14 Etiquette CLUB MEETINGS Please stand when addressing the speaker or when asking a question. Inform the president if you have an announcement or intend to leave before the end of the meeting. Members Guests Members are welcome to bring guests, family members and/or prospective members to a meeting The club pays for the meal of prospective members 2 times Please inform secretary Julie Burgess by midday Tuesday of guests coming Chairperson CLUB DUTIES Contact the speaker one week prior to the meeting. Advise the speaker of the evening s format and speaking time of minutes including questions, with a finishing time of approximately 7:25pm. Offer the speaker transport to and from the meeting. Enquire about the speaker s requirements for presentation (e.g. laptop, data projector) and arrange to have the requirements met. Enquire about any special dietary requirements and if necessary inform the secretary. 14

15 Be at the venue in good time to greet the speaker, offer them a drink, and introduce him/her to the President and other guests. Prior to the meeting ensure that any equipment required by the speaker is in place and working well, and check that the person giving the vote of thanks is present and prepared. If necessary ask an alternative person to give the vote of thanks. Introduce the speaker with a few concise remarks. During the presentation be aware of and attend to any issues that arise. If the speaker is significantly exceeding the allocated time find a subtle way to remind the speaker of the time. At the end of the talk/presentation invite questions from the floor. At the end of questions call upon the person to give the vote of thanks. Meeting host Be on duty no later than 5:30pm Have the visitors book and name cards / make-up cards available for guests and visiting Rotarians. Welcome visitors, ask them to sign the visitors book, ensure they have a name card. Introduce the visitors to the President and to members who may have similar interests. 15

16 Enter the visitors names on the Presidents meeting sheet so the President can introduce and welcome them at the start of the meeting. Vote of Thanks When called upon by the chair, present the vote of thanks on behalf of members.
