBIT CONSTRUCTION 22

23 Arches, stanchions, balustrades, handrails, cantilevered glass barriers, etc., and/or other openings, specifically those located in non-public access areas, may be exempt. Show Management reserves the right to review such layouts and to require changes that would be in the best interest of the show. Aisles: All show floor aisle space is to facilitate ease of public movement and emergency access/egress. Aisle space is not part of the exhibitor s space except in situations that involve overhead rigging or scrim. Exhibitors are required to stay within the exhibitor s space, and the aisles adjoining their exhibits must remain free and clear of any exhibitor s display materials or equipment, from the floor to the ceiling, at all times. Any deviations from these rules are subject to Show Management approval. Two-Story/Multi-Level or Large Solid Structures (Perimeter) Two-story/multi-level or large solid structures including suspended structures (as determined by Show Management) are acceptable, but may not be located within designated easement areas. Two-story structures that border the east wall of the hall must maintain a ten-foot aisle/safety corridor between the building wall and any exhibit structure under the overhang. Any deviation from this rule is subject to Show Management approval. Refer to Cobo Center Structural Properties Drawings for maximum hanging loads per truss panel point. These drawings and CAD files (Auto CAD 2000 format) are available by contacting Cobo Center. Aisle Side Easement: 40 feet or 40% of exhibit space depth (calculated by measuring the distance from aisle to opposite side border abutting the wall), whichever is less. Perimeter exhibitors with multiple brand exhibits totaling 100,000 square feet or more must provide a large structure set back easement from the aisle of 25 feet. Entrance and Egress Aisles Easement: Exhibit display must allow a no-build zone easement of 20 feet, as measured from main entrance/egress aisles. Contiguous Border Easement: Minimum of three feet calculated by measuring the distance from contiguous exhibit border to opposite side border. Height: Maximum exhibit structure height is 25 feet (15 feet in Hall E). Traffic Flow: Within the 40% set-back from the aisle (in which no major structure may be built) certain structures such as video walls, turntables, signs, etc., are allowed. The placement of such structures must not create extensive visual or physical barriers as viewed or approached from the main aisle, side aisles or contiguous borders. Arches, stanchions, balustrades, handrails, cantilevered glass barriers, etc., and/or other openings, specifically those located in non-public access areas, may be exempt. Any deviations from these rules are subject to Show Management approval. Perimeter Exhibit Back Walls Exhibitors on perimeter walls are encouraged to utilize the walls as part of their space. However, contiguous exhibitors are encouraged to discuss their wall decoration so as to have design conformance and continuity of height to the adjoining area, such as a bordering aisle or exhibit. Contiguous exhibitors should build their back walls to the edge of their spaces in order to create the continuity of a continuous back wall. Other than the back wall variance, the easement rules applying to any other class of exhibit structure remain in effect. If not completely covered by exhibitors display wall or signage, the perimeter wall must be draped to a height of 29 feet (18 feet in Hall E). EXHIBIT CONSTRUCTION 23

24 Steps Steps may be allowed within large structure areas and in easement areas. Steps to publicly accessible platforms within easement areas must abide by set-back requirements of two feet from an aisle and six feet from any contiguous border. Riser height to any elevated area/platform must be a minimum of six inches and must not exceed seven inches. A ramp (rather than a step) must provide public access to any elevated area/platform lower than six inches. All publicly accessible platforms must abide by the International Building Code. A single rise platform does not require hand rails; however, good judgment must be used to define a change in elevation. Multiple rise platforms have precautionary requirements as defined in the code book. Display Signage Signage or other exhibit structure may not substantially block the view of another exhibit, and is subject to the approval of Show Management. No signage shall be placed in or on the building walls and ceilings by nails, tacks, screws, wire or adhesive tape without prior approval of Show Management. (See Alterations to Cobo Center, below.) No signage of any kind is allowed above the 25-foot height restriction, unless it is part of a perimeter wall decoration; prior Show Management approval is required. Any sign (structure that holds a brand or model name, turntable or platforms with branding, typical display structures, kiosks-hanging or otherwise, etc.) more than five feet wide and two feet deep must be set back a minimum of 15 feet from the contiguous border and two feet from an aisle. Any signage that is less than five feet wide and two feet deep must be set back a minimum of two feet from an aisle and six feet from the contiguous exhibitor. This rule also applies to signage suspended from the ceiling. Any ceiling-suspended structure may not exceed 25 feet (15 feet in Hall E) as measured from the floor. The placement of structural loads as designed by the manufacturer s exhibit engineer for the suspended ceiling must be signed and sealed by a licensed Michigan engineer and then reviewed and approved by the Cobo Center s Review Engineer. Prior Show Management approval is also required. Cobo Center Building Signage No exhibitor shall in any manner whatsoever obstruct an exit or aisle signage at any time. Exit signage may not be obstructed in any way. Exhibitor must replace, and supplement, if necessary, all obstructed or covered exit signage on walls and columns. Any restroom signage that is covered or obstructed by a display must be replaced/supplemented, if necessary, as determined by Cobo Center at the exhibitor s expense. Cobo Center graphics, signs or displays may not be blocked in any manner. During move-out, following the event, all wires, hooks, and hanging materials used to hang signs must be removed. (See Load Capacity.) ELECTRICAL Important 2016 NAIAS Information There are some additional safety procedures that are being required by the City of Detroit, Building and Safety Engineering Department - Electrical Division. They are as follows: 1. All equipment must bear a North American listing mark as evidence of evaluation by a testing laboratory approved by the Occupational Safety and Health Administration (OSHA). 2. Product description sheets, including listing information, must be submitted 45 days in advance to Conti- HTE/Cobo Electrical for review and approval by the City of Detroit Electrical Inspection Division before placement. 3. Any dimming equipment employing solid-state phase control technology will be installed under requirements contained in Article 520 of the National Electric Code. 4. Platform scaffolding and floor sheathing will be of a non-combustible material. EXHIBIT CONSTRUCTION 24

25 5. Platform will have smoke detection devices installed and connected to the building fire alarm. 6. Platforms will have approved fire suppression equipment (CO2 fire extinguishers). 7. Platforms are to be monitored by an electrician during show/event hours. 8. Lighting and A/V distribution equipment shall not be stored on building electrical platforms and/or catwalks. If overhead storage space is required, the Exhibitor must provide platform. 9. All Equipment should be labeled with Exhibit and Provider names. Electrical Work All electrical work in connection with exhibits must conform strictly to the rules and regulations of the City of Detroit Buildings and Safety Engineering Department and NFPA 70, 70E, National Electrical Codes (NEC) and current MIOSHA standards. Exhibitors desiring special connections in their spaces for the purpose of operating electrical motors, or for other uses, shall notify Show Management upon acceptance of their space. All such work is subject to supervision and direction by the exhibitor, and shall be paid for by the individual exhibitor. These connections will be charged at prices made as part of a special electrical order. All exhibit and exhibit hall electrical installations, connections and disconnections must be obtained exclusively through Cobo Center s electrical contractor, Conti-HTE/Cobo Electrical. Exhibitor personnel will be permitted to work on and calibrate their own specialized equipment. Cobo Electrical/Conti-HTE must do hard-wiring. (Details are outlined in contractor s electrical order form which will be included in the CSS Service Manual.) Conti-HTE provides and installs all equipment for electrical distribution where concealed in wall, under floor or above ceiling, except for specialty systems, such as Euro power systems. All displays must supply wiring chases or raceways for installation of any electrical wiring or cabling. All electrical requirements must be submitted to the show s approved electrical contractor, Conti-HTE/Cobo Electrical, , 30 days prior to any installation of any part of the display. All cables (electric, communication, fire alarm, video, data, etc.) run outside the booth (through and into ceiling, floors, catwalks, walls) must be labeled every 25 feet with the following information: NAIAS 2016, Exhibitor Name/Contractor responsible for installation. All cables must be removed at the completion of the show. Transformers All exhibitors will need to make provisions for storing or housing transformers necessary to provide power for electrical requirements within their booth area. Transformers in an exhibit area should be secured and covered by a solid structure so as to prevent injury. There will be no provisions for flying or suspending transformers from the ceiling at Cobo Center. Please contact Conti-HTE/Cobo Electrical, Event Services, , if you require further information. EXHIBIT CONSTRUCTION SITE MAINTENANCE Crate Storage Exhibitors must make arrangements to have crates freighted out of Cobo Center and stored off-site. There is NO storage space available in the Cobo dock area for exhibitor crates and materials. Please also note that crate storage is strictly prohibited inside Cobo Center meeting rooms, per regulations of the Detroit Fire Department. Failure to comply with this rule may affect your room assignment for future shows. All racks, non-stackable or non-cubed crates must be removed from the premises when emptied and returned at the close of the show, at the exhibitor s expense. Please contact Convention & Show Services (CSS) for assistance, ; fax Pallets and Bulk Refuse Removal Pallets, wood, crates, carpet pad and other refuse will be removed from the building and loading docks as soon as possible by Convention & Show Services (CSS). CSS will bill the exhibitor accordingly for the removal of their bulk refuse. Please contact CSS for further information, ; fax EXHIBIT CONSTRUCTION 25

