Daffodil Days A Relay Team Fund-raiser

Daffodil Day Tip Sheet PLEASE REMEMBER: 1. Total Team orders must be by the case (50 bunches per case of daffodils / 18 pots per case for the daffodil pot). a. We are not allowed to order partial or half cases. They must be for full cases. If you or your team members cannot sell a complete case, feel free to contact other team captains and organize sales with them. It doesn t matter how many teams make up each case you can split them up among your team(s) once you receive the order. b. When placing your orders for the bunches or the bear / bunch combo, please be sure to account for ALL bunches sold. For example, if Team Member A sells (5) individual bunches and (5) bear and a bunch combos, your actual order will be (10) bunches and (5) bears. When the order comes in, you will simply take a bunch and match it with a bear to make the combo. 2. Team Captain s will be responsible for collecting all monies raised by your team. Total team orders and all monies must be turned into our Relay For Life of Van Wert County Daffodil Day Coordinator Carmen Cronley (contact info is below) by NOON on the deadline dates in the back of this guidebook. 3. Carmen Cronley will contact you once the firm delivery date of Daffodils and bears are determined (approximately March 13, 2011), and will let you know where to meet her so you can pick your order up. You will then be responsible for passing them out to your team members who sold them. a. If you do not deliver right away, you will need to coordinate with someone you know or a local business to properly store your flowers in a cool place until you can deliver them to your team members. Carmen L. Cronley Relay For Life of Hardin County County Daffodil Day Coordinator mselsie1@windstream.net Phone: (home) (cell) Please be sure you are staying in contact with Carmen Cronley regarding all questions and orders for your daffodils, Bear & a bunch and daffodil pots.

The History of Daffodil Days The American Cancer Society has adopted the daffodil as its official flower because, like the Society, the daffodil represents hope. Since the daffodil represents hope against cancer, the Ohio Division Daffodils Days slogan is Hope is Contagious. The daffodil is also one of the first flowers of spring and generally appears concurrently with our campaign s launch. In most regions, the daffodils are offered in advance of their normal appearance and give a head start to spring. Daffodils are sold as cut flowers in a bunch of ten. The purchaser then places the unopened flowers in water and watches them bloom. How do I receive credit for my Daffodil and Bear & a Bunch sales Your local staff partner is responsible for keeping track of the money collected for Daffodils and Bear & a Bunch sales, therefore, it is important that when turning in your money you keep it separate from other team/individual fundraising income. Daffodils are sold for $10.00 per bunch, the Bear & a Bunch for $25 and pots for $12. Your team will receive the full $10.00 credit for each Daffodil Bunch sold. As a note, ACS pays $0.87 for each bunch and $0.70 sales tax on each bunch. The sales tax is mandated by the State of Ohio. This cost per bunch and tax is subtracted from our year end Relay total. Your team will also receive the full $25.00 credit for each Bear & a bunch sold. As a note, ACS pays $4.40 for each bear, $0.87 for each bunch and then $1.75 sales tax on each Bear & a bunch sold. The sales tax is mandated by the State of Ohio. The cost per bunch, per bear and the tax is subtracted from our year end Relay total. Your team will receive the full $12.00 credit for each Potted Daffodils sold. As a note, ACS pays $1.99 for each pot and $0.84 sales tax on each bunch. The sales tax is mandated by the State of Ohio. This cost per pot and tax is subtracted from our year end Relay total. *The State of Ohio mandates that ACS pay sales tax on any items that are sold. This rate does vary by county. The calculation above is using a 7% county tax.

The key to the financial success of Daffodil Days is pre-sales (advance sales). Pre-sales are orders that are placed weeks/months prior to Daffodil Days. Relay Team Captains and team members are responsible for coordinating and promoting Daffodil Days within their workplace, neighborhood and/or group of friends. Specific responsibilities include: 1. Accepting daffodil orders and payments 2. Submitting total daffodil order and monies to the American Cancer Society staff partner prior to the order deadline. 3. Distribution of daffodil orders within their workplace, etc. The Daffodil Day Pre-Sales operate on the same concept as the Girl Scout selling cookies. The seller is responsible for collecting the money, turning in the order and distributing the order.

Handling, Storage and Preparation of Daffodils ARRIVAL DATE: The daffodils are shipped by refrigerated truck, usually arriving on the Saturday and Sunday of Daffodil Days week. Volunteers should be recruited to help unload the daffodil boxes off the truck when they arrive at the delivery site on the specified date. It is not the responsibility of the drivers to unload the truck. PACKAGING: The daffodils are shipped in full cases (500 flowers banded in bunches of 10, totaling 50 bunches per box) The flowers are in a tight bud stage. Teams need to place orders by the case. STORAGE: In order to ensure freshness, once flowers are delivered, they should be stored at the recommended temperature and handled as little as possible. 1. Store in cooler at 33 to 36 degrees Fahrenheit 2. Do no stack too close to the condenser fans. This can cause the flowers to freeze. 3. Do not store with any fruits or plants that give off ethylene gas. (When in doubt, avoid storing with any fruits or vegetables.) 4. Do not stack against wall of cooler in a block. Be sure air circulation can get around all boxes. Stack on pallets so that air can flow under boxes as well. 5. Do not stack by the cooler door, because of opening and closing, this area is usually warmer. 6. Keep refrigerated until ready to use. 7. For longer lasting flowers, keep out of direct sunlight. 8. When distributing, do not leave in parked car or van with windows up or in the sun. Keep as cool as possible at all times. Place one Use & Care card ( ) for each daffodil bunch inside the box. Place label on box Thank you for your order, please give a Use and Care card with each bunch of daffodils.

Arrangements must be made locally to store the daffodils. Suggested venues include: beer distributors supermarkets local florists vo-tech horticultural departments, etc. Make sure the venue has adequate storage space maintained at a constant temperature. When looking for a daffodil storage center, try to find a place that has ample room to sort and prepare the daffodils for delivery. It is important that the daffodils are not stored with any fresh fruits or vegetables as they might kill the daffodils. Daffodils in a tight bud stage can be stored for quite some time. For those who may want their flowers open, our grower recommends a natural blossoming process. This means cutting back the ends of the stems approximately one-half inch and placing the daffodils in water. At room temperature, the daffodils should open in six to eight hours or overnight. If daffodils in cartons get too near heat buds may expand and crush against each other, greatly damaging each other. However, it is suggested that daffodil purchasers be informed that all daffodils will be delivered in bud stage and require a day to open. If the purchaser wants the flowers bloomed prior to distribution, plan accordingly. (i.e.: Deliver on Tuesday and distribute on Wednesday.)
