1 MEMORANDUM To: From: Attendees/Absentees Derek Gallagher DG Date: June 14, 2016 Comm. No: Subject: Independent School District #879 Delano Secondary School Additions and Renovations June 6, 2016 Technology User Group Meeting Minutes Attendees: Paul Ludwig, Independent School District #879 Jon Moen, Independent School District #879 Barry Voight, Independent School District #879 Nick Main, Independent School District #879 Mary Reeder, Independent School District #879 Steve Heil, Independent School District #879 Matt Schoen, Independent School District #879 Bob Prell, ICS Consulting Karl Bohnsack, Paulson and Clark Engineering Kaitlin Schalow, Wold Architects and Engineers Patrick Triggs, Wold Architects and Engineers Derek Gallagher, Wold Architects and Engineers consult.com The Group met to discuss the preliminary User Group drawing. The drawings presented in the meeting are for diagrammatic purposes only, intended to facilitate discussion and visualize spatial adjacencies. The following is a brief summary of topics discussed. Discussion Topics: A. New Intermediate School: 1. Karl Bohnsack from Paulson and Clark Engineering gave general information about the network systems in the New Intermediate School. This information is attached to these minutes. 2. The group reviewed the technology needs of a typical classroom. a. The District is not yet sure what kind of technology will be in the classroom; teaching walls should provide electrical outlets and blank data boxes for wiring of whatever technology is chosen. b. It was noted that electrical outlets in the lockers would be ideal; however, the project was not budgeted for this. Electrical outlets should be maximized at all open wall locations.
2 MEMORANDUM Page 2 of 3 c. Classrooms should accommodate charging stations for chrome book carts. d. Ideally all data rooms should be equipped with electrical outlets and telephone connections. e. IT staff would like networked projectors at conference rooms. f. IT staff is comfortable with the size and location of data and electrical rooms in the building. g. Display TVs (as in the flex spaces) should have a hardwired network connection. h. The District wants PA alert lights in noisy locations. i. The District and Staff would like to consolidate as much of the building s technology as possible into one system. B. Secondary School: 1. Ideally the clock and PA systems at the Secondary School would be replaced. IT staff would prefer an all inclusive system running PA, Clocks, Doors, cameras, fire alarm, etc; however, this would add a considerable amount of scope to the electrical package and would likely limit the number of bidders. The district will coordinate with Bob Prell to establish a short list of potential vendors. 2. Existing info monitors use Google Digital Signage system. Hardwire data connections should be included at all new info monitor locations to accommodate this system. 3. It was noted that no intrusion detection system is currently in place at the Secondary School. Ideally, doors would be equipped to add intrusion detection in the future. 4. There will be one new data room to replace the one demolished at the Media Center. 5. If a new clock and PA system are installed, space will be required for the control equipment. It was noted that there is space in the storage room adjacent to the main data room. Partition walls between these two spaces could potentially be demolished if necessary. 6. Cooling will be required at the existing Data Room near the entry to the Media Center. 7. Ventilation required at the Data Room adjacent to the Middle School Courtyard. 8. The technology at new teaching walls in the Secondary School should match those outlined for the New Intermediate School as much as possible given existing conditions. 9. Any new lights in the project will be LED. Existing light fixtures will remain in areas untouched by major renovations. 10. Extra data and power outlets should be added at the Main Office to power specialty equipment. 11. It would be ideal to install parking lot surveillance. This would require additional power and data lines which would add to the square footage of parking lot renovation. This will be balanced against cost estimates for site work. 12. Data at the Sports Arena would be ideal, though rough ins for future data would be sufficient.
3 MEMORANDUM Page 3 of 3 C. General technology requirements: 1. It was noted that there is currently a fiber connection between the Secondary and Elementary schools. While a direct connection to the New Intermediate School would be ideal, the site for the Intermediate and the overall budget will determine whether this connection is feasible. 2. While wireless technology is planned throughout the buildings, it would be ideal to provide hardwire connections for planned equipment wherever possible to lighten the load on the wireless network. 3. CAT 6E is planned for new data cables. 4. The current security vendor for the District is Trans Alarm, but the District is ready to look for a new provider when their current contract expires. 5. The Design Team needs technology decisions from the District as soon as possible so that architectural impacts can be accommodated. 6. Wold will coordinate locations of security cameras and card reader box locations with the respective principals of the two schools. D. Next Steps: 1. The Staff will consider what equipment will require hardwired network connections and share this information with the Design Team. 2. Locations for card reader rough in will need to be determined for the Intermediate School once the building has a definite site on the campus. 3. Desired locations for security cameras will be chosen by the Principal and IT. 4. The District and Engineer will meet with vendors to explore options for the systems.