26 FIRE EMERGENCY AND LIFE SAFETY REQUIREMENTS Fire Alarms and Life Safety Devices It is the responsibility of the exhibitor to know which fire and safety sensors will be covered by exhibit structure and exhibit material. The exhibitor must make arrangements, at the exhibitor s expense, through Johnson Controls to make the necessary changes based on the following: Fire alarms (including hearing impaired strobe lights and pull stations) located on the walls and columns, must be visible from the floor to a height of 25 feet. Fire alarm devices and Carbon Dioxide (CO2) sensors cannot be covered or blocked by exhibit materials or curtains. Fire alarm panels, initiating and indicating appliances for the display booths shall be provided and commissioned exclusively by Johnson Controls. Exhibitors will be invoiced for this service by Johnson Controls. Exhibitors are responsible for providing Johnson Controls with CAD file (.dwg) display drawings which at minimum show all levels of the display, with major sub-structures clearly indicated, including reflective ceiling views, by October 30. Any design changes that occur after the original submittal must be resubmitted as soon as possible to minimize the approved drawing turnaround time. All fire alarm equipment that was retained by the exhibitor from the previous NAIAS show must be returned by November 30 for operational testing before installation this year. Any system device that is impeded by a display must be retrofitted to satisfy the requirements of the Fire Marshal. All fire system work necessary to meet this retrofit requirement and to return the system back to the normal condition must be completed by Johnson Controls and Conti-HTE/Cobo Electrical at the expense of the exhibitor. Though Johnson Controls-engineered fire alarm drawings are approved by the Fire Marshal s office, alterations to the final system design may be made based on display inspections by the Fire Marshal. Exhibitors are responsible for contacting Johnson Controls at , for all fire alarm needs. All cables (electric, communication, fire alarm, video, data, etc.) that run outside the booth (through and into ceiling, floors, catwalks, walls) must be labeled every 25 feet with the following information: Exhibitor Name/Contractor responsible for installation. All cables must be removed by the completion of the show. Should the visual strobe light fire alarm signals activate in any display with an internal fire alarm system, either Cobo Center personnel or Detroit Fire Department will break open display doors to gain access if display security personnel are not present or suitably responsive for the type of action required. All displays with an internal fire alarm system must have display doors that provide 24-hour access to the main fire alarm panel and must be labeled accordingly. There are additional requirements for displays with internal fire alarm systems and displays which obstruct Cobo Center life safety devices. The following procedures will apply when: Displays have internal fire alarm systems in the booth. Displays obstruct Cobo Center s life safety devices. (Life safety devices include fire alarm pull stations, visual fire annunciators, i.e., strobe lights, smoke detectors, and heat detectors.) Displays have ceilings and upper decks that are not smoked out and approved by the Fire Marshall. When the above condition exists, connectivity of the display s internal fire alarm panel to Cobo Center s will be required. Displays that obstruct Cobo Center s life safety devices but do not have an internal fire system must have the obstructed devices replaced with like devices that connect to Cobo Center s fire alarm panel. Cobo Center s fire alarm panel, and the expansion panels that the display fire alarm systems and devices connect to, are maintained by Johnson Controls. Each exhibit internal fire alarm panel must have the capability to manually activate (via a pull station box) the display s internal fire alarm strobes in the case of a fire emergency. It should be noted that the final connections of the display s internal fire alarm system and the installation and connection of any internal fire alarm system to the main fire alarm expansion panel must be made by Johnson Controls and Conti-HTE/Cobo Electrical. There will be a connection and installation fee charged to the exhibitor. EXHIBIT CONSTRUCTION 26

27 Temporary units (pull stations, strobes, signal devices, annunciators, heat or smoke detectors, or other) installed or relocated shall be on a separate Fire Alarm permit form procured from Conti-HTE/Cobo Electrical listing only fire alarm items. The minimum base permit fees are located in the City of Detroit, Building and Safety Engineering Department fee schedule and are invoiced through Conti-HTE/Cobo Electrical along with associated permit fees, materials, equipment, installation and removal labor and all necessary required inspections to receive final approval from the City of Detroit. Inspection dates for emergency lighting and fire alarm systems have been established as January 4, 5, 6 and 7. Any exhibitor not ready to test the emergency lighting and fire alarm systems within their exhibit on the dates as specified is required to establish new inspection dates with Conti-HTE/Cobo Electrical. Scheduling inspection on dates other than these dates may incur additional costs. Any system devices that are impeded by a display must be retrofitted to satisfy applicable building codes. All emergency lighting system devices work necessary to meet this retrofit requirement and to return the system back to the normal condition must be completed by Conti-HTE/Cobo Electrical at the expense of the exhibitor. All work necessary to return the emergency lighting system to its normal condition must be done within the move-out dates of the NAIAS. Fire Marshal All exhibitors must have their floor plans and construction/finish materials approved for Life/Safety Code compliance. Preliminary floor plans should be submitted no later than October 30. Preliminary plans will be reviewed by the Fire Marshal and the NAIAS Exhibit Compliance Manager. Tentative approval will be granted by the Fire Marshal based on the apparent adherence to the fire codes. Final approval will follow an on-site inspection after the completion of the exhibit. Except as otherwise provided by special rulings from the Detroit Fire Marshal, the following regulations of the Detroit Fire Department will prevail. a) Cobo Center is a smoke-free building and smoking is not permitted anywhere in the building during set-up, dismantle, Preview Week or Public Show. b) The area in front of the building and all exits must be free of parking or storage. c) Each Cobo Center emergency exit has a no-build zone. The exits along the east wall (main entry to/exit from the hall) have zones in size determined by the length of the doors with a depth of 20 feet. The exits along the north, south and west walls of the hall have no-build zones in size determined by the length of the doors with a depth of 12 feet. Within the no-build zones an exhibitor may not place any structure (including raised flooring) or vehicles. The no-build zones must be free and clear of any obstructions. Carpeting or other minimal dimensional material may be used to cover the building floor in a no-build zone within an exhibitor s space. Refer to the NAIAS Floor Plan to determine if there is a no-build zone within your exhibit space. Exhibitors along the south building wall with raised floors that extend across the full width of fire exit doors must provide ADA-compliant access ramps to the door. All easements in front of fire exit doors must be approved by the Fire Marshal. Such easements must be clearly defined on submittals to the Fire Marshal. d) All aisles to exits and fire exit doors shall be maintained free and clear at all times. Aisles to exits and emergency doors shall not be blocked at any time by tables, chairs, benches or other obstructions. No exhibitor shall in any manner whatsoever obstruct exit or aisle signage at any time. Exhibitor must replace covered exit signage on walls and columns. e) All fire extinguishing equipment and signage must be unobstructed at all times. f) A solid structure or turntable directly adjacent to exit doors cannot block exit doors. No exhibitor shall in any manner whatsoever obstruct an exit or aisle at any time. Any restroom signage that is covered or obstructed by a display must be replaced/supplemented, if necessary, as determined by Cobo Center and at the exhibitor s expense. EXHIBIT CONSTRUCTION 27

