Beta Omega Chapter Meeting date: Saturday, October 15, 2016 (Meeting #8) Call to order: The October Chapter meeting of Beta Omega Chapter was held at The Kansas City Health Department in Kansas City, Mo., on Saturday, October 15, The meeting was convened at 1:15p.m. First Anti-Basileus Charnissa Holliday-Scott, presiding. Kamille Jefferson and Beverly Adams, Grammateus/Anti-Grammateus. Meditation was rendered by Chaplin Soror Wilma Taylor. The pledge was recited by all present. Special prayer for our Basileus, Soror LaTanya Patton was given by Soror Charnissa Holliday- Scott. Gallagher & Co.- Risk management services for Rho Iota Chapter KCK Chapter of Delta Sigma Theta Sorority, Inc.- Debutante Ball ad payment Luther Florist- August bill/statement Motion: Soror Carla Gunner, I move that the chapter accepts the recommendation of the executive board to buy a quarter page ad for $125 in support of the NAACP Freedom Fund luncheon. The motion was seconded and passed. Motion: Soror Delorise Gines, I move that the chapter accepts the recommendation of the executive board that the chapter use $500 of uncommitted funds in the Operating Budget to sponsor a student for the Alpha Phi Alpha college tour. The motion was seconded and passed. Motion: Soror Wilma Taylor, I move that the chapter accepts the recommendation of the executive board that the chapter postpone donating to the American Diabetes Association until the end of the year. The motion was seconded and passed. Motion: Soror Carla Gunner, I move that the chapter accepts the recommendation of the executive board to reconsider donating to the Bishop Sullivan Center until the end of the year. The motion was seconded and passed. Report of Officers and Standing Committees: Grammateus: Soror Kamille Jefferson Reading of minutes: Page 3: Soror Gena Williams name spelled incorrectly. Minutes were accepted with the noted correction. Hodegos Report: Soror Lisa Ellington-Harris Cards were sent to Sorors Lolita Caldwell and Soror Juana Hishaw as they have both been under the weather. Please pray for Soror Charnissa Holliday-Scott in the loss of her cousin 2

3 Please keep our Basileus and her God Daughter in your prayers as they mourn the loss of her God Daughter s infant daughter. Continue to keep our basileus and her family in your prayer for God s healing hands to touch Soror LaTanya and deliver strength to her husband and daughters. Continued prayers are requested for Sorors Margaret Evans and Mary Burroughs as they are challenged with ongoing helath issues. It will be on the website, in the members-only section, for sorors to view. The 2017 budget will be voted on at the November chapter meeting. Basileus Report: Soror LaTanya Patton reported by 1 st Anti-Basileus Soror Charnissa Holliday-Scott Report: Soror LaTanya Update: Soror LaTanya Patton, Basileus, is still recovering from surgery. She is still in intensive care and the family has requested no visitors or calls at this time. A hat box has been placed in the rear of the room to collect cards and well wishes to Soror LaTanya. The cards will be taken to her at the hospital. The Midwestern Regional Director and the local Chapter Basilei have been notified of Soror LaTanya s illness. A special prayer was offered for her healing. New Meeting Location KC Health Department: Beta Omega will be meeting at the KCMO Health Department in October, November, and December. It is essential that we are wonderful guests. No food is permitted in the Auditorium. Also, we must vacate the building no later than 4:00 pm. 3

4 Cluster Update: Cluster B & C is scheduled for October Beta Omega Chapter will serve as the hosts. We are still needing Sorors to register and to help during the Cluster weekend. October 28 th is our Cupcakes and Conversations event from 7p-10p at the Holiday Inn Express in Grandview. Sorors will be needed to serve as greeters and as hostesses for the evening. We are greeting Sorors, playing games, and providing food during that evening. On October 29 th, the Cluster meeting will begin with registration at 8:00 am. Assistance is needed for Registration, Hostesses, Collection of Backpacks, and Serving Lunch. Please contact Soror Charnissa Holliday-Scott to serve in any capacity. Regional Conference Report by Soror Karmen Harris Boule Report by Soror Charnissa Holliday-Scott Program: Soror Charnissa Holliday-Scott Report: The Alpha Kappa Alpha Sorority, Incorporated Beta Omega 2017 Program was presented. Motion: Soror Barbara Ashby, I move that we accept the program for The motion was seconded and passed. Target I: Soror Chantell Garrett The HBCU Expo correction: Attendees 162. The backpacks are going to be included in the Cluster donation. ASCEND: Soror Gloria Washington Eleven ASCEND students participated in the September HBCU Youth Expo Experience. Next meeting date, October 22 nd, our scholars will participate in the showing of Beasts of No Nation in collaboration with Mu Omega Chapter, at the Artis Event Center. Target II: Soror Robin Wheeler Report: No report Target III: Soror Patricia Norword-Wilson The committee will donate $ in food to the St. James UMC to aide in the giving of Thanksgiving and/or Christmas food baskets. Also, we will provide aide to a family who has been struggling with and through the devastating illness of cancer. The committee will pay on or off one of their utilities. A copy of a current utility bill will be requested before any monies are disbursed. The amount not to exceed $ The committee will 4