28 h) When submitting material samples to the City of Detroit Fire Marshal, please include Fire Marshal Material Submission Form 2AS. All submissions must be in English and received by October 30. i) All draperies, backdrops, bunting and other decorations must be flameproof. All paper and other flimsy materials used for decorative purposes, including flameproof paper, are prohibited. The use of a heavy cardboard shall be permitted in limited amounts. Exhibitor must provide certificate of fire rating. j) Cut trees, branches and shrubs are prohibited, unless maintained in soil in a natural state. Any cut trees or plants not in soil must be fire retardant. All decorative ground cover must be fire retardant. k) The use of liquefied petroleum gases shall not be permitted unless approved by the Fire Marshal. l) Disconnected batteries, locked gas caps and the key to gas caps must be retained with specified people in each exhibit until required at move-out. Gas tanks may contain a maximum of two gallons of gasoline. m) The use of open flame or the storage and handling of flammable liquids, chemicals or harmful hazardous substances are prohibited unless approved by the Fire Marshal or applicable agency. No flammable paints, solvents, or pyrotechnics of any kind may be stored on Cobo Center property at any time. n) Combustible crates and packing boxes must be removed to the proper storage area after set-up period. o) Additional fire extinguishing equipment, as determined by the Fire Marshal, must be located throughout the area occupied by exhibitor at the exhibitor s expense. p) Multi-level exhibits must have smoke detectors and a sprinkler system installed in their display. The sprinkler system cannot be connected to the existing water supply in the hall. A sprinkler system is not required if the exhibitor provides at its own expense 24 hour security at its display. Sprinkler systems are subject to written approval from the Detroit Fire Marshal. q) A fire alarm panel, unique to the display s fire detector system, will be necessary for the NAIAS. This panel must be marked Fire Alarm Panel, and accessible to inspection during set-up and the show. All fire detectors must be hard-wired to this panel. Fire detectors are to be placed in all closed rooms, or every 30 linear feet under a two-story/multi-level structure. This includes audio/visual and storage rooms measuring more than 64 square feet. r) All pull box stations and hearing-impaired strobe light alarms, whether part of the display s internal fire alarm or that of the existing building, must be exposed outside of any drape or covering so that they are readily available and visible to occupants. This includes those mounted on columns and perimeter walls. Cobo Center s fire alarm pull station boxes must be relocated on the outside of any drape covering them, including columns and perimeter walls and including exhibits that have their own fire alarm systems. s) Fire Marshal approval of fire system is required for all exhibitors with a double-deck structure. The City of Detroit Fire Marshal must approve exhibitor s fire system prior to January 1. t) The upper deck of a two-story/multi-level structure accommodating more than 50 people will require two means of egress. u) Concourse exhibits for Press Week and Public Show dates must have exit signage. v) No pyrotechnic exhibits or events are allowed at Cobo Center at any time for any event, private showings, press conferences and/or public events. Artificially created smoke has the potential of setting off the building fire alarm system. Therefore, the smoke used in an exhibit must be approved by the Fire Marshal and Cobo Center management, including a dry run before December 22. w) Scrim coverings and/or lighting ceiling material that may obstruct the Cobo Center fire suppression system must be submitted to the City of Detroit Fire Marshal in the form of a sample, measuring no less than one square foot by one square foot (one meter square) for approval. This material must be accompanied by a UL or FM rated certificate that proves quick burn-away and be included with floor plan for approval. (Capt. Gregory Turner, , turnerg@detroitmi.gov). x) An overall ceiling structure may not be built from solid material (i.e., wood, drywall, cement, etc.). No material that impedes the function of the building s fire suppression equipment will be permitted. Porous or smoke-out material, with the Fire Marshal s approval, may be used. y) All enclosed exhibits measuring 100 square feet or more, including two-story exhibits must have hard-wired smoke detectors tied into the building s system. Smoke detectors must be wired into their own dedicated 24 hour electrical power source. (See Fire Alarm and Life Safety Devices for additional information.) EXHIBIT CONSTRUCTION 28

29 All exhibitors are required to comply with the above directives set forth above by the Fire Marshal. All certificates must be on site for the final inspection. Final compliance approval will be granted only after an inspection following the completion of all phases of installation. Fire Extinguishers All exhibitors having a building column in their exhibit area marked with a red Fire notice are required to have a fire extinguisher at that location. If one is not there, please call Cobo Center Event Services, Exhibitor is responsible for relocating fire extinguishers and proper signage on the outside of any decorated columns in their exhibit. Upon completion of the show, all fire extinguishers must be returned to their original position. Exhibitors must have two dry chemical-type fire extinguishers in their booths at all times during Press Preview week and Public Show. The extinguishers must be positioned at an accessible location known to the booth staff. A fire extinguisher must be positioned at any work site on the show floor where grinding and/or welding is taking place. Building and Fire Codes Exhibitor assumes total liability for physical damage or personal injury resulting from the installation, operation or dismantling of the exhibit. Exhibitor assumes total responsibility for fabricating and maintaining exhibit pursuant to all applicable local, state and national building and fire codes. Failure of an exhibitor to adhere to or comply with these codes may subject the exhibitor to additional liability in connection with such failure or negligence. Exhibitor has agreed to indemnify, defend and hold harmless Show Management. (The Safety Code and the Boca National Building Code pamphlets may be purchased by calling , or faxing ) Hazardous or Unsafe Conditions During the course of the show (including move-in and move-out periods), if events occur which may cause hazardous or unsafe conditions to attendees, exhibitors, patrons and workers of the show in the exhibit space, the exhibitor will take precautions to identify the area and provide corrective action. Saws used to cut material must be connected to a dust collection device to minimize the amount of airborne sawdust created by the cutting of the material. Paint, varnish, polyurethane, or other liquid finishing must be applied by roller, brush or sponge application. Lacquer, lacquer thinner or acetone are not allowed in the building. These materials may not be applied in the building using spray or other airborne application methods. LABOR REQUIREMENTS Union Labor All exhibit and display work in Cobo Center is done by union personnel. Labor required by individual exhibitors for the purpose of erecting and dismantling exhibits shall be obtained from the local unions having jurisdiction, unless authorized by Convention & Show Services (CSS), the general contractor. There are six unions doing this work; teamsters, iron workers, carpenters, stagehands, electricians, and plumbers. CSS is a labor service provider for carpenter labor and is the exclusive labor service provider for all teamster and iron worker labor. Conti-HTE/Cobo Electrical is the exclusive labor service provider for all electricians. Cobo Center is the exclusive provider for all plumbers and all stagehand labor. Forklifts and All Other Power Equipment Although minimal labor may be ordered on the show floor during Press Preview, Industry Preview and the Public Show (e.g., set-up and removal of chairs, sweeping), no power equipment is allowed to be used until the events each day are concluded. Minimal labor activities cannot interfere with other exhibitors press conferences in progress. Please refer to Work Schedule. Show Management requires strict adherence to this rule and reserves the right to impose a financial penalty of $5, for each instance an exhibitor is not in compliance with this rule. 30 MAN LIFTS/GENIE LIFTS: No single man lift will be allowed for use on the show floor except for special circumstances for which specific approval must be obtained from Convention & Show Services (CSS). (Special circumstances may include use in areas where standard lifts are not feasible, i.e., raised floors, etc.). Supervision of lift usage, on-site inspection, and safety compliance of such equipment, i.e., outriggers, safety rails, etc., is the responsibility of CSS. LIGHTING AND SCRIMS Lighting, Fixture Positioning, Rigging and Electrical Equipment The structural loads imposed by all rigging (display rigging and press rigging, equipment platform rigging and emergency lights) from the overhead steel must be approved prior to installation by the Cobo Center s Review Engineer. The rigging and support equipment (i.e., lighting distribution equipment) will not be raised from the floor or placed into or on building overhead steel without this confirmed approval. Spotlights or floodlights used to illuminate a particular vehicle, feature of a vehicle, or an exhibit, must be placed in an inconspicuous location and so directed as not to cast their light in spectators eyes or to intervene in any other exhibitor s space. The use of all halogen light bulbs/lighting fixtures must be approved prior to installation by Conti-HTE/Cobo Electrical, Temporary lighting and fixtures must be positioned in a manner where they cannot be reached and/or touched by the public. There is an additional requirement for electrical equipment not manufactured in the United States to ensure its compatibility with U.S. Electrical Systems and Standards. Equipment must be approved by a United States certified testing laboratory. Please contact Conti-HTE/Cobo Electrical, All electrical rigging equipment used in the exhibit space must be listed for the purpose it is used (UL is one listing company). For a list of other acceptable testing laboratories, please call Conti-HTE/Cobo Electrical, If the materials and devices are not manufactured in the United States, a certified international testing lab will be acceptable to the City of Detroit s Building and Safety Engineering Department. This will include all rigging, lighting fixtures and related hardware, transformers, cable, computers, monitors, projectors, video walls and components, terminations and switches. The preceding are just a few examples; however, any electrical equipment or anything used to facilitate electrical power installation must be listed for its intended purpose by an approved and certified testing laboratory. Any and all electrical equipment brought in by the exhibitor or their supplier must be itemized, along with manufacturer specifications, and submitted to the exclusive electrical provider 30 days prior to initial installation. It is the right of the permit holder (electrical services provider) to request a visual inspection of such equipment and any necessary testing that may be required (all at the expense of the designated exhibitor) prior to installation. All booths will submit to Conti-HTE/Cobo Electrical, the permit-holder for the electrical installation, a complete load calculation schedule for the booth-space (floor) and the lighting, including all truss work, projectors and video walls. These must be separate calculations. This schedule should be submitted at least 30 days before installation is to begin. In turn, the schedule will be submitted to the City of Detroit Electrical Inspections Department for their review. No rigging from the Hall E ceiling is allowed without the prior written approval from Cobo Center (Rajiv Chopra, , or rchopra@cobocenter.com). The structural loading imposed by all ceiling rigging in Hall E must be approved by Cobo Center s Review Engineer. Floor load analysis in Hall E is not required. However, Cobo Center and Show Management may require, at their discretion, a floor load analysis of any Hall E exhibitor who might exceed the 650 lbs. per square foot limit. Any questions related to these rules can be directed to Conti-HTE/Cobo Electrical, , the electrical permit-holder for the NAIAS. EXHIBIT CONSTRUCTION 30

31 Emergency Lighting Emergency lighting systems are required by building codes and the National Fire Protection Association Life Safety Code. They are designed to immediately activate in the event of the loss of power to the normal lighting system allowing the safe evacuation of a facility. The electrical division of the City of Detroit Building and Safety Department requires that, under certain conditions, exhibitors will be required to make provisions to include emergency lighting in their booths. These conditions include: 1) Exhibitors who install ceiling scrims or other ceiling structures that block the emergency lights. 2) Exhibitors who do not use the house lighting system in their booths and adjoining aisle locations. Emergency lights in the main level exhibit halls are located in the ceiling. In Hall E the emergency lights are located on building columns. Exhibitors whose exhibit structures (i.e., stairways, ceilings of two story structures and ceiling scrims) impede the effectiveness of the building s emergency lighting must augment the system with additional battery/ charger lighting packs that illuminate when power is lost to the display s primary lighting system. Exhibitors should contact their lighting contractor for proper system design to satisfy individual display needs and code requirements. Exhibitors whose exhibit structures do not impede the effectiveness of the building emergency lighting, and use an alternative lighting system for continuous display lighting, may utilize an interconnect between their lighting system and the existing building emergency lighting system, if no scrim or ceiling material is used which may impede the effect of the house emergency lights. This interconnect must be provided by Conti-HTE/Cobo Electrical at the exhibitor s expense. Inspection dates for emergency lighting and fire alarm systems are January 7, 8, 9, and 10. Any exhibitor not ready to test the emergency lighting and fire alarm systems within their exhibit on the dates as specified is required to establish new inspection dates with Conti-HTE/Cobo Electrical. Scheduling inspection on dates other than these dates may incur additional costs. Any system devices that are impeded by a display must be retrofitted to satisfy applicable building codes. All emergency lighting system devices work necessary to meet this retrofit requirement and to return the system back to the normal condition must be completed by Conti-HTE/Cobo Electrical at the expense of the exhibitor. All work necessary to return the emergency lighting system to its normal condition must be done within the move-out dates of the NAIAS. Canopies, Scrim Material and Overhead Lighting Canopies or scrim material (material subject to Fire Marshal regulations, see Fire Marshal, h ) which is attached near the ceiling to reflect light and/or give the appearance of a lower ceiling, cannot be lower than 25 feet from the floor level - unless building structure extends below 25 feet (15 feet in Hall E), must follow the guidelines for easements, and must not infringe in neighboring exhibit space. Overhead lighting on the main show floor and in Hall E may extend no more than 50% into overhead aisle width, minus six inches (exceptions may apply, but would require Show Management approval). Lighting trusses may be mounted as high as building ceiling height allows, but at least 24 feet from floor level (15 feet for Hall E). Canopies and material, overhead lighting, scrim covering, canopy structure, and/or lighting ceiling material may not interfere with the intended function of the building s (Cobo Center) fire suppression system, HVAC system or emergency lighting system and therefore require the following approvals: Fire Marshal approval: A one-foot by one-foot sample of the scrim material must be submitted to the Fire Marshal for approval. This material must be accompanied by a UL or FM rated certificate that proves quick burn-away. Submit scrim material to Captain Gregory Turner, ; fax , turnerg@detroitmi.gov. Structural load approval: The placement of structural loads on the building (Cobo Center) as designed by the exhibitor s display/exhibit engineer for overhead lighting, canopy structure, scrim covering and/or lighting ceiling material must be reviewed and approved by Cobo Center s Review Engineer, Gregory Chaves, or at gchaves57@gmail.com. 32 Johnson Controls approval: HVAC, Emergency and House Lights. A one-foot by one-foot sample of the scrim material must be submitted to Johnson Controls for approval. Please forward sample to Johnson Controls, c/o Cobo Center, One Washington Blvd., Detroit, MI Exhibitors whose overhead lighting, canopy structure, scrim covering and/or lighting ceiling material interfere with the building s (Cobo Center) systems (HVAC, emergency lighting) shall be responsible to install additional temporary modification at their expense. All temporary modifications must be approved by the building (Cobo Center) and Johnson Controls. Canopies used as video walls must follow the regulations regarding video walls. Ceiling Lighting Effects Ceiling lighting effects that promote corporate or brand marketing may extend into the aisle by 25% of the width of the aisle. Such lighting effects must be maintained at a height of not less than 24 feet from the floor level. Lighting Cobo Center Cobo Center keeps the majority of the facility lights off during show hours to avoid interfering with lighting in exhibits. Exhibitor-specific accommodations for overhead venue lighting will be determined on a case-by-case basis, with an emphasis on negative impact to surrounding exhibits. Cobo Center s lighting specifications: energy efficient induction lamps with instant on/off; color rendering index 90+ (up to 60). MECHANICAL SYSTEMS Plumbing Connections and Sinks in Displays All sinks in displays must have the following: 1) a permanently installed strainer; 2) a p-trap to U.S. standards installed to the sink; 3) all Cobo Center plumbing floor boxes that service plumbing for exhibitor s displays must be accessible. The specific plumbing port that will be used in the booth must be communicated to Bill Caverly, , bcaverly@cobocenter.com at Cobo Center a minimum of seven days prior to the first movein day for the display. All plumbing connections must be installed, maintained, and removed by Cobo Center. The plumbing system in the exhibit halls was designed to accept clear water. The system will not accept solid waste, food particles, or grease. ALL exhibitors are required to have the plumbing system installed in the booth maintained by Cobo Center. Cobo Center will maintain the drains beginning at the floor box. Cobo Center will communicate the predetermined floor box location to be used and Cobo Center will have these drains cleaned prior to your arrival. Cobo Center will maintain these drains provided that only clear, grease-free liquids are disposed of through the drains. Cobo Center will bill to the exhibitor(s) all repair costs for any drains that become damaged or clogged by exhibitor(s) use. Cobo Center reserves the right to dismantle all or part of a booth, if necessary, at NO expense to Cobo Center or the City of Detroit, to correct plumbing problems, as well as for any public safety emergency. Heating, Ventilation and Air Conditioning - HVAC Temperature control and occupant comfort in all exhibit areas should be as much of a concern as exhibit appearance and aesthetics. HVAC supply air and return air diffusers/registers are located as follows: Supply air diffusers/registers: ceiling-main exhibit halls; building columns: Hall E; return air registers: perimeter walls main exhibit halls and Hall E. It is recommended that exhibits with large ceiling scrims or large structures that reduce the effectiveness of the building s HVAC system augment the system with additional temporary duct work (a plenum that is fastened to the building s supply diffuser with multiple flex-duct air outlets) connected to the building system. The purpose of this temporary plenum and duct work is to direct airflow from the building s HVAC supply diffusers through the ceiling scrim. Exhibitors that do install temporary plenum/duct work need to discuss this with Johnson Controls in advance. EXHIBIT CONSTRUCTION 32