5 collect and donate new and gently used coats, hats, gloves, mittens, scarfs and belts to 2 different schools. We will contact the schools to determine their wants and / or needs. We are expecting to spend $ and $ We will also ask sorors if they have any gently used items they would like to donate to contact one of the members of Target 3. Next Meeting Date: The next meeting is scheduled for November 10, Target IV: Soror Marsha Lacey Target V: Soror April Sutherland Calendar dates: October 24 United Nations Mayor Dinner, purchase a table for $750, 10 members paid a portion and the committee added the balance. Saturday October 24, we will celebrate United Nations Day- proposed program: Child Soldier speaker panel and show Beasts of No Nation partner with Mu Omega it will take place from 5-9 at Artist Events Center, 3016 Cherry, ASCEND Dates: November 12, December 17 COMMITTEE REPORTS Bylaws: Soror Twyla Woods-Buford Report: No report AKA Connection: Soror Carol Graves The committee met on Monday, October 10 th. The committee completed their first phase of Get out the Vote. The next phase is working on a phone bank, which will target those who have not voted in the last two election cycles. The next committee meeting will be Monday, October 17 th. The final Presidential Debate will be Wednesday, October 19 th between Hillary Clinton and Donald Trump, be sure and use #bethevoice. Graduate Advisor: Soror Leontra Foreman The Graduate Advisor s Council met October 5 th. The results of the Reevaluation for Rho Iota chapter, St. Joseph Mo., was discussed. The committee expressed many concerns about the findings and discussed next steps to take prior to the next opportunity for Rho Iota to be reevaluated at Cluster on Oct. 28, 2016 with an additional cost of $ The audit findings for Rho Iota was discussed and the committee will continue to have discussion on how to address and improve the unsatisfactory practices. Rho Iota s Week is scheduled tentatively for Nov , Contact has been made with UMKC concerning Rho Alpha Chapter. A meeting is scheduled to discuss the status the chapter on Friday, Oct. 7,2016 at 4:30pm. The committee would like to send a letter to the International Standards Committee Chairman expressing our concerns about the evaluation of Rho 5

6 Iota Chapter and requesting advice about how to resolve the concerns. The committee would like for a future discussion to be held with Soror LaTanya Patton, Soror Brandi Pleasant and Soror Leontra Foreman on the findings of the audit. The next council meeting is November 2, History: Soror Jennifer Stevenson Plans for Phase II are underway for the Oral History Project. Interviews for Golden sorors, who were unable to attend to participate in June, will be at our Fall Historical Tea on Sunday, November 5 th, from 1:00 p.m. to 4:00 p.m. at the Midwest Genealogy Center. Once all interviews are complete, each Golden Soror will receive a copy plus a copy will be sent to Howard University and a copy will be kept in the chapter archives. The committee is revamping our soror/profile data. Please sign up at the table and fill in the information. Soror Delorise Gines has volunteered to author the 100 th Anniversary history book. Sorors, remember to prepare for the scrapbooks required for regional conference. Soror Elonia is maintaining Google folders for pictures and information. The Midwestern History Books are still available for purchase for $25 and $30 if you want the books mailed. Please remember to sign the petition for the Ethel Hedgeman Lyle US Postage Stamp Project. Ivy Leaf Reporter: Soror Dorita Brokenbough A one fourth-page advertisement has been purchased and submitted to the Kansas City Chapter of the National Congress of Black Women for their formal scholarships and awards gala. Ivy Leaf Magazine Ivy Beyond The Wall article for Soror Julia Hill is being sent to our Corporate Office. In the latest edition of the Ivy Leaf, Soror Julia Hill s picture and article regarding her (75 years of service) was in the New Dimensions in Achievement section. 6