33 Perimeter exhibitors need to be aware of any wall mounted HVAC return air in the design stage of the display and make accommodations for adequate airflow to the return air registers. Perimeter exhibitors need to take care that no wall mounted HVAC return air registers are blocked by the exhibit s structure/walls. All perimeter exhibitors that have return air HVAC registers on walls adjacent to their space must contact Johnson Controls in order for them to evaluate the effect of the exhibit structure on the HVAC system. Exhibitors are responsible for contacting Johnson Controls at and Conti-HTE/Cobo Electrical, Heating, Ventilation and Air Conditioning Sensors Exhibitors must be aware of any HVAC sensors that may be blocked or impeded by exhibit material. Any HVAC sensor to be affected by exhibitor material is required to be moved to an unencumbered position. The relocation of the sensor and its return to the original position at the conclusion of the show is to be performed by Johnson Controls at the exhibitor s expense and should be coordinated in advance. Exhibitors are responsible for contacting Johnson Controls at or glen.d.schmidt@jci.com. SPECIAL EFFECTS Laser Special Effects - Cobo Center Requirements Usage of all laser effects beyond class one lasers require special approvals. Request for approvals must be made a minimum of 45 days in advance of the date of usage. Submit requests to Rajiv Chopra, Cobo Center, at rchopra@cobocenter.com or Moving Mechanisms No exhibitor may show any mechanism in operation if it is noisy or objectionable to Show Management. To prevent injury to spectators or other exhibitors, the exhibitor must adequately protect all moving mechanisms. Lubrication Systems Lubrication systems and parts must be so drained or treated that lubricants will not drip onto the floor or carpeting, or otherwise damage the building. WALL DECOR Perimeter Exhibits Any exhibitor whose space extends to the building wall must have a floor-to-ceiling wall covering (29 high) as part of their display property. Unfinished perimeter walls will be covered at the exhibitor s expense. The wall covering should run edge to edge of the exhibitor s space. There is no easement at a contiguous or aisle border for wall covering. Overhang/Emergency Door Easements - East Wall on Main Floor Exhibitors along the east wall overhang may extend their exhibit structure under the overhang, however, a ten foot easement aisle between the building wall or building protrusion and any exhibit material or structure must be maintained as measured from the building wall or building protrusion. The ten foot aisle is designated as a show aisle and a fire/safety corridor. No equipment or storage of any kind may be placed in the aisle. Any electrical cabling crossing the aisle must be covered with a ramp that adheres to ADA regulations. A 20 foot no-build zone easement between all fire exit doors along the east wall and any exhibit structure must be maintained (See Fire Marshal, c for additional fire exit door easement requirements). 37 HEIGHT RESTRICTIONS AND EASEMENT GUIDE Suspended structures must comply with display signage easements of 2' at aisle-side and 6' at contiguous exhibit borders, whereas a 15' easement will be maintained when display signage and exhibitry are more than 5' wide by 2' deep on the contiguous border. 45 AUDIO/VISUAL/VIDEO EQUIPMENT Microphones can be installed in all exhibits and meeting rooms that have built-in sound systems. An exhibitor may bring a projector and/or screen, or rent them from an outside source. Union labor is required for commercial audio and visual activities and may also be required for other events when spotlights are used or when extensive use is made of sound, light, recording or broadcasting equipment. Labor hired to work in the exhibit halls, ballrooms and meeting rooms must be from the local unions having jurisdiction. Video equipment may be used only if it is self-contained, fireproof, acceptable to the Underwriters Laboratories and city authorities, safe in every detail, and does not interfere with a neighboring exhibitor. The equipment should conform to all of the ordinances of the City of Detroit and regulations of Cobo Center and Show Management. The equipment must be devoted exclusively to the business of the exhibitor. The equipment must be positioned so as not to interfere with aisle traffic. BANNERS/BALLOONS/PENNANTS The stringing of advertising banners, balloons and pennants is strictly prohibited. BATTERIES Batteries and energy cells of exhibit vehicles must be, and remain, disconnected. Removal and replacement of batteries from display vehicles durin g the s how will be permitted on written order, signed by the official representative of an exhibitor and approved by Show Management. BRAND/CORPORATE PROMOTION LIMITS Each exhibitor has leased a specific space (location and size) within Cobo Center. All brand, corporate and product promotion or marketing efforts must be confined within the boundaries of the exhibitor s space. No marketing or promotion of any kind may occur beyond the boundaries of the exhibitor s space within Cobo Center exhibit halls without a written, signed agreement from Show Management. Any request to promote any product, brand, or corporation in the public space (Cobo Center concourse) requires written, signed approval from both Show Management and Cobo Center. CAMERA CREWS - PROPRIETARY IMAGES AND/OR INFORMATION Exhibitors requesting camera crews on the show floor, during show and/or non-show hours, must have prior approval from Show Management and provide a written request specifying the area(s) to be filmed. Exhibitors must also contract with the show s security company for a guard to accompany them on the show floor. The exhibitor will pay all security expenses for such services. The use of cameras (film or digital format) to record and distribute images of exhibitors products and/or their marketing position prior to each exhibitor s formal press event is not permitted and is subject to Commercial Use of Show Footage rule and Television Broadcast, Film, Video and Internet Policy. Sunday Media Access To protect all exhibitors from unauthorized reporting (images or visual content; electronic, print or broadcast; social media or traditional media) on their respective pre-show activities, the NAIAS show floor is CLOSED to Media on the Sunday prior to Press Preview. However, occasional exceptions may be made, depending on circumstances. Requests for media access on Sunday prior to Press Preview must be reviewed and authorized by Show Management in advance. Such access, if approved, requires an exhibitor to initiate the request and provide a media escort at all times on the show floor. The requesting exhibitor assumes full responsibility for any breach of security, intentional or unintentional, that may result from this escorted media access, including embargoes on other exhibitor displays, images or content. The NAIAS reserves the right to impose such penalties as it alone may deem to be appropriate, including fines, penalties, loss of credentials, reduction in future floor space, and manufacturer press event scheduling. 46 CARE OF EXHIBIT Exhibitors, at their own expense, shall fully care for and keep in good order their exhibit space. If such space shall be damaged in any manner, the exhibitor, on demand of Show Management, shall pay such sums as shall be necessary to restore the space to its original condition. Janitorial service in aisles, open spaces, offices and restrooms is provided by Cobo Center s exclusive cleaning contractor, ABM Janitorial Services, Exhibit areas will be kept clean and free of debris by Cobo Center s exclusive cleaning contractor or the exhibitor-appointed contractor if Cobo s contractor is not retained for services, with one thorough cleaning provided each night during non-show hours, including broom sweeping and emptying of waste receptacles. Exhibitors must maintain the cleanliness of their exhibit area commencing prior to the first press conference on Monday, January 11. All trash and debris from exhibit areas must be placed in an exhibit corner located on an aisle for pick-up at noon on the day of the Charity Preview, Friday, January 15. CART POLICY Carts are not permitted in the public areas of the building, i.e., concourse and meeting room hallways. CHARITABLE DISPLAYS WITHIN EXHIBITS Any exhibitor request to utilize a portion of its space to publicize its charitable endeavors or charities it supports is subject to Show Management approval. All such displays must be limited to activities and organizations which are clearly charitable or philanthropic. No displays highlighting support of, involvement in, or contributions to political activities will be permitted. All charitable displays must be passive and informational in nature. Exhibitors are not permitted to actively solicit contributions at the display, encourage visitors to participate in raffles, prize giveaways or the like, or to use the personnel assigned to the display or volunteers representing the charities to distribute materials to NAIAS visitors soliciting contributions on behalf of a charity. General informational materials may be distributed. Detailed plans for all charitable displays as well as any signage, materials describing the charity and any other publications to be displayed or used in connection with the display must be submitted and approved in writing by Show Management in advance. Final approval of the display and related materials is at the sole discretion of Show Management. Show Management reserves the right to require exhibitors to remove or conceal any display or portion of a display and/or any materials which are deemed to be offensive, controversial or inappropriate for display and/ or distribution at NAIAS and to remove any individuals whose actions violate the spirit and intent of these Rules. CHARITY PREVIEW POLICIES Charity Preview The Charity Preview (black tie) will be held on Friday, January 15. It is the exhibitor s responsibility to adhere to and comply with all copyright rules and regulations, including the procurement of licensing from any organization to use music within its exhibit space. This will allow the NAIAS to manage the unique challenges of maintaining a balanced timeline and logistical elements. If you are planning to bring a celebrity/entertainer and/or entertainment group to perform at the Charity Preview, please fill out and submit Form 7AS with the name of the entertainer/entertainment group for Show Management approval as soon as possible, but no later than Monday, December 1. Please be as specific as possible in providing details about your entertainment plans. This information will assist Show Management in properly planning Charity Preview logistics. Charity Preview Transportation A coalition of organizations, including the Detroit Police Department, Detroit Department of Transportation, private shuttle service providers, taxi service operators, city officials and NAIAS security, have been working to streamline and improve traffic flow at the Charity Preview to better serve our guests. A comprehensive communications plan has been developed for the NAIAS and is complemented by increased on-site staff. Charity Preview General Parking Arrangements for prepaid parking can be made by contacting Jennifer Kaplan at , jkaplan@ dada.org. Multiple lots and garages around the city will be open to the public for self-parking. For further information on Charity Preview parking, go to the NAIAS website, naias.com. Limousines Prior to the start of Charity Preview, limousines and privately-owned cars will drop guests off at the Hall B, Hall C and Hall D entrances adjacent to Washington Boulevard. The Detroit entrance will be reserved for prearranged private shuttle service only. Once the drop-off has occurred, all vehicles will be directed to a parking or staging area. 48 When departing the Charity Preview event, guests will enter a cordoned-off waiting area in the concourse where a valet service will be used to call the limousines. The entire party for each limousine must be present prior to entering the waiting area. Limousines will be notified that the party is waiting and will proceed along a predetermined route that will ultimately lead to the cross streets of Jefferson and Washington. At that point, all limousine traffic will be held until space is available in front of Cobo. When spaces become available, the vehicles will be directed to the front of Cobo and the guests will be escorted to the vehicle. Proceed to the information desk at the valet service for additional assistance. No limousine or private vehicle will be allowed to stand in front of Cobo unless its party is ready to enter the vehicle. Buses, vans and shuttles will drop guests off at the Atwater entrances. Pre-arranged shuttle service will be assigned to the Congress entrance for some vans and mini-buses. Shuttles and vans that will be in continuous operation will not require a staging area. Charter buses will drop guests off at the Atwater entrance. They will then be directed to stage at the Joe Louis Arena executive parking lot. When guests are leaving, they will take a shuttle from the Atwater entrance to the charter bus staging area. However, occasional exceptions may be made, depending on circumstances. Requests for media access on Sunday prior to Press Preview must be reviewed and authorized by Show Management in advance. Such access, if approved, requires an exhibitor to initiate the request and provide a media escort at all times on the show floor. The requesting exhibitor assumes full responsibility for any breach of security, intentional or unintentional, that may result from this escorted media access, including embargoes on other exhibitor displays, images or content. The NAIAS reserves the right to impose such penalties as it alone may deem to be appropriate, including fines, penalties, loss of credentials, reduction in future floor space, and manufacturer press event scheduling. 51 EVENT SCHEDULES There are two schedules published by the NAIAS: Press Conference Schedule Calendar of Events All press conference requests are subject to the approval of Show Management. Press conferences will be published in the official NAIAS Press Conference Schedule. Other events, hosted before the first, or after the last press conference of each day, may be published in the NAIAS Calendar of Events, subject to Show Management approval. The hosts of these events will determine their guests access. Any exceptions to these general guidelines will be at the discretion of Show Management. Please refer to naias.com for updates to the NAIAS Calendar of Events and NAIAS Press Conference Schedule beginning in December. FLOOR ACCESS AFTER HOURS In the event of a medical or safety emergency when the show floor is closed, NAIAS Security will determine severity, and if needed, will permit floor access to emergency personnel. Access to exhibits for any other reason when the show floor is closed must have prior approval of Show Management. Show hours are listed in the Exhibitor Manual and on the NAIAS website: naias.com. FLOOR SPACE CHARGES If Exhibitor cancels, withdraws or downsizes space requirements, Exhibitor shall only receive a partial refund, if any, of its floor space charge based on the following schedule: Exhibitor Withdraws or Reduces Space Exhibitor Forfeits the Following % of its Floor Space Charge On or After September 1 Before October 1 50% On or After October 1 Before November 1 75% On or After November 1 100% The forfeited floor space charge is retained by NAIAS as liquidated damages and not as a penalty, and the parties agree that such amounts constitute a reasonable provision for liquidated damages. In case of downsizing, in addition to the assessed liquidated damages, Exhibitor s exhibit location on the floor plan of the Exhibition may be moved, in NAIAS s sole and absolute discretion. In the even Exhibitor defaults in any of its obligations under this agreement, in addition to having the right to direct Exhibitor to vacate the Exhibition hall, Show Management shall have the right to pursue any other remedy afforded it by law. Nothing herein contained, however, shall limit or prejudice the right of NAIAS, in any bankruptcy or insolvency proceedings, to prove for, and obtain as, liquidated damages by reason of such termination, an amount equal to the maximum allowed by any statute or rule of law in effect at the time when, and governing the proceedings in which, such damages are to be proved, whether or not such amount be greater, equal to, or less than the amount of difference referred to above. Exhibitor agrees to pay, in addition to the sums agreed to be paid hereunder, such additional sums as the court may adjudge reasonable as attorney s fees in any successful suit or action instituted by NAIAS to enforce the provisions of this agreement or the collections of the rentals or other sums due NAIAS hereunder. 53 INDEMNIFICATION/INSURANCE The NAIAS LLC, its organizations, and their members, managers, officers, directors and agents shall not be responsible for any loss or damage of any kind to the exhibitor or to exhibitor s personnel, or any other person, place or thing within the confines of the exhibitor s display, or which may arise from the use and occupation of said exhibitor s space. Exhibitor agrees to and shall indemnify and hold harmless and defend NAIAS LLC ( Show Management ) from and against any and all liability or claimed liability, loss, damages (including reasonable attorneys fees and litigation costs) and any expenses for personal or bodily injuries, including death and property damage to any and all persons whomsoever, and for any and all property damage arising out of any occurrence in, upon or at the exhibitor s space or immediately adjacent common area or walkway, or resulting from or in any way connected with exhibitors use of exhibitor s space, or on account of negligence of exhibitor, its agents or employees, independent contractors and security personnel. Exhibitor shall maintain such insurance as well fully protect Show Management, Detroit Regional Convention Facility Authority, and SMG and its members, managers, officers, directors and agents from any and all claims under the Workmen s Compensation Act, and any claims for damages for personal injury and bodily injury, including death, and property damage which may arise from the operation of exhibit in connection with exhibitor s exhibit. At a minimum, exhibitor shall maintain and keep in full force and effect commercial general liability insurance in the amount of $2,000,000 for personal injury and bodily injury, or death, resulting from any one occurrence; and the sum of $2,000,000 for property damage resulting from any one occurrence. Exhibitor shall deliver to NAIAS a certificate evidencing such coverage sixty (60) days prior to the NAIAS move-in. Such insurance coverage shall be in place for and said coverage shall remain in effect for so long as any cause of action may arise under exhibitor s occupancy of space at the NAIAS. Exhibitor shall name NAIAS LLC, Detroit Regional Convention Facility Authority, and SMG and its members, managers, officers, directors and agents as additional named insured. Separate additional insurance will be required for the use of any drones. Coverage limits will be determined subject to an application for use approved by show management. Show Management does not represent or warrant that the coverage of insurance specified is sufficient or adequate to protect exhibitor s interest or its obligation for liabilities; and the limits of said insurance shall not limit exhibitor s liabilities hereunder. All insurance policies required shall be written and issued by responsible and solvent insurance companies acceptable to Show Management, and which are authorized to do business in the State of Michigan. Show Management reserves the right to deny move-in to an exhibitor that has not submitted its insurance certificate by the deadline. Please Note: - A certificate identifying the above as certificate holders will not be acceptable. Exhibitor must provide a certificate identifying the above as additional insured. INDUSTRY PREVIEW All exhibits must be fully staffed and operational. No production or concept cars should be covered, shielded, or kept from view in any way until the conclusion of Industry Preview. At the close of Industry Preview, halls will be completely cleared of all individuals. Special access will be permitted after the close of Industry Preview, but only for those individuals who need to service their exhibit. This two-day ticketed event offers automotive suppliers and others who support the industry with the exclusive opportunity to preview the show before it opens to the public. If approval is not provided by Show Management, we reserve the right to request an exhibitor remove that music and entertainment which Show Management deems inappropriate. Staging of electronic equipment to be used in the performance of such music/entertainment must be positioned at the interior of the exhibit within the large structure easement, not on the perimeter of the exhibit. NAIAS EDUCATION DAY The NAIAS will present its 11th annual Education Day for students from the United States and Canada (school groups of all ages and college level) at the 2016 NAIAS during the Public Show on Wednesday, January 20, This event will provide students with the opportunity to explore career paths in all automotive related fields. 