7 Pan-Hellenic: Soror Kamille Jefferson The NPHC Founder s Day celebration will be held in April 2017, more information to come. This year s Divine 9 Holiday Affair will be held Saturday, December 3 rd at the Negro League Baseball Museum. Philacter: Soror Ashley Black 73- active sorors 2- visiting sorors 75 - total present Membership: Soror Patricia Peppers-Towles The Reactivation Activity will be held November 19th at 11am. This is prior to the November Chapter meeting. Inactive sorors who attend the activity will be encouraged to stay for the chapter meeting. Nominating: Pam Denton If there is an interest to run for a Beta Omega chapter office, the committee will be calling sorors to solicit service and you may also contact Soror Pam Denton. All of the chapter officers positions and Nominating committee are up for nomination except the Basileus position. The committee will meet to review the credentials of each potential candidate to ascertain her eligibility for office for which she desires to serve. Voting will take place at our November Chapter meeting. Sisterly Relations: Soror Pat Finch Twenty-five sorors attended worship service and a luncheon at Harvey s located at Union Station. Swap Meet is being moved to Standards: Soror Delorise Gines Voting was held on the adoption of the Standing Rules. Standards results with a count of 60 votes: Yes (59) No (1) Voting was also available online in the Members Only section. Technology: Soror Leontra Foreman Sign-in sheets are being passed around to update robo phone call information on chapter alerts. Special Committees: 7

8 Debutante Ball: Soror Beverly Adams The Talent Show with special guest commentator Lisa Benson Anchor/Reporter with Channel 41 News was a success as well as the Sponsoring Soror Activity Black History Tour. Ongoing activities Debutantes Service Projects, Mother s Tea October 30 th at Concord Fortress of Hope Church and Waltz Rehearsals. All ads are due for the Souvenir Journal October 7 th, and guest list October 17 th. The Invitations committee will meet on the 27 th for distribution. Escort Activity at the Main Event Center on October 29 th. Larry Thomas and Friends will provide music the night of the ball. Former 2010 Debutante, Bayleigh Dayton, Miss Missouri USA will be our special guest at the Debutante Ball. EAF: Soror Carla Gunner EAF would like to sponsor a Chili and Bake Goods cook-off fundraiser before at our November Chapter meeting. Signup sheet is available or contact Soror Carla if you would like to participate. The costs will b $5.00 to taste the chili or desert, and $8.00 if you want to sample both. A prize will be given to the winners. Fundraising: Sorors Veoletta Maxey and Pearlie Taylor Report: No report Brought up in the Basileus report, but could not vote due to not having a quorum. Quorum was established due to attendance when the Fundraising was called to report. Recommendation from Executive Committee. Motion: Soror Pat Finch, I move that Beta Omega not have a fundraiser activity in the 2017 fiscal year. The motion was seconded and passed. Ivy Community Service & Education Foundation: Report: Soror Everlyn Williams The Ivy Community Service Education Foundation in accordance with the Bylaws established by this organization is pleased to announce the first Annual Board meeting. The meeting is open to all members of Beta Omega. Members will have the opportunity to engage in an informal discussion about the role of the foundation and the recommendations outlined for full operation. Additionally, experts have been invited who are familiar with foundations and taxes. The meeting will be held November 13 at the South Patrol Police Station, 9701 Marion Drive in Kansas City, Missouri, from 3:00 pm-6pm. Audit: Soror Brandi Pleasant 8

9 The audit committee for Beta Omega Chapter of Alpha Kappa Alpha Sorority, Inc., met on Saturday, August 20, 2016 and performed an internal financial audit in accordance with the Financial Fundamentals: Guide to Chapter Financial Procedures revised November 2014 issued by the Sorority. The committee reviewed the chapter s Operating Account, Scholarship & Community Service Account and Debutante Ball Account for the Calendar years. Michael J. McInerney, LLC-CPA, completed the chapter s external audit for the year of He completed a compilation report for all three accounts (Operating, Scholarship & Community Service, and Debutante Ball). A copy of the external compilation report is available for the chapter to review.