57 PARKING The NAIAS will be the point of contact to secure parking for NAIAS 2016 There will be one point of contact established within the exhibitor s or sponsor s organization responsible for determining their company s parking needs, both internal and external (including public relations staff, product specialists, exhibit staff, exhibit house staff and any other staff) and forwarding those needs to Jennifer Kaplan at or jkaplan@dada.org. Exhibitors and sponsors will be eligible for an allotment of parking spaces per day. This allotment of parking spaces will not include spaces for the NAIAS 2016 Charity Preview on January 15. For parking maps, shuttle routes and schedules, People Mover information, and additional parking information, please check the official NAIAS website at naias.com. If you experience any parking problems during the NAIAS show dates, contact the NAIAS hotline at Provide a brief explanation of the problem, your name, and a return phone number. PENALTIES Any violation of any of the terms and conditions of these rules and regulations on the part of any exhibitor will be cause to terminate the agreement to occupy space, and such exhibitor will forfeit to Show Management all monies which may have been paid. In case of any violation of the terms and conditions of these rules and regulations on the part of the exhibitor, right is hereby given Show Management to terminate the floor space contract, at its option. Show Management may re-enter and take possession of the space occupied by the exhibitor and remove all persons and goods at the exhibitor s own risk, without liability of Show Management. Any subject matter not specifically covered by these rules will be determined in the sole discretion of Show Management. PRESS CONFERENCE SCHEDULE AND CALENDAR OF EVENTS The NAIAS Press Conference Schedule and Calendar of Events will be posted on the NAIAS website, naias.com, when finalized. A list of all new vehicles introduced at NAIAS will also be posted when finalized. PRESS PREVIEW Press Preview will begin on Monday, January 11, the first official Press Preview day, and continue through Tuesday, January 12. Credentialing will be open from 9 a.m. to 5 p.m. on Saturday, January 9 and on Sunday, January 10, from 9 a.m. to 5 p.m. Due to the exclusive nature of this event, attendees must be 18 years of age to attend. Exhibitors must be finished setting up for Press Preview by Saturday, January 9. Media access is highly restricted during move-in. Media requiring access during move-in and/or Public Show, call Media Credentialing, PRICE INFORMATION ON DISPLAY VEHICLES PUBLIC SHOW All new production vehicles at the NAIAS must display Monroney sticker price information, without exception. Monroney stickers may not be displayed in vehicle windows. Posted price information must include the following: 1) The base list price. 2) The list price of all equipment on the vehicle. 3) Destination Charges as a separate item for the compilation of the total charge. 58 4) If a van unit, list cost of the conversion. 5) Total list price of the vehicle and all its equipment including Destination Charge per item (3) above. If the vehicle on display has had additional equipment or a conversion unit added to the new vehicle, and the information is not set forth on the monetary sticker, the manufacturer s suggested list price for the added item must be set forth on the supplemental sticker attached to the window. Except for the monetary sticker and supplemental sticker, no other price information, sale or lease information shall be on the display floor (See Leased Vehicle Signage). PRINTS OF EXHIBITS NAIAS Floor Plan Submission Approval Form 1AS is required to be completed in English and included when submitting your floor plan. Each exhibitor must furnish electronic files of its space layout for Show Management approval no later than October 30. Electronic file formats should be DWG and PDF and ed to Andrea Trudeau at atrudeau@dada.org. The exhibitor s design submittal to the NAIAS office must be in imperial measurements and include dimensional elevation views showing distinct front and side views and a dimensioned plan view with easements defined, vehicle placement, critical dimensions and setback lines. A rendering and/or photograph of the display would be helpful. If modifications are received after October 30, Show Management reserves the right to disallow or remove those structures deemed inappropriate at the expense of the exhibitor. Exhibit areas less than 4,000 square feet may be subject to additional restrictions or exclusions of rules due to space limitations, at the discretion of Show Management. Show Management will have an inspector on the floor during set-up to enforce all rules and regulations prior to and during building of exhibit structures. All exhibitors are encouraged to arrange a meeting with Show Management to review their floor plan prior to submitting it for approval. We encourage this meeting to take place prior to September1. A meeting with the City of Detroit Fire Marshal and Show Management may be necessary to assure approval of exhibit floor plans. PROMOTIONAL INVITATIONS Promotional invitations must clearly indicate that to gain entry to the show floor, one or more of the following options applies: Press Preview (Monday, January 11 Tuesday, January 12) admittance to the show floor requires a valid credential obtained through an established exhibitor contact working with NAIAS (See Credentialing and Registration Policies). Industry Preview (Wednesday, January 13 Thursday, January 14) admittance to the show floor requires the purchase of an Industry Preview ticket at $95.00 per ticket (See Industry Preview). Public Show (Saturday, January 16 Sunday, January 24) admittance to the show floor requires the purchase of a general admission ticket (See Public Show Tickets and Time). PROMOTIONAL AND OTHER GIVEAWAYS Exhibitors must submit a written request for review and approval by Show Management (Andrea Trudeau atrudeau@dada.org) to distribute promotional and other giveaways (e.g., rebate coupons, merchandise bags, stickers, flyers, etc., except vehicle brochures which are exempt from this provision). Upon Show Management approval, distribution must be restricted to the specific exhibitor s area. SECURITY NAIAS SECURITY SERVICES LLC NAIAS Security Services, LLC, is a security agency available for hire to provide you with your leased space security needs. To order security using NAIAS Security Services, please complete and return form 10AS (see Forms). SECURITY Show Management will provide continuous perimeter security beginning in late December, and security oversight for the show, through move-out. Medical assistance will be provided under the direction of NAIAS Chief of Security. No one will be permitted to enter or remain in the exhibition area after closing without authorization from Show Management. Any violations should be reported to NAIAS Chief of Security Office. All security agencies working at Cobo Center, in space leased by the NAIAS, must be licensed by the State of Michigan and have the amount of insurance or bond required by the state law. A copy of the information must be provided to the NAIAS Chief of Security Office prior to beginning work. All security companies must provide or do the following: 1. Provide a 24-hour contact. 2. Provide a list to the NAIAS Chief of Security Office of the locations they are working security in the NAIAS leased areas. 3. Only enter the exhibition area through the NAIAS designated location. 4. Stay at their assigned locations unless directed by NAIAS Chief of Security during an emergency. GENERAL RULES & INFORMATION 59

60 5. All security personnel will have their credential verified with a picture identification. 6. All security personnel will display their credential while in the exhibition area or other NAIAS locations. 7. No firearms will be carried by security personnel or any other individuals in the NAIAS exhibition area unless approved by the NAIAS Chief of Security in advance. 8. During an emergency or evacuation from Cobo Center, the assistance of the security companies is required. 9. Any violation of the show rules by security personnel or security companies could result in the removal of the security company or security personnel from the exhibition area. The vendor and/or security company will be notified immediately if this occurs. 10. Please immediately report to NAIAS Chief of Security any security violations, or issues with security companies or security personnel. NAIAS Chief of Security: Carl Berry , cell or cberry@dada.org Main Show Floor, Hall E and Other Leased Areas by NAIAS Show Management will provide continuous perimeter security on dates determined by Show Management. Show Management assumes no responsibility for securing individual exhibit areas that are not covered by NAIAS Security Services LLC. Upon request, private security needs can be provided by NAIAS Security Services LLC to any of the individual areas. NAIAS security credentials must be worn in a visible area of clothing at all times while working in the show area. Every exhibitor must provide contact information for individuals who will be responsible for their display at all times to Show Management. Security Reminders Exhibitors having space on the perimeter of the show floor area are requested to keep exit doors closed to prevent unauthorized entry into the show area. All fire equipment must be visible and accessible. Contact Cobo Center Administrative Offices if extinguishers require recharge at Exhibitors requiring workers at their display after hours should contact NAIAS Chief of Security Office. Our contracted medical support has assisted many of our patrons with medical emergencies. Quick notification to the NAIAS Communications Center and/or the medical team is important for successful treatment and transport. Please make sure your staff is familiar with the emergency phone numbers and the location of the medical team. Contact information will be provided on-site to every exhibitor. Exhibitors assigned meeting rooms will receive their own keys from Cobo Center. Show Management and Show Security will not have keys to assist in retrieving contents left in these rooms. It is the responsibility of the exhibitor to manage keys and room contents. Keys can be ordered through the Cobo Center website, cobocenter.com. During the public show, please request that your staff deliver lost persons to the Missing Children Area, located on the show floor near an entrance to the Show Floor. If this is not possible, please try to keep the person(s) in your exhibit and contact the NAIAS Communication Center, Missing Children at Please request that your staff deliver lost items to the Lost & Found which is located in the concourse at the Cobo Security Office, or phone After hours and after the show closes it is Staff and guests at all exhibits will be asked to conclude their activities and leave the show floor at the close of show hours. To prevent the loss of valuable items, secure them during non-show hours and provide staffing to adequately monitor your valuables/equipment during the show. Show Management is not responsible for property missing from your display. In the event items are lost or stolen, a Written report should be made to NAIAS Chief of Security Office. Both a wristband (worn on the wrist) and a credential are required for all individuals working the show to gain admittance to the show floor from Monday, January 11 to Sunday, January 24. Wristbands will be issued on site upon validation of credentials. (See Credentialing and Registration Policies.) GENERAL RULES & INFORMATION 60

61 Show Management reserves the right to refuse admission to any individual and/or to remove any individual from the show floor. Every individual entering the Show Floor area is subject to a search of his/her person and/or possessions. SELLING AND PROMOTIONS Exhibitors, their franchised dealers, agents and employees are prohibited from selling or leasing vehicles on the show floor. No product other than the exhibitor s new product may be displayed or promoted without the express approval of Show Management. (See Leased Vehicle Signage and Used and/or Secondhand Vehicles.) There can be no other advertisement attached to any vehicle products on display on the floor; only that which promotes the specific vehicle. Exhibitors must submit a written request for review and approval by Show Management (Andrea Trudeau atrudeau@dada.org) to sell branded merchandise, associated with the exhibitor s products, within an exhibit space. Upon Show Management approval, an exhibitor may sell merchandise, with all sales conducted and confined within the exhibit area. SOUND LEVELS In order to ensure a comfortable environment for visitors and exhibitors, the volume of sound produced by audio equipment within a stand must not exceed 95 db at the sound source, and may not exceed 80 db at the stand s boundaries. Show Management will periodically measure sound levels in the hall, and may require exhibitors in question to eliminate excessive sound. Sound levels may not substantially intrude upon any exhibitor s space. Show Management reserves the right to request an exhibitor modify its sound levels to comply with show requirements. (See Music and Entertainment.) SPACE CHANGES The space allotted an exhibitor will be provided, in most cases, as shown on the final floor plan. However, Show Management reserves the right to make any changes that it deems advisable or necessary in the general interest and safety of all exhibitors and attendees. SPONSORSHIP PROGRAM Each year, an exclusive group of companies are selected to affiliate with the NAIAS. These companies are authorized to host private hospitality events at the show, feature product displays and conduct onsite promotions and marketing activities. All requests for sponsorship are subject to the review and approval of the NAIAS Executive Committee. Levels of NAIAS sponsorship include: Premier, Official, Hospitality, Symposium, Exhibit Display, Press Conference, Charity Preview and Studio 25 Sponsorships. Hospitality Room Sponsorship Availability Rooms in Cobo Center may be used to host private or public hospitality events during NAIAS as a part of the sponsorship program. Room availability is limited, and the release and use of rooms is subject to NAIAS Committee review and approval. Rooms vary in size and configuration and are available on a first-come firstserve basis. Symposium Sponsorship Availability Companies and associations may lease the NAIAS Atrium Stage to host symposiums and panel discussions that are relevant to the automotive industry. The NAIAS Atrium Stage is available as NAIAS press conference schedules permit. All symposium activities and presentations are subject to NAIAS Committee review and approval. 62 Third Party Policy To protect the interests of NAIAS Exhibitors, Sponsors and Partners, third party involvement during NAIAS is strictly prohibited. For purposes of these rules, Third Party is defined as any entity which is not wholly-owned by the NAIAS Exhibitor, Sponsor or Partner and whose products or services to be displayed do not feature the Exhibitor s, Sponsor s or Partner s brand. No third party product or service may be displayed, demonstrated or marketed within any OEM, Sponsor or Partner display or promotion throughout the NAIAS, without express written approval of Show Management. The exception is third-party products that are featured as an OEM-option. If this is the case, the option may be listed on the Monroney label as a cost-added option. Non-approved third party activity is subject to removal from the show premises and parties involved may incur fines as dictated by NAIAS Show Management. STAFFING OF EXHIBIT During Preview Week, staffing should be based on the Press Conference Schedule and the Calendar of Events. The Exhibit Manager and PR Contact will be notified if there are any last minute revisions. (Updates will also be posted on naias.com.) The NAIAS Public Show hours are 9 a.m p.m. with access for persons with disabilities at 8 a.m. It is required that exhibitors have at least one representative available at 8 a.m. Displays should be staffed daily from 8 a.m p.m. during Public Show; Sunday, January 24, hours are 9 a.m. - 7 p.m. with access for persons with disabilities at 8 a.m. (See Work Schedule.) Dealership employees manning exhibits must be employed by dealerships that are affiliated with the NAIAS, LLC. Any deviation from this rule is subject to Show Management approval. At its sole discretion, Show Management reserves the right to remove from an exhibit any person or persons, including the exhibitor s staff, as Show Management deems necessary. STAGING YARD Show Management will provide limited security at the off-site staging yard. Show Management is not responsible for vehicles and contents in the staging yard. SUBLEASING OF SPACE Exhibitors are not permitted to assign or sublease for cash or other consideration any part of their space for any purpose. SURVEYS Exhibitors must submit a written request for review and approval by Show Management (Andrea Trudeau atrudeau@dada.org) to conduct reasonable surveys within an exhibit space. All submissions should include a copy of the survey to be conducted. Upon Show Management approval, an exhibitor may conduct surveys of show patrons, but shall be confined within the exhibit area. 63 Restricted Access to Audio/Visual Material The NAIAS, LLC, retains an interest in ALL audio and visual material, including, but not limited to, worldwide broadcast, film, video, DVD, Internet, webcam, radio and any other similar methods which may be used as a means to retain audio and visual images of North American International Auto Show (NAIAS) events. Exhibitor, on its own behalf and on the behalf of its employees, representatives and agents, consents to be included in any television distribution or any other form of media distribution of the NAIAS that may be placed in connection with the show. Any non-regularly scheduled news, sports or feature broadcast, rebroadcast, retransmission, or use of audio and visual rights without the express written permission of the NAIAS, LLC, is prohibited. The NAIAS events include any and all audio and visual images from an NAIAS venue, including pre- and post-show activities and all other associated functions. Questions regarding use of video material, or access to NAIAS events to obtain video material, should be made in writing to media2016@dada.org. Questions regarding use of the Audio/Visual material, other than video, should be directed to Max Mancey at mmuncey@dada.org or General Policy No entity may use any audio or visual devices, including film, videotape, DVD, webcam, or any other similar methods which may be available to capture audio or visual images of the NAIAS or its events without the express written permission of the NAIAS, LLC. Video material of the event is available from TVS Communications Solutions and may be provided to legitimate news organizations at a nominal charge. Video material for commercial use may be provided at prevailing rates. NAIAS is responsible for the approval of all requests for access to obtain audio or visual material, including film, video and streaming video from all NAIAS events. Any unauthorized use may result in denial of access to future NAIAS events and legal action may also ensue. No entity may supply, sell, or resell any audio or visual material of any NAIAS event without the express written consent of NAIAS, LLC. No entity, with the exception of official NAIAS partners, may represent that it is the official, authorized, or sole provider of NAIAS content or coverage. No television station, network or cable channel, is permitted to identify itself or imply that it is the official television station of the NAIAS. No entity may conduct or originate a Satellite Media Tour (SMT) from the NAIAS or featuring film, videotape, DVD, webcam or other similar methods, which may be available to capture audio or visual images of the NAIAS or its events without the express written permission of the NAIAS, LLC. News, Sports and Other Feature Programs NAIAS encourages news, sports, feature and commercial coverage of the NAIAS by qualified news organizations meeting the NAIAS guidelines. Access to the show premises by the media is restricted by the NAIAS to assure that those entities with which it has entered into contracts granting broadcast and other rights will receive the benefits for which they have contracted. NAIAS will consider all reasonable requests for access when made in writing in advance of an NAIAS event by a representative of regularly scheduled news, sports or feature program. Approval of such requests is conditioned upon the acceptance by the credentialed media of the restrictions placed on them by the NAIAS. All media credentials are the property of the NAIAS and may be revoked at any time by the NAIAS. All other requests, including those of a commercial, marketing, documentary, entertainment, public service, or other nature will be considered on an individual basis. THIRD PARTY PARTICIPATION Third Party involvement during NAIAS, as defined in the Third Party Policy (see Sponsor) is strictly prohibited to protect the interests of NAIAS exhibitors, sponsors and partners.
